Strathmore United Church AGM Minutes - February 1, 2015

The Meeting was called to order at 12:35pm by Charles Watson. There were approximately 37 people in attendance. The attendance list is attached. Opening: Charles Watson offered a short prayer. There was a minute of silence in remembrance of the members of our congregation who passed away in 2014. A list of the names is attached. Nomination of AGM chair and secretary. Donalda Ledene nominated Charles Watson as Chair and Anne Godsman as Secretary. Carried. Motion: Don Janzen proposed that voting privileges be extended to adherents for Temporal matters only. Carried. Approval of Agenda: One item was added under” New Business”. Motion to approve Agenda as amended, by Gene Struiksma. Approval of Minutes of 2014 AGM: Motion to approve minutes as circulated by Karen Wilkie. Carried. 11: New Business: Fresh Start. Rev. Scott explained the purpose of the program. Foothills Presbytery has been selected to participate in the program and council voted to support it. The program is in modules, which can be chosen by the congregation, after 4 compulsory modules have been completed. SDue-Lauzon-MacDonald from Vulcan is our presenter and would be available in March and April for evening or Saturday all day sessions. It has been suggested but this will be decided at a later date. 12: Proposals and Nominations for 2015. Nominations:Chair: Charles Watson. Vice Chair: Vacant. Secretary: Anne Godsman. Clergy Report Annual Report 2015

It has been an exciting year.

A faithful group gathers regularly for Bible Study; this year we have worked through the Book of Genesis and

are now learning and growing as we study Exodus.

The church has hosted a pancake lunch, a Seder Supper, a church wide Birthday Party, Guess Who is Coming

to Dinner, a Ham Supper and Silent Auction and much, much more. Our relationship with the Women in

Solidarity Clinic in Guatemala City continues to grow.

The building hosted Gleichen and District Choir twice this year. We lead services at the Lodge and Sagewood

Age Care on a regular basis and we celebrated with those who graduated grade twelve and were moving out

into the adult world.

Many women took apart in the Food Safe Course and we may all feel assured our kitchen is a safer place for it.

Putting into practice all that was learned we can with confidence, know that all who enter wash their hands

and wipe the counters with disinfectant before any food preparation starts. There is separation of clean and

soiled areas. With these few changes we were approved as a Commercial Kitchen and as such can hire out the

kitchen for food prep and we are able to prepare food for outside consumption.

The church supported the UCW with their Thrift Sales and their Treasure Sale. All three events were successful

at meeting their goals.

When we review any activity, or year full of activity, the question to ask is, “Does this speak to our mission, the

small piece of God’s work in the world that belongs to us?” As much as it’s nice to have folks filling the pews

on any given Sunday, as much as it’s nice to have the books balance, as much as it’s nice to have short Council

meetings, as much as it’s nice to have happy congregants, the bottom line of ‘success’, if you wish to call it

that, is the degree to which our mission has been achieved.

Currently our mission statement is:

Strathmore United Church exists as a welcoming community of faith, to equip people for Christian discipleship

and to support each other in our faith journeys as we go into the world to make a difference for Christ.

This year the Council will be reviewing this statement. Together, we will prayerfully discern the mission of the

congregation, and see if this statement still addresses what God is calling us to at this time. With a firm

statement of mission, how resources are deployed becomes clearer, as focus is maintained on our specific

mission. We are able to pose the question, “Does this help us fulfill our mandate of being God’s light and love

in our community and in the world.” What an exciting way to enter into the New Year!

Council Report By the grace of God, two thousand and fifteen has been a great year for Strathmore United Church. The Combined efforts of many talented and energetic teams and individuals are responsible for our blessed state of being. Rev. Pamela Scott has become champion of our church within the wider community and has come to occupy a special place in the hearts of our congregation. We count her presence among us as one of Gods many blessings. Working together with Susan (the go-to-girl in the church office), and the Worship and Christian Ed. teams, Rev. Pamela brings substance and meaning and grace to worship services and related events. What would our Church be without music. We are blessed to have in our midst so many talented individuals, for example: Irene, Lynne, Laura, Arlene, Janet, Claire, the Steeves family, the chime ringers, our Sunday School kids, Rozella's group and a wonderful mixed choir that appears when the occasion demands. WOW! To our Pastoral Care group, the Stewardship and Koinonia teams and all the special people who attend to tens upon tens of tasks that magically get done, we thank you. The physical structure and grounds of our church are not forgotten. The Property team and caretaking staff deserve our thanks and gratitude for a job well done. Life would not be the same without flowers, would it Bev. We need to thank God for the life we enjoy. We care for one another, we worship together, have fun together, eat together and pray together. Worship Committee Report 2015 ANNUAL WORSHIP COMMITTEE REPORT

The Lord called Samuel. And he answered, “Here I am!” ( 1 Samuel 3:4)

“Be faithful in the smaller things, and the Lord will give you more work to do, and more and more-all for His

glory. He wants to use you. He has a purpose for your life, and He alone can give you a vision of His will. “

(David Jeremiah)

Another year has kept Strathmore United Church busy. Worship services have been inspiring, and at times

thought provoking with special music, drama, special speakers, communion and prayer. Reverend Pamela

Scott has provided us with spiritual direction as we gathered in this, God’s House.

This year has focused on stewardship. We have been especially thankful for each other and the gifts given in

service. Each person and each gift has been important to the importance of God’s work here at Strathmore

United Church.

The importance of prayer and the power of prayer has also been a focus in our worship times. It is something

that we need encouragement in from time to time.

The Worship Committee and the Pastoral Care Committees have joined together to provide congregational

and community building events. Those events have included fun games nights, birthday parties, Easter

celebrations, welcome back celebrations, and fund raising suppers.

During some of our services we have honored seniors, youth, baptismal candidates, and student graduates.

We love you all.

Each team has an important role to our worship and we thank them. May we all work together for Glory of

God. May we all become fruitful stewards as we look forward to upcoming changes in the ways we may

function as a church. Pray for our church that it may not only grow in numbers but in financial stability as well.

Worship in this church is important to all of us.

The Worship Team wishes you a very Blessed New Year.

Buildings and Property Report The Property Committee exists to help the Strathmore United Church care for its buildings and properties.

There are currently eight Property Committee members as well as a number of church members we have

been able to call on for additional help. Our current membership includes:

The Property Committee handles routine maintenance of the Church’s buildings and grounds. This includes

things such as arranging snow removal, grass cutting, and window washing as well elevator maintenance and

repairs. We are fortunate that many of our members bring special skills to the Committee and we are able to

make some of the repairs and improvements ourselves.

We are also involved in making larger scale improvements. For example, in 2015 we were able to close off

and fence the southwest entrance to the parking lot in order to discourage cars and trucks cutting through.

We also redid the lighting in the Church library in order to brighten what had been a somewhat dark area in

the church.

In 2016 we will continue to make the Strathmore United Church a physically welcoming space. We with

continue our regular maintenance and we encourage people to let us know when they have concerns.

Projects identified so in 2016 include replacing the downstairs rug and making additional space in the

compound behind the Church. We have also identified some larger longer term projects for Council’s

consideration.

Narrative Budget for Property Committee

Want to fund it from either Special Projects or Manse fund rather than Church Maintenance. If we have to fund

from Church Maintenance, we will need to increase Church Maintenance from $8,000 to $15,000.

2. Tree Removal – Remove four Spruce trees in compound. Will give us more room and help alleviate issues we’ve

been having with eaves troughs. Quote as follows:

a. Two trees @ $ 950.00 $1,900.00

b. One tree @ $ 750.00 $ 750.00

c. One tree @ $ 650.00 $ 650.00

d. GST $ 165.00

Total $3,465.00

Want to fund it from Grounds Maintenance Budget.

Randi will put together blurb for Narrative Budget re: 2015 accomplishments.

Projects for after 2015

1. Eaves trough: Want bigger eaves trough for entire building, may need to be customized. Doug will look into it

as a potential project. Very rough estimate of $15,000.

2. Parking Lot Work: Discussed a concrete apron or asphalt off the curb – fewer potholes; less spinning gravel.

Possibly tie in with Concrete Slab project.

3. Concrete Slab/Concrete around Church: Tear out, re-pour. Crack by front door. Can’t fill, look at replacing the

slab, possibly the concrete around the church. Possible project (very large cost)

4. Potential New Project: Insulating church. Likely want to insulate on the outside. Potentially spray foam and top

with metal roof. There is a combined roofing/insulation spray available however. Discussed what we are

currently spending on utilities. $9,702.86 for Utilities in 2014 but would like to break down further so we know

what we spend to heat the church (help us determine if insulating worthwhile). Russ will follow up with Linda

Stead to find out.

Christian Education Reports A Sunday School class has been available to all children of the congregation and visiting children during the

morning worship. We are using the curriculum “Feasting on the Word” which follows the scriptures that are

used in the congregational service. We have 3-5 regular attending children who make each Sunday a delight to

share their observations and insight.

Support for this program is shared by a number of adults who take turns being responsible for leadership of the

class. A huge thanks to: Laura Janzen, Karen Wilkie, Judith Ludlum, Melody Ludlum, Randi Ludlum, Kathy Light,

Eileen McMorris, Linda Derksen, Karen Binns, Gwen Bolinger, and Linda Freeman.

In December the children lead the service on Dec 13th and presented the pageant “ Enoch and the Donkey” for

the enjoyment of all. They also presented Mrs. Pinchbeck with a cheque to help with the Christmas toy drive.

KOINONIA Report Koinonia is a program that started in the fall of 2009. Everyone in the congregation is invited to join and take part in ushering, greeting, communion, scripture reading and making coffee on Sunday mornings. Thank you to everyone who so willing helps out at our Sunday services, and a special thanks to the leaders who put in hours on the telephone. A special thank you to Marian Brown, Kathy Light and Elaine Wathan who retired after many years of service. Without the leaders the program would certainly not work! We meet as a group the end of June to go over the lists and make adjustments. This year we cut out one group and distributed those names among the five groups, with each group taking two months. The leaders and groups are as follows: Linda Derksen - September and March, Betty Hilton and Alice Bramley - October and February, Bev Hermanson - November and April, Don and Laura Janzen - December and May, and Jo Wilson and Christine Howard - January and June. There are no groups handling the summer services, just a sign up sheet for whomever is able and willing to do these duties. If for some reason you are not on a group and wish to take part, you are most welcome. Please speak to myself or any of the leaders. Thank you again for your continuing support of Koinonia. United Church Observer Report We do not have a current Observer Rep. I have been handling all inquires and correspondence from the

church office. If you would like the magazine delivered to your home monthly, please come see me in the

office prior to March 1. The annual subscription cost is $25.00 per year/taxes included.

Memorial Book Report Our memorial book is kept to record donations and special gifts given to our church in memory of friends and

loved ones. This book was gifted to our church by Mary Mercer in memory of her husband, Walter. It is very

interesting to read through the book and be reminded of all the people who are mentioned and what has

been donated in their memory.

United Church Archives No Report

Pastoral Care Team Report

Pastoral Care report to Annual General Meeting on February 7th,2016 The pastoral Care and Worship committees have been working together to organize social events and Fund Raising events for the congregation and local church funds. This meant that the operating policies for each needed to be amended, this was approved by Council in March. Pastoral Care changed the frequency of meetings, to be bi-monthly, on the month when Worship committee does not meet. We also changed the location of our meetings from Lambert Village to the church basement on the 3rd Tuesday of the month. The social events and fund raisers worked out very well, with approx. $4200 being raised at the Fall Supper and Silent Auction, in November. The Pastoral Care group continues to visit or call members of our congregation who are in need of care and attention. Peggy McLean accompanied Rev. Scott on visits to The Lodge and Sagewood, distributing newsletters and talking with folks who are not able to get out to church much. Our next meeting is scheduled for Tuesday, February 16th, 2016. As this will take place after our AGM, it is my hope that a new team leader will be in place. I have been in this position for over3 years and feel that it is time for a new leader with new ideas. Stewardship Report

Welcome and thank you all who make the Strathmore United church yours. It has been said that in five year

50% of United Churches will not be around. With the Fresh Start topics to use and a willingness to step up we

will survive. Involvement with the church’s activities using our gifts and talents is very satisfying and

rewarding. Worship is a large part of church but we need to take what we receive in worship and show the

community at large what our church is all about. Here are someway that you can use your gifts and talents:

o Working with Christian Ed

o volunteering as a Sunday school teacher

o taking part in bible studies

o joining a Ministry Team and attending Council meetings

o Getting involved with fund raisers such as Fall Supper, Guess Who’s Coming to Dinner, fun time

activities

o Visiting people who are ill, can’t get out, or just need some to talk too.

We can all make a different with just a little effort. Our church is going out into the community at large as well

as in outreach and missions such as our Guatemala mission. What do our coins we donate mean to us as well

as our church? Our they coins of grace, forgiveness, hope, love, peace, or business, pride, selfishness, greed?

The church has come along way but the trail is still ahead to follow and this year we will yet cover more of it in

the coming year. We will build on our mission in Guatemala, continue to help the community at large and we

will be a strong church now and in the future.

Mission and Service Fund

The work of the National Church falls into six main categories: Global Peace & Justice; Community Support &

Justice; Developing Leadership; Faith Formation; Theological Education & Ministry Support; Support to Local

Ministries; and Conference Leadership. The M & S Fund supports work with 101 global mission partners as

well as work within all the 13 Conferences across Canada.

One of the ways we learn about the vast scope of our church's work is through weekly MINUTES FOR MISSION

readings. Each year these MINUTES focus on a specific theme, and in 2015 we were "Called to be the Church",

based on the words of our NEW CREED.

We are reminded that "We are not alone, we live in God's world" and that everything, including life itself, is a

gift from God. As stewards, not owners, of God's gifts, we are called to share with others. The MINUTES FOR

MISSION tell very personal stories of how our gifts make a difference in people's lives throughout the world.

Each year we set a goal for our M & S Fund and in 2015 we had hopes of reaching our $18,000 goal. The

National Church sets it's budget based on every congregation meeting its local goal, so it is important that we

do our best to support the Fund. In 2015 we raised $17,792 (including $2,000 from the UCW). Our $208

shortfall could have easily been surpassed if each of us had contributed a mere $5 more last year.

Whether your weekly offering is given in envelopes or through PAR, I urge us all to specify a portion for the M

& S Fund. Our congregation receives support from the fund in many ways, such as our Sunday School

materials; the "Fresh Start" Program we participated in; the Narrative Budgeting Workshop our Council

attended; the MANDATE Magazine; the education from a theological training centre that our Minister

received; and many more.

For a look at the scope of Mission & Service work, I urge you to read the MANDATE magazines which are

placed on the table in the Narthex. The August 2015 edition has a special focus on M&S, telling you exactly

where your dollars are spent doing God's work throughout the world.

As we start a new year and work towards our 2016 M & S goal of $18,000 may we all remember God's call to

be the Church and to share our gifts. I thank you all for the support you contributed last year.

Foothills Presbytery Representative Report

Foothills Presbyterial UCW Annual Gathering was hosted by Strathmore United Church Women on March 10,

2015. The ANWC UCW Annual meeting in Edmonton, April 30 - May 2, was attended by 5 women from

Foothills Presbyterial. There was no Fall Enrichment Day in 2015. Several women attended the ANWC UCW

Full Executive Meeting in Drumheller from October 15 to 17 and a committee of Foothills Presbyterial women

are currently planning the 2016 ANWC UCW Annual meeting for April 21 - 23. The Child Well Being Initiative

continues to call on the province to implement measures to reduce child poverty in Alberta and cards and pins

were sent to all MLAs in the fall. More Hope Dolls are currently being made by women in Foothills and other

Presbyterials for all new MLAs. On March 31 the UCW in Nanton will host the next Annual Meeting.

United Church Women

Agape Ladies Fellowship Group

The Agape Group meet once a month for fellowship and fun. The group met from Jan- June on the third Tuesday

of each month. In Sept. it was decided to move the meetings to the First Monday of the month to avoid end of

the month conflicts. We meet in the gathering area at Lambert Village at 7:30 and extend an invitation to any

ladies who might like to join us. We have a group of 15 to 20 who share responsibility for the planning of each

month’s meetings. We have enjoyed group discussion, games nights, information evenings, Christmas pot-luck

supper and craft night, and more.

Quilters Report

This has been another productive year for the Strathmore United Church Quilters. A total of 143 quilts (various

sizes) have been distributed to local agencies in our area. In March we hosted a tea and quilt display. We were

overwhelmed at the response with over 80 men and women attending. In November we donated 3 quilts to the

silent auction at the Fall Supper. The large quilt was given to us by Ellen Helfrich. It had been started by her

mother Nellie Voutier, but unfinished. We finished it and felt it would be appreciated by someone in our

congregation. It has found a new home and holds many memories of Nellie’s faithfulness in this community. We

continue to receive donations of fabric and some quilt tops, and we appreciate these and use what we can.

Thank you to the UCW for the continued financial support. In May we relaxed and enjoyed a windup luncheon

at Humpty’s with 17 ladies attending. In December we had even more attending the luncheon at the Golf Course.

Thanks for all the encouragement and support. Quilts bring hope and love to all who need some support.

UCW Annual Report

2015 UCW Annual Report

The UCW had a busy and productive year in 2015. The two Thrift Sales in April and October were very successful and generated record profits of $13,177.51 in April and $17, 086.04 in October. We are very grateful to the many men and women who worked hard for this result. The treasurer’s report will show you where these monies were spent to the benefit of our church, community and larger areas of concern. The UCW also purchased the cooler refrigerator and 6 new tables with sets of stacking shelves for use in catering and the Thrift Sales. We also paid Ron Hilton for his expenses in building new book shelves in the large shed. We appreciate Ron and his expertise very much. Eight women took the Food Safety Course in April with ten more following suit in September. We are well prepared to safeguard your health while eating in our church. Rev. Pamela Scott undertook the task of preparing an action plan for our kitchen which remains in the kitchen available for whichever group is working with food preparation. It is very helpful and well designed. Thanks to Pamela for her efforts with this. The three catering groups each undertook two events this year as we catered to three funeral lunches, Foothills Presbytery meeting, Foothills UCW Presbyterial and the Summer Games leadership. In June UCW held a Treasure Sale of lovely items donated to the Thrift Sales and the Treasure Sale to benefit our church Guatemala Mission Project. This raised $3,528.36 which enabled 15women to complete a year’s education to benefit women’s health in their communities. We still have an ongoing project with the Property Team to build a shed or sheds beside the church in the fenced area. This will offer protection of items and workers during Thrift Sales and storage for tables, electrical cords, etc. during the year. UCW is still in need of a vice-chairperson for the year and would welcome a volunteer.
