Case Study #1: Global Pharmaceutical Brand, US
Client Background:
An American multinational corporation that develops medical devices, pharmaceutical and CPGs

• Slow and error-prone manual process to collate product data from Excel sheets during Purchase Order (PO) process when data needs to be collected for ~360 attributes from 18 business units.
• Severe challenges when these spreadsheets get corrupted or passwords are forgotten when owner leave the organization
• Collaboration and follow-up with 18 business units to get data filled in for new products resulted in customer turnover because of failures to keep timeline commitments
• Gold Copy segregation from transactions was a challenge since the original copy and version were difficult to trace
• Management had no visibility of the end-to-end PO process with SLAs mapped to key stakeholders and business units.
• HCL studied the PO business process and identified five sub-processes in the lifecycle, along with the owners of and the user base for each. A total of circa 100 business users were identified.
• To gain business confidence, HCL planned for and rolled out an MVP to about 20 key business users in the first two months.
• During this time, a few lessons were learnt that HCL leveraged during the next four months of deployment, when four more Apps were rolled out. This was a six-month program.
• Technical solution proposed by HCL was Power Apps (Canvas Apps) along with Power Automate (e.g. to send emails to customers with product details) with SharePoint Online as the backend
• Business process understanding and documentation of flows played a huge role in the success of this engagement
• Customer turnover reduced by 13% in 4 months
• The end-to-end PO lifecycle time decreased by 23% in 2 months
• Automated governance of data through SharePoint lists ensured Data Quality and low involvement of IT in managing databases
• Business users were motivated to use simple and standard windows interfaces

• Scalability Challenges hurting Business Growth–• Product Supply Group used to keep track of their medicine manufacturing tasks in Access DB stored in
Network file share.• Availability Challenges affecting Business as Usual –
• Product supply groups are spread across multiple locations. The Access DB based solution stored in network file share causes frequent outage due to simultaneous access of the Access DB at peak business hours.
• No single source of truth –• Sometimes PSG team maintain local copies of the task database to avoid read-only access due to
simultaneous access. This creates data redundancy and hard to get overall task status across multiple teams..
• Auditability Challenges causing lack of accountability –• Tracking of all transactions and email alerts were missing. This affected Business Agility
• Rapid Application Development methodology was adopted wherein key Business Stakeholders participated in daily Scrum calls and prototypes were shown two times every week for early feedback.
• The purpose of the new solution was to replace existing Access DB based solution with a cloud based (i.e. Office 365 based) solution.
• Power Apps – PowerApps based forms were developed for SharePoint lists. PowerApps forms replaced existing Access DB forms.
• Microsoft Flow – 30+ flows were built to send notifications, manage access to forms, complex backend queries etc.
• Unified database allows detailed analysis on progress of tasks for teams spread across multiple locations which was not possible before

Client Background: Driven by a mission to strengthen communities and improve the lives of those they
serve, they design, develop and deliver innovative and impactful health and human service programs.

• Spreadsheets contain manual errors, despite first level of validation in them
• Poor User Experience because of complex-looking sheets (sample shown in the next slide)

• Major limitations on rules implemented through spreadsheets. So, high level of rejection causing inefficiencies
• No transparency amongst the applicant, his Program Executive and the Facilities Manager
• No consolidated view for tracking of status based on Approvers, Managers or Duration (Months or Weeks)
• No Analytics possible to measure the effectiveness of the Facility Request Process
• Developed various functions on top Power Apps hosted on SharePoint online (Modern Page)
• Created complex step-by-step business flow with logic built-in, using Power Automate
• Found workarounds to few limitations that exist on Power App Platform
• Solution is integrated with the current Intranet portal of the organization
• Project implemented in an Agile methodology with two-week sprints, with a dedicated UX person for creating the
user experiences and interfaces. It was a 5-month project.
• A small 4-member team, along with the Business Users, made it happen
• Rolled out to 10,000 users, after pre-rollout to a select group of users, who evangelized the application for others
• Next phase is to develop PowerBI dashboards to show analytics to measure business efficiency improvements
• Facility has explicitly expressed their satisfaction with the application for the ease of use and auditability since every application is tracked to closure
• Approvers at all levels were happy with the ease of approvals
• Adoption was at 78% within a month of rollout. We are waiting for the next survey
• Business users are taking additional interest in getting trained on Power Apps
• Has triggered interest in the Business community towards more such Apps.

Case Study #4: Leading Vehicle Manufacturer in EU
Client Background: A Swedish multinational manufacturing company with its core activity is the production,
distribution and sale of trucks, buses and construction equipment

Business Challenges:• Part Suppliers used to send filled-up forms for auditors in the organizations to validate and approve or reject.
• No tracking of submission or cycle time measurements for applications were possible to monitor productivity
• Lack of accountability (for the organization) and visibility (for the part suppliers)
• Load on some approvers became more than the others (especially, for specific languages)
• Extremely time-consuming (6-8 weeks) to collaborate with Suppliers and close the process on ~50-pager forms
• No way to leverage the data for other processes (e.g. records against VINs for new vehicles getting released)
• No audit tracking of and evaluation of suppliers by Parts or Location or GEO or others
• No Analytics possible to measure the effectiveness of the Parts Processing process.
• Out-of–the-box data extraction capabilities of Form Recognizer (Azure Cognitive Services) from supplier forms
• Many of the validations were built-in through Forms Recognizer (key/value pairs from Analyze Form API).
• Storage of transaction date for each application in backend database
• Integrated with other Power Platform applications along with additional rules and multilingual features by default.
• Solution is integrated with the current business portal of the organization.
