What a year it has been. The next AGM is due in September 2015. I want to
urge all residents to attend the AGM as this is the opportunity you have to
contribute to the Estate in its totality. You will shortly receive the board packs
with all relevant information. As usual we will also need people to make
themselves available as directors to serve on the board. Please do so as the
more contributors there are the less the work.
During the past few months the electric fence was erected successfully, the
beams were replaced and the access for pedestrians is being changed to a
biometric system. All of this is to improve on security and ensure it is managed
in the best and most effective way. Cameras have also been installed in all
the parks and this will enable us to deal with vandalism when it happens as we
will be able to identify the guilty parties.
The board has also finalised the penalties to be imposed on those on the Estate
who do not believe that they are to abide by the rules. Unfortunately this has
become necessary as we have been receiving a lot of complaints ranging
from noisy neighbours, barking dogs to stealing from properties being
developed. Please familiarise yourselves with these activities and the penalties
that will be imposed. It is on our webpage. These penalties are also being
registered with the CIPC.

Security Update – September 2015
Greetings All,
Access Control Update:
As all Residents, Domestic Workers, and Contractors should have Access
Cards now, and the systems has been fully operational by now. We urge all
residents to please adhere to the Estates rules and regulations with regards to
access in and out the estate. Security has been informed of the rules and that
they need to enforce the rules correctly.
We are currently busy testing the biometrics system on the turnstile and once
we are happy with the testing, we will start to register the contractors and
new domestics and gardeners onto this system, as well as residents so they
don’t have to carry their access cards with them should they walk out the
estate.
Electric Fence Update:
The new Perimeter Electric Fence has now been officially tested and handed
over to the estate in 100 percent working condition. Owners on the boundary
wall are requested to please make sure that should they have trees in the
vicinity of the fence, to please keep them trimmed back away from the fence
at all times.
We have been in the fortunate position that since the last newsletter was sent
out, no security related incidents have been reported to the board.
We again stress that all residents are responsible for their own private
household security, and the onus is on the resident to make sure that they
have securely locked their property and armed their alarms
We would also like to suggest that the residents make use of their preferred
Security Vendor for Armed Response purposes.

Maintenance and Improvements
Dear values residents
We ware sure that you have by now noticed the upgrades that was made to
the entrance. In phase one of these upgrades, the guards ablution facilities
where improved(exit side), while we added an office and boardroom on the
other side.
During the next phase, to be presented at the next AGM, we will do further
enhancement to the roof and also the aesthetics of the entrance.
We have also populated the Vredendal sidewalk with trees, and we are in the
process of upgrading the park at the bottom of the estate.
Future plans includes possible self storage facilities, upgrading of the common
entrance of HP, an annual gardening competition, more trees in the common
areas, and enhancement of the aesthetics ( fountain) of the proposed circle
that they are busy constructing at the Pinehaven entrance.
Our mission is to make Pinehaven the preferred address in the Westrand, and
we can only do this if everyone pays their levies, and maintains their
investment.

Residents and owners are reminded that the conduct rules and/or penalties in
respect of the rules have recently been amended. In this regard the latest set of
rules and penalties can be obtained on the estate website.
Owners and Residents are furthermore also informed that the Board of Directors
cannot become involved in domestic disputes and/or disputes between
neighbours that does not relate to the conduct rules of the estate. Where the
conduct rules have been contravened it is recommended that Owners forward
a written complaint to the Estate Managers Offices where after the Board will
deal with the relevant complaint individually on merit.
Damages caused by Residents and/or their guests to other Residents property
cannot be dealt with the Board and must be handled as a civil matter between
the parties.
The annual general meeting has been scheduled for September as you may be
aware. The purpose of an annual general meeting is for the Company Directors
to present a concise report to the members for the financial year under review.
The AGM is mainly held for the purpose of reviewing the audited financial
statements of the company and approving the budget for the next financial
year which may include levy increases.
At the end of the AGM Owners will be given the opportunity to ask the Director
questions and/or to address the meeting. It is requested that Owners take note
of the fact that only Owners in good standing (having paid their levies up to
date) are allowed to vote in respect of any issues requiring a vote and
furthermore that the AGM is not a forum for disgruntled Owners to raise issues
relating only to their own property.
If an Owner has a problem not relating to the Estate as a whole and only
concerning his own property the correct way to deal with it is to arrange to
discuss it with the Board at a Board Meeting.
The court case between Mogale City Local Municipality and the Muldersdrift
Sustainable Development Forum has been heard in the Supreme Court in
Bloemfontein and judgment in respect of the matter is expected at the end of
August 2015. A public participation meeting regarding the matter is to be held
on the 29th of August 2015. For more details please visit the website or contact
