Governance1. The Festival proceedings and awards decisions shall be under the management of “Yip’s Music Festival” (hereinafter

referred to as YMF). Thus the governing authority shall reside with the YMF Committee whose executive decisions are final.

2. All matters not dealt with in the Rules and Regulations shall be referred to the YMF Committee whose decisions and governing authority shall be final and binding on all matters concerned.

3. Complaints and protests will only be considered upon receipt of a written submission to the YMF Executive Committee. Complaints may be written and submitted at any time; however a formal review will only be conducted after the completion of the Festival by the YMF Executive Committee. Emergency complaints may always be directed to any member of the Committee.

4. It is the commitment of the YMF Executive Committee to ensure fairness and impartiality. All final decisions reside within the governing authority of the YMF Executive Committee and the director.

5. The Festival is open to Canadian amateurs only..

6. By entering YMF 2021 Online Competition, the participant automatically agrees to accept and abide by the Rules and Regulations below.

The following rules have been prescribed to ensure fairness for all participants. Please read them carefully before applying to participate in the Festival. Failure to comply with any of the provisions of the following rules may result in the performance being judged as non-competitive, in which case the participant will be permitted to perform and will receive comments only but no mark or ranking will be given.

ELIGIBILITY

1. YMF 2021 is an ONLINE MUSIC FESTIVAL; all entries are submitted in the form of Performance Videos. They will be adjudicated by YMF 2021 Panel of Adjudicators.

2. By submitting a performance video, the participant is providing authorization to YMF to use the video for adjudication and potential future retransmission.

3. The Festival is open to amateurs only. An amateur is defined by an individual whose principal means of livelihood is not obtained from the profession of music and who has not been received renumeration for the practice of music as a major source of his/her income.

4. The Festival is open to participants whose residence is within Canada only; all provinces are welcome.

5. No age limit is imposed, except where indicated. In such cases, the age of participant as of January 1, 2021 will be considered. Classes designated as “Open” are offered for competitors of all ages, within the guidelines noted for the particular classes. For all classes where an age requirement is stated, participants must provide a proof-of-age document at the time of application. Such a proof-of-age document must be government certified such as a health card,

passport, or birth certificate. A photocopy of the document is acceptable.

6. Participants entering an age-based class must enter the class with an age limit above their own age.

7. Students studying with a member of the Jury Panel during the Festival year are not eligible to enter the categories that their teacher is adjudicating for.

8. Participants who have placed First in any class in previous years are NOT eligible to compete in the same class again, with the following EXCEPTIONS: - past winner of Best of Recital - OPEN (Violin and Piano) award can re-enter that Recital Class - Open (V-RL-OP & P-RL-OP); - past winner of Best of Bach can re-enter the Bach-Prelude and Fugue Class (P-BA-PF).

9. Past winner of Best of Recital (Violin or Piano) can re-enter YMF in the same category but ONLY in a HIGHER age-group.

AWARDS / MEDALS

10. Medals will be awarded to all participants who have attained first in class.

11. Awards are available to individual First Place winners who have have attained a mark of 88 or more.

12. Awards associated with Annual Trophies (refer to page 3 for the list) are granted by the governing authority of the YMF Committee, based on the recommendation of the Jury Panel.

13. To be eligible for Best of Grade awards, participants must have entered in at least two classes in the SAME RCM grade.

14. To be considered eligible for Best of Festival Award, the competitor must have received First Place in at least 2 classes.

ENTRIES

15. Application must be received electronically by the deadline Monday February 1, 2021, 11:59PM EDT.

16. All participants must fill out and submit the Online Application Form: https://forms.gle/N6BKxTg9VyE8cyFB9; it provides a step-by-step guide to filling in all the information for each entry.

17. After the application form is received by YMF, the participant will be emailed a Payment Notice with the total class fees plus $15 Admin Fee, and payment methods.

18. Late submission will be accepted under the following criteria:i. Must be submitted via E-transfer or PayPal BY Monday, February 8, 2021, 11:59PM EDT; please follow the exact instructions on the YMF 2021 Application Form.ii. A $15 penalty is applied to any late submission.

19. An administration fee of $35 will be charged for all N.S.F. cheques.

20. After the payment has been received, a confirmation letter will be emailed to the participant with details on video submission.

21. Participant will receive an acknowledgement after the video files and sheet music (if required) are submitted; if there are any issues with the material sent, the YMF 2021 Committee will contact the individual.

22. All piano repertoire must be chosen from 2015 RCM (The Royal Conservatory of Music) Syllabus unless otherwise stated. Competitors may enter a piece not listed in the current RCM Syllabus as an “irregular list submission”. Such submissions must be accompanied by the RCM written approval at the time of application.

23. All violin repertoire must be chosen from 2013 RCM Syllabus unless otherwise stated. Competitors may enter a piece not listed in the current RCM Syllabus

as an “irregular list submission”. Such submissions must be accompanied by the RCM written approval at the time of application.

24. No changes can be made to repertoire selection after submission of application form.

25. A piece cannot be used in more than one class.26. Participants must specify the duration of their

competition piece, as close to the actual playing time as possible.

27. It is the responsibility of the competitor to ensure that all information on the Application Form is properly filled. An unclear form, missing information, misleading information, or errors on the application may result in disqualification or comments only to be given. No refunds are made under these circumstances.

28. The YMF Committee reserves the final right to refuse any entry.

29. All fees are non-refundable.

PROGRAMME PROCEDURE

30. YMF reserves the right to reuse any video material submitted by participants for future retransmission, including the Online Gala Concert, and marketing material. No extra fees will be paid to the participant(s).

31. The only video formats accepted are: MOV and MP4.32. Videos recorded on smartphones, tablets and

computers are all accepted; you don’t need professional video camera quality, but the sound must be clear, and the performer must be clearly viewed:

- For strings entries: the face and upper body including full bow arm movement must be seen - For piano entries: a full body view is required - For Musical Theatre entries: a full body view is required.33. A stationery camera position must be used throughout

the performance.34. All videos must be recorded in standard definition

because of bandwidth limitations.35. The participant may record the performance video

many times at home; however ONLY the FIRST submission of any video entry will be accepted; subsequent submissions of the same video will be rejected.

36. Performance videos submitted MUST satisfy the following conditions:

i. Participant must clearly state their First and Last Name, Class and the Repertoire (including composer), either verbally or with

a title card, before playing ii. Only ONE video is to be submitted per class per participant; if the entry includes 2 movements of a works, or 2 pieces in a recital class, they must be recorded in ONE CONTINUOUS take, just like in a live performance iii. The performance must be continuous, one- take video and unedited.37. In classes where the participant is required to submit

a music score, bar numbers MUST BE indicated.38. For Violin and Musical Theatre classes,

accompaniment is required, unless otherwise specified (e.g. in Violin Grade 8-ARCT List D classes, or if a solo unaccompanied piece is chosen for a Violin Recital Class); live piano accompaniment and background tracks are acceptable.

39. All pieces must be performed from memory with the exception of non-competitive classes or unless otherwise indicated. Participants who fail to comply with this rule will be given comments only. No mark or placement will be awarded.

40. Only ONE study is required to be performed in the Piano Study Class.

41. All competition pieces must be performed without repeats, with the exception of a Da Capo (D.C.) or Dal Segno (D.S.).

42. Participants must perform competition pieces as stated on the application form. Failure to do so will result in disqualification.

43. No contact with the adjudicators via e-mail or otherwise is allowed; all communication or enquiries from participants must be directed to Yip’s Music Festival Committee via e-mail: [email protected].

MUSICAL THEATRE REQUIREMENTS

44. Costumes and one stage prop may be used to enhance the performance. Adjudication, however, will be based solely on the musical and dramatic qualities.

45. Own choice of a song from a musical theatre stage production only.

46. Songs chosen by competitors must be age-appropriate and gender-specific. Disregard for this rule may result in disqualification.

47. Selection may be performed in a key suitable for the voice.

48. 49. AMENDED DEC 14, 2020: to ensure fairness and the health and safety of all participants, the Musical

Theatre Duet category will be split into two sections: Duet - Same Household and Duet - Physically Distanced.

49. Duet-Same Household classes (M-DS-) includes duets where the participants are from the same household or same “bubble” (under COVID19 restrictions), and can record the songs in the same environment without face masks.

50. Duet-Physically Distanced classes (M-DP-) welcomes duets where the participants are from different households or “bubbles”, and need to be physically separated; they will record their individual performances separately and the video must be compiled together to show both members of the duet singing to the same background music.

51. In M-DP classes, both participants must appear approximately the same distance from the camera, and the volume should be balanced between the two voices; only ONE source of background music should be heard in the video.

52. The ONLY editing and formatting of the video allowed in M-DP classes is the pairing up of the 2 participants; both videos must be recorded in one continuous take; keep in mind that the adjudicator will be looking for one clean, continuous video shot.]

53. Please refer to the Syllabus for the new class codes corresponding to the split of the Musical Duet Classes. In Musical Theatre Duet classes, age group is determined by the older member of duet.

STRINGS DUET REQUIREMENTS

54. An original score with bar numbers must be submitted along with the performance video.

55. Memorization is not required.56. Eligible duets can be any combination of the following

instruments: Violin, Viola, Cello, Double Bass.57. Age group is determined by the older member of the

duet.58. Only one piece of work is allowed; however, if the

repertoire contains multiple movements, the duet can enter more than one movement.

VIRTUAL GALA CONCERT2021 YMF Gala Concert will be held in an online format; special performances will be broadcast with the original performance videos submitted by selected prizewinners.
