Getting started overview This manual will take you in PG Events software administration panel and guide you to its functionality and settings. You can access administration panel at www.yourdomain.com/admin address (where ‘yourdomain.com’ is your site domain name) with Email and Password previously entered as admin info during installation:

Administration panel home page will open, as shown bellow, your site stats and PG Events software knowledgebase forum.

Most important data is tracked by the system and displayed as a summary:

- Users (total number of users, active, inactive, unverified and subscribed to events); - Activity within latest 24 hours (new user registrations and new event subscribers); - Payments (all processed and awaiting approval); - Events (total number of events, upcoming, past, hot and top). You can change number of

displayed events by simply editing default entry in the box. The changes will be saved right after removing cursor from the box.

We recommend editing the following parameters to start with:

1) Administrator name and access to administration panel. Go to Users management > Users section and edit Admin user profile details.

2) Site name and copyright. Go to Content management > Languages > Search section, search for “PG Events” and edit default entries.

3) Site logo. Upload your own logo to

/application/views/default_theme/css_gray_blue/img/logo.gif. Default logo size is 254x57.

4) Site default meta tags. Edit default title, keywords and description for each site language interface in Main settings > Meta tags.

5) Email settings in Site settings management > Email settings.

6) Enable cron job module. User notifications are sent out with its help – event reminder, events

weekly, news notification, saved search updates. Go to your hosting account control panel, find “Cronjob” tab and add a command line: wget -q -O/dev/null http://www.domain.com/cronjob/index.php

“Domain.com” is your site domain name. Cron file should be run once a day not to spam your site users!

7) Remove events which come with the product in Events >Events list section.

8) Remove categories which come with the product in Events > Events categories section.

9) Install countries in Content management > Countries > Change countries list.

Administrator has full permissions to manage site events, users, payments, banners, other content and settings. Let’s go through each management section on by one.

1. Events management PG Events software represents a catalogue of events – active and inactive, upcoming and past. All events are sorted by categories (and subcategories); can be marked with hot, top, upcoming and new icons.

1.1 Add event Administrator is the only user who has permissions to add/edit/delete events. Every event may consist of max 7 pages: main, description, program, associated fees, photo, map, review. If description, program, photo and review contain no info they aren't displayed in user mode. Main is the page which is opened after clicking ‘Add event’. Here you enter event name, start and end dates, upload event logo/icon, specify event location, etc. A free event allows subscribing to event free of charge. A non-free event requires payment. When adding a paid event, make sure you create paid packages (general and optional).

Description and Review are displayed apart from Main event details in user mode (in different pages). Payment comments are shown in Associated fees in user mode. Use Close registration checkbox when you collect enough registrations to an event.

Event Program, Associated fees, Photos and Map pages can be edited after Main page is filled in and saved.

Packages You can create a number of general and optional packages linked to a paid event. A general package is purchased to book an event. An optional package is purchased after event is booked (i.e. a general package is purchased and payment is confirmed); it may contain any additional services provided by company or event managers. A package can be purchased by a user only during package availability period. If an event is paid but doesn't have any general packages available for purchase, registration to this event will be temporary closed.

Map Every event has a Map page for demonstrating event location. If all events take place in 1 place you can set up map once in GeoMap section and these settings will be used for all events by default.

Photo albums All event photos are stored in albums. Create an album, add your comments and save it:

Program You can add description and attach files to event program. Accepted file types are: swf, ppt, pdf, zip, doc, docx, xlsx, xls, word, xl, rtf.

Subscribers Information in event subscribers is listed in chronological order. All payments are either processed or awaiting approval (if manual approval is required).

No matter whether a payment is processed or not, a user may take use of Unsubscribe feature in user mode > My event registrations > Event > Associated fees page. When Unsubscribe link is clicked, the system sends a notification to admin email, no chargeback or refund is processed by the system. It’s up to admin whether to manually Unsubscribe a user from event or keep it in the list of attendees.

1.2 Events list Here is a list of all site events - active and inactive, upcoming and past, free and paid. You can create new events, preview, edit, delete existing ones.

Every event may consist of max 7 pages: main details, description, program, associated fees, photo, map, review. If description, program, photo and review contain no info they aren't displayed in user mode. The table above displays a quick info for you to see it without additional clicks: event name, category, creator (administrator), status (registration closed, event started), payment type, start and end dates, activity, number of registrations and claims, number of albums, programs and paid packages. You can sort events by categories with the help of a search form or by event name, payment type, start and end date, activity and number of registrations with the help of table columns' names.

1.3 Events categories

Here is a list of event categories and sub-categories. You can add, edit, remove and translate entries. Just hover a line to edit the content. Don't forget to "Save" the changes. "Cancel" button will help to discard the changes. You can edit simultaneously as many text parts as you wish.

A removed item can be restored later if required. A category is kept in the database after removing as there may be events and/or subcategories connected with its name. You can hide or show all removed categories. If a web-site is multi-lingual, make sure all categories and sub-categories are translated.

1.4 Events settings Every event can be sorted or marked with icons: new, upcoming, top (based on 5-star rating), hot (based on user registrations). These and other features’ properties can be tuned here. Use parameter "1" to hide subcategory field in user mode, "0" to display it.

2. Users management

2.1 Users

2.1.1 Add user Here you can add or edit a new user. All fields are mandatory.

2.1.2 Users list

A list of site users: all, active, inactive and unverified. You can sort and search users by first name, last name, email; add, edit and remove a user.

2.2 Payments

2.2.1 List of payments Information in users' payments is listed in chronological order. All payments are sorted by processed and awaiting approval. Some payments may require manual approval - you can approve or decline.

2.2.2 Billings settings Here is a list of currencies and payment gateways supported by the web-site. Click a payment system link name and fill in the required information to let it work on your site (id, keys etc). Don't forget to check "Use this payment system" box to activate it. Active payment systems are marked with bold. Choose your web-site currency and save the changes. Make sure that the web-site currency and currency setup in a payment system are the same.

Indicate your payment gateway User ID for each of integrated payment systems or for those that you need. 'Use this payment system' field checked means that payment gateway will be visible and active for processing system users payments. All the changes are saved with the help of 'Save' button.

3. Content management

3.1 Dynamic blocks (Index & User home pages) The content of Index and User home pages can be easily managed with Dynamic blocks section help. The pages can be filled with events and news. It's up to you to decide what kind of events and how exactly to display! You can choose whether to show Upcoming, New, Hot, Top or Recently viewed events in a Slider, Scroller, List or Detailed views. Latest news support Detailed and List views. You can add any number of dynamic blocks and sort them as you wish with drag-and-drop tool (see below).

You make the changes yourself, easily and with immediate effect.

3.2 Language

3.2.1 Search Language interface search form. It allows you to find a necessary word or word combination from site language interface. The option may be useful to change some word(s) or word combination(s) in all language files. Input a word, word combination or text into "Search" field and choose a language where the search will be completed. Below you can see 2 tables with language texts for translation. Just hover a line and you'll be able to edit it. Don't forget to "Save" the changes. Press "Cancel" button to discard the changes. You can edit simultaneously as many text parts as you wish.

3.2.2 Edit pages content Here you can work with web-site content of the user and admin modes. 1. Choose a page and a language name (e.g. English) for editing and press "Refresh" to see the page content. Just hover a line to edit the content. Don't forget to "Save" the changes. "Cancel" button will help to discard the changes. You can edit simultaneously as many text parts as you wish. 2. Use a search form to see all page content containing a word or word combination.

3.2.3 Languages In this section you can add and edit site languages. To set default language it's necessary to choose it in "Default language" drop-down menu. To activate/deactivate a language on your site tick a checkbox with language name. "Remove" button helps to delete a language. Don't forget about "Save" button to apply the changes.

Do not delete all languages!

3.3 Countries

3.3.1 Countries list Here you can manage web-site countries database - install and remove. It's recommended to install max 10 countries as full countries database weighs about 300 Mb.

3.3.2 Change countries list If you already have countries and want to add on more countries, check “I have some countries already installed…” and the system won't overwrite your countries list.

3.4 Info pages

3.4.1 Add page Page content is added/edited with the help of FCKeditor. It means that the text being edited on it looks as similar as possible to the results users have when publishing it. It brings to the web common editing features found on desktop editing applications like Microsoft Word and OpenOffice.

3.4.2 Info pages list This section helps to manage site information pages displayed in bottom menu. You can add a new page, edit, remove, copy to other languages and sort existing pages by name, creation date and status. When a page is copied to other languages, page content requires translation.  

3.5 News

3.5.1 Add news

You can add news using built-in FCKeditor or add some RSS Feeds to load news from other Internet resources. It is possible to post different news and add different RSS Feeds for each site language version.

3.5.2 News list This section helps to manage site news listed in "News" section. All news items are posted in chronological order. You can set "RSS feeds" to publish news from other sites that export news.

3.6 Notifications The web-site supports a number of email alerts which can be enabled or disabled by every user personally: event reminder, saved search updates, news notification and events weekly.

You can add/edit content. The following tags can be added to alert content: [days] is a numeric parameter taken from Events > Event settings > Event reminder setting; [event_info] is an event detailed description; [site_name] is your site name, PG Events by default; [site_url] is your site url.

4. Site settings management

4.1 Uploads

There is a limitation to max number of files attached to event Program and uploaded to event albums. You can edit the limitation.

4.1.2 Types and sizes This section is mostly for information purpose rather than for management. You can quickly check every upload type (site logo, banners, event main image, program and albums) acceptable file extension and size. We don’t recommend changing upload types' settings.

4.1.3 Watermark Watermark settings. You can use text

or disable the watermark feature at all.

We recommend using transparent watermarks (text or image). It may seem that changes aren’t saved when you press Save and check the right hand preview image. Just refresh the page (using F5 or Ctrl+R buttons) and check the changes in the image again.

4.2 GeoMap Every event has a Map page for demonstrating event location. If all events take place in 1 place you can set up map once and these settings will be used for all events by default. Registering and inputting a map key is required to enable the map.

4.3 Date and time format Site date and time format is set up here. Play with the settings and see above how the changes are applied. Don't forget to "Save".

4.4 SEO settings This section helps to optimize your web-site for search engines by specifying main meta tags (Title, Keywords and Description) for every page and every language. 1. Switch admin mode language interface to the necessary language and fill in site pages with meta names. 2. Set up Default meta tags first as they will be used for all site pages which don't have any special meta tags settings. Press "Add new meta tags" to add specific meta names for a page. Don't forget to specify page url and save the changes. The settings can be later edited or removed.

4.5 Email settings Here you can set up main email settings: admin email, admin name, protocol, mailpath, smtp host, smtp user, smtp pass, smtp port. These parameters are used when sending out email alerts (event reminder, events weekly, etc) and system emails (registration verification, forgot password, etc.) to user email address.

5. Banners module Site banners management.

5.1 Add banner Specify banner name, type, location and status to add a banner. When adding an image based banner we recommend uploading an image with specified sizes (190x270, 190x100 or 724x100). Otherwise the image will be resized. All site pages are divided into 3 groups: Index page/user home page, Info pages and Search pages. There are 2 groups of pages which don't display banners: - Account pages (including Profile, Event registrations, Change password, Calendar, Saved searches, Email options and RSS) ; - View event pages (including Main details, Description, Program, Associated fees, Photo, Map, Review).
