Over v iew Perceptive Interact for Microsoft Outlook lets you capture your email and attachments to the ImageNow document management system directly from Microsoft Outlook. You can also view a document contained in a drawer or folder that you have the privileges to view. If you allow public access to the document by other users, those users can then view the document as well.

Interact for Microsoft Outlook embeds controls within the Outlook interface that allow the user to capture emails. The user can view a list of captured documents in the Interact for Outlook pane.

I ns ta l l In te rac t fo r Out look

Download Interact for Out look This procedure assumes that you are installing Interact for Outlook for the first time or that you have no earlier versions of Interact for Outlook running on your computer. Before you install, verify that your system meets the requirements in the Technical Specifications for this version.

Note Interact for Microsoft Outlook, version 1.x, is compatible with ImageNow 6.7 or higher.

1. Go to the Perceptive Software website at www.perceptivesoftware.com, click the Customer Portal tab, and log into Product Support.

2. Click the Downloads tab, select information in the Filters section and then click Submit. You can search for all downloadable items for the specific product and version you want to use. These files may include a product installer, product documentation, or set of supporting files.

3. Download the relevant files to a temporary directory on your computer.

Run the Interact for Out look insta l lat ion Install Interact for Outlook using the following procedure. Prior to installing Interact for Outlook, close Microsoft Outlook.

Note You must install these prerequisites before you install Interact for Outlook: Microsoft .NET Framework 4 Extended or Microsoft .NET Framework 4 Client Profile and Microsoft Visual Studio 2010 Tools for Office Runtime.

1. Double-click the InteractOutlookSetup.exe file and run this file as the Administrator user.

2. In the Welcome to the Installation Wizard for Interact for Microsoft Outlook page, click Next.

3. In the License Agreement page, review the terms in the License Agreement, scroll to the end of the agreement, click I accept the terms in the license agreement, and then click Next.

4. In the Product Configuration page, in the Integration Server Base URL box, type the URL for the server as follows: http://<servername:port>/integrationserver/, and then click Next. This is the location for the server that communicates with Interact for Outlook.

5. In the Destination Folder page, if you need to change the folder to which Interact for Outlook is installed, click Change and select the folder you want. To continue, click Next.

6. In the Ready to Install the Program page, click Install.

7. In the Installation Wizard Completed page, click Finish.

• Optional. If the Show the Windows Installers log check box appears, you can select the check box to view the log file.

User Authent icat ion

About user authentication Users are not automatically connected to Interact for Outlook when they start Microsoft Outlook. They must click Connect and then log into Interact for Outlook using their ImageNow user name and password. When you start Microsoft Outlook, you are not automatically connected to Interact for Outlook. You must click Connect and then log into Interact for Outlook using your ImageNow user name and password.

Conf igure In terac t f o r Out look To use Interact for Outlook, the administrator must define an application plan, source profile, and a capture profile. The administrator then assigns user privileges. This section provides instructions for the following configurations required for Interact for Outlook.

• Update the Integration Server. The Integration Server is the link between Interact for Outlook and ImageNow Server.

• Create an application plan. An application plan maps metadata to captured documents. In the application plan, you assign drawer, folder, document key, and custom property values for captured documents. The application plan is a predefined configuration of data relationships.

• Create a source profile. A source profile contains information about the capture method. You associate a source profile with one or more capture profiles.

• Create a capture profile. A capture profile references an application plan and a source profile. A capture profile stores the settings you define to capture files. A capture profile identifies information such as the capture source, how you want the document properties assigned, and where you want the captured documents routed. The application plan and source profile are referenced through the capture profile.

Note You can create the application plan and profiles before or after the installation process.

Change the Integrat ion Server URL During the installation process, you define your URL for the Integration Server. If you choose to change the URL after installation, and manually update the InteractForOutlook.ini file to point to another server, complete the following steps.

1. Open the InteractForOutlook.ini file, which is located in the [drive:]/<installationdirectory>/etc folder.

2. In the General section, locate the integrationserver.base.url setting.

3. Change the value of the setting to point to the location of the Integration Server that Interact for Outlook uses to communicate with ImageNow Server (http://<servername:port>/integrationserver/). For example, integrationserver.base.url = http://perceptivesoftware.com:8080/integrationserver/

4. Click File > Save.

Create an appl icat ion plan To create an application plan, complete the following steps.

1. Open the Management Console from the Start menu.

2. In the left pane, expand the Application Plans tree and click Interact.

3. In the right pane, on the Applications tab, click New.

4. In the Plan Settings dialog box, click the General tab.

5. Under Information, complete the following steps.

• In the Name box, type a unique name for your application plan.

• In the Description box, type a description for your application plan.

• Select Is active if you want make this an active application plan. This option allows the administrator to link the application plan to a capture profile.

6. Complete the following substeps to add a user or group to the application plan.

1. In the Plan Settings dialog box, on the Security tab, click Add.

2. In the Select User and Groups dialog box, perform one of the following actions.

• To add a user, on the Users tab, in the Search for users box, type all or part of a first name, last name, or name of the user you want, and then click Search. In the Search results list, select the user you want, click Add, and then click OK.

• To add a group, on the Groups tab, in the Search for groups box, type all or part of a group name, and then click Search. In the Search results list, select the group you want, click Add, and then click OK.

7. With the user selected, under Privileges, perform the following actions.

Note To use an application plan in Interact for Outlook, the user must have the View privilege.

• Click the column in front of the View privilege.

• Optional. To grant specific application plan privileges for the selected user or group, click the

column in front of each privilege until the Grant icon appears.

• Optional. To deny specific application plan privileges for the selected user or group, click the

column in front of each privilege until the Deny icon appears

8. Click OK to close the Plan Settings dialog box.

9. In the Interact Application Plan Designer dialog box, in the Elements tab, select Interact for Outlook from the Method drop-down list. From the Interact Application Plan Designer, modify your Interact application plan.

For more information on creating and modifying application plans, refer to "Application Plans in the Managing ImageNow Management Console" section of Administrator Help.

Create a source prof i le The source profile allows you to define how Interact for Outlook treats attachments when capturing emails.

To create a source profile, complete the following steps.

1. In the Management Console, in the left pane, click Capture.

2. On the Source Profile tab, click New.

3. In the Source Profile Information page, complete the following actions.

• In the Name box, type a name for the source profile.

• In the Description box, type a description for your source profile.

• From the Source list, select Interact for Outlook.

• To activate the source profile, select Profile is active. If the source profile is active, it is available for use in the Interact for Outlook capture profiles.

4. Click Next.

5. In the Interact for Outlook Attachment Options page, select from the following options to determine how Interact for Outlook processes capturing emails with attachments. For each email captured, a new document is created.

• Message file only. This option captures the .MSG file as a single page in the created document. The attachments to the email are embedded inside the MSG file but are not saved as distinct pages in the document.

• Attachments only. This option captures only the attachments of an email. Each attachment is saved as a separate page in the created document.

• Message file and attachments. This option captures both the MSG file and the attachments as separate pages in the captured document.

Note This option saves each attachment twice - once as an embedded attachment in the saved MSG file, and once as a separate page in the created document.

• What the user selects. This option allows the user to select between capturing the message file only, the attachments only, or the message and attachments.

6. In the Source Profile Verification page, verify that the source profile settings are accurate and click Finish.

7. Complete the following substeps to add a user or group to the source profile.

1. In the Capture > Source Profile tab, select Source Profile and click Modify. Click the Security tab in the dialog box.

2. In the Select User and Groups dialog box, perform one of the following actions.

• To add a user, on the Users tab, in the Search for users box, type all or part of a first name, last name, or name of the user you want, and then click Search. In the Search results list, select the user you want, click Add, and then click OK.

• To add a group, on the Groups tab, in the Search for groups box, type all or part of a group name, and then click Search. In the Search results list, select the group you want, click Add, and then click OK.

3. With the user selected, under Privileges, perform the following actions.

Note To use an application plan in Interact for Outlook, the user must have the Manage privilege.

• Click the column in front of the Manage privilege.

• Optional. To grant specific application plan privileges for the selected user or group, click

the column in front of each privilege until the Grant icon appears.

• Optional. To deny specific application plan privileges for the selected user or group, click the

column in front of each privilege until the Deny icon appears.

8. Click OK to close the Configure Source Profile dialog box.

9. In the Source Profile Verification page, verify that the source profile settings are accurate and click Finish.

Create a capture prof i le A capture profile is a reusable collection of document properties and settings that provides the options you need to capture a document from Interact for Outlook and then conduct related processing tasks with ImageNow Client or WebNow.

Document keys and custom properties store metadata for a document. ImageNow Server uses the values in these index keys to retrieve documents. If you have an unnamed document, it must have the drawer, document type, and at least one other document key or property defined. Unnamed documents can only exist directly in drawers.

Note You cannot capture an unnamed document to a folder because Document Name is a required field. If the document name is not modifiable, you must either save the document to a drawer or select another capture profile.

To create a capture profile, complete the following steps.

1. In the Management Console, in the left pane, click Capture.

2. On the Capture Profile tab, click New and then select Interact for Outlook to open the Capture Profile Definition wizard.

3. In the Capture Profile Information page, complete the following actions.

• In the Name box, type a name for the capture profile.

• In the Description box, type a description for your capture profile.

• Select Profile is active to activate or deactivate the capture profile. An active profile is available for use from Interact for Outlook.

4. In the Source Profile Verification page, verify that the source profile settings are accurate and click Finish.

5. Complete the following substeps to add a user or group to the capture profile.

6. In the Capture > Source Profile tab, select Source Profile and click Modify. Click the Security tab in the dialog box.

8. In the Capture Profile Source page, double-click on an existing profile.

9. In the Configure Source Profile dialog box, verify the information and click OK.

About administer ing custom propert ies Custom properties are property fields that users can populate with data relating to a document. Interact for Outlook allows the user to set the custom properties of a document when capturing it. Custom properties let you store unlimited data to describe a document beyond the standard document properties. You make these properties available to documents in Interact for Outlook by associating them with document types.

You can define a custom property using one of the following data types: strings, numbers/currency, dates, an item from a predefined list, and true/false flags. Formatting settings let you control the data entry and display the appearance of the custom property for viewing by end-users. You can create default values for any custom properties that you create. Some custom properties on a document type are required to have values.

Creating and managing custom properties requires the Manage Custom Properties privilege unless you are a manager or owner. After you create custom properties, you must associate the custom properties with existing document types or folder types before end-users can enter data in, view, or search on the custom properties.

You have the option to make a custom property required. If a custom property is required, the user must enter a value for that property whenever a document of the type the custom property is associated with is linked or the document type is changed.

Assign a custom property to a document type After you create a custom property, you can assign it to a document type. When you assign a property to a document type, the user can enter a value for the custom property in Interact for Outlook for all documents associated with the document type.

Because assigning a custom property to a document type that is already in use can take a long time, cause a potentially unacceptable delay, and use significant resources, we recommend you perform this

procedure during non-peak hours. To assign a custom property to a document type, complete the following steps.

1. In the Management Console, in the left pane, click Document Types.

1. On the Document Types tab, select the document type for which you want to assign a custom property and then click Modify.

2. Optional. To filter the available custom properties by data type, in the Document Type dialog box, on the Custom Properties tab, select the data you want from the By Type list.

3. In the Document Type dialog box, on the Custom Properties tab, in the Available list, select the custom property you want to add. Click Add.

• If the document type is in use, on the Add Custom Properties confirmation dialog box, click Yes.

Note If you receive another confirmation dialog box that indicates the update could take some time and use significant resources, click Yes only if you are sure this will not create an unacceptable delay. Otherwise, click No or Cancel and repeat the procedure during non-peak hours.

4. Determine how to populate existing custom property values for all documents that are assigned any document types that use this custom property.

1. Select one of the following options in the Add Custom Property dialog box:

• Select Use the Default Value assigned to this property to populate automatically existing custom properties with the default value you specified when you created the custom property.

• Select Leave blank to populate existing custom properties with no value.

• Select Use to type or select a value to populate existing custom properties.

2. Click OK.

3. Optional. To make a custom property required, in the Added list, click once in the column in front of the custom property until displays. A required custom property must contain a value whenever the associated document is linked or you change the document type of the associated document.

2. If the document type is already in use, in the Add Custom Property dialog box, determine how to populate existing custom property values for all documents that are assigned any document types that use this custom property.

Display alternative labels The documents you capture display in the Interact for Outlook pane. By default, Interact for Outlook displays the name of the document in the pane. You can display an alternative label for any captured document by modifying the inow.ini file. To perform this procedure, you must have access to the configuration files for ImageNow Server. This process changes the way your documents are labeled based on the values you provide for document properties.

Refer to “Appendix A: INI configuration tables” for information about creating alternative labels for your documents.

Capture outgoing emai l You can configure the way Interact for Outlook handles outgoing email using the capture profile settings in the Interact for Outlook Settings dialog box.

To configure the default capture profile for outgoing messages, complete the following steps.

Note This does not affect the default capture profile used to capture messages a user receives.

1. To display the Interact Settings dialog box, in the Interact group, on the Home tab, click the Interact drop-down menu and select Settings.

2. In the Capture group, select an action from the following options.

• To use the previous capture profile, select Use the last capture profile as default.

• To use a default capture profile, select Select the default capture profile and then select a capture profile from the list.

• To have no default capture profile selected, select Do not use a default capture profile.

3. Click Save.

Troub leshoot In terac t f o r Out look Use the information provided in this section to troubleshoot Interact for Outlook if a functional issue occurs. Troubleshooting information is divided into sections that describe a situation that could happen, along with the procedures to resolve the issue.

The user is unable to connect to Interact for Out look If the user is unable to connect to Interact for Outlook, you can check the log directory specified in the InteractForOutlook.ini file. If Interact for Outlook is unable to log to the directory specified in the INI file, you can check the log file in this alternative directory. The name of the log file is InteractForOutlook<yyyy><m><d>.log

To locate the log file in the application data directory, complete the following steps.

1. Click Start > Run and enter %AppData%.

Note Depending on the operating system you are using, you may use a different procedure to locate the %AppData% directory.

2. Press ENTER. The location of the file displays in the window.

3. Open the InteractForOutlook folder and review the log file information.

In teract contro ls do not appear in Out look If the user is unable to see the Interact for Outlook controls, verify the add-in options in Microsoft Outlook.

1. On the Outlook File menu, click Options.

2. In the Outlook Options dialog box, click Add-Ins.

3. In the Manage list, select COM Add-ins and click Go.

4. In the COM Add-Ins dialog box, check Interact for Microsoft Outlook and click OK.

5. Verify that Interact for Outlook is re-enabled and that the controls display in the ribbon.

6. If the previous steps do not correct the situation, complete the following substeps.

1. From the Control Panel, locate the list of installed programs.

2. Verify that that Interact for Microsoft Outlook and its dependencies are installed.

Note Interact for Outlook dependencies include: Microsoft .NET Framework 4 Extended or Microsoft .NET Framework 4 Client Profile and Microsoft Visual Studio 2010 Tools for Office Runtime

3. If any of the dependencies are missing from the list, there may be a problem on install. Access the Microsoft website and download the dependencies listed above.

4. Verify that Interact for Outlook is re-enabled and check for the controls in the ribbon. If the product is not enabled, re-install.

How can I v iew start-up errors on login? If you experience difficulty logging in, and you have verified that the dependencies are installed, you need to re-activate Interact for Outlook.

1. Create a Windows environment variable named VSTO_LOGALERTS and set the value to 1.

2. Re-activate Interact for Outlook.

3. In the [drive:]\<installationdirectory>\in directory, locate the log file, Outlook2010Interact.vsto.log.

4. Review the log file for installation information.

The user is not if ied that the connect ion fa i led If you receive a message that indicates that the connection to Interact for Outlook failed, ask your administrator to verify the following information to correct the problem.

1. Verify that Integration Server and ImageNow Server are running.

1. From the Start menu, search for Services.

2. In the Services window, verify that the Tomcat services for the Integration Server and ImageNow Server are running.

3. Verify that the InteractForOutlook.ini file points to the correct URL.

4. From [drive:]\<installationdirectory>\etc folder, open the InteractForOutlook.ini file and verify that the integrationserver.base.url setting is pointing to the correct URL for the Integration Server.

After logging in, I only see a b lank Interact for Out look pane The user must have privileges to at least one drawer or view to populate the Interact for Outlook pane. Contact your administrator and verify that the user’s privileges are properly set. In Drawers mode, the user needs search privileges on the drawer. In Views mode, the user needs access privileges for a view.

If the user logs into Interact for Outlook but does not see the pane, complete the following step.

• From the Outlook ribbon, on the Internet for Outlook group, click the Interact drop-down menu and select Show Pane.

Append ix A : IN I con f igura t ion tab les This appendix describes the options available for setting up Interact for Outlook. The first section describes application settings that appear in the InteractForOutlook.ini file. The second section describes ImageNow Server settings that appear in the inow.ini file.

In teractForOut look. in i sett ings The following table provides definitions and sample data for the settings in the InteractForOutlook.ini file. This table displays the INI settings under separate group headings for each definition in the order they appear in the INI file. Each subsequent section requires its own unique group heading and as many of the settings as you want to enable for that application.

URL for the Integration Server used by Interact for Outlook.

Specifies the level Interact for Outlook uses to log errors for troubleshooting.

Typically, you want minimal logging unless you are debugging an issue. If you increase the logging level, make sure that you set it back to a lower level after you finish debugging. Failure to do so can slow performance and consume hard disk space.

As the level increases, the severity of the log entries that are included decreases. For example, ERROR offers minimal logging whereas DEBUG offers maximum logging

The default setting is ERROR.

To update the log file, you need to completely log out and restart Outlook.

inow.in i sett ings The following table provides definitions and sample data for the settings in the inow.ini file that Interact for Outlook uses. However, the inow.ini is a server INI file. These settings apply to all Interact for Outlook applications that connect to this server. The InteractForOutlook.ini file includes the settings that apply just to the Interact for Outlook application on a specific computer. To change any of the default values for these settings, you need to add a separate section heading called Interact for Outlook in the inow.ini file and then include the setting in the following format.

[Interact for Outlook] outlook.results.pane.style = 1

Each setting offers two or more options, defined in the following table along with a description of each setting and its options. Use this table as a guide when you customize the file.

Important You must stop and then restart ImageNow Server after you make changes to the inow.ini settings.

Specifies the mode used to display folders and documents in the Interact for Outlook pane. There are two modes, both of which display objects in a hierarchical order.

0 = Drawer Mode. Uses drawers as the root of the hierarchy.

1 = View Mode. Displays a list of folders and documents returned by a folder or document view. The list of folders may contain documents.

The default is 0.

Document key types in braces display the document key values for that document. You can string together any configuration, such as:

The application treats any characters not in braces as literal text, so you can combine text literals with fields to reconfigure the document display name. Use this setting to display alternative labels for your documents.

Specifies how often to refresh the cache for capture profiles. Interact for Outlook retrieves the list of available capture profiles and source profiles for the user at one of these intervals:

-1 = Interact retrieves the capture profiles at the beginning of each user session. The list of capture profiles is never updated

0 = Interact does not cache the capture profiles and source profiles. Interact for Outlook retrieves the available capture profiles and source profiles each time they are needed. This retrieval process may result in slow performance.

Time Received The time the email was received.

Time Sent The time the email was sent. The time stamp occurs when the user clicks the Send button.
