PeopleSoft Self-Service Human Resources allows your workforce to update and use employee specific Information, online via CUNYfirst, that is personalized to an individual's role, experience, work content, language, and information needs. Manager Self Service (MSS) is a tool for managers to manage their employee’s job specific data. Employee Self Service (ESS) allows employees to view and change their personal data.

PeopleSoft Employee Self-Service (ESS)

Employee Self-Service transactions interface with the PeopleSoft Human Resources system.

These transactions enable you to review, add, update, delete (where appropriate) or submit for

approval, changes to your personal profile information.

PeopleSoft Employee Self-Service allows the employee to update and view variety of Personal

Basic PeopleSoft Access Log-In Steps

1. Please sign into PeopleSoft Human Resources through the CUNYfirst portal at https://home.cunyfirst.cuny.edu/oa m/Portal_Login1.html

2. Once you provide CUNYfirst user id/password and upon successful login you are in PeopleSoft application.

3. Employee Self Service accessible in two

ways:

- Self Service from enterprise Menu - HR / Campus Solutions menu item

a. Using the displayed side

menu bar.

A. View Personal Information Summary

2. The Personal Information page allows the employee to see their personal information all in one area.

The page will display with the current information in each section.

Name Addresses Phone Numbers Emergency Contacts E-mail Addresses Marital Status Ethnic Groups

The employee can click on the appropriate yellow button to edit or update each section.

*Remember to click on the

button after editing any information.

The Employee Information section at the bottom is display only and cannot be updated.

(If the employee validates this information and needs to make an update, they will need to call Human Resources Help Desk.)

B. Home and Mailing Addresses

1. Once signed into PeopleSoft, follow the navigation below:

Main Menu > Self Service > Personal Information > Home and Mailing Addresses

2. Upon entering the page, the employee’s current addresses will display in “view only” mode.

To Edit, click on the Edit button on the right and the edit page will appear. Make the necessary updates and enter the Effective Date.

Save when completed. To Add, new address types select appropriate from drop down and click Add button to add new addresses and enter the Effective Date. Save when completed.

C. Phone Numbers

1. Once signed into PeopleSoft, follow the navigation below:

Main Menu > Self Service > Personal Information > Phone Numbers

2. Upon entering the page, the employee’s current phone numbers will display.

The numbers can be corrected, deleted, or a new number added.

One number must be designated as “Preferred”.

Save when completed.

D. Ethnicity Groups

1. Once signed into PeopleSoft, follow the navigation below:

Main Menu > Self Service > Personal Information > Ethnic Groups

2. Upon entering the page, the employee’s current Ethnic Group will display.

The employee can update any Ethnic Group details by clicking

button and after successful update click Save before leaving the page.

Save when completed.

E. Marital Status

1. Once signed into PeopleSoft, follow the navigation below:

Main Menu > Self Service > Personal Information > Marital Status

2. Upon entering the page, the employee’s current Marital Status will display.

The employee can update status if there are any changes within 31 days of your marriage date and after successful update click Submit button.

F. Email Addresses

1. Once signed into PeopleSoft, follow the navigation below:

Main Menu >> Self Service > Personal Information > Email Addresses

2. Upon entering the page, the employee’s current Email Addresses will display.

*The employee’s Email will always display

and cannot be edited or deleted.

The employee can add, edit or delete any personal e-mail addresses.

To add another address, just click on the

button to insert a new row.

*At least one Email address must be designated as Preferred.

Save when completed.

G. Emergency Contacts

1. Once signed into PeopleSoft, follow the navigation below:

Main Menu > Self Service > Personal Information > Emergency Contacts

2. Upon entering the page, the employee’s current emergency contacts will display.

At least one Emergency Contact must be designated as Primary.

Note: You cannot delete the primary contact. You must designate a new primary contact before deleting this present contact.

3. The employee can add or edit the Emergency Contact Information as needed.

If the Person they are designating lives at the same address or has the same contact phone numbers, the employee can click the “same address as the employee” or “same telephone number as the employee” check boxes and the information will default.

H. Name Change

1. Once signed into PeopleSoft, follow the navigation below:

Main Menu > Self Service > Personal Information > Name Change

2. Upon entering the page, the employee’s Current Name will display.

The employee can edit name using Edit Name and enter the desired name and

click button to see the new changes and click OK button.

The employee can change the date when change will take effect and click Submit button.

After clicking the submit button there is workflow triggered and approved by concerned HR department and need to produce the proof of the name change to the HR.

I. CUNY Alert Preferences

1. Once signed into PeopleSoft, follow the navigation below:

Main Menu > Self Service > Personal Information > CUNY Alert Preferences

2. Upon entering the page, the employee’s current CUNY Alert Preferences will display.

The employee can select the Campus to get the Alerts from and followed by the mode either Email communication or Phone (voice/Text).

After selecting the preferences read the Terms & Conditions and select the check box

and click on

button.

J. View Compensation History

1. Once signed into PeopleSoft, follow the navigation below:

Main Menu > Self Service > Payroll and Compensation > Compensation History

2. Upon entering the page, the employee’s Compensation History will display.

The employee can select different date range by clicking on button

and click continues to view.
