when a buyer wishes to get some information about the quantity, price, quality and availability of goods or about the terms of sale, he writes a letter to the seller known to be inquiry letter. Here you can get definition, forms and content of inquiry letter.


Solicited Inquiry: An inquiry made in response to the seller’s advertisement and publicity.

Unsolicited Inquiry: An inquiry made at the buyer’s own initiative.

Inquiry for favor: An inquiry about some other information which may be about some special price or some favorable terms.


Routine inquiry: An inquiry made by an old buyer in the usual course of business so, A letter of inquiry which asks valuable information from seller or producer should be:

Straightforward and courteous

Positive and confident in tone

Brief, complete and correct.


(A) Unsolicited enquiry:

An unsolicited enquiry letter is written by a potential buyer interested in the best bargain. He does it at his own initiative and convenience. He writes to firms that sell the kind of product he requires or provides the kind of service he needs, trying to elicit information on price / costs, quality, availability and other terms of sale.


(b) A solicited enquiry :

A solicited enquiry is in response to an advertisement / sales letter of a seller. Already the buyer has some information on the product or service. He requires further details. It is not as lengthy as an unsolicited enquiry. The questions relate to particular areas of a sale / service. A solicited enquiry may ask for a brochure / bulletin / catalogue or for a clarification of the items mentioned in them.

When you write a routine letter of inquiry, you can follow these guidelines:

Write clearly and precisely what you want — a catalogue, price list, quotation, sample, general information, etc.

Do not mention the price limit at which you want to buy a particular product. If you do so, the supplier may raise the quotation to the limit you state.

Try to keep your inquiry clear and concise as far as possible.
