Thepurposeofthisdocument is toreporttheplanandprogressofdisseminationactivitiesbeingcarriedoutinOPTi.Inthisdocument,wehavedetailedtheframeworkofthedisseminationplan;i.e.thedifferentactivitiesweareperformingthroughoutthedurationoftheprojecttodisseminateitsoutcomes.Wewouldfirst provide an overviewof the disseminationmaterials and define our target audience. 1 INTRODUCTION
IntheOPTiproject,wehavedefinedaseparateworkpackagetoconductdisseminationandexploitationofour activities. The objectives of Work Package 7 are to define and carry out the dissemination andexploitationoftheresultsoftheproject.Specifically,weplantoensurethewidestpossibledisseminationof the research results and create a business case and societal impact case for the modelling andoptimization of District Heating and Cooling (DHC) systems. In this document, we outline our plan fordisseminationofouractivitiesbypresentinga listofgoalsandtargetswewould liketoachieve.Wealsoprovidedetailsoftheprogressmadetilldate.Itshouldbenotedthatthisdeliverableisthefirstversionofour dissemination and exploitation plans. A sequel would be released later which shall entail a secondversionofdisseminationandexploitationplans.
1.1 OVERVIEWOFACTIONSWhileconductingthetechnicalresearchandprogressinOPTi,theobjectiveofthedisseminationtaskistoensurewehaveawidereachofthisprojectwithrespecttoexploitationofthetoolsandtechnologiesaswell as ensure highest possible visibility of the scientific results. Our proposal document has stated thefollowingactivitiesforwhichwewouldhaveaplanofaction:
1. Setupawebsitethatwillserveasacomprehensiveportalforresearchandtechnologyissuesrelatedtomodelling and control of district heating and cooling systems, including access to public reports andpublicationsthatarecreatedintheproject.
2. OrganizesymposiumsandworkshopstobringtogetherstakeholdersaswellasotherprojectsworkingonsimilartopicsintheareaofDHCsystems.
3. Target scholarly articles and papers conference/workshop proceedings and journals and as whitepapers
4. Creation of the project leaflets/brochures, posters and demonstration videos outlining the projectobjectivesandscope.
5. Disseminationthroughnewslettersandsocialmedia.This document describes our plan of action we have created to achieve these goals with respect toachievinghighestdisseminationandexploitationpotential.
1.2 DEPENDENCIESWITHOTHERDELIVERABLESThe project has separate deliverables on the initial project promotionmaterial such as the leaflets andposters(Deliverable7.1).Theprojectalsohasaseparatedeliverablefortheexternalwebpage(Deliverable7.2).Assuch,inthisdeliverable,wewillcoverashortsummaryoftheseworks,primarilyforcompleteness.Apart from these, the project has two separate deliverables on Business and Exploitation plans(Deliverables7.4and7.6.). Thesedeliverableswouldreportourplansofbroadspreadingof informationrelated to OPTi to various audiences whomwe can impact with this project. This would also include achapter targeted towards stakeholders, who are also potential audience for Business and Exploitationplans.Adeliverable7.5called“OPTiassets”would includeademonstrationoftheproducedOPTiassets,andhencewouldconstituteourmainexploitableitem.Thepresentdocument,however,wouldonlycovergeneraloverviewofhowwearetryingtodisseminateinformationofourprojecttothesestakeholders.

Already at this stage it is obvious that the content and format of the communicationwith our differenttarget groups has to be tailored with the audience in mind. As said our ambition is to achieve widestpossibledisseminationofthematerialsandassetsgeneratedbyOPTi.Regardinggenderaspectswewilltrytoreachbothwomenandmenthroughinclusivecommunication.Wewillpayspecialattentiontoinclusionintermsoftexts,imagesandsymbolsonthewebsite,posters,leafletsetc.

Thischapterpresentsourplanfordisseminationofinformationrelatedtoourprojecttothegeneralpublicforawarenessgeneration.Thiswouldalso includespecialcategories likescientificcommunities,businessstakeholders etc. Sensitizing the general public would be executed via the formation and progressiveenrichmentofapublicwebsiteoftheproject.Notethattherewouldbeothermaterialsandcontents(e.g.leaflet)whichwouldalsobemeantforthegeneralaudience.ThewebsiteismeantforthepassiveaudienceaswellasanyactiveaudiencewhoshowinterestincollaborationwithprojectmembersofOPTi.
3.1 OVERVIEWOFPLANOuroverallgoalistocreateanexcellentstate-of-the-artprojectwebsitethatnotonlypresentsinformationregardingtheproject,butalsolinkstootherrelatedprojects,getsreferencedbyotherprojectsaswellasstimulatesstakeholderengagement.Duetothenatureofthiswork,thiswillrequireacontinuousupdatetothiswebsite,asandwhentheprojectprogressesandproducesscientificknow-how.Weplantofollowastageddevelopmentapproachtocreateanexternalprojectwebsite.Stage1:Ourfirststagewouldinvolvecreationofafirstcutdesignoftheinformationhostingplatformwithbasicdesign.Stage 2:Wewould evaluate several web hosting portals to determine a suitable portal for hosting ourplatform.Stage3:Thereafter,wewouldreceivestructuredfeedbackfromallpartnersintheprojectoninformationcontenttobeupdatedinthewebsite.Stage4:Basedontheinputsgatheredintheprevioussteps,wewouldcreateafunctionalprojectwebsite.Stage 5: On a continuous basis, we would revamp the website with additional data, functionalities.Alongside,wehavealsocreatedaninternalcollaborationplatform(redmine).Stage 6: Upon project completion, we would consult with project partners and based on feedback,determineasuitableplanforcontinuationofdissolutionoftheinformationportal.
3.2 EXECUTIONDETAILSThe projectwebsite is one of the first deliverables in our project. Hence,we needed to perform a firstexecutionofStage1–Stage4withinthefirst3monthsofthecommencementoftheproject.InStage1,wewouldassignthetasktooneofthepartnerswhoaredominantlyinvolvedinWorkPackage7.Thispartnerwouldbefirstidentifiedduringthefirstface-to-facemeeting.Letuscallthispartner“WebHosting Partner”. Thereafter, theWebHosting Partnerwould be taking a lead in setting up the hostingplatform.Theadministrativecoordinatorwouldoverseethe initialphasetoensuretheprojectguidelinesareadheredtowhenitcomestocreatingpubliccontent.Stage 2 would be executed largely by the Administrative Coordinator and the Scientific CoordinatorPartner. Based on the inputs received from different partners, they would evaluate suitability ofappropriatewebhostingplatformsanddothenecessarydomainpurchases.Stage3wouldbeperformedcollaborativelywith inputs fromallpartners. Inorder to receive inputs,wewouldfirstcreateasamplewebsitewithsamplecontentfromtheOPTiProject.TheWebHostingPartnerwould be responsible to implement the first samplewebsite,while the task of selecting an appropriateplatformwould be on the administrative and scientific coordinator. After the samplewebsite has beencreated, the linkwouldbe sent toall partners toprovide inputs. Thiswouldgive thepartners a startingpointtosuggestinputstoimproveandorganizethecontent.Stage4wouldbeexecutedbytheWebHostingPartner.Theywouldbeleadingthewebsitedevelopmentand maintenance effort. However, given that the consortium does not have any special expertise onwebsitedesignpartners, itmightbenecessary toconsultwithexternalwebsitedevelopmentexperts forthewebsitetoreachahighqualityforcontentpresentation.

Stage 5 would be executed in bursts. Periodically, wewould ask the projectmembers to send updatesregarding scientific content produced in the projects and any significant results that can be displayedpublicly.Basedoninputsfrompartners,theinformationportalwouldbekeptupdatedwithrespecttothestatusof theproject.Forexample, informationexpected tobeupdatedwould includepublishedpapers,presentations,tutorialsandotherannouncements.Stage6wouldfirst involvetheadministrativecoordinatorandthescientificcoordinatortodeterminethenextstepsandfutureoftheprojectwebsite.TheWebHostingPartnerwouldberesponsibleformakingnecessary updates to the web page, deleting content or any other information-related managementnecessaryontheportal.
3.3 PROGRESSREPORTONWEBSITECREATIONBy going through the four first stages in our execution plan, the website http://www.opti2020.eu waslaunched in its first version in July 2015. The current status, in September 2015, is that we have doneseveralsmallupdatesandthecurrentstructureofthesiteis:

4 PLANFORPROJECTPRESENTATIONMATERIALS
4.1 LOGO
The logooftheproject isdesignedwiththe intentiontodepictadistrictheatingandcoolingsystemandexhibit theprojectname. Itwillbeused throughout theproject,on thewebsite, inpresentationsand informaldocuments.
4.2 PROJECTPOSTERANDLEAFLETAposterandaleaflethavebeenproducedandareincludedinD7.1,OPTiprojectpromotionmaterial.Theyallpresenttheoverallideasoftheprojectintermsofchallenges,vision,approach,expectedoutcome.Alsothepartnersoftheconsortiumarepresented.
The material is produced in English to be usable in as many cases as possible. They will be used asmarketing material by all partners, when doing presentations, when participating in local events, fairs,conferences,workshops,symposiaetc.

DisseminationofScientificActivitiesformsanimportantfactortowardsthesuccessoftheproject.Ourplanfordisseminationofscientificactivitieshaseffectivelystartedduringtheprojectsubmissionphase,whenwecreatedthelistoftargetconferencesandjournalswherewewouldexpecttheresultstobepublished.Below, we summarize our plans for ensuring that the scientific content produced is disseminated wellamongst the scientific community. We refer to “scientific content” as a general term to representmethodologies,softwareandtoolsthatwouldbedevelopedinthisproject.List of Conferences and Journals: We would prepare and regularly update a comprehensive list ofconferences,journals,magazineswhereOPTimaterialcanbepublished.CircularstoPartners:Wewouldperiodicallysendoutcircularstopartnersseekinginputsonpublicationsmadeandencouragepartnerstoaggressivelypublishtheirresearchresults.FeedbackfromPartnersandupdatestoWebsites:Basedontheoutcomeofthecirculars,wewouldalsocollect feedback from partners on scientific progressmade in the project and update our website withpublicationsoranyothersignificantachievementsandannouncements.Partnerswouldalsoberequestedtoregularlyupdatetheirowninternalandexternalportalswiththepublicationsmadefromtheproject,toensuremaximumdissemination.Below,webrieflyprovideaviewoftheoutcomeoftheplan,atthetimeofwritingthisdeliverable.
