Online enrollmentfor exchange students and Freemover

Please read this guide very carefully, as it will answer almost all questions that you might have!

Documents

• When did you receive your university entrance qualification (e.g. high school diploma)?

• Valid Passport

• Letter of acceptance

• Passport Picture (minimum size: 248 x 330 Pixel, filetype: .jpg)

• Receipt that you have paid the semester fee

– You can also pay the semester fee in cash upon arrival and then add this document in the end. Please note that itwill then take 2 – 3 days to print your student card.

• Certificate of Health Insurance or your European Health Insurance Card (EHIC)

– If you still need to sign up for a health insurance in Germany, you can wait with the upload of this document. Once you have the confirmation of your health insurance, you can add it to you application.

– If you are not sure whether your health insurance is valid, please contact your coordinator in Saarbrücken

– The EHIC needs to be valid for at least the duration of your first semester. If the card expires before that, pleasecontact your health insurance provider to get a provisional certificate for the new card and upload this.

The online enrollment system will ask you to fill in information and to upload documents. Therefore, you need to have the following information at hand before starting the enrollment:

You will see a menu to choose from.Please check the field No. 6 and makesure that you have selected thesemester you want to enrol for (see„letter of admission“).

Then you can skip two pages byclicking on .

Please now read all questions carefully an answer them. On the next pages we will give you tips for the difficult questions.

Please choose first the type of high school diploma that you have obtained:1) Ausländische allgemeine HSR = general highschool diploma2) Deutsche Auslandsschule = German School abroad3) Fachgebundene ausländische HSR = high school diploma with a specific subject

Please enter the date and year, when you finished high school, lycée, or passed your university entrance examination.

Grade of your high school diploma. If you don‘t know the German equivalent, simply fill in „99“.

Please choose the country where you have finished high school, usually your home country.

Questions about the „Higher-education entrance qualification“

If you have never been at a German university, simply leave it as it is and enter “0” for „Number of semesters already studied“ and continue with

If you have been at a German university before, please select this university in the list and mention the semester you first went to this university.Finally, please indicate how many semesters you have studied in Germany before and continue with .

Questions about the „Previous university education“

Please choose the last country in which youhave studied before coming toSaarbrücken.

Also mention how many months you havestudied so far in Bachelor, Master and PhDcombined. (1 semester = 6 months)If you studied more than 30 months, pleasechoose the highest number available.

Please choose the box „Relates directly tomy intended course of study…..“

Questions about the „Periods spent studying outside Germany“

If you have not finished any Bachelor, Master or Diploma yet, simply leave this field at „No“ and continue at the end with .

If you have already finished a Bachelor or Master diploma, please choose „Yes“ and fill in the necessary information:

Degree qualification = Which degree („Bachelor Uni“, „Master Uni mit Abschluss“, …)

Studienform = Erststudium (1st degree) orZweitstudium (2nd degree)

Date of examination (dd/mm/yyyy)Examination status = bestanden (passed), endgültig nicht bestanden (fail)Overall grade = If you don‘t know the German equivalent of your

grade, simply fill in „99“.

Questions about the „Examinations taken / Final revocation…”

This last form is the statutory declaration that all information you haveprovided is correct. Please note that intentionally false information canlead to the cancellation of your enrollment.

2) Please print the „Immatrikulationsbogen“ (enrollment application form) and sign it on thefirst page. The second page is for you to keep.

3) Scan the signed „Immatrikulationsbogen“.

You will see this mask, where youfirst have to name the documentin your own words(e.g. “proof of health insurance“).

Please click on „Upload & Submit“ to complete the upload.

The document is then listed in your uploaded filesand you can continue to add other documents.

If you don‘t have all documents at hand or need to finish some paperwork in Saarbrücken (e.g. for the health insurance), you can log out once you are done.

You can then come back to this plattform later and add more documents. Your progress will be saved.

Once you have uploaded all available documents, your online enrollment is finished. We will check your documents, to see if everything is correct.Please send us your application number („Bewerbernummer“) by email to:n.pirsch@io.uni-saarland.de .

After the enrollment is finished:The student office (Studierendensekretariat) will prepare your student card and you cannormally pick it up a few days after you finished your online enrollment.If you have given a German address during the online enrollment, the card will be sent to thisGerman adress. If you have given an address outside Germany, you need to pick up the card at university.

Opening hours of the Studierendensekretariat (Building A4.4) : Monday, Wednesday, Thursday 13.30-15.30 and Tuesday & Friday, 10.00 – 11.30.
