Key Term Description
Umoja ECC It is the main SAP component comprising various modules.
OLAP It stands for On-Line Analytical Processing. It describes the database structures optimized for reporting (multi-dimensional databases).
Analysis Area It is the unformatted view of a full dataset for a module, accessible through advanced analysis for OLAP.
WebI It is an abbreviation commonly used to refer to Web Intelligence reports.

Roles & Responsibilities
As an Umoja ECC user, you are assigned one of the two general roles, defining the level of access extended to you within the Umoja BI portal:
BI User

All Umoja ECC users are provided a standard level of access to the Umoja BI portal. ] This is a basic level of access to the Umoja BI portal, enabling you to view standard (WebI) BI reports. The Umoja Enterprise Role assigned to an Umoja user dictates the level of access provided to the BI portal. Select folders and reports may not display, based on the specified level of access. As a standard BI User, you can generate and save reports to your personal Favorites folder on the portal, but not within public or shared folders.

A select subset of BI Users are also given the ability to generate additional types of custom BI reports. Typically, BI Power Users are Subject Matter Experts (SME’s) or Reporting Analysts. These individuals are provided access to WebI and Analysis Area tool. They can generate more complex BI reports, and save custom-crafted reports to public folders for standard BI Users to access/reference. The Umoja Enterprise Role assigned to an Umoja user dictates the level of access provided to the BI portal. Select folders and reports may not display, based on the specified level of access. However, they do not have rights to: • Modify or delete delivered reports • Save reports to delivered public folders

Umoja Business Intelligence (BI) refers to the data warehouse and reporting tools that are used to support decision-making across the organization.
Analytics Metrics Reporting
Umoja BI consists of components to support data management and modeling through the use of analytical tools. It provides UN with a historical and current view of operations.

Umoja BI reporting:
• Provides historical and current reporting tools specific to select operations within UN
• Enables you to obtain UN specific information without having to resort to Microsoft Excel to manually enter and analyze data using formulas and tables
• Is an enterprise-wide information hub that enables analysis of data from Umoja and several other data sources
• Provides powerful, intuitive tools to analyze and report data
• Represents approximately a 24-hour lag in the data entered into Umoja and other sources
• Provides dynamic filtering, advanced navigation and complex drill-down functionalities
• Is available to create more detailed and analytical reports than those created in Umoja ECC and SRM

Why Use Business Intelligence?

Umoja BI is used to:
• Perform ad-hoc analysis and formatted reporting
• Combine data from multiple sources that would take time to consolidate in Umoja ECC or SRM
• Quickly summarize transactions to identify trends and compare results over time
• Produce reports that combine data from multiple systems for example, Umoja and IMIS
• Add graphical elements, such as charts, to provide visual representation of data

Accessing Umoja BI Portal Umoja Access Screen
To Access the Umoja BI Portal, you must first logon to the Umoja access system using the credentials provided to you by the EIDMS team. The Umoja BI Portal is accessible in the same Umoja Citrix tool as the Umoja ECC, both of which can be accessed by directing your browser to http://login.umoja.un.org.

Reports via Umoja BI Portal
Umoja BI reports are:
• Created by accessing information from several data sources (some of which are not part of the Umoja implementation)
• Not based on real-time data due to an approximate lag of 24 hours. This lag exists because it takes time to reorganize data to support complex reporting. Automated programs extract data from Umoja ECC and SRM and update it into Umoja BI. Such extractions of data allow for very fast retrieval of information for further analysis
• Are accessed via the BI portal by selecting the appropriate folder and link
• Slightly more graphical in their presentation of data
Examples of Umoja BI reports:
• Budget Consumption report
• Flexible Real Estate Cash Flow report

Reports via Umoja ECC and SRM
Umoja ECC and SRM reports are:
• SAP reports that have been configured for the purpose of the Umoja implementation
• Real-time and available across various functional areas
• Typically accessed using a specific T-code
• Largely confined to data directly entered in Umoja ECC or SRM
• Typically operational and relatively simple reports (lists of data from a particular module within Umoja). Some allow drill-down to the source transactions used on a day-to-day basis to support operations. Common usage of such simple reports is to review the status of a particular document or look for a specific entry

• Earmarked Funds Journal report
• Cost Center Line Items report
• Purchase Order report

Quick Storage Systems – Umoja ECC and SRM

Similar to a filing cabinet, Umoja ECC and SRM are referred to as Quick Storage systems.
Transactions are quickly stored in a chronological order with sequential numbering, based on the date they were carried out.
For example, if you create a SRM Shopping Cart number with document number 11, the next available Shopping Cart document number available to be assigned would be 12.
Umoja ECC and SRM both provide the ability to quickly and simply store information, based on the fact that they are recorded immediately after the last transaction is carried out.

Quick Retrieval Systems – Umoja BI

Umoja BI is known to as a Quick Retrieval system. The Umoja BI system functions like a cube pulling information from multiple filing cabinets, for display and reporting purposes. In many ways, it is analogous to creating copies of a transaction to be stored and presented using multiple reporting views. For example, you may want to view transactions by vendor, cost, balance or a combination of different factors not easily reportable in Quick Storage systems (Umoja ECC and SRM). It takes more time to store such intricate combinations of information. However, the retrieval and reporting functions are extremely fast. This is why the Umoja BI system is referred to as a Quick Retrieval system.

Analysis Area Tool
The On-line Analytical Processing (OLAP) – Analysis Area is equivalent to an online tool which allows you to manipulate data using defined criteria. From such data manipulation activities, BI Power Users create Formatted WebI reports, which BI Users can reference and review. The Analysis Area tool is quite flexible, as it allows you to define reporting criteria, create visuals, and change data inputs in real time.

BI Portal Tool: OLAP & Analysis Areas
OLAP is a general term used to describe the ability to generate reports from an online database in any desired format.
Within Umoja, OLAP reports are referred to as Analysis Areas.
Analysis Areas:
• Serve as the foundation to create custom WebI reports
• Enable you to evaluate multi-dimensional data interactively from multiple perspectives
• Consists of three basic analytical operations:
• Aggregation (roll-up)
• Drill-down
• Slicing and dicing

Analysis Areas:
• Are generated in response to BI Power User’s chosen parameters
• Allow you to play the report authoring role. Using this variant, you can:
• Analyze data ad hoc
• Create query views
• Save and distribute the result of the ad hoc analysis

By default, you do not provide formatting options. If there are formatting needs, a BI Power User can save the report as an Analysis View and open that Analysis View in WebI to add formatting, for example, logo, colour scheme, report breaks or complex formulas.

Parameters Variants
Parameters, in the context of an Umoja BI report are the entries in the filter prompt screen, which when entered will filter the data according to the values entered that is Year = “2013”.
Variants allow a user to save a combination of filters that they will use frequently so that they do not need to re-enter the filters each time they want to generate a particular report.

• New: To open a new document
• Open: To open a document viewed previously
• Find: To find text in tables and cells on the page displayed
• History: To view the list of dates corresponding to the instances of the scheduled document
• Undo: To undo previous actions
• Redo: To redo previous actions
• Drill: To navigate the report using its pre-defined parameter hierarchy
• Filter Bar: To hide/show report filtering options
