Newport High School Reunion 95’ through 98’ Planning Committee Meeting Minutes
Date: Wednesday, February 24, 2010
Time: 6:00 pm to 8:00 pm

1. Print Invitations • Donated by Dwayne Luttrell ’98. Nicole is working with Dwayne to get the invitations finalized
and printed. Committee determined that a quantity of 160 would be sufficient.
• These invitations will be sent to alumni who do have another source for contact (i.e Facebook,
Myspace, Word
of
mouth)
• An Intelius search will be performed to locate the remaining lost alumni.
• The goal is to invite and afford everyone the opportunity to attend.
• Committee discussed the addition of the class of 1995 to the reunion and upon vote opted to
add them. Susan Hubbell Noel will facilitate the process of locating the 1995 alumni. 2. Fund Raising for Class Gift
• Dine to Donate Fundraiser
o First dine to donate will occur all day Thursday, March 4, 2010 at the Highland Heights
Applebee’s location.
o Flyers will be distributed to maximize awareness.
o Lisa will send an e‐mail to the Newport schools distribution list to promote the event.
• Poker Tournament
o Information still being gathered by Kelli and Lisa.
• Cornhole Tournament
o Information still being gathered by Kelli.
• Business Solicitation for Raffle

o Area businesses are being solicited for donations to the reunion raffle.
Solicitation will be made via formal letter.
Solicitation will be made in person and over the phone by committee members.
Area businesses were discussed from a compiled listing.
o Members of the committee were assigned and volunteered to contact various
businesses from
the
compiled
list.
o NHS Alumni Donation
o The event registration site contains the option for individuals to donate to the
class gift and several alumni have already graciously donated to the class gift.
3. Registration Efforts • Registration progress is successfully underway.
• Continued notification via social networking sites and word of mouth is continuing.
• Discussed potentially extending the early bird deadline. Decided that the committee will discuss
via e‐mail closer to the deadline to determine if the deadline will be extended and for how long.
4. Budget • Full budget was reviewed and discussed.
5. Photography • Committee reviewed information and pricing for several photographers.
• Newport alum Katie Yokum ‘96 has volunteered to photograph the reunion at no cost in return
for a comped registration for her and a guest.
• This option allows the committee to save approximately $150, so upon vote, this option
was
selected.
• Katie will photograph the event and provide high resolution photographs on cd after the event.
• Photographs will be made available free of charge after the event and will be uploaded to an
online source for all attendees to access.
6. DJ • Committee reviewed information and pricing for several photographers.
• Newport alum James Wagner ‘96 has volunteered to DJ the reunion at no cost in return for a
comped registration.
o This option allows the committee to save approximately $300, so upon vote, this option
was selected.
• The committee will provide a play list to the DJ in advance of the reunion.
• Another NHS alum, Chris Thomas, will help emcee the dance portion of the reunion.

7. Military Member Dedication • Alumni armed service veterans and currently active service men and women will be honored.
• The committee is currently requesting pictures from military men/women to produce a
slideshow or other dedication.
• The dedication will be on display during the reunion.
8. Reunion Memento • Due to the savings realized by not having the planned expenses of a photographer and DJ, the
budget now allows for a class memento to be provided to all reunion attendees.
• A call for memento options was made, with suggestions including a shot glass, beer stein,
keychain, magnet, and others.
• Melissa will procure samples and provide at the next meeting for discussion and vote by the
committee.
The Newport High School Planning Committee sincerely appreciates everyone who has registered for the
reunion. A reunion is a time to re‐connect and re‐establish ties with those classmates with whom we all
shared some great memories of the past. The planning committee is taking great strides to produce an
event that can be enjoyed and will serve as the benchmark event for reunions in the future. If you have
not registered, don’t miss out, it will not be the same without you there! If you are interested in serving
on the committee, please let any of the existing committee members know.
