Data Sources

EBU data warehouse (updated twice every month)

– Build records

BMS Work Orders (updated twice every month)

– Customer Name and Unit Number– Service event locations and frequency

Campaign database (updated every week)

Enable Excel Functions / Access

Once open– Click [Open in Excel]– Click [Edit Workbook] (not available to all users)

Access Control– Follow prompts– Craig Blair [email protected]


Using the Tool: Refresh

If you are opening the workbook from QuickServeOnline or the Distribution Portal, this step is not necessary.

If you have saved the workbook to your computer, be sure to refresh the data before using the tool. Otherwise, the results may be unreliable.

Open the “Data” ribbon (at the top of the workbook)

In the “Connections” group, click “Refresh All”


All results are sorted with the highest opportunity (available hours) at the top of each group.

Using the Tool: Slicers

Use “slicers” in column ‘A’ to filter the data to your Region, Branch Name and/or Branch Code.

To select multiple items within a slicer, hold the [Ctrl] key and click each choice.

Click the red ‘x” in the top right corner (below the filter icon) of each slicer to clear the filter.



Using the Tool: Columns B & C

Rocky Mountain Region and Cummins Rocky Mountain Branch/DistrName have been selected in this example.

Click the [+] button beside the Branch Name, in column ‘B’, to expand the section – view customer list. (Avondale expanded in this example)

Click the [+] button beside the Customer Name, in column ‘C’, to view relevant open ATCs Campaigns. (“Swift Leasing Co 11851” expanded in this example)



Using the Tool: Results

At any level, scroll to the right to see the total eligible ESNs and the estimated labor hours available.

In this example we see that at Cummins Rocky Mountain, Avondale for Swift Leasing, there are 160 eligible ESNs and 376.0 available labor hours for ATC 1794.



Using the Tool: Column G

Click the [+] button beside the Expiration Date, in column ‘G’, to view the list of units applicable to the ATC / Campaign. (6/1/2017 expanded in this example)

Results: Lists Customer Unit Numbers as well as phone number, count of eligible ESNs, typically one at this level, and the estimated labor hours for the ATC / Campaign.



Using the Tool: Filtering Auth.

To focus on a specific ATC or Campaign, click the drop down arrow in cell D7 “AUTH_NUM” and select the specific ATC or Campaign number (not shown).

Then, right click on the Branch Name (in column ‘B’), point to Expand/Collapse and click Expand Entire Field.

You may use filtering in columns ‘C’ and ‘G’ as stated in previous slides or see the next slide for another option.



Using the Tool: Expand Customer

Right click on any Customer Name, point to Expand/Collapse and click Expand Entire Field. Results show the ATCs / Campaigns applicable (this example already filtered to ATC 1794). Expand each by clicking the [+] button beside the name as shown in slide 10.



Using the Tool: Parts

To obtain a description of and a list of parts for the ATC or Campaign of interest, open the “Parts List” worksheet.

Scroll the slicer, on the right, up or down to locate the ATC or Campaign number and click it (ATC1674 selected in this example).
