What is this book for?
This book is for the recording of all activities that we as QCWA Members undertake as volunteers to fulfil the QCWA Objects. The information recorded assists in demonstrating to the Australian Charities and Not-for-profits Commission (ACNC) our Association’s charitable status.
We often underestimate the hours we commit to our charity work. Recording these hours removes the guess work and ensures our monthly contribution is accurately listed in the Minutes.
Our efforts provide valuable support to our community and our Charity. This book will assist each of us in ensuring our time and efforts are counted.
Who will use this book?
This book is to be used by all Members to record volunteer hours at the different levels of the Association, which are:
• Branch
• Division
• State Committees and Convenors
• State Honorary Positions
• State Executive Board.
How do I record the hours?
When you are an office bearer of a Division, a member of a State Committee, a State Convenor, or a member of the State Executive Board, you are also a Branch member. When you are involved in an activity at your Branch, you record these hours separately to your Division or State activities. You should keep your volunteer hours for each level separate as this will allow you to easily add up your volunteer hours for each general meeting. Monthly volunteer hours are recorded as follows:
• Branch – total members’ hours for activities are recorded in Branch Minutes.
• Division – total division office bearers’ hours only recorded in Division Minutes.
• State Committees and Convenors – recorded in respective Minutes / reports.
• State Honorary Positions – sent to the Honorary State Secretary for recording.
• State Executive Board – total volunteer hours recorded in the SEB Minutes.
Total Annual Hours for each level of the Association and for each State Honorary position are listed in the State Annual Report.
What do I record?
All the time associated with the QCWA activity or as a representative of QCWA.
• Meetings
• Events, functions, handcraft days
• Conferences, exhibitions
• Judging
• Making items for sale
• Fund raising
• Outings, visits
• Workshops
• Research for resolutions
• Planning
• Administration
• Catering (shopping to cleaning)
• Any other activities
• Travel to and from activities
Note: You can choose not to use this book and record your volunteer hours using some other method such as a diary or app.
