Validation Rules #35211 and #35212: The rules have been modified to only fire when the first check box (Current disability continues to be appropriate) is checked and data is not entered in the 'If No Additional Data Needed' block.

There are also two new areas where goal book statements can be setup if you wish staff to select statements. Go to Maintenance, Manage Goal books, select your goal book and add new statements, Type = Statement, select the new category and add new statement with its own unique number.

Review of Existing Data Form: NEWA new web form, report and validation rules are now available. This form includes the ability to create or select Letterhead, Meeting and/or Referral records in the form wizard.

The 'Team Conclusions and Decisions' section displays a 'No Additional Data is Needed' check box. Checking this will turn on two additional text boxes, 'Impact of Disability' and 'Eligibility Statement'. If this box is not checked, these text boxes will not be displayed.

Also in this area, selecting 'For Reevaluation' and the 'first' check box (current disability continues) will enable the nextSection called 'Parent Notification' which indicates the team decision, the right to request additional assessments and the method of notification. All other check box choices will display a message on the webform , 'This section is used ONLY for

a Reevaluation when No Additional Data Required.

Evaluation Form: NEWA new web form, report and validation rules are now available. The wizard will allow you to create, select or not, Meeting and Referral records as well as the ability to attach a RED form. This form includes the ability to add Test records directly on this form. In addition, this form allows for the addition or modification of disability records.

Evaluation Data Collection Form: NEWA new web form, report and validation rules are now available. The wizard will allow you to select an existing referral or meeting record or not require one of these records. This form summarizes the dates of the referral and evaluation process.

SecurityReminder: In order for staff to use the new forms, you will need to setup security for your groups/users for all three forms. For example:

Notice of Action: This form has been modified to allow linking to multiple forms (RED, Evaluation Report, Evaluation Data Collection and the IEP). Linking can be accomplished via the form wizard or in Form Information Section.

Progress ReportingReduced page header white space; it failed to print in some occasions if the data doesn't fit the page.

Validation AcknowledgementModified the validation pop-up to correctly display the acknowledgment section prior to the printed report display. This issue only existed with Internet Explorer 10 and lower.

File AttachmentValidation has been added to the description textbox. Upon entering the file attachment description, only alpha/numeric characters are allowed. Characters such as +, ' ", / in the description will now cause a prompt to display advising you can not continue until they have been removed.

Plus360, Add General Ed. StudentThe search option for 'Add General Education Student' will now allow searching on two characters instead of three to find a student in eSchoolPLUS. Note: This section will only appear if you have the appropriate security setting to integration eSchoolPLUS student's into IEPPLUS.

outside of the range. (For Example: A date of 06/03/2015 was entered, it was returning 08/24/2015 when the

calendar end date was 06/05/2015. It should be counting from the next calendar start date and proceed counting

60 days from there. The result should have been 10/28/2015.)

Custom Form GeneratorMaintenance, Manage Custom Forms: Updated the custom forms edit preview to show the new line(s) (i.e. carriage returns) as they were added on the form. Remember to save between editing and print preview.

Previously, it only updated the program tracking fields.

IEP FormUpdated the IEP form to allow creation of a Release/Waiver for MAP-Alternative to the IEP - D1 Assessment Section when a meeting is not attached to the IEP form. The Release/Waiver sub-screen will open up with a blank start date.

IEP ReportUpdated the Section 7, Regular Ed and Placement on the IEP report - The Percent that the student will participate in special education will now show 0% instead of a blank when the student is in special education 0% of the time when printed.

SecurityUser Permissions was improperly removing all permissions when the user went into user permissions screen and gave that user permissions to some forms. Upon hitting save, the student access screen the permissions for the user would be removed.

Referral RecordThe Sent Date (Date of Consent) calculation will now also include the Weekends when the 'Mask Weekends' checkbox in the Calendar is selected, and will also include any Calendar Days if they are entered as well.

Corrected issues with how the program was setting the form state (e.g., locked, finalized) and saving IEP and progress reporting archives.

PDF Streaming (eSchoolPLUS Alerts)The Student's IEP or Gifted IEP was appearing in eSchoolPLUS when the student left the applicable program. The IEP / GIEP form will now appear in eSchoolPLUS in the 'S' triangle when then the student has an active Special Education or Gifted IEP Enrollment record.

The latest form will now appear in eSP rather than the oldest form for the student.

Initial Referral Aging Report *New Report*Use this report to monitor the progress of initial referrals, including due dates, days until due, actual completion dates, and on time performance metrics from the date of parental Consent to completion of each student’s first Evaluation Report (ER/ETR/FIE) and Individualized Education Plan (IEP/ARD). For more information, go to Reporting > Advanced Reporting. Select the Report = ‘Initial Referral Aging’ and Version = ‘Standard’. Then click the Docs button to display the help information for this report.

Progress ReportingWhen opening the progress report for a student, the progress marking periods were displaying as a day before the actual marking period defined in the marking period templates due to a time zone difference on the server and user workstation.

Overdue IEP Report The report (3_OverDueIEP.rpt) was updated to use the grade and Location from the Enrollment record, rather than the Placement record.

Goalbook ImportUpdated the import process to generate a user-friendly message when a goal in the import file has a Level but not a SubCategory.

Student Labels 3 AcrossThe report was adjusted to print labels for all 30 entries rather than 27. The labels matches the Avery 5160 label sheet template.

Security / Manage UsersThe system will no longer generate a hard error if the user edits a user via Security, Manage Users and remains on the screen until the system times out. The user returns to the screen and then attempts to change data and save which would produce an error upon saving.

Linking Goals/Objectives to Services in a Plan *New Option*

This option will enable linking of Goals and Objectives to Services only within a student’s form. When accessed through a form, the Service will have a ‘Linked Goals/Objectives’ tab. Functionality within this tab will allow users to select/link a student’s Goals and Objectives to a Service. When accessed through the Student tool bar, the Service will display only previously linked Goals and Objectives (read only). The linking of these record does not impact how the form prints or validation functions. The user can only link Services to Goals and Objectives from within a form. Below is an example of the Service record within the form. There is now a new tab called 'Linked Goals/Objectives'.

In order to allow the users to link the Goals and Objectives to Services, the following system option must be checked.

The Progress Reporting Notes add/edit pop-up screen has been enlarged.•When new Progress Reporting is activated (via System Options > Progress Reporting > New Progress Reporting) the system will no longer display the ‘Progress Reporting’ link in the ‘Utilities’ menu drop -down. Progress Reporting

SecurityA new security parameter has been created which provides a grace period, extending access to a student that no longer is available to the user or security group. The parameter is defined in the System Option\Administration Tab , indicated in the 'Set Student Access' text box. The parameter syntax is 'StudentAccesssGracePeriod=5' as indicated in the example below.

By indicating a parameter of 5 as an example, the IEPPLUS security users and group will maintain the student in the security list up to additional days after the student is no longer in the security list. This parameter is helpful for when a student exits the district as an example, allowing the staff to maintain security permissions for the student for an additional 5 days.

A new selection parameter has been added to the Values column in the Notifications System Setup tab. Indicate a numeric value in this field. The value will be stored as a positive number. The rule will use this value to select records and will then use those records against the check point value to determine if a message should be generated to the user.

For example, the ‘Student’s Referral Requires a Consent Date’ rule, Historical days to search value is set to 365. The rule will select all referral with a missing consent date where the referral date is within 365 days as of ‘todays’ date. Those selected records will then be checked against the check point value. Any referral less than 365 days from today will be ignored.

The ‘Student’s Form is Not Finalized’ rule, Historical days to search value is set to 365. The rule will select all forms where the form start date is within 365 days as of ‘todays’ date. Any form start date less than 365 days from today will be ignored.

Progress ReportingBased on security, users can access the Progress Reporting area of the form if the form is in a Revised/Amended unlocked state. The Progress Reporting link will be visible and accessible to the user based on security.

A new security item called 'Report Progress on Unlocked Forms' has been added to the Progress Reporting permissions area of Groups and Users. When the item is checked, it will allow the user to report progress (the Progress Reporting link will be visible) on unlocked forms (e.g. IEP's). This allows users to report progress on forms that are in a Revised/Amended unlocked state.

Calculation Changes - Add/Edit Placement button/links added to the Calculation grid in the Services and Transportation section of the IEP. When revising services, an Effective Date field will display in the grid in order to re-calculate ‘% in Regular Class’. For example, if a student originally had Basic Reading and Counseling services on 10/2/13. Then the IEP is revised, adding Academic services to begin on 3/2/14. Upon adding and saving the new service record, a message will display, prompting the user to recalculate the ‘% in Regular Classroom’. The program will detect the new Start Date and the grid will redisplay, including an Effective Date field for the new calculation. The user must enter the effective date and click on the Calculate Percentage button. If the new percentage requires a change to the student’s Placement / Educational Environment, the user must end the prior placement and create a new placement. After saving the second placement, there will be two calculation grids, each reflecting the pertinent values and date ranges. This change will allow more accurate reporting of Placement / Educational Environment to the state. For complete details, please refer to the IEPPLUS Help Menu > Forms > MO IEP > Form Completion > Services and Transportation section.

All user documents that have the ability to be revised, now have a new section in the guide called ‘Remove Amendment’. A summary of this feature is listed below. Please reference the user documentation from the Help menu.

Remove Amendment1.New functionality has been added to any form that is able to be revised (e.g. IEP) that allows the user (with security permissions) to remove the Revision/Amendment. To do so, the user would click on the "Remove Amendment" link on the Form Summary Page.

To remove the Amendment/Revision and return the form to its previous state, click on the ‘Remove Amendment’ link from the Form (e.g. IEP) Summary page. Upon clicking on the link, a pop-up screen will display, alerting the user that any modifications they made to the form must be manually changed back prior to the ‘Remove Amendment’ process. The Remove Amendment process does not remove any changes that were made after the form was revised. Clicking the ‘OK’ button will perform the amendment removal

Forms - All IEPPLUS forms - When in a form, the user clicks on another other link besides the Save button (e.g. Return, Home, Log Out, etc.), the user will not be prompted to save the form. It will automatically save any changes made.

Forms - All IEPPLUS Forms – On rare occasions, when 2 users access the same text box and the 2nd user saves the form, the message illustrated below will display. The message will detail the user and the specific area of the form where data was not saved. IMPORTANT: BEFORE CLOSING THE MESSAGE, click inside the red text box to display the data that was not saved. Copy and paste the data into a word processing document, save the form (the data entered by the other user will display) and then exit the form entirely. It is now safe to return to the form and paste the data into the appropriate section. Below is an example of the new message. It will replace the system error codes that used to display, and provide a way to re-enter the data.

IEP "Reset Dates Function" was corrected to properly handle the change in the Form's Dates as well as prior Placement/Service/Goal records that were ended when the new form was created. This will eliminate any gaps in student records.

The Reset Dates function within the IEP Form Information area is used when the form dates must be changed, typically when a meeting is rescheduled. IEP, Form C: Transition: This section has been changed to enable multiple Transition Services to be linked to a single Post Secondary Goal. In addition, multiple Responsible Parties are now linked to the new individual Transition Service records instead of the Transitional Goal.

Unsafe Script Tag Error Handling: This error occurs when a User creates text in a Text Box that contains the symbol"<" immediately followed by another character. To the security in the Browser this looks like malicious code and previously an error would thrown which was handled in the same manner as any other error in the software. Now, the error will be avoided. IEPPLUS will scan such text and insert a space between any "<" character and any character that follows it. The Browser will no longer consider the text as malicious code.

IEPPLUS, File Attachment sections (Student Toolbar and Forms Summary page) have been improved. Users can now see ALL File Attachments associated with a Student in one place and which Forms have attachments. Users may access the attachment without having to leave the section or open each IEP form to find the attachment.

Student, Toolbar, File Documents: Now displays the number of File Attachments a Student has in IEPPLUS.

Student, File Documents: Selecting the 'File Documents' section displays the File Attachment Summary screen which will show ALL file attachments linked to the Student.

In addition, IEPPLUS indicates the specific Form with the attachments and allows you to open this Form and view the attachment section. Upon closing, IEPPLUS returns you back to the File Documents page.

Form Summary: This screen has been modified to indicate whether a Form has attachments, and how many, eliminating the need to open each Form to determine its attachments. If your Users have created any Personal Template Reports with regard to Statements, they may edit them using these additional parameters. For example, a User may have a Statement Report created 'by building' for State Assessments. That User may now add a sort 'by Grade' to this Report.

IMPORTANT NOTE ON PERFORMANCE: Depending on the large number of Statement records this report may access if unfiltered, it may take too much time to run or may return a time-out error message before rendering to PDF. If this is the case, Users must narrow their selection parameters to cause fewer records to be chosen for a single run. The report will need to be run multiple times with appropriate filtering parameters in order to obtain all of the desired data.

At one client site, the example shown above returned over ten-thousand Statement records for a single year and eventually returned an error message - at another client, the same setup of the report ran to a successful conclusion because it returned far fewer records in a single run of the report.

To multiple select items in the window, hold the 'Shift' key and click on the individual items.

To multiply select a row of items, hold the 'Control' key and click on the first & last item.

To Unselect items (i.e. Subcategory after selecting one), hold the 'Control' and Click on the item in blue to deselect it.

TIPS:

Acknowledgements: Administrative Users may set 'General Acknowledgements' on Forms that Standard Users must acknowledge by checking them off prior to Finalizing a Form without running Validation Rules.

In Maintenance, Manage Validation Options, General Acknowledgements an Administrative User may add references to any pre-finalization procedures. Standard Users must acknowledge that they have performed these procedures before Finalization can occur. This capability DOES NOT actually check to see if those procedures actually have been performed - only that the User attempting the Finalization acknowledges that they have performed them.

To Create Acknowledgements set up as demonstrated below.

Next select the Form and Section for which this Acknowledgement should appear. For Permission to Evaluation, Ready for Review, Validation Options tab, check off the appropriate statements and save.

Form Naming Option: Provides the ability to insert the Form's Start and End Dates into the Form Name. Note: The Start and End Dates of Forms are displayed on the Summary Screen so most districts do not use this option.

Copy Options: This setting enables you to control what is copied during the Annual Review Process. Some districts choose to copy the entire IEP and just modify changes. Others want most of the IEP (especially the narrative sections) to be created from scratch while Placement and Service records are copied from the old IEP with the new dates. These records must then be reviewed for appropriateness.

If No IEP Exists: This allows you to control how far back IEPPLUS can make a copy of an existing IEP. Blank enables the system to always look for the last IEP regardless of date.

Days between IEPs for an Extension Reason: Allows Users to set up an option to require an Extension Reason as to why the gap between IEPs exists. It also allows the User to set the number of days a gap can be allowed before an Extension Reason is required. For example, creating a ten-day gap allows the User create a new IEP without an Extension Reason so long as the gap between the old and New IEP is ten days or less.

Place only Latest of each type (enables the latest (1) Woodcock Johnson Test record to appear on the form when you may have multiple years worth of data.

Adding Date Range/Years information lets you identify the number of years back IEPPLUS will scan looking for the latest Evaluation/Test records starting at the beginning of the school year.

Evaluations/Tests: These options allows standardization of these records on all IEP Forms and control the records brought into a new IEP Form.

Creating a new IEP•

Annual Method: Select this method if the IEP Date Range breaks records per school year -for example, if the IEP starts in August and continues until May (or July if the student is a twelve-month student.) Note: This method allows for gaps in between IEPs

Anniversary Method: Select this method if your IEP range is continuous for 365 days - for example, the IEP date range is April 15, 2010 - April 14, 2011. Note: This method does not allow for gaps between IEPs.

This step is only required if your district has set the System Option to 'Either'.○

Step 1: Select the Process Method - Optional

Step 2: Enter the Start and End Dates for the IEP. If 'Anniversary Method' is used and a previous IEP exists, IEPPLUS will automatically fill in the next 365 day period.

Step 3: Select an existing IEP to be copied or Create a blank IEP

Selecting 'Make a copy of this IEP' enables IEPPLUS to copy the existing records based on System Options, Form. Records such as Placement, Services and Course records are copied with the new IEP date range which saves time.

IEP Creation Wizard: The Wizard was incorrectly preventing services from being copied over into a new IEP if the Service was assigned any Alternate Code. This has been revised to prevent Services with the specific Alternate Code of 'ISP' from being copied over into a new IEP.
