CONVENTION SERVICES Birmingham is one of the most celebrated convention cities in the Southeast. With world-class attractions, lodging and dining fueling its reputation and 15,000 guest rooms in the Greater Birmingham area, the city is a popular, affordable meeting host. Meeting planners enjoy the impressive inventory of convention services offered and have come to expect exceptional service from the services staff. Here’s how we can help you with your planning responsibilities:

PRE-CONVENTION PLANNING

The services staff is dedicated to making sure every detail of your meeting is a success. Much of that success depends on the early groundwork. Our professional personnel have years of experience in determining the needs of meetings of every type and size. From attendance builders to volunteer committees, your planning preparations need a thorough thinking-through. The Servicing Department also offers the latest in housing technology.

REGISTRATION/INFORMATION PERSONNEL

Having experienced, knowledgeable people to assist with registration and information is a great way to kick off your convention. Perks are nice, too. So for every 100 room nights your group uses, the CVB will provide, at no charge, one registration/information person on-site for four consecutive hours (based on availability). Additional registration/information assistance can be arranged at reasonable rates. Requests for assistance should be made one month prior to your opening date. CVB personnel are happy to prepare delegate badges on- site if that is your preference. Registration/information personnel are not bonded.

BROCHURES, BAGS AND BADGES

With so much to see and do in Birmingham, it’s essential that your delegates have guides to the city. The CVB produces comprehensive Tourist Guides that describe attractions, dining, shopping and entertainment in the area. These guides are made available to your delegates at registration to further introduce them to their host city. Bags imprinted with the Birmingham logo are available in quantity at a reasonable cost. The Birmingham bags are popular items for packaging pre-registration materials and convention schedules. Name badge inserts with 3” x 4” plastic pin-back holders also are available in quantity at a nominal cost.

PUBLICITY

We are pleased to work with you in getting coverage for your convention. Sample news releases are available for patterning your own release, or we will be glad to write it for you. We also can provide a comprehensive list of media outlets in the area to receive your news release. For attendance-building materials, photographs of the Birmingham area are available for download from our website or through the Marketing & Communications Department.

GUEST ACTIVITIES AND TOURS

Year-round entertainment in Birmingham includes recreational, historical and cultural attractions and events. Convention Services personnel are experts on ideas for social gatherings during your convention, as well as for family entertainment while you’re in meetings. The department is well-connected with local tour operators and other servicing providers to help you plan a wide range of activities during your visit in Birmingham.

The Birmingham-Jefferson Convention Complex is Alabama’s foremost convention, meeting and entertainment center. Events and meetings of all types can be accommodated in its five public buildings: Arena, Concert Hall, Theatre, Exhibition Halls and Ballroom. The complex also includes a large central piazza used for outdoor events.

The Exhibition Hall covers 220,000 square feet of generous space for presenting expansive trade shows and exhibitions. For smaller trade shows or exhibitions, the North Exhibition Hall has a movable wall that can be placed at 30,000-square-foot increments for further flexibility.

There are four truck doors, one 42 feet wide by 20 feet high, one 30 by 18 feet, and two 18 by 20 feet, each providing access to a floor designed to hold 400 pounds per square foot. Five loading docks, two with load levelers, accommodate vehicles of any size, from bulldozers to airplanes.

On the Exhibition Hall floor, connections for electricity, water, telephones and compressed air are available in utility floor boxes at 30-foot intervals. Many columns contain natural gas outlets located 90 feet apart. Overhead lighting is provided by either incandescent or mercury vapor lights. Ceiling height is 25-30 feet.

The Convention Complex also offers full catering services for any size group. The onsite caterer offers everything from casual box lunches to elaborate cocktail receptions and formal dinners.

Three skywalks connect to the Sheraton, Westin, Uptown and the BJCC Exhibition halls, meeting rooms and arena. This gives convenient access for patrons attending conventions or meetings.

BJCC MEETING ROOMS

The facility's 74 meeting rooms are sized to accommodate 20 to 1,900 people. The 15,522-square-foot Ballroom is the largest. Seating within meeting rooms can be arranged either classroom or theatre style.

Audio visuals, recording equipment, microphones, spotlights and other specialty equipment are readily available through the Convention Complex office.

Meeting rooms can be converted easily for banquets, luncheons and breakfasts or for functions such as dances and small exhibits.

The Forum’s design lends itself to professional meetings of virtually any nature, including legal, corporate and continuing education. The 270-seat auditorium enables interactive meetings with participants conversing via fiber optics to any place in the world. A state-of-the-art telecommunications and teleconferencing center offers complete staffing for video conferences and audiovisual production. The communications center is available for public use in video editing, dubbing and other pre- and post-production.

A television studio with three sets is located in the building. The Forum is connected to the 757-room Sheraton Birmingham Hotel and the 294-room Westin Birmingham with access via skywalk to exhibition and meeting space.

THE BJCC CONCERT HALL

The 2,800-seat Concert Hall has a special sense of intimacy with the back wall only 100 feet from the stage. Soft, roomy theatre seats are arranged in a series of small sections fanning out through the extra wide hall.

Above the auditorium, a huge acoustic chamber controls the sound reverberation time from the stage. Near-perfect adjustments can be made for speeches or music, and a speaker on stage can be heard clearly on the last row of the top balcony without amplification. The superbly constructed stage is 85 feet wide.

Other facilities include an orchestra pit 60 feet wide, which sits on two hydraulic lifts; a pipe organ; 12 dressing rooms for stars and principals; two chorus dressing rooms, each holding 50 people; a ballet rehearsal room with barre; the Green Room; a loading dock; scenery storage and a demountable orchestra shell.

With seating capacity for 18,000 people, the Arena is the third largest indoor arena in the Sunbelt. College and professional basketball, the circus, concerts and ice shows represent the spectrum of events held in the Arena.

The main floor covers 17,000 square feet. Sportswriters and other news reporters are delighted with the Arena’s press box lounge and technical adaptations for television. Other facilities and services provided include printing and selling tickets, advertising promotion, ushers and security, sound and light technicians, stage hands, portable stages, food service, inside loading docks, training rooms and eight dressing rooms which are particularly well-suited for basketball teams because of the extra-tall doors.

Recent improvements have greatly enhanced the Arena both functionally and aesthetically. The installation of the Daktronics Model 3030 four-sided scoreboard with a 128-inch by 160-inch 16.5mm ProStar Video Plus Display System (68.7 billion colors) now brings every seat closer to the action. Other improvements include a new signage and graphics package, accessibility updates, exterior lighting upgrades, acoustic upgrades, new divider curtains, updated exhaust fans and much more.

On a smaller scale, the 1,000-seat Theatre has all the impressive qualities of the Concert Hall. Two large lifts allow the shape and size of the 70-foot by 50-foot stage to change from straight proscenium opening to thrust theatre to semi-arena to theatre in the round.

Ballets, small operas, plays, concerts, meetings, recitals and seminars are performed regularly in the classic setting of the Theatre.

Less than an hour’s drive for 1.75 million residents, the Civic Center is within easy walking distance of about 600 motel rooms, several restaurants, nightclub entertainment and a golf course.

The Birmingham-Shuttlesworth International Airport is only 20 minutes away, and the Bessemer Airport, which accommodates corporate jets, is only five minutes away.

The Main Hall is suitable for many events, including plays, wrestling, boxing, concerts, banquets and exhibitions. With more than 13,000 square feet, it is a showplace for exhibitions and trade fairs. The hall features loading docks and a 15’ x 18’ roll-up door to allow easy entrance for exhibition displays, as well as utility connections for electrical, water and telephone needs. The floor has unlimited weight capacity. With a seating capacity of 1,600 and a stage that measures 45’ x 37’, the hall is ideal for concerts, dance and theatre events. More than 1,000 may be seated for banquets. Catering is provided at very reasonable costs. Other services such as ticket printing, ushers and stage hands are available through the Civic Center office.

The 4,000-square-foot East Meeting Room features excellent lighting, sound, a separate entrance and adjacent parking for 300 cars. The room is ideal for classroom meetings of up to 300 people or receptions or banquets for 250 people. The East Meeting Room can be divided into three breakout rooms.

The North Meeting Room has 900 square feet of space that can seat 100 for meetings, 70 for banquets, and 50 in a classroom setting. A partition to divide the room permits smaller meetings. The ceiling is 9’ and there is adjacent parking.

The carpeted South Meeting Room contains 700 square feet and has a 14’ ceiling. This room can comfortably seat 60 people or can be used for small receptions.

The elegantly decorated VIP Room is ideal for board meetings and other high-level gatherings. A large handmade mahogany table with matching executive chairs and credenza highlight this 540-square-foot room. Adjacent to this room is a 250-square-foot antechamber that features a private restroom.

Carpeted with risers, the Mezzanine will seat 400 people. With the risers retracted, the space is excellent for dancing and banquets. It is 95’ x 22’ at the rear of the Main Hall and 93’ x 25’ along the side of the Main Hall, for a total of 4,415 square feet. The ceiling is 14 feet high.

Originally constructed in 1927 as a place where the community came together for quality theatrical productions, this Romanesque playhouse is the origin of Birmingham’s theatrical legacy. In 1999, plans to close and sell the theatre sparked a movement by the Metropolitan Arts Council and Virginia Samford to purchase and preserve the beloved Birmingham landmark and historic structure. Following its grand reopening in 2001, the theatre has become a place where artists and performers showcase their talents, local non-profit and community groups hold meetings, and citizens and corporations gather for weddings, receptions and private functions.

The park served as a staging area for demonstrations in the early 1960s, including the ones in which police dogs and fire hoses were turned on marchers. Images of those attacks haunted Birmingham in the decades that followed, but they were the same images that were instrumental in overturning legal segregation. An audio tour, available via your cell phone, takes you on a journey through the most dramatic days of the Civil Rights Movement in Birmingham.

Friends and fans eagerly await the annual Rickwood Classic, a game that pits the AA Birmingham Barons against a regular Southern League rival. The Sixteenth Street Baptist Church is Birmingham’s most famous Civil Rights landmark. On a Sunday morning in September 1963, four African-American schoolgirls were in the basement of the church just prior to the worship service. A bomb set by Ku Klux Klansmen ripped

through that side of the church, killing 11-year-old Denise McNair and 14-year-old Carole Robertson, Cynthia Wesley and Addie Mae Collins. The bombing was a turning point in the status of race relations locally and nationally. Now a National Historic Landmark, the church is a reminder of man’s inhumanity and his capacity for love and forgiveness. The sanctuary of the church contains a massive stained glass window of Christ, given in memoriam from the people of Wales following the bombing. Tours by appointment. Donations welcome.

Sloss is a 32-acre blast furnace plant where iron was made for nearly 100 years. Now a museum of history and industry, the site preserves a collection of machinery, buildings and industrial structures. These artifacts typify the first 100 years of Birmingham’s history and the technology that drove America’s rise to world industrial dominance. Sloss is the only 20th century blast furnace in the country being preserved and interpreted as a museum. Vulcan is the largest cast iron statue in the world and Birmingham’s city symbol. Standing high atop Red Mountain, the 56-foot-high statue has an observation balcony on its pedestal for a panoramic view of the city. Vulcan is patterned after the mythical Roman god of the forge, a nod to the city’s powerful position in the iron and steel industry in the first part of the 20th century. The statue was created as Birmingham’s exhibit in the 1904 World’s Fair in St. Louis and won the exposition’s grand prize. Move on to 20th Street to the historic Bon Ton Hatters, where you can get your hat steamcleaned while you get the best shoeshine in town. Just off 20th on Third Avenue North is a treasure trove of memories at Reed Books. Back over to 20th Street and south a few blocks is the Peanut Depot. Stop in for treats or just to see the beautiful old roasters that are still in use. Head further south down 20th into historic Five Points South. A good photo background here is “The Storyteller,” a fountain designed by Birmingham native sculptor Frank Fleming. While in this district, stop in at Charlemagne Record Exchange, if only for the atmosphere and the personnel.
