MEETING MINUTES Board of Directors Meeting Wednesday, March 11, 2015, 8:30 PM Teleconference

1. Call to Order – Dave Olack o Meeting called to order at 8:31 PM

3. Reading, correction and adoption of minutes – Lisa Olack

o MOTION: Approve January 4, 2015, BOD Minutes - PASSED

4. Officer Reports

a) General Chair – Dave Olack i) First general chair’s newsletter to go out prior to HOD

b) Treasurer – Jon Fox i) Presented financials as attached

c) Finance - Carl Labonge i) Cost estimate for incentives for greater participation

(1) Presented 4 scenarios to incentivize greater participation at HOD including financial incentives, increasing the raffles at HOD, socials, and bringing in speakers

(2) ACTION: Carl Labonge is to issue a memo outlining the scenarios presented for incentives.

(3) ACTION: Bill Martin to look into speakers for fall HOD

5. Committee Reports

a) Legislation – Wayne Shulby i) Proposed legislation wasn’t received by the board. Questions may be directed to Wayne.

Additional members needed on the committee (currently Joel Black, Chair, Wayne Shulby, Suzanne Heath). John Fedena was appointed to the committee and an athlete to be named later.

b) Communications - Ronnie Roach i) Cost estimate for Phase II

(1) TABLE cost estimate until next meeting after the USA-S Social Media workshop to be held March 29-31, 2015, in Colorado Springs.

c) Membership/Registration – Suzanne Heath

i) Presented report as attached. Suzanne and Barb Frith are working to find a better way to communicate to teams regarding coaches’ certifications. USA Swimming sends an email to a coach 30 days from expiration.

ii) ACTION: Suzanne is to send a monthly email to the head coach of each team showing the coaches in need of certifications beginning after the HOD.

d) Technical Planning – Kevin Thornton i) Presented calendar as attached. Discussion regarding time between seniors and sectionals

and age group and sectionals. Inquiry whether high school can move regional and state meets.

ii) ACTION: Suzanne Heath to inquiry with high school regarding dates of regional and state meets and whether they may be moved.

iii) MOTION: To approve calendar as presented and allow Kevin Thornton the ability to change it if high school schedule does change. – PASSED

6. Unfinished (old) business

a) Deck changing policies at aquatic centers in the LSC – Dave Olack i) Has had communication with several facilities and still waiting on several more including

YMCA corporate. ii) ACTION: Finish the facility summary in regards to deck changing and issue a

document to the board by March 25, 2015.

b) Publish how to register and become an official on website – Chris Kitchens i) Completed

c) Hall of Fame at GAC – Trish Martin i) TABLED: Until September BOD meeting

d) By-law comparison – Wayne Shulby i) No report

e) Open Water – Taylor Cooper i) Legislation for funding to zone ii) Policy for team selection process

i) Coaching staff selection for the 2015 NC Select Camp and Zone team (1) Candidates: JP Merchant, Alex Black, Connor Griffin, Karole Ann Bayer, Jeremy Gregory,

Updated facebook social media.

For parents for every 10 sessions worked, a card will be punched and mailed in for a raffle of some monetary value; awards such as decals, magnets, etc.

For officials: tabled until new Official Chair is in place and committee establish. Would be based on number of sessions worked keeping it positive.

7. New business

o Social Media Workshop, March 29-31, 2015, in Colorado Springs. $100 per person plus air and lodging. USA Swimming to provide meals and block of rooms.

o MOTION: To allow Ronnie Roach to attend the workshop and provide the finances as prescribed above. – PASSED

o Ronnie will provide classes at HODs on how clubs can use social media. o Official Chair: With the resignation of current chair, Chris Kitchens, Dave Olack and Trish

Martin talked to several candidates. Dave Olack has appointed Todd Weber as the new Official Chair.

o Bill Martin spoke on behalf of the National Black Heritage meet and stated that Kathy Cooper had requested an exemption to the entry fees. Rejected. There is proposed legislation in place and, if approved, the meet may adjust their fees at that time.

a) HOD – Greensboro, Saturday and Sunday, April 11-12, 2015 b) BOD Meeting – Sunday, April 12, 2015, 9:30 AM, Greensboro Coliseum Board Room c) BOD Meeting – Sunday, April 12, 2015, immediately following the conclusion of HOD meeting
