Overview, Installation and User Configuration

AltiGen’s MaxMobile Communicator application, installed on a G1 phone based on Google’s Android platform, makes the phone a fully capable office phone extension and serves as a “desktop” call control client, allowing you to access, configure, and perform most of your company's PBX functions directly from the graphical user interface in MaxMobile Communicator. This includes call handling, call forwarding, conferencing, conversation recording, directory and contact lookup and dial. In addition MaxMobile Communicator lets you save Favorites.

MaxMobile Communicator runs on any mobile phone device that is using the Android operating system. When you log in, it connects your Android phone to your company's MAX Communication Server (MAXCS) as a native extension of the system. If you have a desktop phone with the same extension, calls to this extension are now routed to your Android phone as long as you are logged in to MaxMobile Communicator. When you log out, those calls are again routed to your desktop phone.

MaxMobile Communicator and MAXCS SystemThe following diagram shows the path of calls into and out of a MAXCS system.

Like a remote extension, the G1 phone running MaxMobile Communicator serves as an office extension, making and receiving calls through the public switched telephone network (PSTN) to and from your company’s MAXCS system. You can call company extensions (both inside and remote extensions) just by dialing the extension number. Your calls to destinations outside the company can go through the MAXCS system, as illustrated in Figure 1, if you so choose.

Requirements• Supported mobile phone model: G1 phone from T-Mobile running the

Android operating system. You should be familiar with the keys on the phone, the status bar icons, and general phone navigation. See the Getting Started booklet that came with your phone.

• MAX Communication Server ACC 6.0 Update2 or MAX Communication Server ACM 6.0 Update2 loaded with MaxMobile QuickFix pack.

• MAXCS must be configured to enable mobile extension features.

• Your system administrator must have assigned a MaxMobile license to your extension.

• A 3G or Wi-Fi connection is needed for access to the call control functions in the MaxMobile Communicator call screen.

Installing MaxMobile CommunicatorWi-Fi (if available) is recommended when you work in your office. The following steps are used to set up the G1 phone.

Enable Wi-Fi setting on the G1 phone

1. Press the Home key, then press the Menu key and select Settings.

2. Select Wireless controls.

3. Select Wi-Fi.

4. Select Wi-Fi settings and set up and connect to your Wi-Fi network.

Note: MaxMobile Communicator supports only 3G and 2G networks. 3G or Wi-Fi is required for access to the MaxMobile Communicator call control buttons.

Download and Install MaxMobile Communicator

1. Press the Home key, tap or drag up the application tab, and select Market from the display.

2. Select Search, and search for MaxMobile.

3. Select AltiGen MaxMobile, and download and install it. Download progress is displayed in the Notification screen.

4. Select Launch, and the MaxMobile Communicator Login screen is displayed.

If MaxMobile Communicator is not launched at this point, press the Home

key, tap or drag the Application tab, and select .

Configuring MaxMobile CommunicatorBefore you can log in to MaxMobile Communicator, you need to configure the connection settings.

When you are not logged in, the red bar shows Disconnected.

1. Press the Menu key, then select Login Setting .

2. Configure the settings:

• Enter your extension number.

• Enter your password.

• Server Address—Enter the public MAXCS IP address (see your system administrator for this address).

• Alternative Server Address—Enter the private MAXCS IP address (if applicable - see your system administrator).

• Mobile Phone—Enter the G1 phone’s number (for example, 5107778432)

• Mobile Trunk—Enter the dialed digits needed to reach Mobile Trunks including the dialing prefix (for example, 15105551212).

3. Tap Save to save the settings. The Login screen is displayed again.

4. Tap Login to log into your company’s MAXCS system. A progress bar shows you the progress of the login.

After you log in, 5 buttons are displayed: Directory, Favorites, Call, Call Log and Voice Mail:

What Happens at LoginAt login, MaxMobile Communicator registers its extension as a mobile extension with your company’s MAXCS system and downloads data from MAXCS.

At this point, you are ready to use MaxMobile Communicator to handle calls and voice mail

When Connection Is LostIf the MaxMobile Communicator phone loses connection with MAXCS, MaxMobile Communicator changes to offline state and will show (Offline) in every title bar. Call control functions are not available in this state.

The login state is kept regardless of the data link connection, whether the phone is turned off or is in power save mode, or you’re exiting the application.

MaxMobile Communicator will try to reconnect to your company’s MAXCS system when one of the following happens:

• A call comes in from the mobile trunk

• You open MaxMobile Communicator

• Your G1 phone has been turned off and is turned back on. In this case, MaxMobile Communicator will start automatically and try to connect to your company server. “Initializing...” is displayed on your screen.

Logging OutTo log out from MAXCS, press the Menu key and tap Logout. Your G1 phone is disassociated from the PBX extension. If an IP phone was previously registered with this extension, the IP phone will now re-register with the extension.

Here, MaxMobile Communicator is connecting to your company server when you turn your G1 phone back on.

The phone displays a message that logout is in process. Wait until logout is complete before turning off the phone or using it for another purpose.

Note: When you are in offline state and you select Logout, you get the message "Cannot logout while in offline state. Exit Application?" If you click OK, the Home screen is displayed.

Automatic Download of New VersionEach time you start up the MaxMobile Communicator application, a comparison is made with the version of the application that is stored on your company server. If the versions don’t match, then the server version is downloaded automatically into the AltiGen folder in the microSD memory card of your G1 phone.

You will receive an error message if the removable memory card is not currently installed in your phone:

After the download, you are instructed to “Run AppsInstaller to install” the new version.

AppsInstaller is an application that you must download and install. Do that in the same way you originally downloaded and installed MaxMobile Communicator:

Downloading and Installing AppsInstaller

1. Press the Home key, tap or drag up the application tab, and select Market from the display.

2. Select Search, and search for AppsInstaller.

3. Select AppsInstaller, and install it.

Known LimitationWhen the phone is powered off, the first call made to the MaxMobile extension is redirected to the cell phone’s voice mail, instead of to the MaxMobile extension’s voice mail. Subsequent calls to the extension are directed to the MaxMobile extension voice mail.

Using MaxMobile Communicator

When you are logged in to MaxMobile Communicator, you can begin using the application’s call functions:

Making a Call Using a Stored NumberInitiate calls from a number of screens: Tap Directory, Favorites, Call Log, or Voice Mail, then tap the entry you want to call.

If the call is not to another extension user on your company’s MAXCS system, you may choose between Call Via Server and Call Direct options.

Call Via Server makes the call to an outside number through the AltiGen MAXCS system.

Call Direct makes the call directly to an outside number without going through the MAXCS system.

Tap Directory for a list of company extensions, plus contacts entered in your mobile phone.

Tap Favorites for a list of personally chosen "favorite" extensions and contacts.

Tap Call to access PBX call handling features and make a call.

Tap Call Log to view the incoming and outgoing calls made via the server.

Tap Voice Mail to manage messages in the AltiGen Voicemail system.

If the call is going to another extension, the call is initiated immediately via the server when you tap the extension entry, except when you are working from the Directory screen. If you tap an extension in the Directory screen, the extension screen is displayed for that extension. Tap Call Via Server to make the call.

Making a Call Using the Dial PadWhen you use the dial pad to make a call, the call is always made via the server. To use the dial pad,

1. Tap the Call button

2. Press the phone’s Menu key to display the call control functions.

When the other party’s phone is ringing, your phone displays “Ringback” until the other party answers:

3. Tap Dial Pad to dial the call.

4. From the dial pad, enter the number and then tap the Dial button.

5. If you dial an outside number, include the trunk access code.

Entering Digits After a Call Is Answered

Use the MaxMobile Communicator dial pad when you need to enter additional digits after the other party answers, for example, an extension number, AA number, etc. To close the dial pad, tap the Close button in the dial pad window. The call handling functions are available again.

Using the Call ScreenThe call screen displays:

• The call state (in the title bar), such as Ring, Connected, Offhook. If you are using the dial pad, it displays Dial Pad. When you are offline, Offline is displayed.

• For an internal call, the extension number and the other party’s name.

• For an external call, an icon indicating the type of number (mobile, home, etc.) and the caller’s name.

To see or hide the MaxMobile Communicator call controls, press the phone’s Menu key.

Recording—To record a conversation, recording must be enabled for your extension by your system administrator. When you are recording, the Record button is highlighted in red.

Offline state—You’ve lost connection to the server and can’t make a call using the MaxMobile Communicator application until connection is re-established.

Speaker—When you’re running MaxMobile Communicator:

• When the line state is “offhook”, the speaker is off, and a call comes in, the speaker turns on so that the ringback tone can be heard.

• When you answer the call, the speaker turns off.

Network—To access MaxMobile Communicator call control functions, you need a 3G or Wi-Fi connection. If your data connection uses a 2G network, a message lets you know that you need 3G or Wi-Fi.

A green phone icon at the top means a call connection to the mobile network is present.

When multiple calls are being handled they are all displayed here.

Tap a button to perform any available call handling function: Answer, Hold, UnHold, Transfer, Redial, and so on.

Tap the Release button toterminate the current call whilemaintaining call connection to

the mobile network and leaving the extension in offhook state. You can make the next call immediately, without having to re-establish a call connection to your company’s MAXCS system.

Using the DirectoryTap Directory to open the directory. Press the Menu key to select All, Extensions, or Contacts:

Each entry shows:

• Phone number and kind of number (for example, Ext, Mobile, Home, Group, and so on).

• If it’s an extension, the activity status is displayed if the person is unavailable and has configured their activity status. Activity status is updated in real time.

Finding a Name in the DirectoryTo locate a name in the directory, do one of the following:

• Scroll the list by using your finger or the track ball.

• Tap a letter in the top line to go to that letter in the directory, and then scroll.

All—Shows both extensions and contacts.

Extensions —Shows the extensions and groups on your company’s MAXCS system. (If you chose to display remote extensions in your Ext Settings configuration screen, the display includes remote extensions.)

Contacts—Shows your list of contacts on your mobile phone’s system.

• Search for a name or number with the phone in landscape mode:

1. Open the phone to landscape mode.

2. Enter characters in the search box (<space> is not an acceptable character). The list narrows to first names, then last names that begin with the characters you enter.

3. Or enter digits in the search box, and only the extension numbers that match the digits you enter are shown.

Calling from the Directory

Call an extension

1. Tap an extension entry. Its extension view is displayed (see Figure 8).

2. Tap Call Via Server.

(To add the extension to your favorites, tap Add to Favorites.)

Call a contact

1. Tap a contact entry. Its contact view is displayed (see Figure 8).

2. If multiple numbers are listed, select the one you want.

3. To call the number via your company’s MAXCS server, tap Call Via Server. To call directly from the phone, tap Call Direct.

(To add the contact to your favorites, tap Add to Favorites.)

Note: If the Add to Favorites button is disabled, the entry is already in your favorites list.

For an extension, the person’s activity status is displayed again just below the name and the person’s department is displayed, if configured by the system administrator.

Answering a CallWhen a call comes in, do one of the following:

• Press the phone’s Send key to answer the call. The display switches to the MaxMobile Communicator call screen. Press the Menu key to display the call control buttons.

• Alternatively, press the Menu key to switch to the MaxMobile Communicator call screen, and then tap the Answer button.

• If the phone is in Offhook state, tap the Answer button to answer it.

To hold/retrieve a call

1. Select the call entry

2. Tap the Hold/Unhold button. (It’s a toggle.)

Call from Bill is ringing. Press Send key or if phone is Offhook, tap Answer.

Call is answered. More call handling options are available

To put a call on hold, tap the Hold button.

To retrieve the call, select it. This changes the Hold button to Unhold. Tap the Unhold button.

Transferring a CallTo transfer a call you’re connected to,

1. Tap the Transfer button.

2. Open the dial pad and dial the target number from the dial pad, or select the number from other screens. In Figure 10, the first party is on Call Pending (awaiting transfer). The second party’s phone is ringing.

3. Either tap the Transfer button again to transfer the call without announcing it, or wait until the second party answers, announce the transfer to the second party, and tap the Transfer button again. The call is transferred.

4. To cancel the transfer instead, tap the Cancel button at any time.

Conferencing a CallTo initiate a conference call.

1. Call the first party.

2. When you’re connected with the person, tap the Conference button.

3. Call the second party. When that person answers, tap the Conference button again. You and the two other parties are connected in conference. The calls are displayed in green.

4. To add another person to the conference, repeat the process. To cancel adding someone to a conference, tap Cancel at any time.

Tony is on hold, awaiting transfer to Jack, whose number has been dialed.

When Jack answers, the orange indicator becomes green, showing the call is connected and active.

When the person doing the transfer hangs up, Tony and Jack will be connected.

Note: You can conference only outgoing calls. You can’t conference an incoming call.

Recording and Listening to PlaybackTo record a call, tap the Record button while connected to a call. Recordings are saved to your extension's voice mail or, if the call is going through MAXCS, to a centralized directory on the server, if preconfigured. Listen to your locally saved recordings through the voice mail screen. Your extension must be configured by the system administrator to record calls.

Handling Voice MailThe voicemail screen shows voice mail left in the AltiGen Voice Mail System. MaxMobile Communicator downloads the voice mail list from your company’s MAXCS system. A voice mail entry is shown in this screen after its voice file is downloaded. If new voice mail is generated in the AltiGen Voice Mail System after MaxMobile Communicator connects, that voice mail will download to your phone. New or heard voicemail status in the G1 phone is synchronized with the MAXCS system.

Chloe has called Jack and then tapped the Conference button, putting Jack on hold for a pending conference, while Chloe dials Tony. Tony answers and becomes the active call (shown in green). Chloe taps the Conference button again, making both calls active (both are green, with a “C” for conference). All three people are connected.

To see your extension voice mail, tap the Voice Mail button in the main MaxMobile Communicator screen.

When a new voice mail has been left for your extension, a voice mail notification icon is displayed in the status bar.

Open the voice mail notification by sliding your finger down from the status bar.

Press the Menu key to display or hide the voice mail control buttons.

To play a voice mail, tap the Play arrow.

• Bold white font = new voice mail.

• Normal white font = heard voice mail

• Bold red font = new urgent voice mail.

• Tap the Play arrow to play a selected voice mail. Voice mail buttons are hidden when you’re playing a voice mail with the speaker turned off. You cannot select a different voice mail at this time.

• Tap Delete to delete a selected voice mail in both in the AltiGen Voice Mail System and locally. You are asked for confirmation.

• Tap ReturnCall to return a call to the caller who left the selected voice mail.

• Tap Speaker to turn the speaker on or off.

• Tap Forward to forward a selected voice mail. A list of physical and virtual extensions is displayed (it excludes workgroups and application extensions).

Select extension(s) to forward voice mail to.

Then press the Menu key and tap Forward.

Using the Favorites ScreenYou can add both extensions and contacts to your favorites list.

• When a contact has more than one number, each number you add to Favorites is displayed as a separate entry in the Favorites screen.

• Extension activity status and line state are updated for favorite extensions.

• Green light - an extension is in Ready state.

• Red light - an extension is busy.

Tap a contact, and you’ll have the option to call via the server or call directly.

Tap an extension, and the call is made right away via the server.

To delete a favorite, use the track ball to scroll to the entry. Then press the Menu key, and tap Delete.

Using the Call LogThe call log is recorded on your company’s MAXCS system.

• Incoming call

• Outgoing call

• Missed call

• A number in parentheses, for example (3) = the number of incoming calls from that phone number or the number of outgoing calls to that phone number

Up to 100 call records are saved.

Tap an entry to make a call to that number. An extension call is made immediately via the server. If it’s a contact, you’ll have two options: call via the server or call direct.

To delete a record, select it using the track ball. Then press the Menu key, and tap Delete Entry.

To clear the entire call log, press the Menu key, and then tap Delete Log.

Changing Your Extension SettingsYou can change the call handling configuration of your mobile extension.

At the MaxMobile Communicator main screen, press the Menu key, and tap Ext Setting.

Set your activity status and the way you want calls handled.

When you select a list pops up. Select an option from the list, and the list closes.

When finished configuring your extension, tap Save (or Discard Changes) at the bottom of the screen.

To leave the Settings screen, press the Back button.

Option Description

Activity Specify your activity status. Other extension users can see your status, and when your phone is busy callers hear the specific greeting you have recorded for that status, if any.

Default–The system greeting is used.

Personal–Your personal greeting is used.

Meeting–You’re in a meeting.

Away–You’re away from your phone for some other reason.

Travel–You’re traveling on business.

PTO–You’re on vacation (personal time off).

Additional options may be available if your system administrator has configured them.

Do Not Disturb Sends all calls to the destination specified in the Forward Busy Calls to option, without ringing your phone.

Forward All Calls to

Forwards all calls to a destination you specify from the drop-down list that appears when you select this option: voice mail, an extension, an AA (auto attendant), a line park, an outside number, or an operator. After you specify one of these options, another drop-down list becomes available so you can specify which extension, AA, and so on.

Forward Busy Calls to

Forwards incoming calls when your phone is busy or when you’ve checked Do Not Disturb. Select this option and then select from voice mail, an extension, an AA (auto attendant), a line park, or queue. After you select one of these options, another drop-down list becomes available so you can specify which extension, AA, and so on.

The option to place a call in queue requires that you first select Multiple call waiting from the Call Waiting options.

Landscape ModeIn MaxMobile Communicator, landscape mode is available only in the Directory, Login Setting and Ext Setting screens.

Call Waiting Single call waiting–sets up single call waiting. This feature gives an alert tone (audio beep) to indicate that a call is waiting.

Multiple call waiting–enables a “personal queue” of multiple calls waiting. This allows the user to transfer or park the current call before picking up the next call in queue.

Live call handling–This feature allows callers to stay in the personal queue while the extension user is checking voice mail or operating other features. The caller will hear a ring back tone while in queue. The call will be shown as "ringing" on the MaxMobile screen.

Forward RNA Calls to

Forwards your unanswered calls to a destination you specify. When you select this option, a drop-down list becomes available. Select Voice Mail, Extension, AA (auto attendant), or Line Park. (The number of times your phone rings before it is considered unanswered is set either by you in your MaxCommunicator or MaxAgent desktop software, if you have it, or by the system administrator.)

Default Trunk Code

Select the default trunk access code for your company’s MAXCS system (usually 9). Your system administrator has this information.

Show remote extensions

Displays remote extensions in your Directory screen, in addition to local extensions.

MAXCS Configuration

This chapter is for the MAX Communication Server (MAXCS) system administrator. The system administrator needs to configure MAXCS to establish connections with MaxMobile Communicator on the Android phone. The administrator should follow the instructions in the MAXCS Administration Manual for configuring Mobile Extension settings, and include the following:

1. Create Mobile Trunks. Select a trunk and configure it as a mobile trunk. The trunk line number registered in PSTN is very important. It will be used by MAXCS to verify whether a call is a mobile call.

2. Create an extension for the MaxMobile Communicator user. MaxMobile Communicator uses the extension number and password as ID to log in to the MAXCS system.

3. Assign an Altigen MaxMobile license to the extension. To do this, from the MaxAdmin main menu, select License > Client License Management. In the Client License Management dialog box, select MaxMobile in the License Types column, and add the appropriate extension to the Members list.

4. Configure Extension Anywhere. (To open this dialog box, in Boards view, double-click MobileExt board. In the Board Configuration screen, double-click the appropriate entry in the Channel Mapping List.)

• Name–Enter the user name of the person using the MaxMobile Communicator phone.

• Target Phone Number–Enter the phone number of the MaxMobile phone. This is used when MAXCS makes a call through PSTN to the MaxMobile phone.

• Caller ID–Enter the phone number of the MaxMobile phone. This is the incoming caller ID verification. MAXCS uses it to determine whether a call is from a mobile extension. It's also used to find a mobile channel in the MaxMobile Communicator application. This parameter is very important. It is used in the MaxMobile Communicator login.

Note: When a MaxMobile Communicator user logs in to the MAXSCS system, the assigned extension number, extension password and cell phone number are used as identification. First, MAXCS checks the extension number and extension, then it uses the cell phone number to search the mobile channel table. If MAXCS finds one channel's

Caller ID is the same as the cell phone number, it will assign this channel to the extension number. The extension is allowed to log in as a mobile extension. If no channel is found, the login fails.

• Clear the Phrase check boxes in the Extension Anywhere Configuration screen.

5. If the MAXCS is behind NAT, add a virtual public IP address to map to this server so that the data access from a 3G network can reach this server.

6. Open firewall ports TCP 10080 and 10081 for both virtual IP address and private IP address.

Configuring Extension “Caller IDs”The T-Mobile phone will not display caller IDs that are less than 10 digits long on its incoming-call screen. If a caller ID is less than 10 digits, as it is for an in-system extension number, the incoming-call screen displays “Unknown”.

AltiGen recommends configuring your MobileExt board to send the system’s main number as the CID for extension calls. This way, the Android phone user will be able to identify an incoming call as coming from the company.

To get to this configuration,

1. Double-click the MobileExt board.

2. Double-click a channel group. In the MobileExt Configuration screen, select the option shown below.

Phone users, themselves, can add the company phone number to their contact list. The name they configure will be displayed in the incoming-call screen.
