Who Should Read This Guide?
This addendum to the MAXIMO 5.2 User’s Guide is for people who use MAXIMO Transportation 5.2 to manage their transportation-related assets. MAXIMO Transportation 5.2 provides ways to manage warranties, record fuel issues and stick readings, associate maintenance codes with items and equipment, and view, import and enter meter readings. In addition, you also can generate and track warranty claims, create vehicle requests, schedule vehicle dispatches, account for outsourced repair work, set equipment depreciation schedules and generate multiple equipment records from an equipment template.
How to Use This Guide
MAXIMO Transportation 5.2 contains extensive help that provides detailed instructions on how to use the modules and applications. Use this guide together with the help to assist in orienting you to the transportation-specific MAXIMO applications.
This guide includes chapters that focus on using specific modules and applications to manage transportation equipment. Chapter 1, "MAXIMO Transportation 5.2 Features," provides an overview of the transportation-related enhancements made to MAXIMO. Subsequent chapters correspond to MAXIMO modules, and discuss their transportation-enhanced applications, as shown in the following list. Chapter 9 lists database table and column information.

Because your system administrator can customize MAXIMO to meet the needs of your business, your MAXIMO configuration might not match exactly. Overview
You use MAXIMO Transportation 5.2 to manage your transportation- or fleet-related assets.
MAXIMO Transportation 5.2 has many enhancements incorporated into the base MAXIMO product. These enhancements let you incorporate transportation-related features such as the following into your daily use of MAXIMO:
enter and view meter readings from multiple applications
when appropriate, get prompted to review relevant equipment and item warranty information
use and track maintenance codes (component codes, position codes, etc.) that you associate with items and/or equipment
generate and track warranty claims
track fuel and fluid consumption
use maintenance alerts to notify you of potential work orders and/or PMs that should be done in conjunction with emergency repair work
New Applications, “Cloned” Applications, and Modified Applications
MAXIMO Transportation 5.2 has 16 applications developed specifically for transportation-related asset maintenance needs. In addition, 18 standard MAXIMO applications have been “cloned,” or copied, in order to add transportation-specific options and/or fields to these applications. These are available only to users of MAXIMO Transportation 5.2. (The unmodified base applications remain in the product. The transportation-specific clone or the base application can be made available to different users in your organization, depending upon their needs.)

Open Drilldown
You use the Drilldown in the Component Codes (Tr) and Position Codes (Tr) applications to view the hierarchy for the selected component code or position code. You can locate a code by scrolling through the hierarchy, viewing a code's parent and its children. You also can use the Drilldown to return a code to a field.
To create hierarchies, you specify a “parent” and one or more “child” codes on the Component Code tab in the Component Codes (Tr) application and/or the Position Code tab in the Position Codes (Tr) application.

NOTE Open Drilldown in Component Codes (Tr) and Position Codes (Tr) is different from Open Drilldown in Equipment (Tr), Locations (Tr), and the Work Orders module applications. In those applications, Open Drilldown displays equipment and location hierarchies.

MAXIMO Transportation 5.2 gives you the ability to enter, enter and edit, and view meter readings in numerous applications. For a complete list of applications in which this feature is available, see “Transportation Features” on page 3.
Enter Meter Readings
You use the Enter Meter Readings page in many applications, including Fuel Issues (Tr), Logs (Tr), Work Order Tracking (Tr), and Quick Reporting (Tr). When you enter a meter reading, MAXIMO adds the reading to the work order, if there is one, for the selected equipment. You can enter a reading for a fuel- or non-fuel-related meter.

Enter/Edit Meter Readings
You can enter meter readings for any meter associated with a piece of equipment, either in the Equipment (Tr) application or when the equipment is listed on a work order, work request, PO line, receipt line, storeroom or fuel issue, etc. You can also use the Enter/Edit Meter Readings page to edit existing readings. You enter meter readings on the Enter/Edit Meter Readings page. Enter/Edit Meter Readings is also available in Logs (Tr) and Fuel Issues (Tr).

In order to enter or edit a meter reading, the following conditions must be met:
If you are not in Equipment (Tr), the work order, line item, or issue record must have an equipment identifier listed in the Equipment field in order to enter or edit a meter reading; that is, there must be a reference to an existing record in the MAXIMO Equipment (Tr) application.The equipment must have had one or more meters set up for it in Equipment (Tr).

Warranty Claims
You can generate warranty claims for warrantable transactions and you can view such claims in multiple applications. For a complete list of applications in which these features are available, see “Transportation Features” on page 3.
Generate Warranty Claims
You use the Generate Warranty Claims page to generate warranty claims that are to be based on "warrantable transactions."
Warrantable transactions consist of actual labor hours, materials used, and services used in the repair of equipment under warranty, or the replacement of an item under warranty.
You can optionally specify markup percentages to be included in the claimed amount for the work, parts, or services.
To generate warranty claims, you select from a list of eligible transaction lines. To be "eligible" for selection for a claim, the transactions must have occurred against a piece of equipment under warranty, or against an item under warranty, meet the warranty coverage stipulations, and not have been claimed previously.

You can select Generate Warranty Claims from the Warranty Claims (Tr) application, and also from the Work Order Tracking (Tr) and Quick Reporting (Tr) applications. This lets you generate warranty claims at the time you are notified that possible warranty conditions exist when recording actual work data.

There are three equipment-specific enhancements in Transportation 5.2. You can change an equipment’s condition, view the history of the equipment’s condition changes, and you can change the operational status of a piece of equipment. For a complete list of applications in which these features are available, see “Transportation Features” on page 3.

You can use the Change Condition dialog box to set the initial condition or to specify a new condition for a piece of equipment.

You can view the history of condition changes for the current equipment record on the View Condition History page. This page shows the current equipment condition, along with the history of any condition changes. In addition to the condition, the date of the condition change and the person who changed it are displayed. If a work order was associated with a condition change, you can see the work order number, plus any memo recorded with the condition change.

You can change the operational status of a piece of equipment via the Change Operational Status dialog box. For example, you might want to change the operational status of a vehicle from operational (OPER) to out of service (OOS) if the vehicle is in the repair shop and temporarily unavailable for scheduling.

Maintenance Alerts
Maintenance alerts call your attention to work that might need to be performed on a piece of equipment or its children.
Maintenance Alerts
You can use the Maintenance Alert? field in Work Order Tracking (Tr), Quick Reporting (Tr), and Work Requests (Tr).
The Maintenance Alert? check box specifies whether MAXIMO should display a maintenance alert when you first save a work order or work request, or when you save the work order/request upon reaching a specified status. If the check box is selected, a maintenance alert will be displayed when the work request is saved at the specified status. The field is editable; you can turn the maintenance alert feature on or off for your own work order/request.
A maintenance alert displays the Select Work Orders and PMs page, which shows any deferred or outstanding work orders on the equipment specified on the work order/request, plus any work orders on that equipment's children, grandchildren, etc. It also shows any PMs that are currently due or will become due on that set of equipment, showing the date and meter readings at which these PMs are due.
Checking the Equipment Hierarchy for Additional Related Work
Select Work Orders and PMs also provides a way to view the equipment hierarchy of the equipment on the work order/request. Click View Equipment Hierarchy to display the Locations/Equipment Drilldown page.
The Drilldown lets you navigate to any point in the hierarchy, then return to the Select Work Orders and PMs page and see all open work orders and PMs for the equipment number selected in the hierarchy (including those for its children, grandchildren, etc.).

The Equipment module has five transportation-specific applications and two cloned applications. This chapter describes each transportation-specific application, and provides an overview of new tabs and/or fields added to the cloned applications. Overview
You use the Equipment (Tr) application to associate warranties with equipment records. You create warranties in the Equipment Warranties (Tr) application, where you also can associate equipment with a warranty.
You can set up meters for equipment and view meter readings and fuel consumption. When you set up a meter, you can then issue fuel or fluid to that equipment in the Fuel Issues (Tr) application. You also can record equipment operational status and condition changes, and set a depreciation schedule for equipment.

Before you can associate a warranty with an equipment, you must first create the warranty in the Equipment Warranties (Tr) application. You can modify the coverage’s start date and meter’s start value for each warranty you specify for the equipment.
If the selected equipment record has parents with warranty coverage that applies to its children, and if it accepts coverage from its parents, you can view those warranties by selecting the Show Coverage from Parents? check box.

Warranties cover various maintenance activities for a piece of equipment and/or component parts. A warranty can cover a piece of equipment or a component for a specific length of time and/or for a meter duration.
Creating warranties in this application lets MAXIMO find warranties that apply to equipment and components on inventory issues and transfers, labor reporting, purchase orders, purchase requisitions, requests for quotations, invoices, and work orders, potentially saving your company money in maintenance and repair costs. Depending on how your system administrator has configured your MAXIMO implementation, when a potential warranty situation exists, MAXIMO displays a warranty notification message.

Component Codes (Tr) Application
Overview
You use the Component Codes (Tr) application to enter and track component codes. Component codes identify the area or part of the equipment that someone is performing maintenance work on or, for an item, identify where that item fits on the equipment. Component codes and component code systems help you track and analyze asset performance and maintenance cost.
You can organize component codes into hierarchies, with a “parent” component code having one or more “child” components, which in turn can have their own child components.
You can specify that a component code must have an associated position code by checking the Position Required? field. For example, some brake assembly components might be specific to either the front or the rear of a vehicle.

Position Codes (Tr) Application
Overview
You use the Position Codes (Tr) application to analyze your assets’ performance and maintenance expenditures. Position codes can appear on work order tasks; job plans; labor, material, and tool actuals; inventory reservations; purchase requisitions; purchase orders; requests for quotations; and invoices. Position codes often are associated with component codes in the Component Codes (Tr) application. For example, front brake shoes might have a component code of 013-001-013, and position codes of Traffic Side Axle 1 (TSA1) and Curb Side Axle 1 (CSA1).
You can organize position codes into hierarchies to reflect the positions of various components in an assembly. To create hierarchies, you specify “parent” and “child” position codes. Specify a parent for a code via the Belongs To field. Enter child component codes in the Children table.

Logs (Tr) Application
Overview
You use the Logs (Tr) application to maintain a log of problems reported by equipment operators, and to track the status of the reported issues. Use the Log Problems subtab to report equipment problems. Problems can be reviewed by the appropriate personnel and work orders can be generated to deal with the problems. You can monitor the status of reported problems and quickly see if there are issues that have not been addressed.
You can also use the Logs (Tr) application to track fuel consumption by state for your commercial interstate vehicles. Using logs, you can record a vehicle's origin, destination, fuel use, states traveled, and date of refueling. You can update meter readings and add comments about the equipment.
You can use the Log Meter Readings subtab to record equipment meter readings. You have the option of exporting the readings to the meter readings table so that they can be viewed in the Equipment (Tr) application, and on the View Meter Readings page and the Enter Meter Readings page.

Equipment Templates (Tr) Application
Overview
You use the Equipment Templates (Tr) application to create equipment templates, which you can apply to multiple pieces of equipment. You can specify much standard equipment information to be shared by all the equipment records, such as make, model, year, and so on.
You can use the Equipment Templates (Tr) application's tabs to associate spare parts, warranties, and meters with the template, and thus with equipment records based on the template. You can associate a specification template with the equipment template via the Specifications tab.
Preventive maintenance information can also be specified for an equipment template. In the Preventive Maintenance (Tr) application, you can associate one or more master PM records with a template. When the template is applied or used to generate new equipment records, associated PMs, based on the master PM, are created for each equipment record. See Preventive Maintenance (Tr) help for more information on associating a PM with an equipment template.
Equipment templates can be used to batch-generate new equipment records or to update multiple existing equipment records.

Stick Readings (Tr) Application
You use the Stick Readings (Tr) application to enter stick readings, or fuel dips, of your containers of fuels and other fluids. This application maintains a historical record of all recorded readings.
To monitor tanks for leaks, some government agencies, such as the Environmental Protection Agency (EPA) and Occupational Safety and Health Administration (OSHA), require periodic measurements for all underground storage tanks, and often for any tanks, above or below ground, containing hazardous materials.
Stick readings help validate that the inventory expected from fuel and fluids issues and receipts, measured by meter readings, is accurate. Use the stick reading to calculate the remaining volume based on the tank's capacity. If there is a discrepancy between the stick reading and the inventory indicated by meter readings, there may be a problem with the tank.
Before you can enter a stick reading, there must be an item record, designated as a fuel or fluid, in the Item Master (Tr) application, and the item must be assigned to a storeroom, and assigned to a bin (tank). The fuel or fluid item can be assigned to additional bins in the Inventory (Tr) application. Once a bin has been assigned a fuel or fluid item, you can record stick readings against that bin.

Overview
You use the Asset List (Tr) application to identify the assets affected by a campaign. When the asset list is approved according to your company’s business rules, you can apply the asset list to the campaign via the Select Asset List button on the Work Package tab of the Campaigns (Tr) application. You can query MAXIMO to look for assets by equipment number or location. The selection of assets is dynamic, and lets MAXIMO account for fluctuations in inventory prior to campaign approval.
An asset list is a list of related work assets. The asset list contains assets such as equipment, locations, or a combination of both. The list of work assets can be related by location, such as all pumps and motors in a room, or by type of equipment, such as all fire extinguishers located throughout the site. Asset lists simplify building hierarchies of work orders for inspections. You can use an asset list in the following ways:

Warranty Claims (Tr) Application
Overview
You use the Warranty Claims (Tr) application to generate warranty claims based on warrantable transactions, such as labor use and material use, and to enter ad hoc warranty claims (claims not based on transaction records). You can also view existing warranty claims and claim line items.
You can create credit invoices and no-charge purchase orders to record any reimbursement from the warrantor. You can use either of these two methods to complete the warranty claim process.
The warranty claim process typically begins when MAXIMO notifies you (or another user) that a possible warranty situation exists for maintenance or repair work being done on equipment.
You can generate warranty claims right from the work order, via the Generate Warranty Claims action. You can also use Generate Warranty Claims from the Warranty Claims (Tr) application. When you generate warranty claims, you select the warrantable transactions (labor and material use, for example) for which you want reimbursement or, in the case of covered items, replacement.
It is also possible to create ad hoc claims, claims against a warranty for recovery of cost or items in which no specific claim line items are specified.
After a claim is generated or created, you or a user with proper authority can approve the claim and route it to the vendor.
To process the reimbursements, you can create a no-charge PO (for items received) or a credit invoice (for funds or credit received). Receipt of all claimed items or funds closes the warranty claim.

Overview
You use the Qualifications (Tr) application to create qualifications, view current and historical information about people who have or had a specific qualification, and renew and change the status of their qualifications. Using their labor codes, you can associate people with a qualification, and you can remove them from a qualification.
A qualification (a license or certificate, for example) typically signifies proficiency in a particular skill or skills. A governing board can award a qualification, or one might earn it through practical experience. Some qualifications have expiration dates, and those who hold the qualifications must renew them periodically.

Qualification Tab
You use the Qualification tab to create qualification records, change the status of a person's qualification, and renew qualifications. You also can view all employees and contractors that have a specific qualification on this tab. You can view both active qualifications and historical (not currently active) qualifications.
Current Labor Qualifications
The Current Qualifications table lists people, by their labor codes, who are currently active, valid holders of the selected qualification.
In this table, you can change the status of a qualification and renew a qualification. You also can add people to the selected qualification. Before you can add people to a qualification, you must enter their labor codes in the Labor (Tr) application.
Historical Labor Qualifications
The Historical Labor Qualifications table lists people, by their labor codes, whose qualification is inactive or expired. The Historical Labor Qualifications table is read-only.
In this table, you can change the status of a qualification and renew a qualification.

Overview
You use the Vehicle Requests (Tr) application to enter a request for a vehicle to be dispatched to you or another user, and to view the details of existing dispatch requests.
You specify the start and end dates for the vehicle use, you can name a dispatch location, and you can request to have a driver for the vehicle.
After submitting a request, you can check back to see if has been approved. (Vehicle requests are approved via the Vehicle Scheduling (Tr) application.)
Once the request is approved, you can see the assigned vehicle and, if a driver was requested, the assigned driver.

The Dispatch List displays vehicle requests that were created in the Vehicle Requests (Tr) application. You can view the status of the dispatch request, the vehicle and driver, if any, that have been assigned, and the date the dispatch is scheduled to begin.

Clipboard Tab
The Clipboard tab displays a read-only Work List and a Work Order section with three tabs: Labor, Material, and Tools. You use the Clipboard tab to start, interrupt, and finish assignments, and to record labor, material, and tool usage.
The Work List displays requirements that MAXIMO automatically creates from a work order's work plan. You also can enter requirements on the Assignments tab of the Work Order Tracking (Tr) application.
The Work Order section displays information about the currently selected work order, and lets you record usage information against that work order on the Labor, Materials, and Tools tabs.

You use the Preventive Maintenance (Tr) application to create, modify, and view preventive maintenance plans for work assets. Preventive Maintenance (Tr) supports the use of campaigns, created in the Campaigns (Tr) application.
You can create a master PM specifically for an equipment template. When the equipment template is used to generate new equipment records, or is applied to existing equipment, the template uses the master PM to create associated PMs for the equipment.
