Overview
This document puts together the management reports ATO Explorer offers, not only accessed from the main menu, but also from other places like aircraft, pilot or planning Pro windows.
All reports result in a file formatted as Microsoft Word document or Microsoft Excel worksheet, which can be easily saved or sent via email.
Active reports window
On clicking the link in the top right of the management reports window corner, a new window pops up where the user can select which reports should appear in the list of management reports, thus ignoring the ones we know we will never need.
The list of active reports is saved per user.

Flight reports
All flights This report is obtained when in the flights tab, and also from the aircraft window reports menu. It allows selecting the dates we want to show in
the report.
Flights appear sorted by date and time:
This report shows all aircraft flights in between two dates.
If necessary, we can use the ‘Marked’ check-box
to include only marked flights, or the non-marked ones, or all of them.

Detailed flight report This report is accessible from the
management reports main menu option.
Check the ‘Show actives’ check box for the
aircraft selection list to show both active and inactive aircrafts.
This report results in as many pages as flights
performed by either a pilot or an aircraft in between the two selected dates.
Each page contains the information detailed in the example below, with some space for
pilot and instructor signatures.

Flights by flight type This report is accessible from the
management reports main menu option.
It shows all flights performed of the
selected type in between two dates:
Overlapping flights This report is accessible from the management reports main menu option.
In order to favour the quality of the information, this report highlights flights with
overlapping start or end times performed by the same aircraft, which ought to be amended.

Inconsistent flights This report is accessible from the management reports main menu option.
This report shows flights sorted by aircraft and date whose destination airport does
not coincide with the origin airport of the next flight.
Cancelled flights This report is accessible from the management reports main menu option.
This report shows the cancelled flights in between two dates.
Cancellations can be sorted by cancellation reason or pilot.

Flight types per aircraft This report is accessed from the management reports main menu.
This report summarizes number of flights, time flown and flight amounts per flight type and aircraft over a month period.

Pupil flights per aircraft type This report is accessed from the management reports main menu.
Active student pilots appear sorted by their alias. For each pupil, we can see the amount of flown hours per aircraft type.
Flight forecast This report groups all flights still to be performed from the current date on.

Pilot reports
Active pilot list This report is accessible from the management reports main menu option and also from the pilot window main menu.
It summarizes the current active pilot status for most recent flight, balance, medical check-up and licences.
Balance calculation
To make sure that each pilot’s balance is correct after editing or entering a new flight, this
window takes care of re-calculating the balance for each pilot.
This step can be cancelled to obtain the report
without performing the calculation process.
Pilots are sorted by their family name.

Pilot list This report is accessible from the management reports main menu option and

This report helps on looking-up a pilot out of his/her name or vice-versa:

Pilots by group This report is accessible from the management reports main menu option and also
from the pilot window main menu.
This report shows active pilots classified according to the assigned group or groups in
the identification tab of the pilot window.

Pilot expired documentation This report is accessible from the management reports main menu option and also
from the pilot window main menu.
This report includes the list of pilots whose licences or ratings are about to expire.
Pilot documentation This report is accessible from the management reports main menu option and also from the pilot window main menu.
In this report, only active pilots with all their licenses or ratings appear, regardless of their expiration status.

Allowed pilots This report provides a list of pilots authorized to fly today.
In the criterion the documentation, the date of the last flight and the balance can intervene.
If we select the documentation as a discrimination criterion, it will be verified that the pilot has the medical certificate, licenses,
ratings and language proficiency certificate up to date.
If we select the date of the last flight as a discrimination criterion, it will be verified that the pilot made at least one flight in the last X
days. X is defined in the warning tab of the preferences window in the field ‘Inactivity
Red’.
If we select the balance as a discrimination criterion, it is verified that the pilot's balance
is greater than the amount established in the warnings tab of the preferences window.
Also in the preferences window, in the customization tab, the content of the user fields of the pilot window are defined. If we
select this field here, it does not intervene when selecting the pilots that will appear in
the report, but this field will appear in the report.
The report can be sorted by any of the fields that appear within the ‘Order’ group.

Course pupil reports
Pupils by course This report is accessible to Pro and Premium rate users only.
It shows all active pilots of all active courses, one course per page.
It can be obtained from the pilot window menu and also from the main menu, in
management reports.
In the list show the pilots according to their
settings in the pilot window for each course.
Pilots in this list are rolled-in pilots
(‘Active’), having effectively started the course (‘In progress’) and with the course not yet completed (‘Completed’)
Pupils by course and OP base (Excel) This report is accessible to Pro and Premium rate users only.
It can be obtained from the pilot window menu and also from the main menu, in management reports.
This report shows all active pupils of all active courses.
It is a list of rolled-in pilots (‘Active’), having effectively started the course (‘In
progress’) and with the course not yet completed (‘Completed’)

OACI 16B annex reports These reports are available to Premium rate users only. Pro rate users can also access these reports with limitations applying.
Pilot activity (OACI Annex 16B) These reports allow checking pilot rest and duty times. A detailed description can be
found in the help file for this window.
Once the possible issues show on screen, we can get a report to justify any one of
them.
For instance, in the previous example, there is an issue on 21/01/16 because duty
time for that day exceeded the 08:00 threshold. The report would be like that:

Summary of aerial activity This report is obtained from the pilot activity window, which is an option within the
management reports in the main menu.

within the management reports in the main menu.
The report shows the same fields that appear on screen for the selected dates and the
current pilot.

School reports
Course tracking report We access this report from the management reports window, which is an option of the main menu.
This report summarizes the current school activity in one document.
It is composed by several sections, each section corresponding to an active course.
Within each section, we’ll find the list of
active pupils rolled-in (active), still ‘in progress’, and not yet completed, according to the settings in the pilot
record’s school tab.

Pupil tracking We access this report by clicking an option in the pilot window’s reports menu.
This report shows the pupil activity on courses the pupil rolled-in (active),
according to the settings in the pilot record’s school tab.
The report which results is something similar to:
Aircraft courses
To the top, all courses specialised on aircraft (the ones which, in the syllabus window
are marked as ‘Aircraft’ courses are listed.
Each one of them shows the final exam date (score equal or above 75) and the release date (first solo flight of this pilot) in that aircraft.
Theory
Below aircraft courses we’ll find the theory courses.
For each course, the text ‘Completed’ shows in red colour when that course has already been completed, according to the check-box in the pilot record’s school tab.
To the right shows the date the pilot rolled-in the theory platform.
The next row shows all theory exercises marked as ‘Exam’
Below that, the score achieved for each one of these exams, whenever that score is
equal or higher than 75.

To finish, the report shows flown hours in four categories: dual flight, Cross-country dual flight, solo flight (PIC, SPIC, PICUS), cross-country solo flight (PIC, SPIC,
PICUS).
Conditions
In order to obtain this report, some conditions must be met:
Aircraft courses
In the syllabus, we have created one course per each type of aircraft. These courses are marked as ‘Aircraft’ courses.
Aircraft courses have as many theory exercises as necessary, but one and only one of them is marked as ‘exam’.
The date of the first time the pupil gets a score greater than 75 for the aircraft theory exam exercise shows in the ‘Exam’ column for that aircraft.
Aircraft courses have at least one flight exercise.
When the pupil performs the first solo flight for that aircraft, we’ll report ATO Explorer by creating a flight event based on the flight exercise of the aircraft
course. When entering the flight details of the event described above, this flight is
marked as ‘release’. This date shows in the ‘Release’ column of this report for
this aircraft type.
Theory
In the syllabus, each one of the subjects has one and only one exercise marked as ‘exam’ for that subject. These exercises appear in the ‘subject’ row of each
theory course. When the pupil has gone through an exam exercise with a score of 75 or
higher, the score shows in the ‘final score’ row.

Pupil flight log We access this report by clicking an option in the pilot window’s reports menu, while
in the school tab.
It shows all performed flights related to the selected course.
Attendance theory It builds a Word document in which the classes attended by the student appear,
highlighting the difference between the number of hours established in the syllabus
and the number of hours attended by the student.

Planning reports
Planning report This report is accessed from the planning Pro window menu.
The configuration window allows deciding which
events to include in the report
In the configuration window, select one of the
radio buttons to decide on criteria, and then select which item to include in the report. In the figure, the report will include events in any status
(proposed, confirmed, performed) on aircraft ECGTQ in between November 2 and 11, 2018.
The output format is the one in the next figure.

Control report We access this report from the menu in the planning Pro window.
It highlights the differences in between the planning and the times the flights were actually performed. The result is a Microsoft Word file.
Control report (Excel) We access this report from the menu in the planning Pro window.

Flight activity control We access this report from the management reports window, which is an option of the main menu.
It shows the differences in between scheduled times and the times the flight was actually performed.
The user decides on which dates to show in the
report.
Instructor planned flights This report is accessed from the management reports
section in the main menu.
It shows the number of flights performed by each instructor over one year.
This report includes all planned flights, performed or not. Cancelled flights are ignored.

Professor theory classes This report is accessed from the
management reports section in the main menu.
It shows the number of theory classes performed by each professor over one year.
Instructor control This report is accessible to Premium rate users only.
It builds a report in Microsoft Excel format which summarizes the instructor activity in between two dates.
In the first place, it asks for the report start and end dates.

Staff planning
Staff planning This option is accessible from the pilot window main menu.
This feature allows a better planning of instructor and staff members: It integrates with the planning window, so that only available staff members appear in selection
lists in a particular day.

Services sheet This option is accessed from the menu of the Pro programming window, and generates a Word document with the flight assignments of the staff member
instructors, in order to see at a glance all the activity of the week. It feeds on the existing information in the "Staff and instructors services planning" sheet and the availability of the instructors.
This report can be obtained in two versions: 2-day and 7-day
This report is also accessible from the WebApp depending on the user role.
Note that, in order for the schedule of each staff member to appear on this sheet and in the programming window, it must first be notified from the same programming window or from the pilots window, where each one will have his / her card.

Print log book This report is obtained when in the aircraft window flights tab, and shows the same flights we have on screen in Word format

reports menu. It allows selecting the dates we want to show in the report. Flights appear sorted by date and time:

Maintenance forecast This report shows the flight potential forecast for all flights and events after the last
reported inspection.
Next we will see the airport of departure and, in case the line corresponds to a
confirmed but not yet performed event, the taxi minutes of departure from that
airport.
The next column shows the expected flight minutes.
It is followed by the column with the scheduled taxi time for the destination airport.
There are two columns with the total time of the aircraft: In the first we will see the
time calculated according to the flights already reported. The second column also
considers confirmed events but whose flight details are still unknown. For these
events, the flight time that is considered is the time of the events minus the taxi
times of the airports of origin and destination.
The following column shows the accumulated flight time since the last known
inspection.
Finally, the alias of the pilot in command and instructor, and the comments that could
have been associated to the event and the flight appear.
The ‘Print’ button at the bottom produces a Microsoft Excel document with the same
information we see on the screen.

This report summarizes the pupil activity.
In this report we shall find all courses the pupil has rolled-in regardless whether it is
in progress or completed.
To obtain this report, some conditions must be met:
Aircraft courses
In the syllabus, we have created one
course per each type of aircraft. These courses are marked as ‘Aircraft’ courses.
Aircraft courses have as many theory
exercises as necessary, but one and only one of them is marked as ‘exam’.
The date of the first time the pupil gets a score greater than 75 for the aircraft theory exam exercise shows in the ‘Exam’
column for that aircraft. Aircraft courses have at least one
flight exercise. When the pupil performs the first
solo flight for that aircraft, we’ll report ATO
Explorer by creating a flight event based on the flight exercise of the aircraft course.
When entering the flight details of the event described above, this flight is marked as ‘release’. This date shows in the
‘Release’ column of this report for this aircraft type.
Theory
In the syllabus, each one of the subjects has one and only one exercise marked as ‘exam’ for that subject. These exercises appear in the ‘subject’ row of each
theory course. When the pupil has gone through an exam exercise with a score of 75 or
higher, the score shows in the ‘final score’ row.

Events This report is available only while in the school or activity tabs of the pilot window. It
shows a summary of theory classes and practical exercises attended by the pupil regardless of courses, making use of the conditions set in the bottom panel.

Balance reports
Balance This report is available only while in the balance tab of the pilot window.
It shows the complete account for the selected pilot in Microsoft Word format.

Pilot income, expenses and balance in between
dates This report is accessed from the pilot window when in the balance tab, and also from the report explorer window.
It calculates the income, expenses and balance for all active pilots in between the
selected dates.

Pupil account balances This report shows the balance of all active pupils.
Negative balances show in red, and balances below the threshold defined in the preferences window show in pale red.
Pupil account balances below threshold This report shows only active pupils whose balance is below the threshold defined in the preferences window.

Export to Excel workbook This report is available only while in the balance tab of the pilot window.
This report shows the complete pilot account in Microsoft Excel format.
It adds some fields which help on checking which ticket was charged each flight to,
and another column to identify marked flights.

Other reports
Generic reports These reports are accessible from the management reports window, which is an option of the main menu.
They calculate the number of performed flights or flight hours according to a variety of criteria. They
all allow the user to decide on the final month to show in the report, and the sort order, and then we can print by clicking on the ‘Print’ button.

School data This report is accessible from the management reports window, which is an option of
the main menu.
It provides a data list about the school, as in the example below:
Email log This report is accessible from the management reports window, which is an option of
the main menu.
ATO Explorer maintains a sent email log, which holds data about sent emails over the last two weeks. This log includes emails sent from the post office and also those sent
as planning notifications.
In the report, emails are sorted by date, and within each date, they are sorted by
pilot’s family name.
When an email was not sent for any reason, an error message will appear after the
subject.

Availabilities This report has no printed version. It shows only on screen.
To the left side, it uses the red colour to show a pilot is never available, green to show the pilot is always available or grey when the pilot is available only when explicitly
stated.
In the upper list box, the user can select to show all pilots, instructors, or pilots involved in a particular course.
It shows the availability status of each pilot across the selected week.

Hourly distribution This report gets accessed from the Planning Pro window, and shows the hourly
distribution of the base airport, as entered in the miscellaneous window.

Users and roles This report gets accessed from the users and roles window menu and also from the report explorer miscellaneous section.
When accessed from the users and roles window, the report will contain only the users filtered according to the condition set in the view menu option.

AESA Reports (microlight) These reports are required by the Spanish local authority (AESA), as they were defined in the communication on 28/05/2013. There reports are always written using
Castilian language.

Activity report on instructors
These reports are built according to the Spanish regulations for microlight schools and
clubs, to report to the aeronautical administration about flights performed.
Please remember that the pilot microlight license must be present in the pilot record for the flight to appear in these reports.
Also note that only flights classified as ‘School’ will show in the report on school activity.

Customised forms ATO Explorer allows you printing customised reports based on a template, which is a Microsoft Word .docx document, and a pilot record.
In the pilot window help document you’ll find the fields acknowledged as variables
which, when embedded in a document, will be substituted by the actual field content in the pilot record.
Templates are loaded to ATO Explorer as Microsoft Word documents in the miscellaneous window forms tab.
In the pilot window, available templates show in ‘forms’ the menu option.
