The Minutes of the 1st. Regular Meeting of
Be Prepared Lodge No. 9845 held at the Berkshire Masonic Centre, Sindlesham,
on
Thursday 3rd. September 2009
Those present were R.W. Bro. J. Michael Hooton Provincial Grand Master

and the rest of the Consecrating Officers, founders, visitors and brethren whose names are recorded on
the attached attendance sheet.
At the request of the Provincial Grand Master:-
W.Bro. John Palmer occupied the Senior Wardens’ chair
W.Bro. Henry Bishop occupied the Junior Warden’s chair
W.Bro. Brian Chase acted as the Secretary
W.Bro. Roy Stone acted as Director of Ceremonies.
The Provincial Grand Master greeted all founders, visitors and brethren in the lodge, and explained the
purpose of this Consecration.
The Lodge was opened in the First Degree with Harmony and Solemn Prayer at 3.00pm
The lodge was opened in the Second Degree.
The Lodge was opened in the Third Degree.
The Provincial Grand Master then proceeded with the consecration of the Lodge, (see Consecration
summons)
The Provincial Grand Master then requested V.W.Bro. Martin Peters; Deputy Provincial Grand Master
to occupy the chair of King Solomon’s, who accepted and resumed the Lodge in the Second Degree.
W.Bro. Paul Ackland-Snow; Provincial Deputy Grand Director of Ceremonies presented the Master-
Elect, W.Bro. Kenneth Cook, who then took the obligation before installation.
The Lodge was resumed in the Third Degree.
All below the rank of an Installed Master were requested to retire and a Board of Installed Masters was
duly constituted. W.Bro. Kenneth Cook was installed into the Chair of King Solomon by V.W.Bro
Martin Peters and congratulated by the Provincial Grand Master for Berkshire. The Board of Installed
Masters was declared closed and Master Masons re-admitted.
The Worshipful Master resumed the Lodge in the First Degree.

The Warrant of the Lodge was entrusted to the care of the Worshipful Master and he was presented
with the Book of Constitutions.
The Worshipful Master invested the W.Bro. Martin Strong as the Immediate Past Master.

The Address to the Worshipful Master was delivered by V.W.Bro. Martin Peters, PGSwdB;
DeputyPGM.
The Address to the Wardens was delivered by W.Bro. John Nixon, PSGD; Asst.PGM.
The Address to the Brethren was delivered by W.Bro. Colin Hayes, PSGD; Asst.PGM.
The adoption of the By-Laws of the Lodge were proposed by W.Bro. T. Parker, Seconded by W.Bro.
R. Jones, and unanimously approved by the Founders of the Lodge.
W.Bro. T. Parker proposed that the Consecrating Officers be elected Honoury Members of the Lodge
in recognition for their services at this consecration. The proposition was seconded by W.Bro. D.
Matthews and unanimously approved by the Founders of the Lodge. On behalf of the consecrating team.
The Provincial Grand Master, R.W.Bro. J. Hooton accepted and thanked the Founders for their kind
gesture.
W.Bro. K. Cook proposed that the serving Master of the Charles Nicholl Lodge No. 7318 be elected as
a permanent Honoured Guest of the Lodge in recognition as the sponsoring Lodge. The proposal was
seconded by W.Bro. M. Strong and unanimously accepted by the Founders of the Lodge. W.Bro. C.
Goldstone, current serving Master of 7318 rose and thanked the Founders for this kind gesture.
W.Bro. T. Parker gave notices of motion to ballot for those Brethren shown in the consecration
summons as Joining Members at the next regular meeting.

• There being no further business, the Lodge was closed in peace and harmony at 6.35 pm and
the Worshipful Master, Officers, Consecrating Team, Visitors and Brethren retired to dine and
honour the usual Masonic Toasts.
Confirmed in open lodge on Thursday 10th. December 2009.
The raffle realised a profit of £1112.16 (a cheque amounting to £1100 for the RMBI 2011 Festival was
presented to R.W.Bro. J.M. Hooton at the Festive Board, who thanked the Brethren for their generosity).

Minutes
The next item was to submit for confirmation the minutes of the first regular meeting held on September
3rd. 2009 at the Sindlesham Masonic Centre, these minute having previously been circulated to the
Founders and Honorary Members, the Secretary reported that he had received no adverse comments.
By a show of hands the brethren indicated their approval, there were no show of hands against and the
Worshipful Master signed the minutes as being a true and correct record.

The ballot took place en-bloc by the Worshipful Master, Senior & Junior Wardens and proved
in favour. The Joining members were re-admitted and presented with a copy of the Lodge By-
laws by the Worshipful Master who welcomed them into the Be Prepared Lodge.

Presentation
The Director of Ceremonies requested that all Founders line up in the North, to attend W.Bro.
Roy Stone, Assistant Provincial Grand Master who made the presentation of the Founders jewel
to those recipients present at the meeting. Concluded with him wishing the Founders and
Joining Members the very best for the future success of the lodge.
Investiture
As it was not possible to invest Bros. David Whyatt and Bob Birt as Stewards of the Lodge
during the consecration, the Worshipful Master invested Bro. Whyatt and agreed to invest Bro.
Birt on another occasion due to his absence.
Initiation
The next item was to ballot for and, if elected. Initiate Mr. Jeremy Morley, who is 54 years of
age, an Information Technology Consultant for Southtec Ltd. residing at 15, The Hawthorns,
Charvil, Reading, Berkshire. RG10 9TS. Proposed by W.Bro. Tony Parker and Seconded by
W.Bro. Ken Cook in open lodge on the 3rd. September 2009.
The ballot, having take place proved in favour of the Candidate and the Secretary retired from
the Lodge in order that Mr. Morley could sign the declaration Book.
The Secretary was re-admitted and conformed that Mr. Morley had signed the declaration book
and paid his Initiation fees, which were passed to the Treasurer.
Mr. Morley, having been prepared was admitted to the lodge and in the course of the ceremony
was initiated as an Entered Apprentice Freemason by the Worshipful Master assisted by W.Bro.
David Green; The Working Tools of an Entered Apprentice were presented by W.Bro. John
Clark. Brother Morley retired from the lodge in order that he restores himself to his personal
comforts and on his return, the Mode of Preparation was presented by W.Bro. Paul Bowman
and the Charge after Initiation, by W.Bro. Roger Jones.
Almoners Report
Bro. John Roberts rose to give his Almoners report, mentioning that the only casualty known
to him at this time was W.Bro. David Owen, who, since the consecration had suffered a mild
stroke. He was pleased to see that through the efforts of other Brethren, he had been able to
make the meeting and despite his suffering was his normal good and cheerful self. However, it
was noted that Bro. David now suffers from tunnel vision as a result of his stroke. Bro. David
thanked the Brethren for their kind thoughts and offer of help.
Charity Stewards Report
W.Bro. David Owen announced that he had had a meeting with the Provincial Grand Charity
Steward who thanked the lodge for the first donation of £1000 towards the Festival 2011 appeal
(The secretary corrected this amount and that the actual figure was £1100 and that the
BerksPGL web site was showing the incorrect figure). We have now been advised that targets
have been set for 9845 to the end of the Festival as follows; Bronze £2375; Silver £3563 and
Gold 4751.
The Charity Steward made mention that if all the members made out a planned giving direct
debit of at least £3 per month, the Silver award would be within our grasps without even trying

KLA Representatives Report
W.Bro. Martin Payne rose and announced that his report would be available in the written
format at the Festive Board. In brief, he announced that the KLA now had 40 Craft Lodges
comprising of members from the Scout Association and Boys Brigade and as of last month, the
first Mark Masons Lodge number 1907.
KLA Spring Festival will be on Saturday 8th. May 2010 in the Province of Bedfordshire.
The KLA had introduced a Scout neckerchief of Black and Gold, the first one he presented to
the Worshipful Master on behalf of the KLA for which the Worshipful Master thanked him.
Lodge Mentors Report
W.Bro. Paul Bowman on this occasion passed over his report to the Provincial Lodge Mentor,
W.Bro. David Lewendon who announced that the Mentoring system was now live on the
Provincial Web site, link to “mentoring”

Assistant Provincial Grand Masters, John Nixon and Roy Stone, and the Worshipful
Bros. John Palmer, Julian Pacey and Henry Bishop, all of whom sent their
congratulations to the Founders for “getting the show on the road” and the wonderful
memories each of them share with the success of the Consecration in September.
• The Secretary had received apologies from the:-
R.W. Provincial Grand Master J. Michael Hooton; the Deputy Provincial Grand
Master V.W. Martin Peters, the Assistant Provincial Grand Master W.Bro. John
Nixon, along with W.Bro Brian Chase the Provincial Grand Secretary, all of whom
wished the Worshipful Master and Brethren a successful evening.
Also. W.Bro. Colin Hayes, PADGM; Worshipful Masters Ian Spence (#6307) Sandy
Raffan (#9381) and Kevin Chapman (#6792). All of whom wished the Master a
successful first meeting and the seasons compliments to the Master and Brethren of
the lodge.

• W.Bro. T. Parker gave notices of motion to ballot for Bros. Chris Scott and Michael
Hogg as Joining Members at the next regular meeting.

• The Secretary advised the lodge of the new lodge fees applicable to the United Grand
Lodge of England for 2010 and passed the documents over to the Treasure.
• The Secretary had received apologies from W.Bros. John Kibblewhite and Malcolm
Graves and Bro. Bob Birt, all of whom had prior engagements and wished the lodge
and enjoyable evening.
• The Secretary had received written notice from W.Bro. Richard Jobbins who,
reluctantly has tendered his resignation as the Senior Deacon, effective from the 30th.
December due to relocation to Devon in January, feeling the journey to Wokingham
on a regular basis will be too exhausting and would like to be put on the register as a
County member.

Masonic Toasts.

W.Bro. Christopher William Scott, born 24th. December 1939, a retired Police Office
for the Hampshire Constabulary, residing at 47, Kinks Road, Cowplain,
Waterlooville, Hampshire. Proposed by W.Bro. David Matthews and Seconded by
W.Bro. Tony Parker.

W.Bro. Michael Anthony Hogg, 10th. March 1946, a retired Business Development
Manager for the N.H.S. Trust in Slough, residing at 36, Twynham Road, Maidenhead
Berkshire. Proposed by W.Bro. Clive Hammond and Seconded by Bro. Bob Parker.
The ballot proved in favour. The Joining Members were re-admitted and the presented with a
copy of the Lodge By-laws by the Worshipful Master who welcomed them into the Be Prepared
Lodge.

December 1944, a retired Corporate Accountant for the Eaton Corporation, residing at 21,
Goldsmith Way, Wellington Chase, Crowthorne Berkshire. Proposed by W.Bro. David
Matthews and Seconded by W.Bro. Tony Parker.
The ballot, proved in favour of the Candidate and the Secretary retired from the Lodge in order
to attend to the Candidate.
The Secretary was re-admitted and confirmed that Mr. Price had signed the declaration book
and paid his Initiation fees, which were passed to the Treasurer.
Mr. Price, having been prepared was admitted to the lodge and in the course of the ceremony
was initiated as an Entered Apprentice Freemason by the Worshipful Master assisted by W.Bro.

Presentation of the Founders Accounts for 2008/2009
W.Bro. Roger Jones rose to present the Statements of the Lodge Founders Accounts for the
period 24th. July 2008 to 31st. August 2009, explaining that the accounts related to a period
before the Lodge came into being, there was no requirement for the Lodge to formally adopt

them, but they were presented for the interest of the Members and to establish the procedure,

W.Bro. Roger Jones for the professional manner he had presented the accounts and also W.Bro.

questions about the accounts, W.Bro. John Bannister proposed that the accounts be accepted.
The proposal was seconded by the Worshipful Master and., on being put to the vote was

Almoners Report
Bro. John Roberts rose to give his Almoners report, mentioning that W.Bro. David Owen, is
still unwell and we hope to see him back in the Lodge very soon. Bro. Martin Honors’ Father
in Law had, the week previously sadly passed away and that the W.Bro. John Bannister’s Father
and his wife had undergone recent surgery.
Charity Stewards Report
In the absence of the Charity Steward, W.Bro. David Owen, the Secretary announced that any
relevant topics would be announced in the Risings.

promote their Lodge and raise funds, a trestle table and 2 chairs would be made
available in the marquee.
• Correspondence relating to Provincial fees for 2010 were announced and passed over
to the Lodge Treasurer.

• The Secretary announced that he had received a request from Thieve requesting
financial support and suggested that the Brethren log on to their web site for more
details regarding this very worthwhile charity.
• The Secretary proposed that a gift of £195 be donated from the Lodge Charity Chest to
the Chiltern Air Ambulance, this was seconded by W.Bro. Roger Jones. The
proposition was voted upon and received unanimous approval.
• The Secretary announced 2 dates for the Brethren’s diaries:-
Ladies Festival, Saturday 19th. June at the Wokingham Masonic Centre
Fund Raising BBQ, Sunday 18th July hosted by the Secretary.
• The Secretary informed the Brethren, that the Charles Nicholl Lodge No. 7318 have
proposed to make the Serving Master of the Be Prepared Lodge an honorary member
of their Lodge.
• Honours – W.Bro. Alan Beavis has been honoured in the Queens New Years honours
list with an O.B.E. for his services to Scouting. W.Bro. David Owen is to receive his
first appointment as PPJGD in the Province of Essex.

Minutes
The next item was to submit for confirmation the minutes of the 3rd. regular meeting held on
Monday February 4th. 2010 at the Wokingham Masonic Centre, these minute having previously
been circulated to the Founders and Honorary Members, the Secretary reported that he had
received no adverse comments.
By a show of hands the Brethren indicated their approval, there being non against, the
Worshipful Master signed the minutes as a true and correct record.

Passing of Bro. Jeremy Morley
The Worshipful Master asked all Entered Apprentices to retire from the Lodge for a short while
with the exception of the Candidate for Passing. He then put the necessary questions for Passing
to Bro. Morley, initiated on Thursday 10th. December 2009 who gave all the appropriate
answers and was then entrusted with the pg and pw leading to the Second Degree.

Bro Morley retired from the Lodge and the Worshipful Master opened the Lodge in the Second
Degree. Bro. Morley was re-admitted and passed to the Degree of a Fellowcraft.
The Worshipful Master was assisted by W.Bro. John Bannister who entrusted Bro. Morley and
W.Bro. Tony Parker who presented the 2nd. Degree Working Tools.
Bro. Morley retired from the Lodge in order that he could restore himself to his personal
comforts and on being re-admitted W.Bro. Neil Harvey gave an explanation of the Second
Degree Tracing Board.
The Lodge was closed in the Second Degree and Entered Apprentices re-admitted.
Lord Harris Court
W.Bro. Tony Parker proposed that the Lodge donate £75 to Lord Harris Court towards the cost
of their Strawberry Fayre. This proposition was seconded by W.Bro. Dave Owen and by a show
hands the proposition was unanimously approved by the members of the Lodge.
Charity Stewards Report
W.Bro. Dave Owen, Charity Steward presented the Lodge with an extended Charity Stewards
report emphasing the need to continue to give generously. He passed over correspondence from
the Air Ambulance thanking us for our donation of £195 towards their funds and a financial
report from the Grand Charity Relief Scheme showing that our contributions since the
consecration last September is £2410 including interest.
Bro. Dave re-iterated the need to support L.H.C Strawberry Fayre and suggested that we should
take up the offer of having a table top stall on the day. W.Bro. Tony Parker confirmed that he
would again be selling wood crafted items at the Fayre.

Lodge Mentors Report

The next item on the agenda was to ballot for: a) W.Bro. Aaron Lawson as the Worshipful

112(a) of the Book of Constitutions those nominated were duly elected. Both Bros. Lawson and
Jones thanked the Brethren for the confidence expressed in their election.

Elections
The next item on the agenda was to elect for the ensuing year a) two members to serve on the
Lodge Reference Committee. As will be common practice within this Lodge the two incoming
Deacons were duly elected. b) Two examiners for the Lodge accounts: W.Bro. Roger Jones
proposed that W.Bros. John Bannister and Clive Hammond be duly elected, the proposition
was seconded by W.Bro. Martin Payne and by a show of hands both examiners were duly
elected. c) A representative for the Wokingham Masonic Centre Ltd. W.Bro. Tony Parker
proposed that W.Bro. Roger Jones be elected, this proposition was seconded by W.Bro. Neil
Harvey and by a show of hands Bro. Jones was duly elected.
Lodge Contribution to the Berkshire RMBI 2011 Festival
W.Bro. David Green proposed and seconded by W.Bro. Roger Jones that the Lodge make a
donation of £1000 to the RMBI Festival Appeal at the September Installation. W.Bro. Tony
Parker proposed that, should the funds extend to it, this amount should be increased to meet our
Bronze Award obligations. W.Bro. Neil Harvey seconded the motion on the clear
understanding that there would be sufficient funds available. On being put to the vote the
proposal, as amended, was overwhelmingly approved by the Brethren, by a show of hands.
Proposition for a Past Master’s Jewel
A proposition was received from W.Bro. Tony Parker and seconded by W.Bro. Neil Harvey
that a Past Master’s Jewel should be presented to W.Bro. Ken Cook at the September meeting,
following his year in office, as a mark of the Lodge’s appreciation of his work as Founding
Master of the Lodge. The proposal on being put to a vote was most enthusiastically approved
by all of the Brethren.
W.Bro. John Bannister suggested that we add a bar to our Founders jewel instead of presenting
a Past Master’s Jewel to Ken. W.Bro. Tony Parker responded with the fact that the Past Master’s
Jewels had already been purchased to cover the next 10 years.
Charity Stewards Report
In the absence of W.Bro. David Owen, Charity Secretary, W.Bro. David Green gave a summary
of the Provincial Charity Committee held on the 14th. June at Sindlesham.
The treasurer reported on the Provincial Benevolent Fund was submitted and approved.

The Provincial Almoner gave his report. Main point being that Almoners are encouraged to
submit petitions for need Masons and their dependants.
The Provincial Charity Steward gave his report. This focused on the RMBI 2011 Festival
Appeal. W.Bro. David Keys provided a spread sheet detailing Lodge contributions to the
festival. Be Prepared has donated £1142.78; with notional interest to March 2011 this increases
to £1225.43. The spread sheet gives no indication of targets for the Be Prepared Lodge.

KLA Representatives Report
W.Bro. Martin Payne reported that the next meeting of the Scout, Mark Masons Lodge will be
held in Poole, Dorset on Saturday 19th. June for those Brethren eligible to attend.

He now has a supply of KLA lapel badges at £6.00. Any surplus from the sale of these will go
Lodge Charity funds.
Lodge Mentors Report
In the absence of a verbal Mentors report, W.Bro. Paul Bowman has since presented a written
report as follows.
I attended a Provincial mentors Conference at Sindlesham on May 25th. regrettably there were
only 3 other Lodges represented, however, the small number did give us the chance to have an
in-depth meeting which was conducted in an excellent manner by W. Bro. David Lewendon
and lasted just over 3 hours.
With today’s ever changing financial climate the following were noted.
a) It should not be assumed that either a new or existing Brother has unlimited time
and financial resources.
b) Not to assume that everyone can afford the, say £5 for raffles, some might be able
to pay more, less or nothing at all.
c) That a Lodge should not be become divided by the pressure put on the Brethren
who are especially members of other Lodges and or other charitable organisations
to be in the position to support them all.
W. Bro. David Lewendon reported that membership was up within the Province and that he
was producing some new books which will shortly be available from the Provincial Office.
The Lodge Mentor requested that the Secretary respond official to Bro. Lewendon for an
excellent meeting.
The Lodge Mentor also felt the Brothers Jeremy and Richard had settled in well and that thanks
must be extended to their personal mentors and proposers.

W.Bro. David Green also commented on the fact that W.Bro. David Owen, our Charity
Steward had attempted to attend the same meeting, but as the meeting was held on the
first floor of Sindlesham Masonic Centre in the Abbey Room, there are no facilities to
cater for the disabled. He requested that the Secretary lodge a formal letter of complaint
to the Provincial Charity Committee and also to the Managing Director of Sindlesham
Court Ltd.
W.Bro. Neil Harvey stated that he had been informed that an offer to carry David down
the 4 steps to the Abbey Room had been made but declined by David for fear of being
dropped. And as a Director of Sindlesham Court Ltd. he assured members that if they
had been informed of a need for disable access, every effort would have been made to
move the meeting to the ground floor.
• W.Bro. John Clark proposed Mr. Terry Clark be balloted for initiation, the proposition
was seconded by W.Bro. Tony Parker
• W.Bro. Ken Cook gave notice of motion that W.Bro. Bill Ayling be elected as an
