I have notified my OM that the training is complete to insure I have access to list building capabilities in VAN. SCENARIO Our membership meeting is set for May 15 th . We have invited a survivor to share his story and we will continue planning our Wear Orange activities. We are trying to engage as many as possible at our meeting, so believe a phone call will be the best and most personal way to invite people to our meeting. The membership lead has between 3-4 people recruited to make calls. As the data lead, I am responsible for building the phone bank that will be available for the membership calling team. The boundaries of my local group are zips 98020 and 98026. I want to include all new volunteers who have not yet engaged in an event with Moms Demand. I want to include all active volunteers who regularly engage with Moms Demand. I want to include all volunteers who may have engaged in the past but have not in a while. • By selecting the “star” to the right you can elevate the categories that you use the most. This marks them as a favorite.

• Use the arrowed categories to build the search – click on the carrot to open the category if it’s not

already open.

Any combination of the list of categories you see on the ‘Create a New Search’ page will allow you to create your first layer of data. Depending on the goal of your list, you may need to LAYER data in multiple steps. Each step can ADD to your pool of volunteers or REMOVE or NARROW your pool of volunteers.

• Enter the criteria for the first step of your list – For this example we start with the first zip code.

• Select the appropriate TARGETS for the zip code entered. In this case, we are recruiting volunteers by phone and re-engaging all other volunteers.

• Verify that the correct Suppressions are applied. Change the drop down if necessary. • Click ‘Preview the Results.’

• VAN will apply your criteria and search for the volunteers that meet it. This search at this time finds 79

volunteers. But – we’re not done. We need to layer in the second zip code.

• Select ‘Add Contacts’ – this layers the next set of criteria OVER the step you have already run. The right column will show the criteria you applied to each step/layer you create.

• Enter your second zip code, select the same targets to apply, check your suppressions. Then ‘Preview the Results’

• You have 139 contacts. This can be managed easily by your membership team. Now that your full list is compiled, let’s narrow to insure we have only volunteers that have phone numbers.

• Click ‘Narrow Contacts’ – this will narrow your pool using the next criteria you enter.

• Select all phone types EXCEPT for the fax. No need to call a fax number. Click ‘Preview the Results’. • Once you are satisfied with your list of volunteers, click ‘Run Search’.

• You will see your full list. You can scroll through, search for someone specific or choose to save your list. Notice there are 128 volunteers and 126 with home phones. These will all appear in the phone bank you create for your membership call team.

• Click ‘Save List As’

• In most cases you will want to save your list as a search – this allows you to re-run the list using the criteria you set up. When it’s run at a later date, different people may appear in the list. If you save it as a ‘List’, it becomes static and will never change.

• Save your search into a Shared Folder so that others may access and use your work.

To find your list/search in the future:

• From the Main Menu à Lists à View My Folders à Look for your shared folder. • Click on the name of your list (the blue link) to re-run your list.
