What version should you have?
• To track emails to CRM without associating it to a Record:• Select the email• Click on Track
• To track emails to CRM and associate them to a Record:• Select the email• Click on Set Regarding• Choose the Entity of your Record• Search for your Record by name• Check the Record• Click Add

Best Practices for Outlook Client
• Utilize the Outlook Client as a Hybrid with Web
Client
• If sending over 100 emails at one time(through
Marketing, workflows, etc) utilize Server Side Sync
or Email Router to process outgoing email
• Set to Sync with CRM at the shortest amount of
time allowed
• This is set by your System Admin
• Utilize Set Regarding instead of Track if there is an
associated record in CRM
• The following are signs that the Outlook Client needs troubleshooting• Outlook Crashes when opening• Track/Set Regarding Buttons are greyed out• When accessing CRM in the Outlook Client it state “Trying to Connect
to CRM”• Any error messages
• Always make sure the email associated to your user in CRM is the same as your Outlook email address
• Lower right corner of Outlook states “Online with: Microsoft Exchange”• Your CRM link is not showing in the lower Ribbon Bar

“Can I use tasks to automatically generate/send reports?”
• This cannot be accomplished through CRM Tasks or any other Out of the Box
function:
• A custom SSRS set up can be done for On Premise CRM Instances
• For Online CRM Instances it is a heavy customization Project with
signing up for and paying for a Microsoft Azure Server
“What Outlook plugins or other programs could interfere with the Outlook client when the user tries to link emails to CRM?"
• Taskbar installations: Google Taskbar, Ask Taskbar, Yahoo Taskbar
• If you are having issues with Outlook crashing this is a sign that there is

• We highly recommend removing any non business essential Add Ins:
Google Apps, Hotmail, Social Connector, Skype and others
• A great new feature that was introduced in Dynamics CRM 2015 Update 1 is that you can export update 100,000 records!
• If you are on a version earlier than 2015 Update 1, there a few of options:• Utilize Get & Transform feature for Excel 2016 or the
Microsoft Power Query for Excel 2013• Utilize RegEdit (Registry Edit)(On-Premise Only)
“How do I export from an Advanced Find that is over 10,000 records to Excel?"
“How do I sync the user data in CRM to Active Directory?"
You cannot sync user data in CRM back to the Active Directory
• CRM can only do a one-time sync of user information from Active Directory to CRM
• This one time sync is done when a user Account is created or the User name in the
User Record is updated with a new Active Directory user name.
• Any changes going forward in Active Directory will not flow to CRM
• To do this:• Navigate to Personal Options• Click on the Email Tab• Ensure the below box is checked
• This will create the sender of the email or organizer of the meeting as the contact only if you track the email or meeting
“Is there an automated ‘import’ from Outlook to CRM and if there is a
way to only select certain contacts in Outlook to be uploaded into CRM
"What type of automation can be set up to ‘sync’ between Outlook and CRM?"
• Regarding what is synced to outlook from
CRM can be set up by the System
Administrator through System Settings
• To set up the minimum time between Outlook
Syncing with CRM, the System Admin can
utilize the System Settings (Outlook Tab)
• Each individual user can set the frequency
(time between syncs) through Personal
Options(Sync Tab) in CRM or Outlook
"Does a new contact created in CRM get automatically added to their Outlook contacts?"
This is done automatically by default with the Outlook Client as long as the
Outlook user is the owner of the Contact Record
"Can you import contacts from an Excel spreadsheet into CRM?"
This is definitely possible by following the below steps:• Set Column Headers in Excel with the names of the fields in the Contact Entity you wish to populate
• Save the File as a .CSV(Comma Delimited)
• Navigate to the Contact Entity in CRM
• Click on Import Data
• Click Browse and choose your file
• Click Next
• Click Next
• Click on Default (Automatic Mapping)
• Select Contact from the Drop Down
• Click Next
• Match the Column Headers to the CRM Fields that were not auto linked
• Click Next
• Click Next
• Decide whether to allow Duplicates(if Duplicate Detection Enabled)
• Set the Owner of these Contact
• Click Submit
• Can view the progress from the Imports section in CRM
“I want to populate a field on the Opportunity….from a field on the Lead Entity…Can this be done with a Workflow?”
“I want to populate a field on the Opportunity Entity from a field on the Lead Entity. When a
lead is qualified and an Opportunity is created then the information from the Lead Source field
would populate a Lead Source field I add to the Opp Entity. Can this be done with a workflow?
From one entity to the other, or would something like that require programming?“
• This can be accomplished through Data Mapping
• Data Mapping can be set up through the 1:N Relationship Section of
the Entity you are Mapping from (Lead)
• I highly recommend contacting CRM Support if this is your first time
setting up Data Mapping as it can be complicated
