Learner Guide: How to use Proctortrack forLive Proctored Exams

Minimum System Requirements

1. Create a baseline profile: Attempt and pass the Onboarding Exambefore your exam day.

OnboardingExam

● Learners will receive a notification from Proctortrack when they are registered in to the Onboarding Exam, usually within 1-3 business days of their exam booking.

● Learners login to Proctortrack at https://ca-testing.verificient.com using the credentials in the email and change their password after first login.● The Onboarding Exam is a sample examwith10 True/False questions tounderstandthe examprocess, install theDesktopand Phone apps required forvirtual

proctoring,walk-throughthesecuritysteps,and todoa systemcheck tominimize issues on theactualexamday.● The OnboardingExam shouldNOT be attemptedon thescheduled examdate. Each attempt is reviewed for approvaland may take 4- hours.● In case theOnboardingExam is not approved,learners will receive an email and theyMUST attempt theOnboardingExam again until it is approved.● Learners MUST have an approvedOnboardingExam in ordertoattempttheactual exam.The exam status is visible in the learner’saccount.

Scheduled Exam

● Learners will receive an email notification from Proctortrack when their scheduled exam is added to their system, approximately 2-4 business days prior to the scheduled exam date.

● On the day of the scheduled exam, learners must start the examat thescheduled time bygoingto https://ca-testing.verificient.com.● Learners will follow thesame processto beginmonitoring for theactualexam as theydidduringtheOnboarding Exam.● Learners login totheiraccount, click Confirmed and thenGo To Test fortheiractualexamand tolaunch theProctortrackapp.● Pair thephoneappusing theQRcode and complete theroomscan, which will be approvedbya live proctor.● Once theroomscan is approved, learners arerequiredto place the mobile phone camera as requiredbythe instructions in the phone app.● Learners will thenbe redirectedtothelogin page onthe HumberLearner Portal.● The live proctorwill unlocktheexamonce thelearnerhas loggedin.● Once theexamis unlocked,thelearnercan proceedandattempttheexam.● Aftertheexamis completed,learners arerequired toendtheproctoringon thedesktop and phoneappand let theapp complete thedataupload.

Why Attempt the Onboarding Exam

● To create a baseline profile (Face, ID, and room scan).● To verify/check computer hardware compatibility with Proctortrack

and troubleshoot any issues during theOnboarding.

● To get accustomed with the Proctortrack system and understand the

steps in theprocess.● To have the Proctortrack app downloaded for the desktop andphone.

● Login to https://ca-testing.verificient.com● Click on the Go To Test button for the OnboardingExam.

● Read and agree to theguidelines.● Download and run the Proctortrack app.● Complete the Face and IDscans.● Download the phone app, scan the QR code and submit the room

scan.

● Attempt the Onboarding Exam for practice on thedesktop.● Once submitted, click the END button to end the proctoring session.

1. Click on Go To Test button for the Onboarding Exam and read theguidelines and agree toproceed.

2. Download and run the Proctortrack app. Check the box to confirm the agreement with provided policies andguidelines.

3. Follow the on-screen instructions and complete the Face and IDscans.

4. This step is to connect the Phone app to continue with the room scan andmonitoring.

6. Scan the QR code displayed on the Desktop appusing the Phone app.

5. Phone App: Download the Proctortrack app from the Apple App store orGoogle Play store. Launch the app and follow the instructions. 7. Once the Phone app is connected, follow the on-screen instructions for the two

step room-scan.


Onboarding Exam (page 3/3)8. A blue border around the screen indicates that the proctoring is on. Please

click on Launch Test button to begin and complete the OnboardingExam.

11. Click QUIT APP to save the application for use with latertests/assessments, or click UNINSTALL to removeProctortrack from the currentmachine.

9. Once the Onboarding Exam is submitted, click on the END button on the top border of the Proctortrackapp.

10. Check the box to confirm the upload and click on the END button.

Note: You can now End the monitoring on the Phoneapp.


Live Proctored Exam

1. The actual exam will be scheduled 2 – 4 business days prior to yourexam date. An email (as shown below) will be sent once it isconfirmed.

4. Click on Confirmed and then on Go To Test once the button is active atthe scheduled time of theexam.

5. You may contact the Proctortrack Support team at anytime using thechat widget on the bottom right corner of the page after you login toyour account.

Login to your account at https://ca-testing.verificient.com on the day of yourexam.

3. On your phone, turn off incoming phone calls and texting or turn on the Do Not Disturb mode.



Sync the Proctortrack Desktop & Phone app

6. Read through the exam guidelines, agree and click on Go To Next Step toproceed.7. Launch the Proctortrack app when prompted on the download page and complete the security check. If the app fails to launch, go to your Downloads

folder and click on the Proctortrack.exe file.8. This is the Automated Face Scan. Please align your face in the outlined area to begin the scan automatically for verification.

9. Once verification is successful, it will proceed to the next step.

10. Learners will have 3 attempts to complete theverification.On failing the 3rd time, a security code is sent via email to the test-taker to proceed.


Sync the Proctortrack Desktop & Phone app11. This step is to connect the Phone app to continue with the

room scan andmonitoring.

13. Scan the QR code displayed on the Desktop app using the Phone app.

12. Phone App: Download the Proctortrack app from the Apple App store orGoogle play store. Launch the app and follow the instructions. 14. Once the Phone app is connected, follow the on-screen instructions for the two

step room-scan.


Sync the Proctortrack Desktop & Phone app15. Once the room scan is complete, the phone app will provide instructions on how to place the phone on the desk to continue with the proctoring/monitoring and the

exam. Please follow the instructions and ensure that you are visible on the display when the front selfie camera is active. Position your phone as shown in theexample below. Once done, get back to the Desktop app and click on Take me to the Next Page, to proceed to your exam.


16. Proctoring has now begun. A blue border will be placed around thescreen as a reminder that Proctortrack is now in session. A Live Proctorwill be in contact in case of any issues or test based requirements viathe chat window on the bottom-left of thescreen.

17. You will now be redirected to the Learner Portal. Login using your Learner ID (X*******) and Password.

Starting the Exam

NOTE: If you are experiencing login issues, contact Humber technical support at 416-675-5025, option 4. Please notify the proctor before calling technical support.


18. In the Leaner Portal, select the My Enrollment History menu item on the left hand side of the screen. Click the Completed tab, then click on the appropriate Exam item within the list shown.

19. Learners writing an exam should select Click here to access the exam link. Please proceed to step 23.


20. Learners writing the Simulation Session Assessment should select Click here to access the simulation session link.

21. Learners writing the Simulation Sessions Assessments, click onthe Start Icon


23. Click the Current tab,then click onthe appropriateexam item withinthe list shown. Further instructions will be provided on the screen.Read and follow the onscreeninstructions.

Starting the Exam

24. The Start Exam button at the bottom of the screen will be grayed out (inactive)until the proctor enables the exam.

25. Review the on-screen instructions carefully. We recommend that you take afew minutes to view the short video that describes how to navigate the examsystem by clicking the Take a Tour button at the bottom of thescreen.

26. When you are ready to begin, please message the proctor.

27. Pleasewait while the proctor confirms that your exam is unlocked.

28. Once the Start Exam button turns GREEN, you may click it to begin theexam.


22. Learners writing the Simulation Session Assessment select the exam icon.

Starting the Exam

29. Please attempt the exam as you normally would in a testing centreenvironment

30. After you have attempted all of the exam questions, you will bepresented with a summary page on screen for review. After you have reviewed the Summary, you can submit your exam by clicking the SUBMIT button on the screen.

NOTE: Once you have submitted your exam, NO FURTHER MODIFICATION of your answers will bepermitted.

31. At any point if the phone app quits or there is an issue with the phoneapp, you may close the app and launch it again. To connect the phoneapp again, click on the QR code button on the top border of the desktopapp, and then scan the QR code again using the Proctortrack phoneapp. Click on Return to Exam to continue.


Submit Exam and End Proctoring

32. Once you submit the exam, click the END button on the top-right corner to end the proctoring manually.

35. The exam attempt is now complete. Click QUIT APP to save theapplication for use with later tests/assessments, or click UNINSTALL toremove Proctortrack from the currentmachine.

34. Remember to end the monitoring/proctoring on the phone app.

33. Check the box to confirm the upload and click on the END button.


Issue Tip / ResolutionI do not see a Confirmed status when logginginto the Proctortrack application.

The Proctortrack Onboarding Exam must be attempted and approved before the actual exam date.

A failed Onboarding Exam will require another submission. Approval may take 4 - 8 hours.Failure to have a successful Onboarding Exam on the day of the actual exam will prevent learners from writing their exam.

I have failed my Onboarding Exam, what can I do to fix it?

Common reason for failing the Onboarding Exam:• Facial scan was not captured• Photo ID scan not captured• Name was not legible in ID

A valid photo ID must be held up to the camera and a picture taken where the name is clearly legible. Review the ID photo before submitting.

What type of identification can I use for the Onboarding Exam?

Learners must present a valid, government issued identification bearing a photograph and signature (e.g., passport, driver's license, permanent resident card). Health cards are not acceptable. The name on the government issued photo identification must match the Learner Portal. A learner is not allowed to write the exam if the presented identification does not match the name reflected on the learner’s programregistration.

I don’t see my scheduled exam in my Test Liston Proctortrack.

Scheduled exams are added to Proctortrack approximately 2-4 business days prior to the scheduled exam date.


TroubleshootingOnboardingExam

Issue Tip / ResolutionIt’s exam day and I have logged into the learnerportal but I cannot access myexam.

Learners must log into Proctortrack at https://ca-testing.verificient.com first. Click on Confirmedand then on the Go To Test once it becomes active at the scheduled time and follow the directionson screen.Once scans are approved, proctoring begins and learners will be redirected to the Humber LearnerPortal login page to accessthe exam.

The Proctortrack desktop application does not launch. It keeps prompting me to downloadthe desktopapplication.

Save the application to the Downloads folder.Double click on the application namedProctortrack.exe from the Downloads folder to launch.

I keepfailing the roomand physical desktop scans.

Slowly rotate the camera and use the full 20 seconds allotted for a 360 degree roomscan.

I have launched the Proctortrack App butam now stuck on a particularstep.

Pay attention to the chat window for instructions from the proctor. Scroll to the bottom of the chat window to see newmessages.

During the exam, the phone appdisconnected/ there was an interruption.

Turn off incoming phone calls and texting or turn on the Do Not Disturb mode before you begin your exam to prevent any interruptions. If your phone is interrupted, your exam will be paused.
