IntroductionThe Parts & Supplies application provides you with the ability to search for, view, and orderparts.

Functionality available to you includes:

Advanced search options, including:

Product search types by model, serial, part, type/device, sales order,supplier/vendor, and drawing number

Product categories searches by attributes

Quick order (where applicable) and compare capabilities for ordering andcomparing parts

Copy & paste capability (where applicable) for an easy transfer from existingelectronic documentation to Parts & Supplies

Quick, centralized access to model literature and detailed part information,including supersede, reverse, and where used information

Interactive image view capability to define a specific part

Add to cart capability to translate search results into purchases (whereapplicable). The ability to build a personal parts list, which can be emailed,exported to Excel and

FAQs

Locate a StoreWhen I click on Parts Locator, I do not see the location I need. How can I have a newlocation added?Contact Site Support. Include your name, account number and the location you would likeadded. (hyperlink to ComfortSite Site Support Form).

Why do some locations display hours and/or toll-free phone numbers, but mine does not?Store hours and toll free numbers are not available for all locations. For additionalinformation on a particular store, use the Contact Us option under Help.

Where do I report wrong information (phone number, address, etc.) for a location?Contact Site Support to report incorrect information (hyperlink to ComfortSite Site SupportForm).

Account Track OnlineHow can I add another account number?For Parts or Commercial Equipment (TCS) accounts, please send an email [email protected] with your first and last name, your user ID, your company’sname, and the account number(s) to be added.For Residential Equipment (TRS) accounts, please send an email to [email protected] your first and last name, your user ID, your company’s name, and the accountnumber(s) to be added.

Why is the balance different than what my statement says?The Statement reflects what your balance was on the date the statement was issued. Yourcurrent balance is showing open items and credits as of that day.

Product Categories SearchWhat items are included in the Product Categories Search?Product Categories search is an attributes search which divides model number intoassemblies and sub-assemblies. The most basic unit is the part.

Can I suggest additional attributes or product categories?Yes. Please send your suggestions to ComfortSite Suggestions (hyperlink to ComfortSiteSuggestions email).

Why do I see a different set of items in the Attribute Search compared to Product Search?The Attribute Search only contains wholesale items, while the Product Search contains allitems.

How do I clear all and start a new search?Click the link to access help documentation.

I found the motor I need but my supplier does not have it in stock. How do I find asubstitute?Note the attributes of the motor and do a Product Categories search to determine if yoursupplier has a substitute motor in stock that will meet your requirements.

RS Distributor ToolsWhy do I not see this option?RS Distributor Tools is only available to IWD users.

What is included under RS Distributor Tools?The following options are available under RS Distributor Tools: Parts Sales Programs, PartsProduct Information, HVAC Graphics, Pricing, Parts Support, Parts Identification, StoreMerchandising, and Falcon.

Product SearchWhere is WebCATS?WebCATS has been replaced with the Product Search option. All seven search options canbe found in the drop down: Serial #, Model #, Part #, Sales Order #, Supplier/Vendor #,Type/Device # and Drawing/Code #. Like WebCATS, Product Search will return unitinformation and parts list, as well as part detail information. Product Search also returnsliterature, supersede chain information, and where used information. Items can be added toa job, to your cart and in a future release, to a warranty request form.

Is the literature the most recent available?Yes. The literature returned in Product Search matches the most up to date information fromeLibrary.

How do I save my search?Click the Save button (in the Product Search area) or the Save Search button (in the centerpane, following the successful return of search criteria) to save a search during the ProductSearch process.

Can I conduct partial part searches?Yes, but only on certain types of Product Searches. The following do not allow productsearches, meaning search criteria must be exact: part number, drawing/code number, andtype/device number.

Why does customer price say Call for Pricing?

Certain suppliers are non-transactional. For those suppliers, you must call for the price.

What is the quickest way to identify a part?It depends on the information you have. If you have the Trane Part or Vendor Part number,you can input either into our Product Search or Quick Order. If you have a model, serial orsales order number, use our Product Search. Our Product Categories Search can be used ifyou know the item attributes of the part required.

If I have identified an item using the Product Search or Product Categories, is there a way topaste the item attributes into another search to find alternatives?No. Technical information cannot be copied and entered into a new search, but informationcan be printed using the print icons.

Who can I contact if the model/serial/part information is incorrect?Contact our Parts Identification team. (hyperlink to Parts ID email)

Shopping Cart/Personal ListHow can I get my tax and shipping totals?Use Account Track Online to view copies of all your invoices. Use your PO number tosearch for the correct invoice. View or print your invoice to view tax and shipping totals. Youcan also contact the supplier with which you placed the order to inquire about tax andshipping.

How do I check item availability in stores other than my default supplier?Click the link to view help documentation.

How do I delete/add items?Click the link to view help documentation.

How do I change quantity?Click the link to view help documentation.

Order Review and ConfirmationI just placed an order and received my confirmation. I need to change something. Can I dothat online?No. Please contact your supplier with which you placed the order to make changes afterconfirming.

Quick OrderThe item I am typing in comes up as invalid but I know it’s a good part number. Whatqualifies as a Trane part number?A Trane Part # is any item number found on a Trane Parts invoice, including any itemending with a !.

How do I copy my parts list into ComfortSite?Click the link to view help documentation.

Can I copy Trane and Vendor parts?No. Only Trane items can be entered into the Copy/Paste tool.

How many rows of data can I paste at a time?You can paste up to 3 rows at a time, with a max of 20 in the Copy & Paste popup at onetime. Clicking the Add More option in the lower left of the popup will allow you to add moreparts. The maximum quantity is 999 per line.

Can I paste the same item more than once?Yes. The item will reflect a cumulative total in the shopping cart (located in the lower right

of the Parts & Supplies page).

Compare ItemsHow do I compare items?Click the link to view help documentation.

Why can I not add more than 3 items to compare?The Compare feature can only function with up to three items at one time.

Is there a way to compare prices and availability at the same time?The quickest way to view pricing and availability side by side would be to add items to yourcart, click Checkout, and price and availability for all items will be listed.

Warranty ProcessingHow do I access the Warranty Request form?Click the Warranty button on the top of the Parts & Supplies page.

Quick Order: For Transactional Account Users Only

How to use Quick OrderThe Quick Order area of the Parts & Supplies page allows you to enter part numbers andquantities to order. If needed, click the Quick Order header to display.

NOTE: The Quick Order feature is only available for transactional account users. If you arenot a transactional account user, you will have the ability to add items to a personal list thatcan be emailed, exported to a spreadsheet, or saved to a job. Refer to Personal List formore information.

1. Type part numbers into the fields. Usethe Part # (non-vendor part number) andVendor Part # radio buttons to togglebetween part numbers.

2. Enter the quantity needed in the quantityfield.

3. Add additional parts to the order asneeded. A maximum of three parts canbe added within the displayed QuickOrder area. Additional features include:

Add morethan threeparts perindividualentry

Click the +AddMore link. Aseparatewindow opens.Enter up to 20part numbersand quantitiesat one time.

NOTE: The quantity cannot exceed 999per line.

4. Once parts and quantities are entered, click the Add to Cart button. Parts andquantities (if valid) are transferred to the shopping cart (located in the lower right of theParts & Supplies page) to continue the process. Hovering over an individual part willdisplay the supplier in a mouse-over. Refer to the Shopping Cart section for moreinformation.Items to note:

Parts & Supplies will notify you if invalid part numbers are entered.

Parts & Supplies will notify you if individual vendor part numbers correlate tomore than one part number (non-vendor). Select the correct part number (non-vendor).

Items with (non-vendor) part numbers will be added directly to the shoppingcart. Items with vendor part numbers require you to cross the part with theappropriate (non-vendor) part number, and then the item is added to theshopping cart.

Copy & Paste: For Transactional Account Users Only

How to Copy & PasteThe Copy & Paste area of the Parts & Supplies page allows you to copy part numbers andquantities from outside sources (word processors, spreadsheets, etc.) and paste them intoParts & Supplies. If needed, click Copy & Paste header to display.

NOTE: The Copy & Paste feature is only available for transactional account users. If youare not a transactional account user, you will have the ability to add items to a personal listthat can be emailed, exported to a spreadsheet, or saved to a job. Refer to Personal List formore information.

1. Click inside the blank area under theCopy & Paste header. The areabecomes active. Copy the lines orfields from word processors,spreadsheets, etc., and then paste theinformation into the area.

2. Only part numbers (non-vendor) will beprocessed in Copy & Paste. Note thefollowing for data entry:

NOTE: Copy & Paste separate the partand quantity by item #, single space,quantity; item #, comma, quantity; item#, tab, quantity.

3. Copy/paste additional parts to theorder as needed. A maximum of threeparts can be pasted within thedisplayed Copy & Paste area.Additional features include:

CompareThe Compare function allows you to compare the details (technical information, price, etc.)between two or among three parts.

How to compare items1. Access the parts through a product category search. Refer to the How to search product

categories for more information.

2. Once the search is filtered to the correct returned results, click the icon in the Pricecolumn (on the Results Found screen). The part populates the Compare area.

NOTE: If you accessed the Item screen for the part (by clicking the linked part number in

the Item # column), then click the icon to add the individual part to the Comparearea.

3. Add up to three parts total (at onetime) to the Compare area.

4. Once parts are entered (max of three),click the Compare Items button. TheCompare pop-up window opens.

5. View the information in the various tabs, including Technical Information (scroll to view).Options on this page include:

Remove a part from the Comparepop-up screen Click the in the top right of the individual

part’s compare panel.

Add parts to cart

Click the icon. Up to three parts can beadded to the cart from the Compare pop-upwindow.

View detailsClick the icon. The Item Screen opens.Click here to access information on the optionsavailable on this screen.

View price View the text in the lower portion of each part’sCompare panel.

NOTE: The Call for Price option allowsyou to locate and obtain directions tostores that supply the selected part. Clickthe linked Call for Price text to open theStore Locator feature.

How to remove items from the Compare listClick the trashcan icon to the left of the individual part to remove that part from the Comparearea.

Personal List: For Non-Transactional Account Users Only

How to Add Parts to a Personal ListThe Personal List area of the Parts & Supplies page allows you to build a list of parts thatyou can email, export to Excel and save as a job. This feature is only available to users whohave non-transactional accounts.

1. Access the appropriate parts through product searches or product categories searchesor on the Popular Customer Buys or Recently Viewed tabs on the homepage.

2. Click the icon to add the part to your personal parts list. Add as many as needed.

3. The parts are added to the personalparts list area, located in the top rightof the Parts & Supplies home page.

Options in this area include:

Email parts list Click the icon.

Export to ExcelClick the icon.

Save as a jobClick the button. Refer to the SavedJobs section, step 2 for more information onsaving a job.

Shopping Cart: For Transactional Account Users OnlyThe Shopping Cart area on the Parts & Supplies page displays the parts to be ordered.This area is populated by the Quick Order, Copy & Paste, and Compare features. ProductSearches and Product Category searches also access individual parts while on the Parts &Supplies page.

The Shopping Cart can be accessed on the Parts & Supplies page (in summary form) aswell as during checkout (in detailed form).

NOTE: The Shopping Cart feature (the ability to purchase parts online) is only available fortransactional account users. If you are not a transactional account user, you will have theability to add items to a personal list that can be emailed, exported to a spreadsheet, orsaved to a job. Refer to Personal List for more information.

How to add items to the shopping cart (Parts & Supplies page)Once you access the needed part, click

the icon to add the part to theshopping cart (located in the lower right ofthe Parts & Supplies page).

Parts can be accessed and added to theshopping cart using the Quick Order, Copy& Paste, and Compare features. ProductSearches and Product Category searchesalso access individual parts while on theParts & Supplies page.

How to remove items from the shopping cart (Parts & Supplies page)Click the trashcan icon to the left of theindividual line item to remove the part fromthe shopping cart (located in the lowerright of the Parts & Supplies page).

How to add items to the shopping cart (Shopping Cart screen)

NOTE: You must be on the Shopping Cart screen to complete these steps. To access the

shopping cart, click the icon (in the top left of the shopping cart summary area on the Parts& Supplies page) or the Go to Cart button located on the Parts & Supplies page.

1. Enter individual part and quantitycombinations in the Add Part: fields. Thisfunction is to manually add parts one-at-a-time. Use the Part # (non-vendor partnumber) and Vendor Part # radio buttonsto toggle between the part number types.

2. Click the Add to Order button. The partdisplays in the table with all other parts tobe ordered.

3. Additional features include:

Add more than one part at a time Click the Continue Shopping button. The buttonopens the Parts & Supplies page.

Parts can be accessed and added to the shoppingcart using the Quick Order, Copy & Paste, andCompare features. Product Searches and ProductCategory searches also access individual partswhile on the Parts & Supplies page.

Items to note: Parts & Supplies will notify you if invalid part numbers are entered. Invalid entries

remain in the fields for editing.

Parts & Supplies will notify you if individual vendor part numbers correlate to morethan one part number (non-vendor). Select the correct part number (non-vendor).

How to remove items from the shopping cart (Shopping Cart screen)

NOTE: You must be on the Shopping Cart screen to complete these steps. To access the

shopping cart, click the icon (in the top left of the shopping cart summary area on the Parts& Supplies page) or the Go to Cart button located on the Parts & Supplies page.

To remove individual parts:

1. Click the checkboxes to the left of the individual part(s).

2. Once all are selected, click the Remove button (located in the lower left of the screen).

3. Confirm the deletion in the Confirm Check dialog box. The part is removed from theshopping cart.

To clear the entire shopping cart:

1. Click the Clear Cart button (located in the lower left of the screen).

2. Confirm the deletion in the Confirm Check dialog box. The entire shopping cart isemptied.

Return to the Parts & Suppliespage

Click the Continue Shopping button. Thebutton opens the Parts & Supplies page.

Once you access the needed part, click theicon to add the part to the shopping cart (locatedin the lower right of the Parts & Supplies page).

1. Review the information on the View Cart of the shopping cart process.The following options are available while on the shopping cart screen:

Edit quantity Navigate to the Qty column for the part. Enterthe updated quantity in the field. The informationon the table will update.

Add items to the shopping cart Use the Add to Cart or Continue Shoppingfeatures. Refer to the How to add items to theshopping cart (Shopping Cart screen) section formore information.

Remove items from the shoppingcart

Use the Remove or Clear Cart features. Referto the How to remove items from the shoppingcart (Shopping Cart screen) section for moreinformation.

View availability View the information in the Available Qty andAvailability Status columns. Refer to the Howto view availability on the Shopping Cart screensection for more information.

Save the job Use the Save Job feature. Refer to the How tosave items to a job section for more information.

Change suppliers Use the Select feature in the Change Suppliercolumn. Refer to the How to select a differentsupplier section for more information.

2. Click the Check out button (located in the lower right of the screen) once all theinformation on the page is correct. Shipping and Payment opens.

NOTE: The Suggested Add On and Recommended Items features display in a scroll bar at thebottom of the screen. Suggested Add On is a list of purchasing opportunities defined by youradmin, and Recommended Items is a list of parts frequently purchased with your current part

selections. Click the icon to add any of these items to your shopping cart.

Shipping and Payment (Steps 3 –5)

NOTE: If this is the initial time submitting an order toward a supplier, then enter and select theinformation. If this is not the initial time submitting an order toward any listed supplier, thenreview. The information listed is pulled from the last placed order. Edit as needed.

3. Enter or review shipping information.

How to view availability from search resultsThe following section is divided into two areas: How to view availability from product search

results and How to view availability from product categories search results. The iconaccesses availability information.

NOTE: The Availability feature is only available for those users with transactionalaccounts.

Product Search Results1. Perform a product search and drill down to the Parts List area (click the Parts List

header to display).

Availability StatusNavigate to the Availability Status column on the Shopping Cart screen. The availability isreal-time data. The color of the icons indicates the availability status.

Colors denote the following:

The status is updating. This icon appears briefly when first entering theshopping cart or when adding parts. The icon indicates that part data isbeing pulled from TPS and other inventory systems.Updating does not lock the system.

The part is fully available. The supplier can fill the requested quantity.

The total quantity is not available at the current time from the selectedsupplier. The entered quantity less the available quantity will result in theauto-generated backorder quantity. Refer to the How to select a differentsupplier section for information on manipulating quantity to the situation.

The part is unavailable at the current time. The supplier cannot fill therequested quantity at the current time. Refer to the How to select adifferent supplier section for information on manipulating quantity to thesituation.

How to select a different supplierIn the event a part is not availability, you can select another supplier to order the part from.

NOTE: You must be on the Shopping Cart screen to complete these steps. To access the

3. Click the Update Cart button to complete the changes. The shopping cart reflects thechanges.

NOTE: The same part can now be listed on two separate rows, as the part is now beingsupplied by two or more suppliers.

Saved Jobs

How to save items to a jobOnce parts have been added to the shopping cart, the entire cart can be saved in saved jobstatus. This feature allows you to save the job and later append the data.

NOTE: You must be on the Shopping Cart screen to complete these steps. To access the

shopping cart, click the icon (in the top left of the shopping cart summary area on theParts & Supplies page) or the Go to Cart button located on the Parts & Supplies page.

1. Once the appropriate parts are in the shopping cart on the Shopping Cart screen, clickthe Save Job button (located in the lower left of the screen). The Save Jobs dialog boxopens.

2. Either save as a new job or add to an existing job.

To save as a new job:

a. Select the radio button for the Save as a new job option.

b. Enter a job name in the field.

NOTE: The job name can be a duplicate of an existing saved job.

c. Click Save. The job is saved under My Accounts>Saved Jobs.

To add to an existing job:

a. Select the radio button for the Add to existing job option.

b. Select the appropriate existing job in the Job Name dropdown menu.

c. Click Save. The edited job is saved under My Accounts>Saved Jobs.

How to view saved jobsNavigate to My Account and access Saved Jobs in the dropdown menu. Saved Jobs iscomposed of two options: My Jobs and Distributor Saved Bundles (groups of parts compiledby your supplier(s)).

To access My Jobs:

a. Click My Jobs (located in the global header under My Account, Saved Jobs).The My Jobs pop-up window opens and displays, at left, all saved jobsassociated with the current user and company.

b. Click the appropriate job. All parts associated with the job display. Options onthis page include:

Rename the job Type directly into the Job Name field. Click Save to savechanges.

Edit quantity Type directly into the individual quantity fields. Click Save tosave changes.

Add selections to cart Select the checkboxes of individual or all parts (click to select).Once selected, click the Add to Cart button. The parts can beseen in the shopping cart (located in the lower right of the Parts& Supplies page).

Delete an individualpart from a job

Select the checkbox the part (click to select). Once selected,click the Delete Part button.

Delete an entire job Click the trashcan icon. The job is deleted.

How to search by model number1. Navigate to the Product Search area

Product CategoriesThe Product Categories function of Parts & Supplies allows you to search for parts bydrilling down from a top level (i.e. category, motor type, phase, etc.) and then further filterthe search by selecting subordinate descriptions or attributes. This search is limited touniversal motors.

How to search product categories

1. Click the appropriate attribute in theProduct Categories area. A fly-out forthe attribute (composed of sub-attributes) appears at right.

To clear individual attributes:

Click the icon to the left of the sub-attributes in the Product Categoriesarea. The center pane resets to anyremaining attribute>sub-attributeselections.

To reset the product category search:Click the category field (displayed underthe title Product Categories). The centerpane resets with all parts available underthe selected category.

NOTE: Click the icon to return to the Parts & Supplies page (home page). Thisaction navigates away from any search or process you are currently working on orviewing.

How to use keyword search1. Activate the Product Categories area by clicking the category name or an attribute. The

center pane populates with category or attribute information.

2. Use the search dropdown menu to define the search criteria. Search criteria can be(non-vendor) part #, catalog/model #, or description.

3. Enter search data in the search field (located at the top of the center pane).

4. Click Search. The center pane repopulates with all parts in the category that match thesearch criteria.

5. Manipulate the search results as needed. Refer to the How to search product categoriesand other subsequent sections for more information.

Parts & Supplies Promotions: For Admin Users Only

How to use Parts & Supplies PromotionsThe Parts & Supplies Promotions feature is a marketing tool that allows admin users todisplay additional parts to their customer-users, thereby suggesting purchasing opportunitiesfor the customer-user. These selections display in a scroll bar during the checkout processon Parts & Supplies.

To access Parts & Supplies Promotions:1. Log on to the extranet, and select Admin Center from the left-hand navigation bar.

Select Order Center Administration from the list of options. Select Parts & SuppliesPromotions in the sub-menu.

2. The Parts & Supplies Promotions page opens. Options on this page include:

Generate a new promotion Click the Add Promotion button. Refer to the sectionbelow for more information.

View status of existingpromotions

View the color of the icon to the left of the promotion.Green shows the promotion is still valid and displays tothe user in Parts & Supplies.Red shows the promotion is not valid and does notdisplay to the user in Parts & Supplies.

Edit or delete existingpromotions

Use the Edit or Delete buttons.

To generate a new Promotion:1. After accessing the Parts & Supplies Promotions feature and clicking the Add

Promotion button, the Parts & Supplies Promotions generation screen displays.

2. Enter a descriptive name in the Promotion Name field, and select the date range thatthis promotion will be displayed to your customer-users on Parts & Supplies.

3. Enter one or more part numbers (non-vendor) in the Parts Numbers field.

NOTE: Part numbers are not validated at this level. Ensure you have entered thecorrect part number, or the part number will display as invalid on Parts & Suppliesduring your customer-user’s checkout process.

4. Select the appropriate level at which to display this promotion on the Parts & Suppliesapplication.

NOTE: You can display promotions to yourself or those users beneath you on theComfortSite security hierarchy. Example: The national office can assignpromotions to any number of company-owned, franchisees, or IWD users;whereas, warehouses can only assign promotions to their customers.

5. Select the appropriate users that will view the promotion. Use the following icons tomake the selections.

Add all users.
