OVERVIEW

Description This manaul will provide instructions for faculty to perform two different processes within the Pass-Port software program. The two processes are 1. Accessing and submitting rubrics not in the portals (for the 2014-15 school year, ESED Seniors and SCED Juniors and Seniors) and 2. Accessing and submitting rubrics in the portals (for the 2014-15 school year, ESED Freshman, Sophomores and Juniors, SCED Freshman and Sophomores and all students in the CEAS graduate program). Please note that as new portals are brought into use at SHU, the demographics of students using portals will change and expand.

Contact Information for Pass-Port Assistance Angela Caruso and Karen Grove are the co-support administrators for supervisors in terms of Pass-Port. Following is the contact information for both Angela and Karen. Please note that if at any point you have a question or are unsure of any aspect of submitting a form within Pass-Port, contact either Angela or Karen first. In order to keep the database as clean as possible with no duplicate or inaccurate forms, it is better to ask the question first. Thank you for your cooperation and assistance as we strive to create an improved process and communication for our students, faculty and supervisors. Suggested Web Browsers If you have a choice of browsers, we strongly suggest you access Pass-Port using Google Chrome, Mozilla Firefox or Safari. Users accessing Pass-Port via Internet Explorer have experienced difficulties in the past. To avoid these issues, we do not recommend Internet Explorer for use with Pass-Port. The printing and saving instructions provided in this manual are applicable to Google Chrome.

Ways to Access Pass-Port The Pass-Port program for Seton Hall University is accessible at the following URL - https://shu.pass-port.org/. It is suggested you bookmark the URL in your web browser for future reference. If you forget the URL and have not bookmarked the page, it is also accessible by Googling or Searching for “SHU Pass-Port” from a browser’s search field.

Logging into Pass-Port

FIRST TIME USERS:

Log into shu.pass-port.org

Use your SHU short name (e.g. grovekar) into the username box

Use pass-port (all lowercase) in the password box

You will receive an email from PASSPORT that provides you with a temporary password. Use your short name and temporary password to sign into PASSPORT.

When you do this you will immediately be taken to a screen that offers you the chance to customize your password. You will use PASSPORT throughout your years in the education program so please create your own meaningful password.

RETURN USER-FORGOT PASSWORD:

Log into shu.pass-port.org

Use your SHU short name (e.g. grovekar) into the username box

Right under the password box there is a place to click if you forgot your password.

You will receive an email from PASSPORT with a temporary password.

Return to the login page and sign in; you will be taken to a screen that allows you to customize your password. You will use PASSPORT throughout your years in the education program so please create your own meaningful password.

Navigating within Pass-Port

Within the Non Portal System (Juniors and Seniors in ESED and All CEAS and SCED Majors)

As a best practice, when you need to return to a previous screen within Pass-Port. Use the Back button within Pass-Port NOT the Back button on your browser. This will minimize the number of issues you may encounter navigating within the system.

Within the Portal System (Sophomores in ESED)

As shown in the image below, there is no Back button in the right hand corner within the Portal System. In this process, one needs to use the browser back button to move around within the pages and go back. Once you have completed submitting any forms for students in the Portal system (for the Spring 2014 semester this applies to Sophomores only), you need to click on the Return to Pass-Port button in the left navigation bar to return to the Pass-Port Main Menu.

PASS-PORT PROCESSES

SHU Pass-Port Process for Submitting Rubrics – Non Portal Process (Juniors and Seniors in ESED and All Majors in CEAS and SCED) PLEASE NOTE: You can not partially complete a form and come back and edit it later. Once you begin the submission of the form, you must complete it. Please keep this in mind when you begin the process of submitting forms. Step One: Log into Pass-Port with your username and password using the following URL - https://shu.pass-port.org/. Step Two: Select User Browser.

Step Three: Select search by last name.

Step Four: Type in three letters of the student’s last name.

Step Five: Click on the student’s name for which you need to submit a form.

Step Six: Scroll down to the bottom of the screen to the heading entitled Faculty-to-candidate evaluations. Click submit new form.

Step Seven: A list of all the available rubrics will open up. Scroll through the list until you find the rubric for the paper or assignment you are reviewing. Click the Select button to the right of the correct rubric/evaluation tool. This will open a new window with the evaluation tool in it. Because you have selected the form via the candidate’s name, when you finish evaluating their work and click the Submit button at the bottom of the rubric, the scored rubric is sent to the student. You do not have to email the scored rubric to them.

If you are using Google Chrome as your browser, these are the steps and screens you will see in order to SAVE your evaluation as a PDF to your desktop. If you are using Internet Explorer or Mozilla Firefox, you will not be able to follow these steps as they are written. These steps are not required. However, they are helpful if you want to keep a copy of your evaluation and do not want to print it out. Step Ten: Once you have submitted the form, the popup window will close and you will have the same view on your screen as in Step Six. This time, you will click on the View button and this will open up the completed evaluation.

Step Eleven: With the window open with the completed survey in it, click CONTROL + P on your keyboard. This will open the following dialogue box. Click the Change button.

Step Twelve: This will open the following dialogue box. Choose Save as PDF.

Step Thirteen: From here create a folder (or save the file to an already existing folder) on your computer where you are able to save the form you have submitted. This is critical to help provide a backup of your evaluation both for you and in case there are any issues within Pass-Port. Save the file to a folder on your computer.

SHU Pass-Port Process for Submitting Rubrics – Portal Process (Sophomores in ESED) PLEASE NOTE: You can not partially complete a form and come back and edit it later. Once you begin the submission of the form, you must complete it. Please keep this in mind when you begin the process of submitting forms. Step One: Log into Pass-Port with your username and password using the following URL - https://shu.pass-port.org/. Step Two: Select Unit Assessment.

Step Three: Select the letter that your student’s last name starts with. Alternatively, a list of all of the tasks/assignments waiting for you to review and evaluate will be on your screen. You can scroll through that list to find the student and assignment you want to evaluate.

Step Four: Select the student for whom you want to submit an assignment evaluation.

Step Five: Scroll through the list of assignments that are listed for the student and find the one you need to evaluate.

Step Six: Click the Evaluate button by the assignment you need to evaluate.

Step Seven: This will open a new double pane window. The left side will show you the artifact you chose to evaluate and the right side will be the rubric for scoring this particular assignment/artifact.

Step Eight: To be able to view or download the actual artifact or assignment, you will need to click on the View/Download Artifact button at the button of the left pane.

Step Nine: Clicking this View/Download Artifact button will open a new window in the left side pane. You need to click the View/Download Artifact button here as well. This will now download or open the document in whatever program it was created, ie – Microsoft Word. You can review and evaluate the artifact/assignment that was submitted.

Step Ten: When you are ready to evaluate and complete the rubric for the artifact, complete the entire rubric form in the right hand pane of the window. When you have completed the rubric, click Submit at the bottom of the window. DO NOT choose the Save Responses for Later option. The Save Responses for Later option has not functioned correctly in the past and it is against SHU best practice. Therefore, we are requesting you complete the form at one time and click Submit.

ADDITIONAL INFORMATION on options at the top of the right side of window. While these are not steps in the process for submitting a rubric/evaluation form, we wanted to draw your attention to the three options provided at the top of the rubric/evaluation form.

1. ‘Save for Later’ – This option will simply close out the pop up window that is open with the artifact. It will remain in your task list for you to complete at a later time.

2. ‘Delete Evaluation’ – This option is available for faculty to use if, as an example, the student submitted the incorrect assignment/artifact for evaluation or submitted it to the wrong faculty member/course. This option will automatically delete the artifact/assignment and will send a notification or alert to the student letting them know the item was deleted and for what reason.

3. ‘E-mail Candidate’ – This option can be used when you want to email the student regarding the artifact/assignment. If you don’t want to automatically delete the item using option 2, you can send an email to the candidate asking them to remove it and resubmit, explaining why. Additionally, this option provides you the opportunity to attach a file. Therefore, you could review an artifact, provide comments or feedback on the document, then attach it to the email seeking additional student input prior to actually submitting the rubric/evaluation form.

These are not necessary steps in the process but do provide the faculty options when attempting to submit a completed rubric/evaluation form.

If you are using Google Chrome as your browser, these are the steps and screens you will see in order to SAVE your evaluation as a PDF to your desktop. However, they are helpful if you want to keep a copy of your evaluation and do not want to print it out. Step Eleven: Once you have submitted the form, the popup window will close. If you want to view or print the rubric/evaluation tool you just submitted you can do so from the Portal Unit Assessment page. Choose the View Archive option on the right side of the screen.

Step Twelve: This will open a window with all of the tasks you have completed within Pass-Port. Please note the tasks will not be any particular order. If you’d like to sort the list alphabetically by student’s last name, you can do so by clicking on the Origin button on the right of the screen. This will alphabetize the list of students and you can scroll through the list and find the student and evaluation you just submitted.

Step Thirteen: Once you have found the student and assessment you just completed and want to view, click the View button below that assessment. This will open up a pop up window with the completed rubric/assessment in it.
