Symptom

If a Purchase Order is changed/checked the following error messages are appearing: 'Partner xxxxxxxxxx not found with partner function type Goods Recipient' and/or 'Partner xxxxxxxxxx not found with partner function type Requestor'

Environment

l SAP Supplier Relationship Management (SRM) 5.0 l HR replication is being used between HR and SRM

Reproducing the Issue

1. Terminate/delimit a user and replicate the change from HR to SRM system  2. Go to change a Purchase Order having a Requestor and/or Goods recipient with the inactive user  3. Error 'Partner XXXXXX not found...' is processed

or

1. Terminate/delimit a user and replicate the change from HR to SRM system  2. Go to change a Purchase Order having a Requestor and/or Goods recipient with the inactive user  3. Delete the inactive business partner number 4. Add new 'active' business partner    5. You immediately receive an error message 'Partner function may not be changed'                                                               

Cause

l If an employee leaves the organisation, from HR side the requirement is that the user has to be deleted immediately.  Therefore it is not possible to consider whether the user has open documents in a child system (i.e. in an SRM system) 

l If the user is deleted or delimited on the HR side, this will be replicated to SRM system where the Business Partner relationship will be deleted.

Resolution

l Before deleting a user from HR make sure that all the open documents are completed or reassigned to an active requestor / recipient OR

l All the open documents associated to the deleted user should be archived 

Once the user is deleted before closing the documents and an archiving is not possible, please follow the workaround from the note 1507030 (pilot note, ask SAP Support for access). The attachend report from the note will replace the old requestor by the new one.
