Chapter 1

Introduction

Job Lister OverviewThe application of the Voice System Client Utilities software suite (also referred to herein as Voice Job Lister) creates ad hoc reports based on inputs from jobs created using a

standard phone, portables, , and speech recognition. You can

define, save, and rerun these reports at any time. Job Lister reports can include jobs from several different statuses, such as Ready (dictated), Signed Off (transcribed), Purged, etc.

You can also use the Job Lister application to create a temporary report definition called a Quick Report. The system does not save Quick Report definitions. Instead, it automatically discards the definition after you run the report.

Predefined Reports (Editable)

Not only can you create your own reports, but the Job Lister application includes many predefined reports that you can use as is or modify, using logical operators (e.g., <, >, etc.), to meet your requirements. See Using the Search Menu on Page 2-6.

Refreshing Reports

The system displays the reports within the Job Lister main window, Figure 1-1. You can refresh this information at any time by pressing the F5 key or selecting Refresh from the Window menu.

Note: The Job Lister does not automatically updatereports.

Job Lister Menu Bar

Figure 1-1 shows the Job Lister menu bar when you first start the program. After you generate a report, additional selections are displayed on the main menu for managing the report. Figure 1-2 illustrates menu bar options that are available after a report is generated.

Report Column Headers

A column header defines each column of data in the report. You select and arrange the column data, as well as width, when you define the report.

Although the following column headers appear by default for each report, you can replace these headers with any of those found in the Report Output dialog box, see Report Output Format on Page 2-16.

There are times when the data may exceed the width of the column you have defined. When this happens, you can stretch the field to view the rest of the data. Of course, you can always compress the field to hide data. The Voice Job Lister remembers and displays these positions each time you execute a report.

Window Components

Toolbar and Help Selections

The toolbar displays, in button form, some of the same selections found in the main menu. Use it as an alternate way to quickly access those selections. Table 1-1 shows all of the selections that are available from the toolbar.

Dialog Box

A Dialog box is one large box that contains a variety of text boxes, group boxes, drop-down list boxes, buttons, and other items shown in Figure 1-4.

Mouse and Keyboard Operating Instructions

What, where, and how you click in the Lister window (Figure 1-1), application window (Figure 1-6), or any application window, is the key to every operation.

Here are some of the terms you will encounter in this manual.

• Select refers to marking a check box or highlighting an item. Place the mouse pointer over the item, and press the left mouse button.

• Type refers to using the keyboard to fill-in a text box.

• Click refers to pressing the left mouse button. When you are instructed to “Click OK,” place the pointer over the item and press the left mouse button.

• Right-click refers to pressing the right mouse button.

• Double-click refers to pressing the left mouse button twice. Double-click a folder to expand it or a program to start it.

• Expand refers to clicking on a folder’s plus symbol, [+], to reveal the folder’s contents.

• Collapse refers to clicking on a folder’s minus symbol, [–], to conceal the folder’s contents.

Conventions Used in This ManualThe following text conventions are used in this manual.

• Keys that you must press to perform an operation are shown in bold type.

Example: Press Enter to display the next screen.

• When you must press two keys simultaneously to perform an operation, they are displayed in bold with a plus sign between them.

Example: Press SHIFT+TAB.

• Window and dialog box names are shown in bold type, as are menu options, commands, and buttons.

Example: In the Search dialog box, click Save.

• Actions that you must perform in sequence are shown as numbered lists. Actions that you can take without any specific order are shown as a bulleted list.

Starting and Stopping Voice Job Lister

To Start the Application

Start the Voice Job Lister from the task bar:(See Figure 2-1).

1. Click Start on task bar. 2. Point to Programs.3. Select Enterprise Express® Voice Client

Utilities.4. Click Voice Job Lister.5. Log on, if required, by typing your ID, password,

and clicking OK.

To Stop the Application

To close the application, select File, and then Exit from the Voice Job Lister menu bar.

The WindowFigure 2-2 shows the items the Voice Job Lister adds to the menu bar after you generate a report. Refer to Reports Window, page 2-1 for information on how to use these items to edit a job listing.

Managing ReportsThe Voice Job Lister’s predefined reports are located in the Report Selection window.

To display the Report Selection window:

• Select File, and click New from the Voice Job Lister menu.

You can run any of the reports in the listing right away, or use them as the starting point for a new report. You can customize any of the reports in the listing.

Figure 2-3 shows the buttons and predefined Reports of the Report Selection window.

Running an Existing Report

Use this procedure to run an existing report.

1. Select New from the File menu.The Report Selection dialog box containing a list of all existing reports appears.

2. Click a report to select it from the listing, Figure 2-4.

3. Click Execute to run the report.

Note:To quickly generate a report, just double-click on areport in the listing.

Deleting a Report

This procedure permanently removes a report from the system.

1. Select New from the File menu.2. Select a report from the listing, and click Delete. A Confirmation dialog box appears.

3. Click Yes to delete or No to exit.

Viewing a Report

Use this procedure to view a report’s settings.

1. Select New from the File menu.2. Select a report from the listing, and click View.3. The Viewing Report dialog box appears (e.g.,

Figure 2-6).4. Click Output… or Groups… to check these

settings, if needed. (Refer to page 3-16 and page 3-23 for “Output…” and “Groups…” information.)

5. Click OK, as needed, to exit.

Creating a New Report

To create a new report:

1. Select New from the File menu.The Report Selection dialog box appears.

2. Click New, and fill in the New Report dialog box.(Refer to Create a New Report - Report Dialog Box Setup on Page 3-3)

3. Click Output…, and fill in the Report Output format. (Refer to Report Output Format on Page 3-16)

4. Click Groups…, and select the administrative group(s) and access privileges. (Refer to Administrative Group Privileges on Page 3-23)

5. Click OK, as needed, to exit the dialog boxes.Your new report appears in the listing.

6. Select your report, and click Execute to run it, if needed.
