IM / IS Online Services – Call Matrix

Automatic Call Notes

If the machine is turned off when automatic call is scheduled, the automatic call does not happen. The IM/IS machine will detect the next it is plugged in that an auto call did not happen and will try connecting immediately without prompting the customer. During the connection the base cannot be used by the customer.If an automatic call fails, then the machine tries 3 times in 30 minute intervals. There is no error message displayed on the base if a call fails. After 3 failures, machine tries the next day at the same time of the initial automatic call for 3 more tries and continues to do so until the call is successful.

Below is a Call Matrix that gives detail about online service calls: Type Of Call - The type of online services call being performed. Manual Or Automatic - When the call is performed automatically or the user has to perform a call manually. Occurs During A Service Process - The call is performed during the installation wizard. Controlled By - Manual call, automatic call or online services. Call Details - What occurs during the online services call. Additional Information - Knowledgebase article references and general information.

Successful Call Notes

A "Call Successful" message means that a normal hang-up was triggered by the machine. That is no guarantee that all the tasks were executed during the connection. If an expected task did not occur, contact Tech Support and they can check the connection history on OLS support website for the status of each task during the connection

Manual Call- Anytime once the machine is Declared. - If some features are not up to date in the machine, it is a way for OLS to check each contract and send back all the features to the machine.

 

Ink Management

A   Ink Management Contract. Automatic Call- If the "Low Ink Threshold" is reached (80% consumed), the machine will call automatically the next time it goes in "Sleep Mode".- After a successful call, a flag is set in the cartridge so only one automatic call will be placed to OLS for each ink cartridge.

PSD Withdrawal

Any Statistics Contract.- Basic Statistics is a default IS/IM contract and will display only the monthly activity on the OLS customer website - Enhanced Statistics is an optional IS/IM contract and displays monthly & daily activity, postal class and department usage on the OLS customer website

Manual CallAnytime manually, if the customer wants the stats immediately on the OLS customer website.

Automatic Call- Calls are scheduled for the 1st of the month. After each automatic call for statistics upload is completed, the OLS server sets a new call for the next month. - Automatic call is normally scheduled after midnight.

- Machine can hold up to 200,000 imprint records before the statistics buffer is full. There is a warning displayed on the base when the buffer is 80% full. If the buffer fills the machine will be locked until a statistics upload is completed.

 

Data Upload M and A

  OLS Maintenance Contract for the Monthly Automatic Data Upload of diagnostic data- OLS Maintenance contract is a default for all IS/IM systems

Manual CallAnytime to specifically upload the diagnostics log.

Automatic Call- "Sliding" monthly call based on the effective date of the OLS Maintenance Contract . After each automatic Data Upload call, OLS sets up a new call.- Automatic call is normally scheduled after midnight

Slogan Download

M   Slogan Order Manual Call- Anytime there is a new customer slogan uploaded in OLS, the slogan will download to the machine during any call made. - Customer will be notified by e-mail when the slogan is ready for download.

 

Software Download(For Future Use with LAN Connection)

  Only if OLS has sent to the device a request for a Pending Software Download.

Manual CallThe user answers that he wants to perform the download "Now".

Automatic CallThe user answers that he wants to perform the download "Later" (means Next Night).

Unknown name & number Verify that all account names and numbers exist when you export department report

data to USB key. This will allow you to provide the customer with data on usage before you attempt to restore the names and numbers on OLS customer web.

Contact Tier 2 tech support and ask them to check to see if the customer has both a Basic Statistics and Enhanced Statistics contract active. If the answer is yes, the tier 2 rep should use OLS opco web “minimal back office” to deactivate the Basic statistics contract and extend the end date of the enhanced statistics contract. This will create a new pending contract for enhanced statistics.

At customer site, turn off accounts in supervisor account management and power off the base. Then turn accounts back on in account management.

Run a zero value imprint for each active account on the base and then complete a Upload Statistics call to OLS server. Check the customer web site to see if the account names and numbers appear in the current months department statistics page.

If there are still unknown department names and numbers; in supervisor account management, delete any account that was not displayed on the customer web then add it again. Note when you delete an account, any usage from before the deletion will be shown on the OLS web as in retired status. That applies to unknown name and number accounts also.

Run a zero value imprint for each account that you deleted and re-added and then complete an Upload Statistics call to the OLS server. Check the customer web site to see if the account names and numbers appear in the current months department statistics page.
