TERMS & CONDITIONS
A. General:
1. The Intended bidder may apply for in our prescribed format by downloading the
tender/bidding document from the official website of Udala College, Udala, i.e.,
www.udalacollege.edu.inalong with filled in Formats A & C.
2. Place & Date of Receiving of Tender: Tender shall be received at the office of The Principal, Udala College, Udala, Mayurbhanj By Hand/registered post/ courier or at the drop box of the college on or before 10/06/2016 by 1pm.
3. The interested and eligible firm(s) for Integrated Computer Lab, Seminar Hall& Reading
Room are advised to submit the sealed envelope super scribing “ Tender for Integrated
Structure cabling , Computer Lab, Seminar Hall& Reading Room Setup” and addressed to
“THE PRINCIPAL, UDALACOLLEGE, UDALA, MAYURBHANJ.
4. Opening of the proposal: The sealed tender document shall be opened at the office of
“The Principal, Udala College, Udala, Mayurbhanj” on dated20/06/2016at 11 AM in the
presence of bidder(s) or their authorized representatives. If the tenders cannot be opened
on the scheduled date and time described in the tender document, then another date will
be fixed & noticed /intimated to bidders as per the decision of the authority.
5. The authority is not bound to accept the lowest quoted rate if the bidder does not fulfil all
requisites as considered necessary. The lowest bidder will be selected on the basis of the all
rates quoted taking all items into account as a whole. Partial bidding will not be considered
as it is integrated one.
6. The authority have the rights to reject, cancel any / all tender(s) without assigning any
reason thereof.
7. Placing the supply order: The supply order shall be placed to the lowest successful bidder
on submission of 10% or maximum of Rs. 3 Lakh as security deposit in the form of Fixed
Deposit in any Nationalized Bank and pledged in favor of “The Principal, Udala College,
Udala ”within three working days of opening of tender. Failing which the security amount
will be forfeited and next successful bidder will be called for negotiation. The security
deposit will be refunded/returned to the bidder on successful completion of the work
order.
8. Supply of items and job should be carried out by single vendor only as the job is integrated
in nature.
9. All the items must be quoted. Partial quotation will not be accepted. Rates quoted shall
include all taxes, transportation, installation & other charges.
10. The bidder should complete the work of Computer Lab, Seminar Hall &Library Reading
Room within3 weeks from the date of placing the work order.
11. The bidder should quote their price at the appropriate column of the prescribed format
given in the tender paper in Indian Rupees only.
12. All original documents will be verified at the time of opening of bid.
13. Preference shall be given to the quotations quoting DG S&D Rate available for the
materials.

14. The Bidders / Firms must have valid DGS&D Rate Contact &Authorization for the items DG
S&D Rate available.
15. Quoted price shall remain valid for a period not less than 60 days after the last date of
submission.
16. Negotiation shall be done with the lowest bidder only.

BIDDERQUALIFICATION / ELIGIBILITY:
1. Bidder should be authorized dealer/ reseller, partner of OEM and should attach valid
manufacture’s Authorization Form issued from OEM (Original Equipment Manufacturer).
2. Bidder should have experience of having successfully completed similar work (Integrated
Structure cabling and computer Lab setup) during last 3 years for not less than Rs. 10 lakh
in a single order and should attach supporting documents.
3. The Bidder must have valid Up-to-date Authorization/Dealership Certificate, VAT/Service
tax clearance certificate and Up-to-date Income Tax payment Proof otherwise the bid will
not be considered.
4. The Bidder should be a permanent resident of India.
5. The Bidder should attach copy of valid ID proof (Voter ID/Adhar/ Driving License)
N.B: DOCUMENTS IN SUPPORT OF THE ABOVE CLAUSES MUST BE ATTACHED WITH THE
BID FAILING WHICH THE BID IS LIABLE TO BE REJECTED. ORIGINAL DOCUMENTS WILL BE
VERIFIED AT THE TIME OF OPENING OF BID.
