Festival Planning Guide

DELEGATES FILM MAKERS CULTURAL PERFORMANCES

The International Peace & Film Festival will host screenings of animation and family films in the following categories:

• Feature Length• Documentary• Short Film• Student Films (Short)

Awards will be presented at the conclusion of the festival.

Meet with rerpresentatives from Embassy and Consulate offices from around the world to discuss their home country demographics, culture, tourism and business opportunities.

Delegates will be located in the Hall of Nations segment of the Festival

Enjoy music, dance, art and exhibits throughout the festival program.

Participating countries will also feature their national costume during the grand finale fashion show and awards ceremony.

Entrance to the festival will be low or no cost to attendees. Some events will require special tickets for admission, which can be purchased online or on location, these include:

An event of this size will require tremendous volunteer support from the local community. We need film screeners, ticket sales, vendor managers, guides, translators and assistants.

Arrival in Orlando by plane will most likely be through the Orlando International Airport. The Airport is situated a slight distance from attractions and lodging due to the enormous amount of traffic it receives on a daily basis. Hotel shuttles & taxi’s are readily available to accomodate your needs for transport.

We recommend arranging a hotel shuttle in advance of your arrival, as taxi fare can be unexpectedly expensive. Rental vehicles are also plentiful for single or large groups.

Attention Foreign Attendees: If you require a verification letter of your attendance at the festival for obtaining a Travel Visa, please submit a registration form and indicate the address of the American Embassy or Consulate you are applying through for your Visa. http://peacefestival.us/registration/

Knowledge Sharing SessionsThe International Peace Festival will be attended by representatives and citizens from many nations. Held in Orlando, this event includes features that attract many interests from government to culture, science, art and business.

Attendees of the festival will be able to learn firsthand from speakers who have come to present their passion, their life’s work and their legacy with the world. The list of speakers and topics can be found onwww.PeaceFestival.us.

A total of five tracks have been established to provide relevant and valuable insight into an array of industries. Speakers will present (in person or via Skype) their discoveries, lessons learned and future potential of their respective work in an open forum audience. White papers can also be sumbitted to the festival, submissions will be posted on the event website and shared worldwide.

The idea is simply this: If one nation has developed something that benefits their citizens, it will most likely have benefit for other nations as well. This exchange of knowledge inspires peace by building valued relationships between countries.

Setting Up Your Exhibit or Booth at the Festival

Exhibitors at the Peace & Film Festival will have an opportunity to demonstrate their product or service in the midst of the audience as they move between the various rooms of the complex. This ensures maximum exposure to potential business contacts and interested parties. Exhibits must be culturally relevant or connect with existing channels of the knowledge sharing sessions or Film Festival. See the layout below for potential sponsor/vendor spaces. What to Know About Participating in the FestivalOur wish is to make the entire experience pleasant and productive for you during the Film Festival portion of the program. We’ve considered how other festivals operate and would like to explain a few of our rules:

1. This is a Peace & Film Festival, designed to bring large, culturally diverse audiences together for a positive experience. This means there will be multiple programs going at the same time. We want your film to show perfectly to the largest audience possible, so please be patient if something needs attending.

2. Selected films must meet the requirements established in the guidelines: Animation or Family Oriented Features, Shorts, Documentaries or Student Shorts. If you’re film is not selected, it does not mean we didn’t like it. It means it didn’t fit the guidelines or there were other films that fit better into the overall program due to content or available time. We have a limited number of showtimes so everything has to fit. Please don’t be offended if you don’t make it your first time. Our entry is free, so you can always try again next year.

3. We’re passionate about films and want to support the film makers. We’ve invited the entire world to come and participate in the festival, including officials from world governemnts, celebrities, artisits, performers, industry leaders and general audiences. You can help us help you by promoting your participation in the festival via social media and your local news. You can also sign up for news alerts about the festival via our website.

4. We’re tech savvy and will rely on sms alerts to keep everyone aware of what’s going on at the festival. We also manage the main e-mail box for the festival and route messages appropriately for action. We’ll do our best to speak with you directly before and during the events but please understand we’re a small staff with a large project to move forward. If it’s urgent, text us. we will respond.

WHAT WE DON’T LIKE: Festivals that require you to Premier your film to be accepted - We have no preference.Festivals that charge fee’s for on time submissions - If you’re late, there is a small charge, that’s it.Festivals that forgot about finding great films for their audiences - We’re showing great films from around the world. Festivals that don’t present Awards - The grand finale of the entire festival includes film awards during a fashion show.

REqUIRED INFORmATION PRE SCREENING HANDOUTS

A test screening will be made prior to your scheduled showing. You must be present at the test to prevent improper format, sound or display issues.

Only you know how your film should look, so please be there for the test!

In consideration of the environment, the festival will not print handouts but will make all presentation materials available via the festival website.

Please be responsible with ad and poster placements. We will also do our best to have rotating artwork on electronic signage throughout the festival - prior to showings.

About Performing in the FestivalThe International Peace Festival will be attended by representatives and citizens from many nations. Held in Orlando, this event includes features that attract many interests from government to culture, science, art and business.

We are accepting performing artists in dance, art and music for the festival. Performances must be culturally relevant to the festival and can be set on stage, in public spaces or outdoors. Auditions can be in person or on video. Artists will receive maximum exposure at the event, including announcements online and via promotional materials. Models are also being sought for the national costume fashion show.

Each performer must agree to the Performers Agreement, which states: I understand I am volunteering to perform for an audience at the International Peace Festival. I will not be compensated for my presentation aside from admission to various events. My performance including video, photos and media coverage will be shared with the audience during the presentation and when possible made available via the event website for future reference. I will retain authorship of any material presented, but release all materials to the festival management, Aurous Publishing, for any use present or future as long as my authorship is cited on the materials.

Press releases for each performing act will be published on the festival website, with appropriate links to the performers website or social media choice. Feature performers will be listed in the program materials. Register for auditions at online at: PeaceFestival.us

For performers unable to audition prior to the festival, a video can be sent in showing the performing act-ideally in front of a crowd.

A standard size banquet table with 2 chairs will be provided for each national placement in the hall of Nations.

Representing a Nation or CountryThe International Peace & Film Festival will be attended by representatives and citizens from many nations. Held in Orlando, this event includes features that attract many interests from government to culture, science, art and business.

Representation in the Hall of Nations is reserved for official delegates, consulars and embassy staff. Each country that participates in the festival will have enormous opportunity to meet with the general public and build positive relations for tourism, business and general awareness of their respective country. This is the best venue for cultural exchange in a setting that encourages exploration, learning and good will.

The combined element of a Peace & Film Festival offers national delegates an opportunity to iintroduce films and film makers from their home country. This is an optional activity but is encouraged by the staff as it synergizes the benefits of the overall festival program. We will ask delegates of a respective country to accept awards for film makers who are unable to attend the festival.

A national costume fashion show will be held at the festival, we ask that each country in attendance be ready to provide their national costume to be presented in the show. Models will be available to wear the costumes if needed. We understand that not every invited country can participate at the official level. For this reason a country can designate a local delegate to attend the festival on their behalf. Please ensure your appointed delegates are versed in your country’s demographics, culture, tourism and business opportunities.

The Festival Is Just The BeginningThe International Peace & Film Festival channel, IPFF-TV, will capture and extend the highlights of the festival including selected films, awards, knowledge shares, performances and an assortment of content. The channel will debut on the Roku set top box and then expand to more devices soon after.

Just as we wanted to invite the world to come and participate in the festival, we want to share that experience world wide for those who could not attend or who may be considering attending next year.

This is a fabulous platform for film makers who wish to broaden their audience via IPFF-TV while maintaining their distribution rights for future deals.

Submit Your Film To Our ChannelTo give the best presentation of your video project, please ensure you submit your files according to the official IPFF-TV guidelines as follows:

1. Prepare your artwork to fit the exact sizes as defined in the digram below. We recommend opening the artwork template files in Adobe Photoshop and placing your primary project image into each file. Adjust for best fit and save as PNG format. (Template file available for download on PeaceFestival.us/TV)

2. Complete the release and submission form. Ensure you receive a confirmation email to validate complete upload of your data. Note: We do not require you to submit the video file but rather a link to the file in MP4 or MPEG-2 format. This reduces mail time and ensures the highest quality file can be used for upload to the channel.

3. IPFF-TV is not responsible for typographical mistakes made during the submission process. Please ensure accuracy of your content prior to submitting your form.

4. Publishing of your film to the IPFF-TV channel may take up to 2 weeks to complete depending on the amount of film projects under publication. Once published, you will be notified via email that your film now appears on the film grid.

5. Promotion: We encourage you to share the publishing of your film on IPFF-TV as a way to share the success of your film’s progress and bring more awareness to our channel. If at any time, you need to have your film taken offline for legal or business reasons, simply contact us at [email protected]. It can take up to 2 weeks to remove the film from all channels.
