What Staff Assignments Function Does

• Assign devices to staff members

• Create staff assignment templates for re-use at shift change

• Create bed assignment reports

• Send messages to staff members

• View the rooms, beds, patients, staff members and devices in a unit

The staff assignment function enables you to view the rooms, beds, patients, staff members and devices in a unit. You assign staff to beds and devices to staff members using the Staff Assignment function. You can create bed assignment reports to help you quickly identify and document the staff assignments settings. Finally, you can send messages to staff members using the staff assignment function. Not everyone is going to use the Staff Assignment function. Most clinicians will simply receive messages on their wireless devices. However, a smaller set of people will be responsible for defining and/or inputting the staff to bed and staff to device assignments in IntelliSpace Event Management and this presentation is intended for that audience.

Two Step Staff Assignments

This module is focused on using the staff assignments function to make 2-step staff assignments. Two-step staff assignments means that completing a staff assignment requires two steps. In Step 1, you assign staff members to the wireless devices they will use. In Step 2, you assign staff members to the beds they will be responsible for

Starting Orchestrator

Double-click on the Orchestrator icon on the desktop

May need to use Windows Start Menu if no desktop icon available

The Path:Start -> Program Files -> Emergin Integration Suite -> Philips Emergin Orchestrator

You access the Staff Assignments function through the Orchestrator application. To bring up the Orchestrator application, double-click on the Orchestrator icon on the PC desktop. If you don’t see the Orchestrator icon on your desktop, then use the Windows Start button. Depending upon your operating system, you may see the Orchestrator Icon on the list of programs there. Or, you may have to navigate to the Emergin Integration Suite folder and pick out the Orchestrator application from the list of applications in that folder.

Log In to Orchestrator

• Subsequent logins will only require your user name and password

• The server will be automatically filled in by the system

• First time users will need to specify the server to connect to

You will need to log in to the Orchestrator application. Now, the very first time you attempt to log in to Orchestrator, you will have to tell the system what server to use. You are not going to know this information unless someone tells you. Your unit super user is probably going to know this information. So, be prepared. Get this information before you attempt your first login. Once you identify the server, then you will be prompted to login with your user name and password. On subsequent logins you will only be required to supply your user name and password. The server name will be automatically filled in by the system.

Two Views in Staff Assignment

This slide shows the staff assignments screen. There are two different views in the Staff Assignment function; the patient-staff view and the staff-devices view. Use the tabs at the bottom of the screen to change views. This slide is showing the patient-staff view. Click on the Staff Devices tab to switch the view.

Patient-Staff View

In the patient staff view there are 3 windows that contain information. The information contained in these windows is directly related to the units that the logged in user is associated with. The logged in user only see the units that he or she is associated with. The beds window, identifies the units and the beds in those units. This slide is showing a Pediatric Unit and with 6 beds. The way the beds are labeled is a reflection of how the bed is defined in the system. This bed labels in this slide show the room and bed number. Rooms 101, 102 and 103 are part of the pediatric unit. There are two beds in each room; bed 1 and bed 2. The colon separates the room from the bed. The Assigned Staff window identifies the staff assigned to a selected bed. Bed 1 in Room 101 is selected and, therefore, the slide shows the staff assigned to that bed. The Staff Directory window shows all the staff and devices associated with the same unit as the logged in user.

The Beds Window - with Patients

This slide focus on the beds window and this time it shows patients associated with the beds. If IntelliSpace Event Management is connected to the hospital’s Admit, Discharge and Transfer system, patients will appear in the Staff Assignments screen. The color of the bed will reflect the gender of the patient; pink for females and blue for males. The patient’s name and a patient identifier will appear next to the bed label.

Change Units that Appear in the Beds List

• Use Change Zone Membership icon to change the units you are assigned to

• Select units in Zone Membership window

• Zone Membership window appears

• Additional units appear in Bed window

The beds, patients, staff, and devices that a user sees from the Staff Assignment function is related to the units that the user is are assigned to. Units in IntelliSpace Event Management are called zones. A user can see beds, patients, staff and devices in other units, however, if they have been given security permissions to change their zone membership If you can see the Change Zone Membership icon in the Staff Assignments toolbar, then you have permission to change your unit assignment. If this icon is grayed out, then you do not have security permissions to change your unit assignment. Let’s suppose that you have been given security permissions to change your zone assignment. Here’s what you do to add additional units to your assignment or remove your assignment to specific units. Click on the Zone Membership Icon The Zone Membership window appears. From this window you can see the units that you are a member of and the units you are not a member of. Simply select the units that you want to become a member of from the Available window and press the double right arrow button. If you want to remove yourself from a unit, select the unit from the Member Of screen and click on the double left arrow button. Press the OK button to save your changes and close the screen. When the staff assignment screen displays, you will see the additional units in the beds list. Click on the plus signs to view all the beds in the units.

Assigned Staff Window

When you select a bed, the Assigned Staff window shows you the staff assigned to the bed and their colors represent their job roles. In the Assigned Staff window you see 3 boxes. Each one represents one of the 3 escalation levels available to you; Level 1, Level 2, and Level 3. You can assign staff for each bed and each escalation level. Multiple staff members can be associated with an escalation level. You do not have to use all 3 levels of escalation, however. You can choose to only assign staff to Level 1 or Level 1 and 2. Notice also that the staff are different colors. Colors are used to represent job roles, such as respiratory therapist, RN, Charge Nurse. Kristen Martin, in Level 1 is a Staff Tech. The staff tech job role is associated with the color green. Clare Donohue, in Level 2 is an RN. The RN job role is associated with the color dark blue. And Elizabeth Levine, in Level 3 is a Charge Nurse. The Charge Nurse job role is associated with the color pink.

Find a Staff Member in the Staff Directory

• Click on a staff member icon in the Staff Directory window

• Cursor will move to the desired staff member• Type in the first letter of the staff member’s last name

If you want to find a staff member in the staff directory window, simply click on any of the staff member icons in the staff directory window. Then, type in the first letter of the staff member’s last name and the cursor will move to the desired staff member.

View All Staff in Staff Directory

The View All button in the Staff Directory window allows you to see all staff in other units. If the View all button is present, then you have security permissions to see staff assigned to other units. When you click on the View all button, the staff directory shows all the staff members defined in IntelliSpace Event Management. This feature enables you to assign staff from other units or staff not associated with any units to the units listed in the Beds window.

Changing the Staff Directory Display

• Change icon size

• Arrange staff directory by type

• Change to List

• See Staff Details

• Arrange staff by name

The Staff Directory window shows all the staff and devices associated with the same unit as the logged in user. You can change how the staff directory icons are displayed and arranged to suit your preference. Right-click in the Staff directory window to bring up the popup menu. The View menu allows you to change the size of the icons, view the directory in a list view or to view the directory in a list with details. Let’s see how those options look The top screen shot shows the staff directory displayed using large icons The screen shot below it shows the staff directory displayed using small icons Now the slide is showing the staff directory displayed in list view And now you see the staff directory displayed with details visible. You can change which details are shown on the screen using the columns pop-up menu. Simple right-click anywhere in the staff directory window to bring up the pop-up menu and select columns. The list of all available columns will appear and you can choose what information you want to see in the staff directory details view. Another way that you can modify how the staff directory is displayed is by changing how the icons are arranged. Right-click anyway in the staff directory to bring up the pop-up menu and select Arrange. The staff directory can be ordered by name or ordered by type.

Staff Device View: Staff Directory

Now lets move to the Staff to Device tab and talk about the Staff Directory window. The staff directory shows staff members associated with the same units as the user. The colors of the icons represent the staff member’s job role.

Change the Columns in the Staff Directory

The columns that appear in the Staff Directory window can be changed. Simply, right-click anywhere in the staff directory window and click on Select from the Columns menu item. The Select Columns window appears and here you can select what columns you want to appear in the Staff Directory window. There are many fields that you can select from, but the most useful to display are the staff member’s name and the PIN (or phone number) of the device to which they are assigned.

The View All button in the Staff Directory window allows you to see staff in other units. View All Available Devices in Available Devices Screen

The View All button in the Available Devices window allows you to see devices assigned to other units. If the View all button is present, then you have security permissions to see devices assigned to other units. Click on the view all button to see all the available devices that are defined in IntelliSpace Event Management. A word of advise: You probably are not going to want to assign a device belonging to another unit to a staff member in your unit. Therefore, most of the time you should not be viewing the available devices with View All enabled.

Assign a Device to a Staff Member

• Select a staff member

• Select a device

• Click on the Assign button

• Use Staff-Device View

To assign a device to a staff member, you must be in the Staff-Device View. Select a staff member from the staff directory. Then, select a device form the Available Device list. Click on the Assign button and you see that device now moves to the top window – Assigned devices You can assign multiple devices to a staff member, but in most cases this is not done.

Assign Staff Member to a Single Bed

There are 2 steps to assigning a staff member to a single bed. In step 1, you click on the bed to select it. In step 2, you left-click on the staff member icon that you want to assign to the selected bed and then you drag it over to the assignment window.

Assign a Staff Member to a Block of Bedsusing Shift Key

Release the Shift Key After Selecting the Beds

If you want to assign a staff member to multiple beds and those beds are all in 1 block, then use the shift key to select a block of beds. Simply click on the first bed in the block, then press and hold down the shift key and click on the last bed in the block All the beds including the first and last bed you selected will be selected and highlighted. Then, release the Shift Key and select your staff member. You can now drag the staff member icon to the bed to The Assigned Staff window and they will be assigned to all of the beds in the block Be careful. If you don’t release the shift key after you select the beds, you might end up assigning all staff members to the selected beds rather than the one staff member you intended to assign to the beds. If you make this mistake, you will need to go back to all of the beds that you selected one by one and correct the assignments.

Assign a Staff Member to Multiple Beds using Control Key

Release the Control Key After Selecting the Beds

If you want to assign a single staff member to multiple beds, but those beds are not in a block, then use the Control Key to help you select multiple beds. Just press and hold down the Control key while you use the mouse to select the beds. When you finished selecting all the beds, release the control key. Then click on the staff member and drag them to the appropriate escalation level in the assigned staff window. The staff member will be assigned to all of the selected beds. Once again be careful. If you don’t release the control key after you have selected the beds, you might end up assigning multiple staff members to the beds rather than the one staff member you intended to assign to the beds. If you make this mistake, then you will need to go back to all of the beds that you selected one by one and correct the assignments.

Assign Staff Members to Lower Escalation Levels FirstAssign staff to the lower escalation levels before assigning staff to the higher escalation levels

When using multiple escalation levels, it is important to assign staff to the lower levels before assigning them to the higher levels. The system will not let you assign a staff member to Level 2 when there are no staff members assigned to Level 1. Similarly, you cannot assign a staff member to Level 3, if there are no staff members assigned to Level 2.

Clear Staff Assignments for Multiple Beds

Clearing the staff assignments for multiple beds or all beds in a unit is very simple. Just select the beds using either the Select Key to select all the beds in a block or the Control Key to select random beds. Once all of the beds are selected, click on the X icon to clear all assignments for the selected beds. A confirmation prompt appears and if you really want to clear all the staff assignments for the selected beds, then click on the Yes button in the window.

Un-assign a Staff Member from a Single Bed

To un-assign a staff member from a single bed, simply click on the bed to select it. Then drag the staff member icon back to the Staff Directory window.

Clear all Staff-to-Device Assignments

To clear the staff to device assignments: Select a single staff member or Select a block of staff members using the Shift Key or Select a staff members using the Control key When all the staff members are selected, click on the unassign all devices toolbar icon. Then, respond affirmatively to the prompt confirming your desire to unassign all devices from the selected users.

Unassign a Device from a Staff Member

• Select the staff member from the Staff Directory window

• Click on the Unassignbutton

• Select the staff member’s device

• Device is shown in Available Devices window

To unassign a device from a single staff member, select the staff member from the Staff Directory window. Then select the staff member’s device. Click on the unassign button. If the staff member is assigned to beds, you should not unassign that person from their device. The system will issue a warning if you try to do so. Remember, the first step is to clear all staff-to-bed assignments an then the second step is to clear all staff-to-device assignments. Once you have unassigned the device from the staff member, then the device will appear in the Available devices window.

The Bed Assignment Report

• Identifies all the staff assigned to each bed

• Bed Assignment by Stafflists all the staff and the beds assigned to them

• Bed Assignment by Bedlists all the beds and the staff assigned to those beds

• Print Bed Assignment report using Print Preview button

Use the Bed Assignment by Staff report to help you make assignment changes when you only have a few staff members going off duty

The Bed Assignment Report:

• Identifies all the staff assigned to each bed • Bed Assignment by Bed lists all the beds and the staff assigned to those beds • Bed Assignment by Staff lists all the staff and the beds assigned to them • Print Bed Assignment report using Print Preview button The Bed Assignment report by staff is a great report to use when you only have a few people going off duty and you don’t want to use the Un-Assign all button. After all, why should you start from square one re-assigning all staff to beds if only a few nurses are going home. Just run the bed assignment by staff to identify which beds the nurses going off duty are assigned to then, unassign them from the beds one-by-one. You can then assign the nurses coming on duty to those same beds.

The Unassigned Beds Report

• The Unassigned bed report lists all the beds that have no staff or end device assignment to them

• The total number of beds without staff assignments is identified at the bottom of the screen

If you normally assign a Charge Nurse or other staff member to all beds in the unit then this report will not identify any unassigned beds

There’s another report option for you to choose – the Unassigned Beds Report. The Unassigned bed report lists all the beds that have no staff or end device assigned to them. You may find it convenient to look at a report from this standpoint. The total number of beds without staff assignments is identified at the bottom of the screen. If you normally assign a Charge Nurse or another clinician to all beds in the unit, then this report will not identify any unassigned beds and should not be used.

Create a Bed Assignment Report

• Right-click anywhere in the Assignments window to bring up the pop-up menu

• Select Assignments

• Select Reports

To create a Bed Assignments Report from the Staff Assignment screen, right-click anywhere in the Assignments Window. A pop-up menu will appear. From the pop-up menu, select Reports. Then, select the Assignment Reports. The Bed Assignments Report appears. If you want to generate the Unassigned Bed Report then simply click on that menu item from the pop-up menu.

Things to Discuss with your Unit Super User

• How will you handle lunches and breaks?

• Which staff members get assigned to the 3 escalation levels?

• What happens when a patient is discharged?

In this training module, we presented instructions on how to assign and unassign staff members to beds. Now it’s time for you to think about your unit’s practices and talk with your unit’s Super User. For example, at shift change time, how will you know who to assign to Level 1, Level 2 and Level 3? Will you receive a paper identifying all the beds and the nurses that should be assigned to each bed at each escalation level? Or, perhaps there some standard practices about who should be in Level 1, Level 2 or Level 3? Another question that you’ll want to discuss with your unit’s Super User is practices around breaks and lunches. Will you need to make an assignment change during these times? And talk about what happens when a patient is discharged? For example, if a patient is discharged you might decide to do nothing with the assignments. If another patient is admitted to the bed and the same staff members are going to be responsible for that patient’s care, then you are all set. If, however, another set of caregivers is going to be assigned to that patient, then you will need to make assignment changes using Orchestrator.
