Pre-Fire Plan

• Remember a pre-plan is an activity attached to occupancy master record. If no master record exist, one must be created for each particular occupancy. Once this is done a pre-plan activity can be created.

• Creating a master occupancy record doesn’t mean a pre-plan has been conducted.

Pre-Fire Plan •Creating an inspection activity can be done in two different methods

–First we can single click the Occup Tab along the tool bar. –Or we can single click on File move the arrow (cursor) down to Occupancy Management. Once this field expands move the arrow (cursor) over to Occupancy and Pre-Plans.

After clicking the Occup tab or selecting from the Occupancies and Pre-plans under the file bar this screen will appear. Remember that yellow fields are required and blue means completed. Hint pressing tab will advance the cursor into the next field.

Now a master record needs to be opened. There are three ways to do this.

1. Double click in the yellow field under the occupancy name. This will bring up a list of the occupancies in the district corresponding to the log in.

2. Click the browse button. This also brings up a list of the occupancy names in the district corresponding to the log in.

Methods 1 and 2 will bring this screen up.

Hint this list can be sorted by double clicking any of column headers. This may quicken the search for an occupancy.

3. Enter the name of the occupancy, entirely or partially. Then press tab to advance into the next field.

Caution when entering a partial name a list of occupancy that begin with the same characters will appear. Entering the entire name may still pull up multiple master records. It is imperative to select the correct location. See example below.

Caution, after entering either a partial or entire occupancy name, if the screen looks like this then a master record may not exist.

Try method 1 or 2 before creating a new record. Remember to select the correct location, if multiple occupancies share the same name.

If a master record does not exist one must be entered.

After selecting the correct master record, click the inspection and activity tab. The top part of the screen shows all activities and inspections that have occurred.

The bottom part of the screen will only be used by the fire prevention division.

Click the add button to enter a new activity.

This is the next screen that will appear. To select a type either double click in the yellow field or single click the 3 dots. This will expand the field for selection.

This is the expanded screen. Line personnel will only use the 5 codes listed at the top of the page.

• Pre-Fire Plan (PFP) – This code will be used most predominately.

Use for any building surveys or as stated pre-fire plans.

• Site Survey (Site) – This code will be used for any event i.e. the

fair, snowball derby, de luna fest, school or church festivals, or anything that may apply to an occupancy on a special occasion.

– MAJOR this is to be used for immediate life safety hazards i.e. locked or blocked exits, inoperable fire suppression systems, and change of occupancy type.

– MOD this is to be used for general safety hazards i.e. narrow exits, discharged extinguishers/out of service or inspection date, or storing excessive items in fire pump, FCP, or mechanical rooms.

– MINOR this is to be used for inoperable emergency and exit lighting and for multiple activation of fire alarms at one location for the same reason.

– These codes can only be used if a master record exist. Please contact the fire prevention division with MAJOR or MOD request for inspections.

After selecting the appropriate code a prompt will appear select yes if you want a new activity created.

Notice that a list of current violations will appear, if any. Line personnel are NOT there for an inspection. Violations are handled through the fire prevention division.

Select ok to proceed.

To complete the activity fill out the required fields, which are yellow. For a PFP or Site add any notes that may apply and user date and time stamp it. The person who logged in will automatically be listed as the inspector. To change just click on the 3 dots.

Make sure to check completed and enter the start and end times. Once this is done click save.

When requesting an inspection complete the require fields, which are yellow. Add in detail the reason for request, then user date and time stamp. Make sure to notify the fire prevention division of any MAJOR or MOD request. The person who logged in will automatically be listed as the inspector. To change just click on the 3 dots.

Make sure to check scheduled and enter the start and end time. Once this done click save.
