EMISSARIESEmissaries are “on-fire” Catholics who desire to win the world for Christ and make an eternal difference in the lives of those they love with the gifts our Lord has given them. Emissaries have a critical and essential role within the Augustine Institute family. They strengthen and build up the parish community by sharing our life-changing resources. Emissaries pray with and for the apostolate.

Anyone who feels called and can volunteer 1–2 hours per week to spread the Catholic Faith can be an Emissary. This highly rewarding role is vital to helping fellow parishioners deepen their Faith and their love for Our Lord Jesus Christ, His Church, and the Blessed Mother through our life-changing programs.

Independent Contractor Parish Consultant Email Guidelines

To make clear the Independent Contractor status of our PCs, please follow these guidelines:• Use and set up an email address by any email service you prefer . We recommend not using AOL or

Yahoo email addresses because those are incompatible with NetSuite, and they will not receive emails sent through NetSuite .

• Email addresses that use your full name are strongly preferred over ones that use a business name or some other alias (Example: sam .smith@gmail .com) .

• While shorter addresses are prefered, it is permissible to add information that communicates the nature of your work (Example: sam .smith .parishconsultant@gmail .com) .

• The words Augustine, Augustine Institute, Lighthouse, or Lighthouse Catholic Media may not in any way be used in your email .

Active/Inactive Independent Contractor Parish Consultant Policy

The purpose of this policy is to keep the Independent Contractor Parish Consultant (PC) lists up to date with individuals who are able to serve the Augustine Institute . It is understood that changes in people’s lives may make a PC’s desire to work as an Independent Contractor not possible at a certain time .

ACTIVE

An active PC receives email updates from both the home office and their Independent Contractor Servant Leader, and has access to the Resource Center. When a PC has at least two accounts, they also gain access to the NetSuite ordering system . Each year in April, the PC must sign an annual e-contract . PCs will receive the contract link via email in March, and must sign by April 30 to continue receiving commissions .

If a PC no longer wishes to serve as a PC, we invite them to consider volunteering their time and talent and become an Emissary . Click here to register as an Emissary .

Step 1: After logging in, hover over the BACKOFFICE item on the menu and click on COMMISSIONS .

Step 2: On the next screen, you will see your name at the top and sections titled PAYOUTS and PENDING COMMISSIONS . To view the details of the payout, click on the amount of the payout . Information about pending commissions is posted on the 2nd of the month and is available until commission payouts are processed, approximately on the 6th of the month . At that time, pending commissions can be viewed in the same way as commissions by clicking on the amount of the commission .

Step 3: To view the details of the commission paid for a specific transaction, click the amount in the Commission column .

Step 4: Details will be displayed by line item for commission rate and the amount of commission earned . Under the details, the status information shows the total number of assigned parishes, the number of active parishes, and the percent of active parishes . To review how commissions are calculated, please refer to page 10 .

Cluster Policyfor entering kiosk orders

A cluster is two or more parishes that have been officially joined by the action of a diocese or share their pastor and staff. Clusters can be be set up in NetSuite by emailing [email protected]. A cluster is best served by one Parish Consultant (PC) . All orders for any of the cluster locations should be only entered under the “parent” of the cluster . The PC’s name will be listed on each parish in the cluster .

FORMED Policy for one pastorserving two or more parishes

Parishes may share a FORMED subscription only if they are either a cluster as defined above or if they are distinct parishes that have the same pastor, but share no staff or other resources and may have two PCs as well . Parishes that share the same pastor will be linked in NetSuite via a note in the “Formed Status” box in the customer record for which they share a subscription. When a PC sells a FORMED subscription to parishes that share a pastor, the PC must send an email to kathy .wolf@augustineinstitute .org with the names of the parishes that share the subscription .

FORMED Renewals Policy for Independent Contractors

TERMS

Renewal Date: The date on which the subscription renews (e .g . 12 months for an annual subscription) .Expiration Date: The date on which the subscription is cancelled. At this point, access to FORMED is

terminated and the Parish Code will no longer work .Grace period: The length of time between the Renewal Date and Expiration Date. The parish is given an

additional 20 days after the Renewal Date before the subscription shuts down.

On the first day of each month, each region’s FORMED renewals are added to their region’s Google document, and are also made visible in the FORMED implementation backoffice. It is important to add valid User Notes to Netsuite to document all renewal activity . To assist with renewals, Customer Service will also email each parish at least 45 days in advance, advising the parish of their Renewal Date. Parishes that paid by credit card and have “auto-renew” in place will automatically renew on the Renewal Date.

Parish Consultants (PCs) are asked to contact their parish to renew the FORMED subscription prior to the Renewal Date. We suggest making contact four to six months before the subscription ends to talk with the parish and understand how the subscription has been used, and to let them know about the upcoming renewal . The parish should also be contacted at least 45 days before the Renewal Date to remind them of the upcoming renewal. All activities should be documented with valid User Notes. If a subscription has not been renewed as of the Renewal Date, the E-team will engage the parish the next day to secure the renewal . If the subscription was not renewed because there was either a delay in processing the check or the credit card did not process (e .g . the parish tells the E-team that they intend to renew and no selling is needed by the E-team to save the subscription), the PC commissions will still be paid. Renewals are extremely time sensitive. The longer a parish doesn’t renew, the harder it becomes to secure the renewal .

Subscriptions that need to be re-sold (saved) by the E-team after the renewal date are non-commissionable. User Notes are important so everyone knows what is happening with the renewal . If the E-team needs to resell or save the subscription, the PC may continue to serve the parish with the kiosk, HAPP, and the AI physical product. The PC may also assist with FORMED implementation.

If the E-team successfully resells (saves) a parish that was not going to renew, the PC may still submit a 1-Page Parish Support Plan to serve the FORMED subscription at the parish. Once approved, the PC may work with the parish, secure the following year’s renewal, and receive commission that following year. We want to encourage local support of parishes by our PCs when they are able to effectively service the parish .

User Note Policy

When a Parish Consultant (PC) is working with a parish, it is helpful to record activities in NetSuite . User Notes (under the Activities tab) are the place to document parish interactions, sales activities, meetings, calls, etc . Detailed User Notes allow for excellent interaction among these teams:

Digital Marketing Policy

The Digital Marketing Policy covers all types of social media, blogs, personal websites, online video channels, digital advertising, national or multi-state promotion via radio or television, etc . No one should set up a digital site that represents itself as an Augustine Institute Approved Partner or Lighthouse Approved Site without explicit permission.

Because our core focus is on local sales, we encourage all Parish Consultants (PCs) to focus their efforts on direct sales activity: Calling on parishes, making appointments, doing local s, attending local conferences, getting referrals, etc. We prefer that PCs do NOT engage in broad-based digital marketing.

Evangelization Support Team (E-Team)

MISSION FIRST!

We must always strive for Mission First! This is best accomplished through local and active face-to-face relationships in every parish, presenting the full array of our resources, and actively finding and working with Emissaries . Our goal is for every parish to be visited in person by a Parish Consultant (PC), and that each PC is fully trained in all of the programs the Lord has provided (kiosk, FORMED, AI Video-based Programs, and HAPP) . Local representation means that the PC lives within 60 miles of the parish (there are reasonable exceptions—for example, rural areas may require more distance, while urban areas may require less distance) . Active representation means that the PC has the time to take on a new parish and provide excellent service .

The Evangelization Support Team (E-Team) was created to support the Mission First! philosophy that local representation is best . This has been one of the guiding principles of the Augustine Institute, and is indispensable to the growth of our mission. Active, local representation is foundational to all future efforts. To fully accomplish the mission to evangelize the world, the local PC must have the ability to focus on the activities deemed most critical and timely . The E-Team exists to make this focus possible .

WHAT KEY AREAS DOES THE E-TEAM SERVE?

DIOCESAN ENGAGEMENT

The E-Team serves as the primary point of contact for every diocese . The E-Team will work with Regional Directors (RDs) and Servant Leaders (SLs) to collaborate with the local PCs to participate in diocesan initiatives .

FORMED DIOCESAN OPPORTUNITIES

The goal of a diocesan FORMED agreement is to provide every parish with the maximum opportunity to adopt FORMED, and for every local PC to provide the highest level of service to the parishes of the diocese . The E-Team bridges the gap between the service that local PCs have the time and desire to provide and any parishes that still need to be supported. The E-Team will contact parishes in diocesan FORMED agreements to:

• Raise awareness and encourage attendance at introductory webinars • Encourage enrollment in FORMED subscriptions • Invite parish staff to diocesan sponsored trainings

CANCELED AND NON-RENEWED FORMED SUBSCRIPTIONS

The E-Team will assist with FORMED subscriptions that have not been successfully renewed by the local PC or SL prior to the expiration of the subscription . If the E-Team is successful in renewing an expired FORMED subscription, the E-Team will be responsible for service and implementation related to the subscription within the parish for one year. During this year, the local PC of Record can continue to serve the parish with all physical products, is encouraged to secure the next year’s subscription renewal, and will be eligible for commissions as they achieve these sales .

Early Release PolicyThe Augustine Institute is a not-for-profit, 501(c)(3) organization. Since the inception of Lighthouse and continuing now as the Augustine Institute, our normal process is that orders are to be paid in full before shipment via check or credit card . Credit card orders are released to ship immediately after the credit card is approved .

If a parish needs to mail in a check, the order ships once the check is received and applied to the order by the accounting department .

Checks are made payable to the Augustine Institute and are mailed to the attention of the Accounting Department at 6160 S . Syracuse Way, Suite 310, Greenwood Village, CO 80111 .

In the case when a parish urgently needs to pay by check AND needs the order to ship before the check is received by us, a Parish Consultant (PC) can request an early release via the Early Release Form .

Examples of Rare/Urgent:• Parish must have materials for an upcoming event• Parish must have materials for a liturgical feast (Christmas, Easter, etc .)

Examples of NOT Rare/Urgent:• Parish kiosk is running low• PC wants the order in by the end of the month

Additionally, certain parishes are required by either their diocese or their finance council to not pay for materials until they receive them . If these parishes show a history of paying within 30 days, these also will be approved when using the Early Release Form. If they do not have a good history, they will not be early released and we will stop selling to the parish . No order will be released if a previous order is unpaid .

We realize that in the past, some parishes have operated as if they have an “open account” and request an early release on every order . Our PCs must help make this not the norm by calling the parish and explaining that we request payment before shipping to keep our prices low, so as to maximize evangelization while not having additional accounting staff.

Diocesan Record Guidelinesfor NetSuite

In an effort to bring our three core spiritual weapons (FORMED, NGK, and the AI Parish Based Programs) to all parishes, and to better serve our existing parishes in collaboration with the AI diocesan directors, the local PC/SL/RD team, and the Evangelization Support Team (E-Team), these guidelines have been created .

Parish Consultants (PCs) are asked to primarily focus on serving parishes . However, there occasionally may be an opportunity to evangelize with a diocesan office. Please remember that ANY inquiries from diocesan personnel regarding FORMED or Signs of Grace should be directed to Dan Donaldson at dan .donaldson@augustineinstitute .org .

There are two types of diocesan records:• Main Diocesan Record, e.g. Diocese of Madison - WI - 53719• Diocesan Office Record, e.g. Diocese of Madison - WI - 53719: Office of Evangelization and Catechesis

- WI - 53719

• If the diocese has a kiosk, a Chancery Office Record must be created. This will allow PCs to enter orders for that kiosk under a Diocesan Office Record.

• PCs can use a Diocesan Office Record to enter contact information for relationships, enter user notes, create quotes, process orders, etc .

• User notes and contacts can be placed under the Diocesan Office Record for all interactions or activities with diocesan personnel . These notes are critical for ongoing communication with all teams (Customer Service, PCs, Servant Leaders (SLs), Regional Directors (RDs), the E-Team, AI PBP, and diocesan sales leaders).

• Orders can be placed under the Diocesan Office Record.

• On all Main Diocesan Records, Dan Donaldson will be listed as the PC of record. PCs may not place orders under a Main Diocesan Record.

• Although PCs may place orders under Diocesan Office Records, PCs will not remain the PC of Record for any diocesan office. Diocesan offices will be opened up on the first of every month.
