INTRODUCTION

Why use Reference Manager?

• Reference Manager is a personal reference management (bibliographic retrieval) system designed to help you keep track of your references.

• Over 30 different pre-defined reference types can be

chosen from, including journals, books, conference proceedings, and theses.

• Reference Manager eliminates the need for recording

article citations on file cards.

• You can search hundreds of libraries on the Internet from Reference Manager using a single search interface.

• Reference Manager can generate bibliographies formatted in virtually any journal style, as well as incorporating the appropriate reference citations into manuscripts.

• references can be retrieved (using author, keyword, periodical name, year of publication, word or phrase appearing in the title or notes, document type, or any other field).

• Start Menu • Reference Manager from the

Programs menu • Reference Manager • Open Database from the <File>

menu • Select the appropriate “File Name”• <Open>

CREATING A NEW REFERENCE MANAGER

DATABASE

• <New Database …> from the <File> menu

• Type in a name for your database

• “rmd”

• <New>

• A new empty database then appears

IMPORTING REFERENCES DIRECTLY FROM ONLINE OR

CD-ROM DATABASES

• Reference Manager is able to import references from over 50 different databases. It is, therefore, essential to make a note of both the name of the database and of the service you are using before starting this process.

• Select tagged or labelled text format .For example, in Ovid BIOMED choose BRS/Tagged.

To Create Text File

• <Options …> from the <Tools> menu

• “Reference Edit” tab

• “Automatic Settings” box, specify whether to “Check for duplicate references” and/or “Scan titles and notes for keywords”

• <OK>

To Import References

• <Import Text File …> from the <References> menu.

• “Import Text File” dialogue box:

• “Database” drop-down lists, select the database

• browse button <…>, next to the “Filter” box, to locate the appropriate database service

• OVID MEDLINE (BIOMED), OVID(BRS/COLLEAGUE)-MEDLINE or OVID ONLINE(OVID)

• For SilverPlatter EMBASE, SILVERPLATTER-

EXCERPTA MED.

• For BIDS-ISI Science Citation Index, select the BIDS(TAGGED)

• For OVID CINAHL (BIOMED), select the OVID ONLINE(OVID(

• In the “Text file” box, either enter the name and location of the downloaded text file directly, or select the <…> button to locate the corresponding file, followed by <Open>

• Click on <Import>

Searching the Internet to Retrieve References

• <Internet Search …> from the <References> menu

• Select either “Z39.50 sites” or “PubMed” from the “Select Database(s)” menu

Marking References

<Toggle Mark> from the <Edit> menu Or click the checkbox to the left of the

reference.Or with the reference highlighted, press the

[Space Bar] on your keyboard You can mark or unmark all references at once

by selecting <Mark All> or <Clear All Marks> from the <Edit> menu.

Deleting References

• Highlight a reference and select <Delete …> from the <References> menu. Click on <OK>.

• Or highlight the reference and then click on the <Delete> button on your keyboard. delete.

Copying References

Highlight the appropriate reference. <Duplicate …> from the <References> menu. In the “Fields containing data” box, select the

fields to copy into the new reference. To copy all fields, click on <Include All>. To

deselect all the fields, click on <Exclude All>. Click on <OK>. The “Reference Edit” window

appears with the new reference in it, where you can make any necessary changes.

To Copy References Between Databases

• <Copy Between Databases …> from the <References> menu.

• In the “Source Reference List” drop-down, select the database FROM which to copy the references.

• specify which references you wish to copy (highlighted, marked, unmarked or all).

• In the “Destination Database” drop-down, select the database TO which you are copying references.

• To mark the copied references, check the box to “Mark Copied Reference(s)”.

• <Copy> • <Yes> or <Yes to All>• If the reference ID of the reference being copied already

exists in the Destination database, a message appears notifying you that a new reference ID will be assigned to this reference.

To Generate Your Bibliography

• It allows you to create bibliographies according to the journal style you choose.

• Generating Bibliographies from a Reference List

• Click on the <Generate from Reference List …> option in the <Bibliography> menu. This brings up the “Bibliography Setup” dialogue box, as below.

• “References to include” box indicate whether you want all or marked references in the list

• For the “Destination”, specify “File”• browse button (<…>) next to the “Output Style” to

find the appropriate format for the references (e.g. “Harvard”)

• <Open>• You can specify the “Default Font and Size”

Or• “Reference Manager 11” toolbar, • <Generate Bibliography>• The “Bibliography Setup” dialogue box appears• Select the “Reference List” tab, if necessary• “Output Style” drop-down, • You can specify a title for the bibliography within the

“Reference List Title” box.• Select the appropriate “Reference List Order” and

“In-Text Citation Order”.

How To Insert Citation?

• “Cite While You Write” is an add-on to your word processor (e.g. MS Word2000). It allows you to cite references while you are writing your manuscript.

•To view the “Reference Manager 11” toolbar in MS Word 2000, go to the <View> menu, then <Toolbars>, and then select <Reference Manager11>.

• Open your manuscript in MS Word2000

• Position your cursor at the point in your manuscript where you want to insert a citation. Select “Insert Citation” from the “Reference Manager 11” toolbar

• Click <Insert>

• If you want to insert more than one reference in the list displayed, select multiple references by using the [Ctrl] key on your keyboard
