Program Overview

Guide Purpose This implementation guide contains the information necessary to guide

facilitators in delivering the Fundamentals of Leadership in Operations training.

Introduction The Fundamentals of Leadership in Operations (FLO) program is a

certification designed to improve performance results and enhance the leadership and communication skills of Frontline Supervisors. Participants will take training, receive coaching, apply their new skills to the job, and demonstrate results by meeting their CMP goals. Timeframe for completion is six months to one year. Program Topics Include:

• Coaching • Communication • Decision Making • Problem Solving • Safety • Time Management

Targeted Warehouse Metrics:

• Accuracy • Productivity • Retention • Safety • Service Level

Objectives • Ensure a safe, open, and collaborative environment for all

Operations associates through effective coaching by supervisors.

• Increase consistency and customer service of the Operations function by enhancing understanding of Operations systems and metrics which drive performance.

• Increase the leadership capability of Operations supervisors across Sysco.

FAQ What is an Action Workshop and how do they benefit learners?

Action Workshops, also known as Instructor-Led Training (ILT) classroom sessions, are classes conducted in a group/team setting. The group environment allows FLO participants to discuss course objectives, application of knowledge to the job, and thoughts on how information can be used to better operations’ processes. These discussions also allow participants to weigh in on a decision that they will commit to, creating a focused goal which the whole team is behind. Who facilitates the Action Workshops? The Vice President of Operations, HR Business Partner, or Subject Matter Expert. Where can the facilitator materials be found? Facilitator materials can be found in the FLO Facilitator Tool Kit. This tool kit is housed on the SIU site. For instructions on accessing the FLO Facilitator Tool Kit, see page 17 of this implementation guide.

Class Admin Class Admins are instructors or facilitators who are responsible for live

classroom sessions whose logistics and trends need to be tracked in the SIU system. Responsibilities include:

• Creating, facilitating, or assigning instructors to workshop sessions • Registering associates, marking attendance, closing workshop

sessions • Printing sign-in sheets • Running and sharing usage/completion reports

Each location participating in the FLO program must have a Class Admin to create and track the classroom sessions in SIU. Program Components

Curriculum Requirements

Learners must register for the Fundamentals of Leadership in Operations curriculum in order to receive credit and a plaque. The requirements listed below must be met in order to receive a Fundamentals of Leadership in Operations plaque. Learner Requirements:

• Hold an Operations managerial position • Attend mandatory Action Workshops • Complete all required courses within the certification by:

o Receiving a score of 80% or higher o Completing all course topics

• Apply new skills to the job over a period of at least six months using plans established during the Action Workshops

• Meet CMP goals • Improve metrics

OpCo Requirements:

• Rolled out Coaching and Maximizing Performance to the Frontline Supervisors

• Participated in a market rollout through Corporate SIU • Participated in and championed by Vice President of Operations

Talent Management Facilitation Tips: • Every session should feel like an informal conversation that provides

specific, practical tools and concepts. o There should be an urgency and expectation that supervisors are

to immediately go practice/use the new tools and learned material. And that they will report back at the next session about what they committed to doing.

• Be sure the training is an open and collaborative environment – one of comfort and trust.

• Think about your group beforehand to find out what problems they are grappling with and adapt your presentation accordingly.

• Build a sincere rapport with the audience. o Listen and respond with empathy. o Look at as many of your participants as possible for nonverbal

cues.

• Be conscious of your time management – start and finish on time.

• Keep questions open-ended. o Bring out hidden issues using open-ended “what else” questions.

• Treat every question as a sincere desire to learn.

o Be sure you truly understand the question before answering. o Positively reinforce correct answers. o With answers that are incorrect, clarify the response for details

first to be sure the answer was heard correctly. Then carefully correct answers, keeping participation strong and open.

• If possible, stimulate the recall of relevant prerequisites (ex: “Last time you were here, going back to that problem with your boss”)

• Be sure to clarify objectives. o Inform the learners of the expected outcome. Continually inform

them on how this will help them on the job now.

• Keep the audience involved – the more active they are in the educational process, the more they learn.

• Create dialogue and discussion by turning your statements into questions. Let the participants answer first and then you can embellish with any additional information.

• Rule of thumb: five minutes of any training technique that renders the audience inactive (ex: lecture, video tape) is all they can endure. If you have to go longer, take pulses every five minutes.

• Gain and control attention by using gestures, moving through the space, colorful charts or slides, and announcements.

• If you cannot elicit feedback, go back and clarify your objectives.

• Use the phrase “please stand” or “put down your pens” when you are done in order to get an idea of where people are in the process. Standing also doubles as a stretch break.

• If a separate conversation breaks out in the audience, walk over to the point of distraction to continue your presentation.

• Personalize the discussion and have the participants describe an actual situation they are facing that relates to the topic.

• Encourage students to test anything that you state to see how it benefits them. Let them know you expect them to ask questions.

• Offer guidance for learning by using relevant personal examples.

• Ensure retention by incorporating the topic into further study by using the new learning on an old problem or scenario.

• Appraise the performance through testing, skill practice, and reality.

• Make transferability possible by connecting learning to real life.

• Have participants individually create a specific action plan.
