How-to Pull a Report in GHIN 1. Open an internet browser and go to www.gam.org/clubadmin 2. Enter your Username and Password in the appropriate boxes* 3. Select “Sign In”

*If you do not know your Username and Password please contact the GAM at [email protected]. We can also add additional Club Administrators for your club if desired.

4. Click on the “GHIN” Logo in the top right corner of the page.

5. In the main menu bar, select the “Reports” tab.

A new tab will automatically open after you click on the “Reports” tab. You will then see the screen shown below.

6. Click on the Report you want to generate (for this example, we will use Handicap History). 7. You will then see the following screen.

• The first section is Report Filters. Your association number, club number, and club name will automatically appear. The options you can change in this section include the Print Group (if you only want a specific group), the Status (active or inactive), and the Revision Date Range.

• The second section is Report Output Columns. This section allows you to choose what information you want to see on your report and how it will appear. The Available Columns (left side) box are the options you can show, but are not going to be shown on your report. The Display Columns (right side) box are the columns that will show on your report. In the example below, Local Number will NOT show on the report – GHIN Number and Member Name WILL show on the report.

o To move a Column Header (i.e. GHIN Number) from Display Columns to Available Columns, select the column header you want to move and click the small arrow in between the Available Columns box and the Display Columns box. Choose the arrow that points the direction to move the column header. So, to move “GHIN Number” to the Available Columns box, select GHIN Number and then click the arrow pointing to the LEFT. This process works the same way to move a column header from the Available Columns box over to the Display Columns box.

o If you want to change the order of your Display columns, use the blue up and down arrows on the right side of the box.

• The third section is Report Appearance. This box is where you can choose if you want to customize the appearance of your report, such as including the font size, the paper size or the page header.

8. Once you are satisfied with each section and have chosen either Letter, Legal, or Export, scroll up to the top of the page and select “Run Report”.

9. If you chose to Export your report, you will see the following screen. You can then choose the format for your Exported report. Select the report format, then click “Export Report”.

How-to Schedule (Automatically Run) a Report in GHIN To Schedule a Report, follow steps 1 through 7 from “How-to Pull a Report in GHIN” (page 2), then continue with the steps below.

1. Once you are satisfied with each section and have chosen either Letter, Legal, or Export, scroll up to the top of the page and select “Schedule Report”.

2. After you have selected “Schedule Report”, you will see the following screen.

Type a description of the report and choose the Run Frequency for your Scheduled Report. The options include:

• Daily – a report automatically generated every day • Weekly – a report automatically generated once per week on a day of your choosing • Monthly – a report automatically generated once per month on a day of your choosing • Immediate – a report run right away for a one-time use • Revision Date – a report automatically generated on each revision date (1st and 15th of the

month)

You can also choose to enter an email address (es) of people to receive an emailed copy of your report.

3. When you are satisfied with your Scheduled Report options, select “Schedule”.

Description of the Reports You Can Pull in GHIN

ADDRESS LABELS This report can generate your members’ address (es) in a label format. You can choose several items to customize your report, such as the members’ status, gender, and address type. More importantly, there are three options for what size labels you would like to use which are listed under the “Label Type” drop-down menu. Those three Label Type options are Avery 5160, Avery 5161, and Avery 5162. CLUB ROSTER The Club Roster report will pull various member information (of your choosing), including GHIN number, Member Type, Status, Email Address, and more. Essentially, this report can serve as a club member roster, and may include members who are currently inactive. COURSE HANDICAP TABLE The Course Handicap Table report can be pulled for either male members or female members. You can then choose which set (s) of tees you would like to generate the report for. Your report will show the calculated Course Handicap for any given Handicap Index (from +3.5 to 36.4 approximately). Again, the Course Handicap will be calculated for all Handicap Indexes for the set (s) of tees you select. HANDICAP INDEX/CH This report can generate members’ current Handicap Index, previous Handicap Indexes, default Course Handicap, default tee name, default tee rating, and several other options. The Handicap Index/CH report is good for comparison of each members’ handicap revisions. This is likely the most common report that you will run. HANDICAP HISTORY The Handicap History report is just as it sounds. This report will provide you a record of members’ Handicap Indexes over a time period of your choosing (current to 1-year prior, current to 6 months prior, current to 3 months prior, or custom). HANDICAP INDEX RANGE The Handicap Index Range report is another good report for showing a members’ Handicap Index changes over time. This report is customizable for the time period (current to 1-year prior, current to 6 months prior, current to 3 months prior, or custom) and for the information displayed. HANDICAP LABELS The Handicap Labels report generates miniature handicap cards for your members as of a revision date of your choosing. This report lists the members’ name, GHIN number, home club, the revision date, Handicap Index, the most recent 20 scores, and notes the scores that were used to calculate the members’ Handicap Index. This report is less customizable than others, but you can choose which revision date you would like to pull the report for.

HANDICAP REVISION SCORES This report gives great detail for each members’ most recent 20 scores (or less if he/she doesn’t have 20 scores). This report shows the members’ name, gender and Handicap Index. It also shows the date, ESC, Course Rating and Slope Rating, the differential, and the course/tees played for each member. You can choose the time period (under Revision Date) for the report to show – Current, Trend, or Past. INTERNET SCORES POSTED This report generates the GHIN number, local number, name, and number of scores posted on the internet for each of your members. LOCAL NUMBER A Local Number tends to be most used by clubs that have a kiosk. The local number can be entered by members to access his/her score posting. This report will generate the members’ name, local number, and GHIN number. LOW HANDICAP INDEX The Low Handicap Index report can generate the members’ name, GHIN number, local number, current Handicap Index (H.I.), low H.I. last 12 months, low H.I. last 6 months, low H.I. last 3 months, and low H.I. – custom. Please note that prior to generating this report, you will need to enter the date range for which you are pulling the low H.I. – custom information. MOST IMPROVED GOLFER This report reflects the improvement of each member based on the his/her Handicap Index over the last 1-year prior, last 6 months, last 3 months, or custom Revision Date Range. The improvement is based upon the calculated differentials and Handicap Index. This report lists all members in descending order from most improved to least improved. REDUCED GOLFERS The Reduced Golfers report will show any members (and his/her GHIN number, index, reduced, number of tournaments scores, and more!) that have had their Handicap Index reduced. The reduction in a Handicap Index would occur because two or more tournament scores were posted in the last year that were at least three strokes better than the players’ current Handicap Index. REVISION GOLFERS The Revision Golfers report generates a list of your members for which revisions are being calculated. Essentially, this is a list of all your active members, showing that their Handicap Indexes are being revised on the 1st and 15th of each month. ROUNDS POSTED Just like it sounds, the Rounds Posted report will generate the number of rounds that each member has posted within the date range of your choice (this year, last year, or custom). Unlike Internet Scores Posted, this report will show all the scores a member has posted. This is especially usual for clubs and Handicap Chairs to perform a Tee Sheet audit to make sure members are posting scores.

SCORE POSTING SHEETS The Score Posting Sheet is technically a report, but would likely be used for members to write his/her score posting information down for it to be recorded later. You can have this report generate the members’ name, GHIN number, and local number. However, the report will automatically generate several columns for a member to write the date, score, course rating and slope, and the score type for his/her score to be posted. SCORES POSTED This report is very customizable. The columns you can generate for each member are GHIN number, member name, status, local number, Handicap Index, date, score, Diff., rating, slope, course, score type, and round count. There are also many options (including a custom option) for the Run Date Range. SHAFT LABELS The Shaft Labels report allows you to generate labels for each member to put on his/her club shafts. You can change the number of labels created for each member, as well as the members’ information that will show on the customized label (name, address, city, state, zip, email address, and more!). 9 HOLE SCORES POSTED This report breaks down the 9-hole scores posted for each member. It will show the two scores and corresponding information (the date played, score, course rating and slope, and score type) that were combined to form one 18-hole score. If one of the 9-hole score was not combined, the report will show that score by itself. For member information on the report, you can choose to include the GHIN number, name, and local number. You can also enter in custom dates for which to pull the report. Under the current GHIN Handicap System™, members are not able to view 9-hole scores that have been combined. So, this report will give you the ability to provide that information to them. The USGA is working on correcting this for 2019 to allow members to see 9-hole scores.
