IntroductionPowerPoint presentations are verycommonplace today. Be it business,be it students presentation or even aresume presentation, PowerPoint(PPT) presentations are very muchdesired. It is today essential to knowto build a good PPT presentation.

Cardinal Rules1. Do not keep all you have to explain in a PPT

slide. That will make it utterly uninteresting.Keep only words and sentences that will giveyou the cues ( that you might otherwise forgetin the run of things) to explain and elaboratethat you have in mind.

2. Do not stuff a slide with lot of figures andtables. You can not expect your listeners to

make a special effort to read them all. Peoplewho matter in a presentation are the peoplewho hear such PPTs as a part of their day today job. You must always try to keep themengaged without tiring them.

Cardinal Rules3. Do not put a lot of animations in the slides. It is boring to see

animations pouring in from all sides. Some are outrightobnoxious. Keep just a few of them, if not unavoidable.

4.Do not keep any music in the presentation.5. Do not keep very small font sizes, keep a clear background withor without a light tint of blue or green. The color of the textshould be prominent against the background.

6. Use hyperlink to show a large table. Do not show it unlessasked for ,or if you are asked to explain something thatrequires the table/figure to be opened.

7. If you are asked to complete your presentation within a periodof time ,keep your presentation within that time.8. If you do not know a particular thing you would do well by not

bringing it into the discussion.9. Keep guesswork out of your presentation.

Planning ProcessTry to know these:

1. The time given to you. You have to stick to thetime and duration.

2. The audience: Are they students, or professors,

or business executives or government officials.Each group has a different need.3. Ponder over what you know very well about

what you have been asked to. If you can notcover up what you do not know when the job isgiven to you ,keep yourself to what you knowand build on that. It is not possible foreveryone to know everything.

4. Another cardinal rule : Do not everunderestimate your audience.

Business PPT DesignWhen your PPT is for a business order/tenderquote or for introducing a new product, and youare appearing before a semi-technicalcommittee ,your PPT should be:

1.Must focus on the utility and convenience of theproduct and its use. Not much on technicalspecifications.

2. Keep the service and repair aspects ahead of mere functionalities.

3.Do not try too hard to impress because thepeople you are talking to know it quite well.

4. Emphasize the fail-safe characteristics morethan few operational advantages.

5. Keep an overall long term cost comparison

Tender /Quotation PPTS1. Keep your data and data on the website nearly

the same.2. Explain on the critical items that control the

functions.3. Emphasize precision.4. Emphasize the service aspects like your service

team composition and how close they arelocated from the customer.

interest ahead of everything.7. Bring few funny anecdotes so that people are

1. Work on what you know and what youhave understood well about the subjectof the presentation.

2. Be careful about using any jargon orterms like error, deviation ,etc.3. If you are talking about somebody else's
