Electronic Invoicing Options

• Hewitt Custom – this is best for internal systems like expense reports

• Vendor Custom – an example is UPS who has a custom XML standard

• EDI – a standard that was created in 1979 by ANSI X12 committee

• OAG XML Standard – this is a new standard and could not well accepted

• cXML - is Commerce eXtensible Markup Language and was started in February of 1999. If you have PeopleSoft ePro and use punchout, you are using the cXML standard for purchase orders.

The EDI format is inferior for the following reasons:

A) This standard is 28 years old and is limited by the technology that was available in 1979.

B) Too much gray area in interpreting the standard.

C) EDI requires a third party tool like Gentran.

D) EDI (X12) is moving to XML. ASC X12 is collaborating on an international standard using XML called Electronic Business XML or ebXML. However, cbXML is limited because of dependencies on the old EDI format.

cXML invoice is superior for the following reasons:

A) Uses eXtensible Markup Language

B) This is the same standards group that we use to send purchase orders in ePro

C) The initial survey of five vendors indicated that three vendors support cXML.

D) You can add more elements like accounting information.

"Most other XML B2B protocols are an attempt to translate the EDI business process and documents into the syntax of XML. As such, they generally encounter the same problems that have plagued EDI: The need for point-to-point mappings makes them unsuitable for the Internet. cXML attempts to come at the problem from another angle (informed by EDI but not following it) and avoid those issues."

Issues when Implementing cXML

• Internal knowledge

– Hired a consultant to help implement first vendor.

– Technical developer took PeopleSoft Integration Broker class

• No image of invoice in imaging system

– XML Spy tool to view cXML invoice

– Rename the invoice to vendor name plus invoice number

– Store the cXML invoice for seven years

• One vendor claimed to have cXML but had a custom format.

– Send vendor link to cXML website

– Ask vendor for sample cXML file
