ACADEMIC ADVISINGUpon admission to an academic program, you are assigned a major advisor. It is your responsibility to arrange an appointment with the advisor as soon as you are admitted into a program to outline your program of study, taking into consideration previous work and your academic objectives. Although your advisor will assist you in plan-ning your program, you must assume responsibility for knowing and meeting the curriculum requirements.

AUDITING COURSESIt is possible to audit any course offered by the Division of Graduate and Continuing Education. Students who elect to audit courses have the privilege of attending classes but are not required to take any tests or examinations or turn in any written assignments. Auditors should attend all, or most, class meetings. They do not receive a grade or credit. Auditors pay a reduced amount of tuition plus all fees. For the exact amount, consult the section on fees. Please remember that an audited course cannot later be repeated for credit.

In order to qualify to take a 100 or 200 level college class for credit (and thus receive a grade), the student who is an entering junior or senior must complete the application form, obtaining all required signatures, and submit the application by the deadline. Eligible students must have a “B” or better average and be recommended by their guidance counselor. Effective fall 2008, tuition and fees for participating students are covered by a MA state grant. Due to grant guidelines, and budget and space limitations, Westfield reserves the right to limit students to one course per semester if needed, and may need to deny applications based on space. For more information, and to begin the application process, students should meet with their guidance counselors.

CANCELLED CLASSES: INSUFFICIENT ENROLLMENTContinuing Education courses are funded solely by the fees students pay. Unfortunately, each semester there are courses in which enroll-ments are not sufficient. These courses are cancelled at the discretion of the Division of Graduate and Continuing Education. To allow students time to enroll in other courses, decisions to cancel are made as soon as possible after general registration on the basis of number of enrollments at the time.

REGISTRATION INFORMATION

MyWestfield Access: Login to the portal from mywestfield.wsc.ma.edu. Login with your first initial, last name and last 4 digits of your CWID. Your initial password will be your CWID or current email password. Using myWestfield is the only way to find your grades, register online or access your email, and is the best way to stay informed regarding news and upcoming events.

You can pay your bill online immediately following regis-tration with a credit card. If you would prefer to print the statement page and mail in with payment, please know that payment is due within 10 days of registration. Failure to do so will result in the addition of the $100 late payment fee and loss of the early registration discount.

COURSE LOADStudents needing assistance in determining course loads should con-sult their academic advisor or a DGCE Administrator. In most cases, Continuing Education students determine their own course loads. However, students in the part time graduate program are limited to two courses per term and students with full-time employment should ordinarily limit themselves to two courses. Students with PELL grants must take a minimum of two courses (6 credits) in order to receive awards. Graduate and post-baccalaureate students enrolling for 8 credits or more and undergraduates for 11 credits or more need permission of the Dean or designee. Students are not permitted to take courses at other institutions once they have matriculated. Any exceptions to this policy must be documented on the Undergradu-ate Course Permission Form prior to registration for the course(s) at other institutions.

CHANGE OF REGISTRATION STATUSStudents can make the following change of status prior to the third class meeting: Undergraduate to graduate credit Graduate to undergraduate credit Credit to audit Audit to credit

These changes can be made in the Office of Graduate and Continu-ing Education by filling out the appropriate form. There is no refund in the case of a change from credit to audit and the balance of the tuition must be paid in the case of a change from audit to credit.

HEALTH INSURANCE REQUIREMENTChapter 15A of the Massachusetts General Laws mandates that ev-ery full or three-quarter time student in a public or private institution of higher education shall participate in a qualifying student health insurance program. You may waive this insurance coverage if you certify that you have comparable coverage.

Failure to submit the proper waiver form will render you liable for the state-mandated coverage provided by the College and you will be billed accordingly.

Post-baccalaureate and Graduate students are considered 3/4-time at 7 credits and full-time at 9 credits. Undergraduate students are considered three-quarter time at 9 credits and full-time at 12 or more credits.

HEALTH INSURANCE WAIVER INFORMATIONPlease be aware that effective with the Fall 2009 semester, all students enrolled in three-quarter time coursework (6.75 or more credits for Post-bac. and Graduate, 9 or more credits for Undergraduate) and who do not wish to purchase a health plan through the college, must provide proof of medical insurance coverage by posting this informa-tion via the web. We will no longer accept this information on paper.

In order to avoid being assessed a state mandated insurance charge you must waive the fee by entering your medical insurance informa-tion online at www.universityhealthplans.com

From the main screen, please do the following:

• Select Westfield State College.

• Select the “Accident & Sickness Insurance Plan” option.

• Then click on the “Waiver Form” link to continue the waiver process.

Also, in order to purchase health insurance through the college, you must be enrolled in ! time coursework for the semester.

IMMUNIZATION REQUIREMENTAll students must provide evidence of immunization to register as a full-time student; 12 or more undergraduate credits, 9 or more post-baccalaureate or graduate credits.

Mass. Law (Chapter 76-Section 15 C) requires that full time college students (12 credits undergraduate and 9 credits post-baccalaureate and graduate students, per semester) present evidence that they are immunized against measles, mumps, rubella, diphtheria, and tetanus in order to register for classes. Tetanus/Diphtheria must be within 10 years; Measles, Mumps, Rubella, initial immunization at the age of 12 months or older and after 1968, and date must include month, day, and year to be valid. If there is a question of immunization status according to the above information, please update your immuniza-tions.

Three doses of Hepatitis B vaccine are required for all full-time and all Health Science students, undergraduate and graduate. Westfield State College considers students matriculated in Movement Science and Criminal Justice programs, as well as students in teacher training programs, to be in the at-risk population, and requires the same im-munizations as Health Science students.

TRANSCRIPTSOfficial transcripts may be obtained from the Office of Continuing Education by mailing in a written request or filling out a transcript request form. Transcript request forms are available on our DGCE Webpage, as are other forms. The original signature of the student is required on the form before a transcript can be released or sent and a fee of $2.00 per transcript must be submitted with the transcript re-quest form. Please allow a minimum of five (5) working days for our office to process the request. A fee of $5.00 is required for a pre-ap-proved transcript processed within one (1) business day. Transcripts that include the final grades of the present semester will be available approximately two weeks after the close of the term.

WITHDRAWAL FROM COURSESYou may withdraw from courses before the second scheduled meet-ing without notation on your permanent record. You must withdraw in writing. A Withdrawal Form is available in the DGCE Office. If you withdraw after the second class meeting, you must obtain the signature of the faculty member.

For refund and withdrawal purposes, Online and Brick & Click courses are deemed to begin “meeting” on the first day of the semester at 9 a.m., unless otherwise noted. They will be considered “meeting” as other in-person courses that begin the first day of the term (i.e., once per week for fourteen weeks in fall/spring, twice per week for six weeks, or every day in winter). This refund and withdrawal schedule follows this “meet” schedule and is effective regardless of individual student login.

FINANCIAL INFORMATION

IMPORTANT NOTICE: Failure to pay within 10 days of web registration will result in the addition of the $100 late registra-tion fee and loss of the early registration discount.

• Registration and educational service fees will only be refunded for officially canceled courses.

• Education service fee is refunded for withdrawals before the class begins.

• Registration fee is non-refundable. No refunds for Winter Session after class session begins.

• Please note that online courses may have earlier start dates.• We accept checks, money orders, Mastercard, Amercian

Express, Visa and Discover cards. Cash cannot be accepted for payment over $10.

REFUNDSRefunds of tuition and instructional fee, if any, are made on the basis of the date and time of receipt of a student’s withdrawal. Students who officially withdraw from a course after the first scheduled class and within the allowable withdrawal period will receive a designa-tion of W. The registration fee is non-refundable.

FINANCIAL AIDThe Financial Aid Office at Westfield State College is located within the Student Administrative Service Center and is committed to insur-ing that no student is unable to pursue his or her educational goals for lack of financial resources. Westfield State College participates in a wide variety of federal, state, and private programs. Assistance can be in the form of gift aid (scholarships and grants) and self-help programs (loans, work study and graduate assistantships).

The staff of the Financial Aid Office are available for assistance at 572-5218.

DELAYED PAYMENTWestfield State College offers a program for matriculated students that allows for payment of tuition over a period of time during the semester. Students must meet the following requirements:

• Matriculation in a degree or certification program through DGCE.

• Payment of the application fee (non-refundable).

• Ability to pay total tuition and fees by published due dates.

• Students must follow all regulations regarding withdrawals as stated in the Division’s refund policy, and are responsible for total payment even if they withdraw before the end of the semester and regardless of grade. No student may apply for delayed payment who has been sent to a Collection Agent or placed in Administrative Withdrawal. First payment due at registration.

Students must complete the application and have it approved before they may register into courses. The application must be completed each semester. There is a late payment penalty charge if bills are not paid in full by the date of the final payment. Any account sent to Collection is charged a 20% collection fee.

SENIOR CITIZEN TUITION WAIVERIn accordance with Chapter 915 of the Acts of 1977, Common-wealth of Massachusetts, the WSC Division of Graduate and Continuing Education will waive tuition for persons over 60 for Massachusetts residents only, provided registration, institutional fees and related expenses are borne by the student.

Students must have the Waiver Form completed in advance of reg-istration. The form is available in the Continuing Education Office. Proof of date of birth is required.

(Please note: any new fees will be posted on the DGCE website before registration begins.)

COURSE NUMBERSIn this catalog you will find classes listed with three to four letter pre-fixes and four digit numbers followed by a three digit section number. 1. CRN - Course Reference Number - this 5-digit number identifies the section for on-line registration. 2. The letter prefix indicates the department through which the course is offered (for example, EDUC is the Education Department). 3. The four digit number that follows indicates, to some extent, the level of the course in terms of first year, second and so on. One hundred (0100), 0200 and 0300 courses are undergraduate level. Five hundred (0500) and 0600 numbered courses are graduate level. In special circumstances, upper level undergraduates may apply to take a graduate course for undergradu-ate or graduate credit. A form for this is available in the office and must be signed by all necessary authorities in advance of registration (including the Department Chair and Dean of DGCE). 4. The section numbers indicate a day division class (001, 002, etc.), a DGCE class (501, 502, etc.) or a satellite campus class (F01).

ACADEMIC SUPPORT/TUTORING Academic assistance and tutorial support are provided through the Tutoring Center, academic assistance is offered in writing skills and mathematics. Tutoring is available in all areas of the college curricu-lum. For further information, telephone 572-5783/5787; the Tutor-ing Center is located in Wilson Hall, Room 234.

ACCESS TO BUILDINGS FOR PHYSICALLY DISABLED STUDENTSPhysically disabled students should contact the Office of Graduate and Continuing Education at 572-8020 in advance of the term in or-der to receive assistance in solving any problems they may have with regard to parking, entering buildings, reaching classrooms, or seating arrangements within classrooms. Access to campus buildings is noted on the Campus Map on the inside back cover of this catalog.

ATTENDANCE POLICY AND CLASS LENGTHRegular attendance to classes is expected. However, the weight which attendance may have and specific attendance requirements are for-mulated by the instructor.

Evening classes generally meet once per week from 4:00 pm –6:30 pm or 6:30 pm – 9:15 pm. Unscheduled absences due to inclement weather or faculty illness or emergency can occur. Make up dates have been set aside for classes that have not met the required number of hours during the semester. See the Academic Calendar for informa-tion.

BOOKSTOREThe Westfield State College Bookstore, operated by Barnes and Noble, will have extended hours to accommodate student needs dur-ing the opening of each semester.

BUS SERVICEPVTA bus passes (Route 110 and 208) to and from Downtown Westfield, Holyoke and Springfield are available to graduate and continuing education students at a minimal charge.

THE DUAL ENROLLMENT PROGRAMThe High School Scholar Program seeks to reward young scholars who have proven themselves to be intellectually ready to move early into the exciting world of college learning. Here is an opportunity to take a college course in Computer Science, Mathematics, Literature, Art, a Foreign Language or Philosophy and gain that competency edge for full time college work. Entering juniors or seniors in high school take the course for credit at a reduced rate. Contact: [email protected]

FAMILY EDUCATIONAL RIGHTS AND PRIVACY ACTThe Family Educational Rights and Privacy Act of 1974 which took effect on November 19, 1974 assures confidentiality of educational records containing information directly related to a presently enrolled student, a former student or alumnus/a.

The institution, according to the Act, may make public “Directory Information” about a student, e.g., name, address, date and place of birth, telephone listings, schools attended, degrees and awards received, major field of study, participation in officially recognized activities and sports, weight and height of members of athletic teams, and the most previous educational agency or institution, unless the student specifically requests in writing that his/her prior consent be obtained.

A request made by students to suppress from public distribution the above mentioned information is to be made in writing annually to the office of the Dean of Graduate and Continuing Education, no later that October 1 of the academic year for which the information is being made public. GRADES Approximately two weeks after the close of each session, course grades will be available via the myWestfield portal on the College’s website. No grades will be issued by telephone. Westfield State Col-lege uses the following grading scales:

Undergraduate Courses: A, A-, B+, B, B-, C+, C, C-, D+, D, F

Graduate Courses: A, A-, B+, B, B-, C, F

Other notations used are ‘W’ for students who officially withdraw from a course; “AU” for students who are auditing a course and “I” for students whose work is incomplete at the end of the term. The grade of ‘I’ is assigned only if 80% of the course work has been completed and the instructor has agreed to allow you to complete the course after the close of the semester according to a prearranged schedule. PARKING PRIVILEGESParking decals are only sold at the Public Safety Complex on West-ern Avenue. Your vehicle registration must be presented with your application form before a decal can be purchased. STUDENT I.D. CARDAll Westfield State College students should have a bar-coded Student I.D. Card. Taken during registration periods and the first three weeks of classes, the picture I.D. will cost $10.00 and will be used through-out your academic career at Westfield State College. I.D. photos are taken in the Wilson Hall Lounge area.

Each semester you register for classes you will receive a semester validation sticker. You should show your student I.D. card when you register for classes, request a transcript, apply for your parking sticker, withdraw books from the Ely Library and for any other offi-cial business on campus. Your I.D. may be encoded for other special services on campus at a cost. The cost for replacing I.D.s is $20.00.

TRANSCRIPTSOfficial transcripts may be obtained from the Office of Continuing Education by mailing in a written request or filling out a transcript request form. Transcript request forms are available on the DGCE website, as are other forms. The original signature of the student is required on the form before a transcript can be released or sent and a fee of $2.00 per transcript must be submitted with the transcript request form. Please allow a minimum of five (5) working days for our office to process the request. A fee of $5.00 is required for a pre-approved transcript processed within one (1) business day. Transcripts that include the final grades of the present semester will be available approximately two weeks after the close of the term.

VETERANS SERVICESAs an active duty service member or a veteran residing in Massa-chusetts, you may qualify for a tuition waiver or for federal benefits. The Veterans Services Office is located in Ely, Room 146 and is open 9:00 a.m. to 4:30 p.m., Monday through Friday. The telephone number is 572-5446. All veterans are encouraged to contact the of-fice prior to registration so that staff can help you with the necessary paperwork. Students using the Massachusetts Waiver of Tuition benefit must be formally admitted to a degree program at Westfield State College to use the benefit. You may use the benefit in your first semester of study with the College while awaiting an admission decision; however, formal admission is required to continue to use the benefit in subsequent semesters. All tuition waiver veterans are required to contact the office if they have not received the benefits in a prior semester.
