GovMail Migration: A Step by Step Guide This guide will help users of ICT Office's email account transfer from the old Zimbra system to the new GovMail painlessly and hassle-free. It's just like having a new cellphone. You will want to transfer all your contacts, shopping lists, notes, alarm schedules, calendars, etc., to your new mobile. You'll do the same with your new account in GovMail. You will import your account data, specific folders, calendars, and contact lists. To do this you will first export them from your old account to your computer. Doing so will also allow you to have a backup of all your account files. GovMail Migration: A Step by Step Guide

This guide will help users of ICT Office's email account transfer from the old Zimbra system to the

new GovMail painlessly and hassle-free.

It's just like having a new cellphone. You will want to transfer all your contacts, shopping lists,

notes, alarm schedules, calendars, etc., to your new mobile. You'll do the same with your new

account in GovMail. You will import your account data, specific folders, calendars, and contact lists.

To do this you will first export them from your old account to your computer. Doing so will also

allow you to have a backup of all your account files.

Exporting an Email

To export your email do the following steps.

1. Open a web browser (Mozilla Firefox, Google Chrome, Internet Explorer), then Go to URL:

https:// fmail.ncc.gov.ph or http://webmail.icto.dost.gov.ph

2. The login page will appear. Type your username and password using your valid credentials.

3. Select the “Preferences” tab.

4. In the Preferences column, on the left side of the screen, click “Import/Export”.

5. Under “Export” and along the “Type” field, select “Account.” Next to “Source” field, click

“All folders”.

6. A window similar to the image below will pop up. Scroll down to Folders. If the list of folders

is not expanded, click on the arrow next to Folders to expand it. Then select the folder that

you want to export by clicking on it once and then click “OK.”

If there are two folders listed and the one you expand doesn't contain your email folders,

expand the other one.

7. Click on the “Export” button on the far right side of the screen.

Exporting an Address Book

You can export contact lists and address books that are saved in a comma-separated (.csv) text file

format.

To export an address book using Zimbra Collaboration Suite, do the following:

1. Open a browser (Mozilla Firefox, Google Chrome, Internet Explorer), then Go to URL:

2. Type your username and password using your valid credentials.

3. Select the “Preferences” tab, then click “Import / Export”.

4. Under “Export” and along the “Type” field, select “Contacts”, then choose from the

dropdown the “Account Contacts”. In the “Source” field, click “All folders”, a window

named “Choose Folder” will appear. Choose “Contacts” below the Address Books.

5. Click “Export” button to download the Contacts.csv file. A popup window will appear, then

tick “Save File” then click “OK” button. A file will be save in your computer.

6. Downloaded File: Contacts.csv

Exporting the Calendar

Before exporting the Calendar, you will need to remove all the repeating events, all the “all day”

event and all meetings to which you have invited other people.

Here's how to export the Calendar

1. Open a web browser (Mozilla Firefox, Google Chrome, Internet Explorer), then Go to URL:

3. Select the “Preferences” tab.

4. Select Import/Export in the left column menu.

5. Under “Export” select “Calendar” in Type field. Then next to Source field, select

“Calendar”.

6. A list of available calendars will appear. Select the calendar you wish to export. Click “OK

Note: that you can export only one calendar at a time

7. The Calendar name will appear on the Export screen. Click “Export” button.

8. A dialogue box will appear. Select “Save File” and click “OK”. This is how it should look on

your screen.

9. Here is the .ics file/data format. That's it. You have been successfully exported a file.

Importing an Email

To import your email. do the following.

1. Open a web browser (Mozilla Firefox, Google Chrome, Internet Explorer), then Go to URL:

https://liham.icto.dost.gov.ph

2. Type your username and password using your valid credentials.

3. Select the “Preferences” tab.

4. In the Preferences column on the left side of the screen, click “Import/Export”.

5. Under the Import section, click “Browse”.

6. A window will appear called “File Upload”. Select the .tgz file to import. Click “Open”

button.

7. A file appears beside the “Browse” button, click on the “All folders” button beside the

Destination field.

8. A window will appear called “Choose Folder”. Scroll down to Mail folders. If the list of

folders is not expanded, click on the arrow next to FOLDERS to expand its list. Select the

folder then click “OK”. If the one you expand doesn't contain your email folders, expand the

other one.

9. Click on the “Import” button on the far right of the screen. You may ignore the “Resolve

Duplicates” field.

10. You should see a pop-up window stating that the import succeeded. Click on “OK” button.

11. Click on the “Mail” tab and then go into the Inbox folder to view your imported email

messages.

That's it Mail has been

successfully imported

Importing an Address Book

You can import contact lists and address books that are saved in a comma-separated (.csv) text file

format.

To import an address book, do the following:

1. Open a browser (Mozilla Firefox, Google Chrome, Internet Explorer), then Go to URL:

2. Type your username and password using your valid credentials.

3. Select the “Preferences” tab, then click “Import / Export”.

4. In the File field, click “Browse” or “Choose File” to locate the .csv file to import.

5. A pop-up window called “Open File” or “File Upload” will appear, choose .csv file, then click

“Open”.

Note: Depending on the size of the file, import may take a few minutes.

6. After clicking the “Import” button, a popup window will appear, saying “Import Succeeded.

Click “OK”.

7. Go to the “Address Book” tab, check the contacts if they are already there. Contacts are

shown last name first in alphabetic order.

Importing the Calendar

Here's how to import the Calendar:

1. Open a web browser (Mozilla Firefox, Google Chrome, Internet Explorer), then Go to URL:

2. Type your username and password using your valid credentials.

3. Click the “Preferences” tab.

4. Select Import/Export in the left pane.

5. Under “Import”, click “Browse” in the File field. A window called “File Upload” will appear.

Choose the .ics file then click “Open”.

6. A file name will appear besides the “Browse” button. The Destination field automatically

selects Calendar when the imported file reads the extension .ics file. Click “Import”.
