APPOLYCET-2021 ADMISSIONS USER MANUAL FOR UPLOADING THE DETAILS OF SPOT ADMISSIONS

A facility is provided to institutions/colleges to check the admission and joining details of

a candidate. If a candidate is qualified in APPOLYCET-2021 and having Rank, then before

giving admission, check whether candidate got admission in any institution/college and

reported at allotted college by using “Hall Ticket status” link in college login. If the

candidate got the admission and reported at allotted college then the candidate is not

eligible for spot admission. Hence, all the Principals are requested to check the status of

the candidate, before granting admission in Spot admissions, in order to avoid problems

at the time of uploading details of candidates admitted at institutional spot admissions.

1. Login to the APPOLYCET portal through URL https://appolycetdnic.in

2. Select type of user as COLLEGE, Enter your USER_ID, Enter PASSWORD, Enter COLLEGE

COUNSELLING CODE, Enter CAPCHA code displayed and click “Sign In”. The process is very much

similar to the one you have already used for uploading joining details.

A. VACANCY POSITION :

Click on “Vacancy Position”, the following screen will be displayed.

Enter the Institute code and click SHOW. The vacancy positions in the institute will be

displayed Branch wise and Category wise after extended final phase i.e left over vacancies

after extended final phase (does not include not reported/dropout etc).

B. HALL TICKET STATUS :

Click on “Hall ticket Status”, the following screen will be displayed.

Enter Hall ticket number for APPOLYCET-2021 qualified candidates (or) Enter SSC Hall ticket

number for non-qualified candidates. Click “Show”. The status of the candidate regarding his

seat allotment and joining details will be displayed.

If the candidate was allotted in any institute, then the details regarding his/her allotted

institute and his status of reporting in the institute will be displayed. Then he/she is not

eligible for Spot admissions.

If the candidate did not get any allotment, then the message “The Candidate is not allotted

any seat in the process” will be displayed in his status.

C. DERIVE SPOT VACANCY

Click on Derive spot vacancy link. The following screen is displayed.

Enter APPOLYCET-2021 College code and click on Proceed. The following screen is displayed.

Verify the following categories carefully, i. Allotted

ii. Self-Joined: Number of candidates self-joined iii. Reported: Number of candidates self-joined and reported at college iv. Not Reported: Number of candidates not reported v. Vacant: Intake – reported at college-EWS available: The candidates who got

allotment, but self-reported/ not self-reported and not reported at allotted college details are cancelled and treated as vacancies for spot admissions.

Before clicking “Derive Spot Vacancy”, once again verify the joining details of reported

candidates. The details of the candidates who have not self-reported and self-reported but

not reported at college are shown under dropouts/not reported. Vacancies will be raised in

the respective branches including unfilled seats after final phase. For allotted candidates if

there is no tick mark against the candidate, it is treated as a vacancy. Click “Details of Spot

admn entered” to know the status of vacancies branch wise.

After verifying thoroughly, click on “Derive Spot Vacancy” button. The following screen is displayed.

Before clicking on OK, ensure that the joining details of reported candidates are correct.

Once OK button is clicked then it cannot be reverted back.

Click on OK button and the following screen is displayed. (Joining details are frozen and Vacancies are derived).

When you click on “Details of spot admissions entered” the details of not reported candidates are shown automatically under Dropouts/Not Reported/Cancellations made at college

D. INTERNAL SLIDING CANDIDATES ENTRY :

Click on “Internal Sliding Candidates Entry” link. The following screen will be displayed.

Enter APPOLYCET-2021 College counselling code and click on “Proceed”.

Enter the APPOLYCET-2021 Hall ticket number, Rank and click “Get Data”.

Select the branch code to which the candidate is internally slided and click “Save”. The

candidate is moved to the new branch. Check “Details of spot admissions entered” for the

details of entries made.

E. FRESH ADMISSIONS CANDIDATES ENTRY

The following information is to be collected from the candidates before attempting to start

uploading the details to avoid timing out of the session.

1. Candidate qualified in APPOLYCET-2021:

a) APPOLYCET-2021 Hall ticket number

b) APPOLYCET-2021 Rank

c) Name of the candidate

d) Father’s name

e) Gender

f) Local area

g) Mobile number (shall be unique and duplicate values are not accepted)

h) Date of birth

i) Minority type

j) Category (OC/BC/SC/ST)

k) Address of the candidate

l) Mother tongue

m) Aadhar number

n) Name of the state ( to which candidate belongs to)

Academic information

a) Name of the SSC board and State

b) Name of the qualifying examination (drop down) values are:

SSC,CBSE,ICSE,APOSS,NIOS,OTHERS

c) SSC /equivalent hall ticket number

d) Month & year of passing

e) CGPA

f) Admission details Institute code, branch allotted, allotted Seat category

2. Candidate not-qualified in APPOLYCET-2021:

Same as above except APPOLYCET-2021 hall ticket number and APPOLYCET-

2021 rank.

Select Fresh ADMISSIONS CANDIDATES ENTRY from the drop down menu. The following

screen will be displayed.

Enter College counselling code and click “Proceed”. The following screen is displayed.

Two kinds of candidates exist in fresh admissions during Spot admissions.

1) Qualified in APPOLYCET-2021 examination

2) Not qualified in APPOLYCET-2021.

If the candidate is qualified in APPOLYCET-2021, Select “Qualified”. Enter APPOLYCET-

2021 Hall ticket No. and click on “Get data”. The data will be populated from the data base.

Verify once and enter the branch allotted from the drop down menu against the branch.

Click on “SAVE”. Check the “Details of spot admissions entered” for the details of entries

made.

If the candidate is not qualified in APPOLYCET-2021, Select “Not qualified”. Enter his

qualifying examination (in this case 10th class hall ticket number) and click on “Get Data”.

The data will be populated from the data base. If not, enter the details such as name,

father’s name, gender, local area, caste, date of birth, examining body [in case of others,

specify the name of board and the state of examination], GPA (convert marks of older

candidates into GPA by dividing with total marks and multiply by 10 i.e

GPA =

NOTE: EWS seats should be filled by EWS candidates of same region only. EWS seats should

not be converted to any other category. If EWS seats are not filled, they should be

left vacant. They should not be allotted to Non-EWS category under any circumstances.

NOTE: Processing fee depends on candidate caste category. Care should be taken against this

aspect.

Enter full details and click on save button, “Record has been saved successfully” as shown

below will be displayed. After this point, repeat for all the candidates to enter the data.

F. DETAILS OF SPOT ADMISSIONS ENTERED

Click on “Details of Spot admn entered”, the following screen is displayed.

Enter the College counselling code and click on “Show”. Check the Details of spot admissions

entered / Drop outs / Internal sliding details in the screen displayed.

G. COLLEGE FREEZE :

The purpose of college freezing is to lock the Spot admission entry. Hence, all the institutes

should thoroughly verify the details of the candidates entered into the website before

freezing. Once freezing is done, no more alterations are allowed to Spot admission entry.

Click on “College Free” link, the following screen is displayed.

Enter the POLYCET College counselling code and select Freeze. Click on SAVE/UPDATE

H. ONLINE PAYMENT BY COLLEGE :

The Processing fee details are as follows:

The Principals are requested to collect the Processing fee (only cash) as per the caste

category from the candidates. The total amount (at the end of the spot admissions) shall be

paid online by the Principal through the following link. This link will be enabled only after

College Freezing.

Click on “Online Payment By College” link. The following screen will be displayed.

Verify the details regarding the number of candidates (OC/BC, SC/ST category) entered

earlier in candidate entry. Make sure that this should match exactly to the details

entered earlier. The amount of fee to be paid is decided on these details only. Any

discrepancy may lead to the payment of invalid amount. Extra money if any deducted

due to any discrepancy will not be refunded.

Click on “Payment mode”. Select the mode of payment (Credit/Debit card, Net banking etc)

and complete the payment.

If the payment is successful, then the following screen will be displayed.

I. FINAL RATIFIED/REJECTED LIST OF SPOT ADMN ENTERED :

You can download the ratified list from your college login as and when it is made available.

Click on “Final Ratified/Rejected List of Spot admn entered” link. The following screen is displayed,

Enter APPOLYCET College counselling code and click SHOW.

The uploading should be completed on 27/12/2021.

Important Note:

The Principal is requested download and take the printout of uploaded candidates list of

spot admissions from https://appolycetd.nic.in web portal. It should be signed by the

Principal and Observer and same should be submitted to the Convenor for ratification

on or before 30-12-2021.
