FE Structure

Force Element (FE) Template

Building your FE Structure correctly before conversion is vital to the functionality of GCSS-Army. Unit structure (subordinate units), location of property, DoDAAC information, and supporting maintenance are some of the information it captures.

Purpose:• Captures all UICs in your Unit Task Organization• Provides the PM Office all ACTIVE GCSS-Army DoDAACs• Provides the physical location of the converting property• Captures converting SAMS box UICs• Allows units to request number of Storage Locations

Impact: If your FE Sheet is not provided to the PM Office at D-330, the remaining templates the PM Office generates will be built based off what we produce. If we do not receive your FE Sheet by D-240 the Lead System Integrator (LSI) will build your FE Structure in GCSS-Army based on the template we produced. Note that all storage locations will default to ONE (1) and unit may be unable to properly manage property.

1. UICs CANNOT be duplicated. All UICs in the UTO tree MUST be on the sheet. UICs NOT in the UTO tree must NOT be on the sheet if found elsewhere in PBUSE. UTO Tree and FE MUST match.

2. Units should provide the UIC for the organization's SAMs box as outlined in the example column G.

3. Units should provide the UIC for the Support Maint SAMs box as outlined in the example column H.

4. An SLOC is ONLY provided to a UIC with a corresponding ACTIVE 920 (Property Book) DoDAAC

FE Commonly Found Errors

• Duplicated DoDAACs All DODAACs are aligned with only one UIC in GCSS-Army

• SLOCs added to a column without Active 920 DODAAC SLOCs are established for UICs that has an active 920 DODAAC:

o MTOE: Max number of SLOCs for MTOE is 18. If you are requesting more than 18 SLOCs CASCOM is the approving authority for that number of SLOCs, and a justification is required stating why you are requesting that number. Until CASCOM approves the number of SLOCs requested SLOCs will be 18.

o TDA: Max number of SLOCs for TDA without justification is 25. You will use your authorization document (paragraph count- subparagraphs not included) to determine the number of SLOCs for this UIC. If you are requesting more than 25 CASCOM is the approving authority for that number of SLOCs, and a justification is required stating why you are requesting that number. Until CASCOM approves the number of SLOCs requested SLOCs will be 25.

• UICs removed from the FE Template while still in UTO Tree UIC cannot be removed from the FE Template until removed from UTO Tree

• UICs added and not found in the PARENT UIC’s UTO Tree UIC cannot be added if they are found elsewhere in PBUSE

Prepared by Deployment Division: Email: [email protected] 7

• DODAACs added to FE Template and not active in GCSS-Army or Misaligned DODAACs must be active in GCSS-Army before being added to the FE (must

say ACTIVE AND have a RIC SPT) If DODAACs are not active in GCSS-Army or improperly aligned, a help desk

ticket is required to add or realign DODAAC. DODAAC will not be added to FE until DODAAC is active or aligned properly in GCSS-Army

• DODAACs deleted off FE Template while still active in GCSS-Army DODAACs must be deleted in GCSS-Army before being removed from the FE If DODAACs are active in GCSS-Army, a help desk ticket is required to delete

DODAAC. DODAAC will not be removed from FE until DODAAC is deleted from GCSS-Army (transactional turn off)

• No changes indicated Ensure ALL updates are indicated on the FE Template with the proper colors:

o Red Highlight: Removing from the FE Templateo Yellow Highlight: Changing information that is currently on template (ie: Changing

SAMs UIC)o Green Highlight: Adding information to the FE Template

Position Templates (POS)

PURPOSE:

The position template is used to determine which roles/permissions are required for each UIC/Unit to perform their daily job functions within GCSS-Army.

IMPACT:

If your template is not turned in prior to blackout then you will have to submit a HDT in order for your structure to be built correctly in GCSS-Army. Having your structure created prior to blackout ensures that you are able to access the UICs and positions you need for data validation.

Access Administrators (AA)

• Your access administrator roles/permissions allows a user to manage personnel within their business area to transfer, substitute, rehire, outboard, etc.

• As a standard the PBO will manage the CDR/REP and SUP/ALL positions. These positions do not have an access administrator role.

• The AA can also manage additional positions such as the SS4/ALL and DIS/ALL, depending on who the PBO AA needs to manage within that unit.

Maintenance Relationship

PURPOSE: The Maintenance Relationship template identifies the DODAACs of any and all Maintenance activities that the unit may evacuating work orders too.

IMPACT: If the Maintenance Relationship template is not completed and returned, the evacuating of Work Orders will have to be done manually.

Maintenance Work Center Template

PURPOSE: This template is utilized by GCSS-Army to do the following: -Build Work Centers within GCSS-Army that are associated with your current SAMS Work Centers (Example: Automotive, C&E, Small Arms).

-Create Work Centers within GCSS-Army that do not exist in SAMS.

-Enables the conversion process to convert open work orders from a SAMS Shop section to the appropriate GCSS-Army Work Center.

-Facilitates the assignment of personnel from SAMS Shop sections to the appropriate GCSS-Army Work.

IMPACT: If the template is not submitted the commodity work centers will not be built. The organization will have to build the commodity work centers as a Post Go-Live activity and then assign all the work orders down to the commodity work center that migrated to the Shop Office level work center.

The first step is to run the Maintenance Work Center Query:

Maintenance Work Center Query File:

Prepared by Deployment Division: Email: [email protected] 15

1. Save the work center query to your desktop from the email notice

2. Save the work center template to your desktop

3. Import the query into SAMS-E from the desktop

4. Name the query5. Execute Query

Maintenance Work Center Template

TIP**: If you do NOT HAVE ORGANIZATIONAL MAINTENANCE, you do not have to fill out this template.

Rule 1: Column A MUST have an active Class IX (910) Maintenance DoDAAC in GCSS-A. Usually column B is the active Class IX, but sometimes we get obscure DoDAACs such as the PB, S4, SSA, etc.

Maintenance Work Center Template

Rule 2: Column B MUST be the active Class IX (910) for the UIC in column A. The PM checks GCSS-A for all entries.

Rule 3: DO NOT add any column headers for shop names. These are the shop names and codes given by CASCOM and are final.

Mandatory Training Approval

The GCSS-Army Mandatory Training Approval Template. Purpose: To identify personnel with operator records in SAMs and authorize GCSS-Army to build the Required Commander's Qualifications at Blackout, Commander's interview, Accident Avoidance and Spring/Summer/Fall/Winter. Action: Review the template. Identify personnel who are currently assigned to your unit and are licensed to operate vehicles at this time. Enter the Master Driver, Commander or Commanders Representative's email address into the provided column. The Mandatory Training Approval Template will be uploaded into the GCSS-Army Launch Pad. Once the template is completed, upload back into the GCSS-Army Launchpad and the PM Data Team will retrieve and provide to the Data Staging Utility (DSU) for the DSU Run at blackout. Impact: Failure to approve and return the Template will result in no mandatory operator qualifications being created at migration. These qualifications will have to be manually created in order to dispatch vehicles Post Go Live. The only other qualification that will be converted is EIC specific qualifications. No user created training qualification other than the three listed above will be converted.
