Calculated Leave Entitlements

• By the end of this session, you will be able you will be able to build leave of absence entitlement calculations based on birth circumstances.
• You can extend this capability, and create leave entitlements based on other events or circumstances.
Purpose
Create a Leave Entitlement that varies based on circumstances.For this leave, the entitlement willchange based on two conditions:
1. For multiple births, the leave will be extended by 2 weeks per additional baby born.
2. In case of hospitalization of the baby born, leave can be extended up to 13 additional weeks.
If neither of these conditions apply, the length of leave will be 112 days.
Set up Validations and Supporting DataWe will need these to verify the entitlement calculated correctly when we review the leave request.
Add Leave Reasons or Additional FieldsThese should be added to the leave type first before you start building the calculated fields.
Balance/Leave TakenOnce we create our calculation, we will use the leave calculation, not leave units, to grant the entitlement.
Creating Calculated Fields – Birth CircumstancesBuild a calculation using leave reasons or Additional fields from your leave type.
Create your Default Value calculated fieldThis is the entitlement that will be used if none of the special conditions apply. In this case, it’s 112 days. To Create: Create Calculated Field (Task)• Field Name = ESP – Maternity Leave Default (112 Days)• Business Object = Leave Request Event • Function = Numeric Constant
Create a T/F Condition for “Baby Hospitalized”Note: When selecting the Comparison Value, the leave type will display. If you click it, the reason/s will be selectable. • Be sure to create this first, or you will not be able to pull the leave reason
into other calculated fields.
Condition #1: Baby Hospitalized AND Multiple Babies BornCreate a True/False Condition pulling in the T/F Condition Calculation you created “Baby Hospitalized” and the Additional Field #Number of Babies/Adopted Children.
Condition #2: Number of Babies Born/Children Adopted > 1
Condition #3: Baby HospitalizedUse the one you created earlier.
Create Arithmetic #1: ESP - Maternity Leave Default + Baby Hospitalized + Multiple Babies Born-Notice we’re starting with 98, not 112. The missing 14 days are accounted for in the Number of Babies * 14 calc.
Create Arithmetic #2 ESP - Maternity Leave Default + Multiple BirthsAgain, we’re starting with 98, not 112. The missing 14 days are accounted for in the Number of Babies * 14 calc.
Create Arithmetic #3: ESP - Maternity Leave Default + Baby Hospitalized (13 weeks)
Put it all Together!• Be sure to order your conditions from the most to least. In this case, the
condition where Multiple babies born AND baby hospitalized is listed first so that arithmetic calculation resolves.
• Once Workday finds a condition that is met, the calculation resolves. It doesn’t keep looking, so Order Matters!
Place Worker on Leave
Review Calculated entitlement on the Request. 98 days + (14 * 2) (for additional baby bearing) + 91 (Additional 13 weeks for baby hospitalized) = 217
Your default calc can contain conditions as well. - be sure to account for as many permutations and combinations of conditions as exist.
