Executive Summary
This second version of the Dissemination Plan provides an overview of the dissemination activities undertaken by the consortium in the past 8 months (December 2008 – July 2009) based on the dissemination framework introduced in D5.3.1a: “Dissemination Plan”. Focus in this version of the Dissemination plan is mainly towards the organised events (national workshops, 1st pan-European User Forum and Workshop), as well as other event participations, paper submissions, etc. In addition, the Deliverable presents shortly the dissemination material created so far.
All the aforementioned activities have also been separately described in the following Deliverables, hence references will also be made to those:

In addition, also a first assessment of our dissemination activities has taken place and is outlined in this Deliverable as well, while also the positive evaluation of the organised events is introduced.
The results achieved so far are very encouraging:
• 4 national workshop were organised (Belgium, Spain, Sweden, UK) bringing together over 130 end-users and experts, and providing substantial input to the overall user requirements, and the creation of AEGIS use cases. Also the 1st pan-European User forum (64 attendees of which 36 externals) and Workshop (88 attendees of which 55 externals) were organised, resulting in additional feedback. Both events were considered a big success since they brought together some of Europe's and the world's most respected accessibility experts, as well as representatives from a vast number of European (and abroad) end-user organisations.
• A first batch of 2000 leaflets and 300 posters has been produced, and was used by the project for the 1st pan-European User Forum and Workshop (4-5 June 2009 in Slough, UK).

All partners are being provided with leaflets in the next few months. Also, 4 banner roll-ups have been created, of sizes 80x213 cm. They are similar to the posters, and can be easily displayed, and folded again for usage at other events.
• A first ÆGIS Newsletter was released ahead of the 1st pan-European User Forum and Workshop, and was send out via e-mail, as well as made available via the project website. The website attracted the last few months over 2500 unique monthly visitors.
• Finally, 4 papers have been submitted of which 2 will be published while 13 events/conferences were attended to.

1 Introduction
This is the second version of the Dissemination Plan (D5.3.1), and will be updated on a regular basis (M23, M35, M42) with new information to reflect the progress in the dissemination activities of the project, especially through? reporting on the attended events and submitted papers. Equally, on a regular basis an evaluation will be undertaken of the dissemination activities, using the quality criteria as were brought forward in Deliverable 5.3.1a Dissemination Plan [1]. For these reasons, the Deliverable does not repeat information from the initial version (Deliverable 5.3.1a Dissemination Plan), rather reports on the progress made.
Due to the fact that the dissemination activities have been largely reported also in a series of Internal Deliverables, such as ID1.1.1: “Minutes of national workshops” (Report, Month 9) [2], ID1.1.2: “Minutes of Pan-European workshop” (Report, Month 11) [3], ID5.3.1: “User forum meeting proceedings” (Report) [4], their main findings have been incorporated in this Deliverable as well. This will also be the approach for any future versions of this Deliverable.
The first focus is on identifying the ÆGIS target groups and their linkage to Partners. This was initiated in the previous release of the Dissemination Plan, and has now been completed, with the input of all Partners, as can be found in Annex 1.
In a next chapter, the ÆGIS end users’ and beneficiaries’ forums and workshops that took place in the 1st year are presented. This included both the National face-2-face user and beneficiaries forums, as well as the 1st pan-European User Forum and Workshop. Equally, the evaluation of the local workshops and 1st pan-European User Forum and Workshop have been included.
The 4th Chapter provides an overview of the various communication modes that have been used in the 1st year, ranging from contacting relevant projects, to an overview of publications made so far, participation in events, and created dissemination material such as the project leaflet and poster, and the 1st newsletter. Also, the updated website is addressed.
The 5th Chapter provides a 1st evaluation and assessment of the project's (overall) dissemination, as well as website specific awareness evaluation.
Finally, Chapter 6 refers to the next steps in the dissemination.
In Annex 1, an extensive overview is included of the relationship between ÆGIS Partners and Stakeholders. Annex 2 and 3 contain the participants lists to the 1st pan-European User Forum and Workshop.

All gathered data has been included in the Annex 1 of this Deliverable. All these contacts have been used to disseminate the project newsletter, as well as to invite people to the national user forums and focus groups, as well as the 1st Pan-European User Forum and Workshop. While EPR as WP5.3 leader undertook a main role in contacting the European stakeholders (EDF, EASPD, etc.), on a national level this was the task of the local partners. The latter also took place in the local language.

3 ÆGIS end users’ and beneficiaries’ forums and workshop supporting disseminationIn the context of both A5.3.4: “End users’ and beneficiaries’ forum” and A1.1.4: “Users and stakeholders groups”, local user forums and workshops were organised, supported by WP5.3. These have been reported on in ID5.3.1: “User forum meetings proceedings” (Report), but also in ID1.1.1: “Minutes of national workshops” (Report, Month 9), and ID1.1.2: “Minutes of Pan-European workshop” (Report, Month 11).
While A1.1.4 is an SP1 activity, it has been made possible through the support of WP5.3 dissemination activities. More specifically, contacts collected in the context of WP5.3 (see e.g. linkage of target groups with the partners) have been used to inform relevant stakeholders of the user forums and workshops. Equally, presentation and agenda templates were defined in the context of WP5.3.
3.1 National face-2-face user and beneficiaries forums
In the context of A1.1.4 “Users & Stakeholders workshops”, each pilot site organised a local workshop, aiming at presenting the project, as well as gathering feedback from end-users and other stakeholders on some core use cases.

Every application area was also accompanied by a persona, thus making it easier for end-users to understand what the applications' purpose is.
During these events, the project was introduced to all participants, while ahead of each events, mailings had taken place by all involved pilot site Partners. All relevant stakeholders as were identified in Annex 1 were contacted by the relevant Partners.
The full reporting of these events is available in ID1.1.1: “Minutes of national workshops” (Report, Month 9). While this was mainly the outcome of an SP1 activity, it has been reported here since it also constituted a first major pan-European dissemination activity towards the end-user community, while it was also supported by the WP5.3 activities in terms of announcing the event in coincidence with the 1st pan-European Workshop.
3.2 1st pan-European User Forum and Workshop
3.2.1 1st pan-European User Forum
On 4th of June, ÆGIS project organised in Slough (UK) the 1st Pan-European User Forum. The event gathered a total of 64 individuals, 36 of which were external to the project, and represented end-users, experts, stakeholders, researchers and the industry.
The ÆGIS User Forum took place in a meeting room, with 100 persons seating capacity in a theatre style, using 4 separate beamers, thus allowing all participants to have a clear view over the presentations.
For accessibility purposes, a dedicated space was foreseen close to the screens for wheelchairs, while the audio system was used throughout to ensure also vision impaired participants could fully enjoy the presentations.
The facilities foresaw in accessible toilets as well, while at the beginning of the afternoon, the safety responsible informed all participants on the safety procedures.

All presentations were recorded in digital video/audio format, showing only the presenters, thus not disclosing frontal views of participants. This video will be used for internal purposes, while excerpts might be used for the final project video.

Evaluation
Every participant was invited to the complete an evaluation form. This form was included in the delegate pack and consisted of following questions:

The feedback was overall very positive, and had an average satisfaction level of 3.39 out of 5. Q4, Q5 and Q6 were below the average (just the same occurred in the Workshop the day after), namely:
•Q4 Enough supporting material was provided: Participants expressed they also wanted to have all presentations in a printed out format. However, this would have resulted in every participant having over 300 pages of material, while all presentations had been included in the Workshop CD-ROM.
•Q5 The workshop did not last too long: The start and finish time was preset, and was not stretched, so it is not clear why this rated lower.
•Q6 The presentations were clear: Some presentations were quite technical, and although the participants had different backgrounds, pure end-users did sometimes state that some of the presentations were too oriented to the technical people.
Following separate comments were also made by participants:
•More and smaller forums are needed, especially then on a regional level. (It must be mentioned here that local user forums have been organised in all pilot sites.)
•Opportunities should be offered to users to try out some of the prototypes, maybe this to be considered in future meetings (especially when the first releases of the project prototypes will be made available and, even more, through the training activities to be organised in the context of the project).
•Focus on less topics with more time for each.
•The 2nd session was too technical.

Main dissemination achievements
With a total of 64 individuals from over 20 countries, 36 of which were external to the project, representing end-users, experts, stakeholders, researchers and the industry, we can consider this event a real success. This was mainly the result of a well-targeted dissemination to core stakeholders by all project partners. 3.2.2 1st pan-European Workshop
On 5th of June, ÆGIS project organised in Slough (UK) the 1st Pan-European Workshop. The event gathered a total of 88 individuals, 55 of which were external to the project, and represented end-users, experts, stakeholders, researchers and the industry.
The ÆGIS Workshop took place in the same meeting room as the User Forum (which took place on the 4th of June). At the beginning of the day, the safety responsible informed all participants on the safety procedures.

The feedback was overall very positive, and had an average satisfaction level of 3.41 out of 5. Q4, Q5 and Q6 were below the average (just like in the User Forum), and had also similar comments related to them. Following separate comments were also made by participants:
•A practical demo session should be considered in future once the developed applications are ready.
•The timetable should be better respected, while the round table session should be organised earlier in the day.
•A separate workgroup should be created on challenges & opportunities.
•The timetable is not convenient for people travelling on the same day.
•Networking should be extended to more associations and research groups.
•The use cases are difficult to follow and remember (however, this was the reason that CD-Roms were provided with all presentations).

Participants in this virtual forum will be attracted from all (Partner) countries by all Partners, and will incorporate as basic pool all participants from the national face-2-face user and beneficiaries forums. These will be expanded with end-users and beneficiaries from other countries (starting with the EU members) which will be invited by the participating end user associations such as FONCE, RNIB and EPR who will inform their members and networks on these forums. These user forums will be equally open to all interested people and organisations, and is free of any charge and totally voluntary, be it that here as well specific arrangements will have to be made with regards to disclosure of specific project information, as well as testing material.

4 Communication modes
As outlined in D5.3.1a, the dissemination will make use of a variety of communication modes, which were described in the previous version of this Deliverable. In the meantime, also the main dissemination material of the project, namely the leaflets, posters, banners and the web site have been delivered to the project and are described in the following sections. The full details can be found in D5.3.2b: “Dissemination materials, including leaflets, posters and web site” (focus on website CMS, folders, leaflets, poster, and other dissemination material).
4.1 Relevant projectsA concertation mechanism with ÆGIS-related R&D Projects has been established, whereby all contact details of e-Inclusion or disability oriented projects, EC or nationally funded, or even private initiatives have been gathered, and are continually updated (over 1000 individual contact details so far). As mentioned in D5.3.1a, also the contacts were incorporated from eAbilities1' “D1.2 – Benchmarking Results”[7] that features an appendix with over 200 R&D projects addressing people with disabilities. These projects have and will be invited to any of the project events, as well as will serve as reference base for identifying local participants for the local workshops.
Additionally, closer cooperation with other projects is envisaged for common activities organisation (dissemination, workshops), while where possible work already undertaken by those projects will be considered for inclusion in ÆGIS. So far, following cooperation is in the works:
• 4CTelecom: Formal connections are envisaged (even membership of ÆGIS advisory board) with this projects since they involve AT developers, open source software leaders, mobile phone providers, etc. which can be beneficial to ÆGIS.
4.2 Publications
4.2.1 Leaflet and poster
The leaflet and poster follow the look and feel set forward by the website, focusing on a similar colour scheme, while putting focus on the assistive technology logo (based on the ICT characters). A first batch of 2000 leaflets and 300 posters has been produced, and was used by the project for the 1st pan-European User Forum and Workshop (4-5 June 2009 in Slough, UK). All partners are being provided with leaflets in the next few months. Throughout the project duration, 2 updated versions will be provided, totalling to 5000 leaflets that will be produced. The next versions will be published at Month 30 and will highlight project achievements, while the final version at Month 42 will include results from the Pilots.
The poster and the banner are based on the leaflet design, and focus again on the core leitmotif of the assistive technology logo, reflected in the ICT characters that represent a person with disabilities, while focusing mainly on the slogan “Accessible Desktop, Rich Internet Application and Mobile environments for all”. Also, 4 banner roll-ups have been created, with sizes 80x213 cm. They are similar to the posters, and can be easily displayed, and folded again for usage at other events.

4.2.2 Newsletter
A first ÆGIS Newsletter was released ahead of the 1st pan-European User Forum and Workshop, and was send out via e-mail, as well as made available via the project website. Equally, the follow-up mail that will be sent to all participants to the past events will also inform them on this newsletter.

SPs (SubProjects) and their role in the project. Also, the pilot sites and the demonstrators were shortly introduced, while an overview was provided of the indicative use cases, including personas. The Newsletter focused on past dissemination activities, such as the participation in CSUN 2009 (16-21 March 2009, 24th annual CSUN conference on Technology and Persons with Disabilities), and announced the 1st pan-European user forum and Workshop. Finally, the Newsletter also presented the related project ACCESSIBLE (Accessible Applications Design and Development – http://www.accessibleproject.eu/). The final page provided the consortium contact details, as well as the details how to subscribe to the ÆGIS Newsletter mailinglist (over 300 individuals registered so far).
The first newsletter was propagated through the project's website, as well as via a mailing to core stakeholders (contact details are being gathered in a dedicated project mailing database), and the dedicated newsletter mailinglist, every time pointing the recipient to the download url. This resulted in over 600 unique downloads from the project website in the period May-July 2009. This number is being continuously tracked via the website statistic tool.

4.3 Online presence
4.3.1 Website
The ÆGIS website has been made available via http://www.aegis-project.eu/, and is fully supported by a CMS (Content management System). The website is updated on a regular basis by EPR (the project dissemination manager), together with FhG_IAO, providing access to all public Deliverables, and incorporating contributions from all Partners. Additionally, for every event, announcements were made on the site, while every event is fully covered afterwards with supporting materials.
EPR, together with FONCE (leader of A5.3.4: “End users’ and beneficiaries’ forum”) is also preparing the launch of the accessible online forum, incorporated into the project website.
Full details about the project website have been reported in ÆGIS D5.3.2a: “Dissemination materials, including leaflets, posters and web site” [5] and ÆGIS D5.3.2b: “Dissemination materials, including leaflets, posters and web site” [6].
The website will also include a dedicated section to the proceedings of the 1st pan-European User forum and Workshop organised in the UK, as well as to the outcomes of the local User Forums and Workshops that were organised in Belgium, Spain, Sweden and the UK.
The visitors statistics (counting unique visits, and not hits) are very positive and reached well over 2500 unique visitors in the past 2 months.

While the feedback is overall very positive, in a next period, the responsible WP5.3 partners will improve following aspects of the dissemination policy:
• A more intense dissemination will be organised towards the private sector, SMEs, national and international associations of SMEs. These efforts will be mostly guided by the SMES (AOL LLC, and FPD) and will be reported on in the next version of D5.3.1. Taking in to account the contacts already established by many of the partners with SMEs (see Annex 1), this should be easily addressed. The possibility of involving national chambers of commerce and SME umbrella organisations will be considered. This would be realised through direct mailing, as well as participation in SME events throughout Europe.
• Policy makers must also be reached in a higher intensity, and in this respect EPR will coordinate a dissemination activity specifically targeting national policy makers, and more specifically then national disability agencies, and agencies responsible for overall national accessibility polices towards people with disabilities. Also here, taking in to account the

contacts already established by many of the partners with such agencies (see Annex 1), this should be easily addressed since core contact persons of national disability organisations are mostly known and will be targeted via direct mailing.
• For the website, additional pages will be added, addressing specifically all the identified target groups, while they will also directly link with the established online user forum. This should increase the involvement of these target groups, while also ensuring that the website provides the needed information.
• For the second year of the project, 2 press releases will be issued and now also in national languages. At this moment for the 1st year, only one official press release was issued, and was then taken over by all partners in a manner they thought fitted best their national situation.
5.2 Website specific awareness evaluation
As reported in D5.3.2a, for the website of the ÆGIS project, specific quality criteria2 have been applied to assess the effectiveness of the project website. With respect to the project website, some aspects will need to be improved, namely:
• More news updates will be needed, reflecting as such the current status of the project, adding also an overview for recent "last" updates.
• A contact form has been made available via the website, and where needed in case specific authors provide input, we will ensure they can be directly contacted, or at least feedback can be provided through for example the online user forums.
• While the website is fully accessible, meeting W3C guidelines, the implementation of intuitive icons, menus, and directional symbols have not been considered, and will also not be implemented.
• Multimedia has not been established yet by the project. As soon as they become available however, they will be inserted using standard multimedia formats.
• The downloads sections is currently not populated, but will be updated in the next few months with the project's leaflet and poster, and will be updated continuously with new material.
• All articles will be enhanced with relevant visual elements, and will as such also have relevant captions, labels, or legends.
5.3 Evaluation of organised events
Every event organised by the Consortium (local workshops, pan-European workshops, conferences) was assessed based on the feedback received from the participants. The evaluation of the 1st pan-European User Forum and Workshop has been included in the section 1st pan-European UserForum and Workshop.

6 Next steps in the dissemination
ÆGIS Dissemination process will continue with following activities:
•Ongoing provision of monthly events calendars to all partners.
•Participation in events and conferences, and where possible also presentations and submission of relevant papers will be organised.
•Additional batches of posters and leaflets will be produced and disseminate dto the partners for national dissemination.
•Where needed promotional bags and promotional pens will be provided to partners for national usage.
•The consortium will organise around Month 23 the 1st ÆGIS International Conference and 2nd ÆGIS workshop.
In the next version of this Deliverable (due in M23, August 2010), we will provide a number of updates to reflect the ongoing Dissemination process:
•An updated overview will be provided of all the submitted (and accepted) papers, as well as participation in events.
•The first version of the D5.3.4: Project video (Month 24) will be reported on.
•The 1st ÆGIS International Conference and 2nd ÆGIS workshop will be reported on in D5.3.3: Proceedings of first ÆGIS International Conference (Month 24, Book+CD, Public).
•An updated list of new dissemination material to be produced will be provided.

7 Conclusions
This updated Dissemination Plan builds further on the initial version, and provides an update on the dissemination activities carried by the project consortium. The next versions of this Deliverable will describe the dissemination activities undertaken or planned until each Deliverable's update (papers submission, events participations and organisation such as workshops).
