SSP4400: List of Gifted Students at Your School

See directions for Gifted Student Query for generating a list of students with full student information.

Log on to the Academic Portal On the left side of the page, Click On Track

Mouse over Reports Mouse over General Click on Student Services

Select Gifted as the Service ID (pull down menu)

Select your school Select Service Date (choose today’s date and

it will give you the list of students in your school as of today, or use the FTE date)

Click on View Report

To Export: Select CSV Click on the word Export Save the file and then you can sort the

information if needed

Gifted Student Query: Generating a List of Gifted Students at Your School

This report is similar to the SSP4400. The list generated contains more information than the SSP440 (Ethnicity, Sp Ed, ELL, parent name, contact #s, etc. )

Log on to the Academic Portal

On the left side of the page, Click On Track

At the top of the page Mouse over Queries: By mousing over General, a sub-menu appears allowing users to run several queries related to Students. You can then CLICK on Student Roster

You will then be given another screen or window. This is the Grids view. In the Grids view, the school name should default to the user’s home school. Once the school has been selected, click Submit.

After clicking SUBMIT, the list of students enrolled at the selected school will display. This is a “window within a window”, so be sure to use the horizontal and vertical scroll bars inside the outer window to scroll back and forth through the file. Each field (column) in this view has a funnel icon (filter) next to it. You will use the funnel (filter)later. This icon allows users to filter the results by entering criteria in one or many fields.

Once you have the list of students for your school, you will use the scroll bar at the bottom to scroll to the right until you see Gifted. You will then type the word YES into the box under the word gifted and next to the funnel / filter sign. CLICK on the filter sign. (Helpful Hint: In the filter sub-menu click on the word that Contains and it will limit the info) After clicking on the filter button you will be given a list of all gifted students at your school.

Click on the Green Excel box to export this data to Excel. Save the data to your computer.

Note: You can hide columns in the portal view and / or in Excel to make the spreadsheet easier to navigate.

scroll bar at the bottom to scroll to the right until you see Gifted.

You will then type the word YES into the box under the word gifted and next to the funnel / filter sign.

CLICK on the filter sign and select ‘ Contains’ then type the word YES in the box. Click on the EXCEL sign at the bottom.

You may then open or save the spreadsheet and sort as needed.

Log on to the Academic Portal Click on State Reporting You may not have access to state report: share

1) Log onto the portal.2) Click “CSIS” on the left.3) Click “Select student”.

4) Type the student’s ID or last name in the appropriate box.

5) Click “Modules” (1),roll over “Assessments” on the drop down (2), and then roll to the left to click “Assessment Score Entry”(3).

6) You will see this screen.

7) This is the view of the new assessment entry page; the directions are from section to section.

Click here to see the Age percentiles from CogAT or to get more information on tests that were entered by someone other than the ALP department.Click on the Pencil

to EDIT previously entered scores.

Click on “Add New Assessment” to enter assessment data.

From the drop-down menus: Test Group - Gifted Year - always the “spring

year” of a school year. For example, this year will be 2012, even now.

School name - your school Teacher name - child’s

homeroom teacher. If a child comes from outside

the county but inside Georgia, leave the teacher name blank and put the name of the school system in for school. If from out of state, put the city and state

beginning date if test was administered over several dates. If only month and year is given, use the 15th .

12) To Enter Scores:

Component name: Select the name of the component. Score type: Mental Abilities: Age percentile

Achievement: Grade percentileCreativity (Renzulli or TTCT): Grade percentileMotivation (Renzulli or CAIMI): Grade percentileMotivation portfolio: Percent

Component score: enter score

Hide score?: leave as “no”

When finished with a component, click “Save Score”. The score will appear in the box to the left.

Click the “Save” on the LEFT when finished with all components of a test.

The assessment and all component scores will appear in the list immediately!

13)Repeat these steps to enter more test scores. The part in the upper left will “stick” for each subsequent test score entered during that session.

14)To delete an entire assessment: click “edit” (the pencil icon), and when the window pops up, click “delete” in the bottom row. When you get a dialog box, click “ok”.

If you make a mistake: Highlight a score in the box to the left and click “remove score” to delete it from that box. It will not affect any other scores in the box.

Be sure to enter all data on all assessments given- including all components of the WISC.Other Notes:You only need to enter data from county-wide ITBS testing if you need that score to qualify the child. The county only enters the total battery. If that score was not a qualifying score, but the child’s reading total or math total score was, you need to enter that reading or math score.

Printing a GF166 or GF167:

1) Follow steps 1-4 above.2) Click “Modules”, roll over “Students” on the drop down, and then roll to the left to click

“Gifted Eligibility”.

3) Click “Add Gifted Eligibility”. You will see the Gifted Eligibility window:

Enter the following information:School Year: always the “spring year” of a school year. For example, this year will be 2012, even now.Eligibility Status: Choose “review completed”.Referred by: Select from the menu.

Is Qualified: Select “yes” or “no”.

Qualification Criteria: If a student does NOT qualify, or if a student qualifies under both Option A and Option B, select “Option B”. If a student qualifies ONLY under Option A, select “Option A”.

Service Start Date: Select date from calendar.

For each assessment that you want reported:

Select the assessment: Select the assessment from the drop-down menu. Be sure the boxes to the left are checked.

Assessment Area : Select the assessment area. (Mental Abilities, Achievement, Creativity, or Motivation)

Qualified: Select whether the score was or was not qualifying. (You may say “yes” if the score was a qualifying score, even if the child was not eligible for gifted service. You may say “no” if the score was NOT a qualifying score, even if the child is eligible for service.)

Click “Add”. The assessment will appear in the box above.

Continue adding ALL assessments given this cycle, and any others that were used to qualify the child. We now report Renzulli AND TTCT or Renzulli AND Motivation Portfolio or CAIMI. There is a statement on the 167 that 2 checklists cannot be used to qualify a child for gifted service. You may wish to highlight this if you think that parents may be confused.

Click “close”.

Click “print”. The correct form (GF166 or GF167) will appear with the shaded overlay somewhere on it (it may be in different places each time you access this page):

Before printing, be sure to look over the form for accuracy and completeness.

Student Assessment Results (GF167)1. Generate and print this form using the academic portal.2. Sign in BLUE ink and make two copies.3. Send the original to the ALP office.4. Send one copy home for parents.5. Keep a hard copy on file at the local school.6. Give your Data Entry clerk a list of students who were tested but did not qualify. He/she will need

this to code the students correctly.

Gifted Eligibility Results (GF166) 1. Generate and print this form using the academic portal.2. Print two copies and sign both in BLUE ink.3. Send both copies of this form home; one for parents to keep and one to be signed and returned

before a student may receive gifted service (elementary resource class and high school gifted electives).

4. Once the signed copy is returned make two copies: one for student’s permanent record and one for the gifted folder. Send the original to the ALP office.

5. Give your data entry clerk the “permanent folder” copy in order to create an electronic record on CSIS. This is essential for state reporting accuracy. See ALP FTE Manual.

Note: If you have the colored paper, it may be helpful to have the copies different colors.

Remember: The person who logged into the portal needs to sign the form. His/her name will be printed on the form.
