PROVISIONS FOR ON-SITE EXAMINATIONS AND COMPUTER-ASSISTED EXAMINATIONS WITH MORE THAN 20 PERSONS

General requirements:

▪ Legal provisions allow us to offer pending on-site examinations on University premises where online-based examinations are not possible for objective reasons. To protect the health of all individuals involved in the examination and to contain the further spreading of the coronavirus, the following organizational provisions and hygiene measures are taken:

▪ The Occupational and Environmental Safety Unit carried out general risk assessments for on-site examinations with more than 20 persons and certified central and decentral lecture halls. The resulting general hygiene and protection concept applies to on-site examinations in these lecture halls.

▪ Separate concepts for on-site examinations with more than 20 persons are therefore not necessary. Yet implementing and adhering to the measures deriving from this risk assessment and contained in the general hygiene and protection concept are a must. A handout for examiners and a handout for students have already been created (see link below).

▪ Traceability of all persons involved and present in the examination room (examinees, university lecturers, janitors, etc.) must be ensured by noting down the required contact details. This contact information must be safely stored for a period of 4 weeks.

Documents/information also applying:

▪ Please find the currently applicable legal provisions and University guidelines on the corona info pages of the University.

Hygiene and distance:

▪ Examinees and (assistant) examiners who are ill, feel ill or have been in contact with Covid-19 patients during the 14 days preceding the examination date must not enter University premises and take part in the examination. Persons experiencing respiratory symptoms or fever must, as a general rule, not be present on University premises.

▪ Persons who start to experience these symptoms during work on University premises (i.e. during the examination) must leave these immediately. Persons with these symptoms shall contact a doctor’s surgery in order to get tested (if applicable). The person in charge of the examination must be notified immediately so that persons at the

University who were in direct contact with the person infected with the coronavirus can be contacted and, as applicable, relevant quarantine measures can be put in place.

▪ Since May 18, 2020, mouth and nose covers must be worn in all University of Bonn buildings (including entrances and hallways). Staying in entrances and hallways of buildings must be kept to a minimum. Maintaining a minimum distance of 1.5m to other persons is also crucial outside of examination rooms.

▪ All toilets in proximity of the examination rooms have the necessary means for thoroughly washing your hands (running water, liquid soap and paper towels). Instructions on how to correctly wash your hands are on display in the toilets.

Airing and rooms:

▪ All examination rooms can be sufficiently aired and are aired both before and during the examination. This will be done either via a ventilation system (mechanical air circulation) or by leaving windows ajar throughout the entire examination and additionally opening doors.

▪ Examination rooms are aired at least 10 minutes before the examination starts. If the examination room is equipped with a ventilation system, the service team will adjust the system’s settings in advance to ensure ideal ventilation.

Cleaning:

▪ Examination rooms are cleaned and door knobs and handrails disinfected on a daily basis.

▪ All examination rooms have been equipped with buckets containing soapy water, cleaning cloths and disposable gloves. Prior to each examination, the examinees’ desks are cleaned with soapy water and left to dry. This procedure ensures that possible SARS-CoV-2 pathogens on the surfaces are removed.

▪ In case of computer-assisted examinations, keyboards and computer mice are also cleaned with a microfiber cloth soaked in Bacillol Foam 30 (spray bottle).

Toilets:

▪ All toilets are prepared in a way to ensure that rules on minimal distance can be adhered to (e.g. by locking off sinks).

▪ Notes on display outside of toilets rooms serve as reminders that only a certain number of persons may enter at the same time and that minimum distance is to be kept. The maximum number of persons depends on the floor space of the toilets.

▪ Where appropriate in areas with many people, guards are posted to regulate toilet access.

▪ Toilets are cleaned and disinfected on a daily basis. Door knobs and handrails are disinfected every day, too.

Hallways:

▪ Hand disinfectant is provided at the entrance to every building and lecture hall.

▪ All buildings have marked paths on the floor or signs posted leading from the entrance to the respective lecture hall. Please make sure to follow them as indicated.

▪ The use of space (stairs, doors, elevators, amongst others) is regulated to ensure minimum distance can be maintained. In areas where typically many persons gather, minimum distance of 1.5m is indicated via adhesive tape. Proctors are positioned in front of lecture halls who direct the flow of people as necessary.

Examination rooms:

▪ Hand disinfectant is also provided at the entrances to examination rooms.

▪ Furniture is arranged or assigned in a way to allow for adhering to a minimum distance of 1.5m between persons. All students must sit in a seat marked with a number so the minimum distance of 1.5m is maintained at all times. In case of fixed auditorium-style seating, only every fourth seat is filled.

▪ To ensure smooth running of the examination, seating plans for the examination rooms will be created in advance and put on display in the examination rooms. Seats are allocated in a way that each student can get to or leave the row of seats while still maintaining the minimum distance as possible.

▪ Proctors shall instruct students to enter examination rooms starting at one end, row-by-row. Seats in the middle of a row should be filled first, thus preventing queues in the entrance area.

▪ Identities will be verified at the examinee’s desk.

▪ Once proctors have indicated to do so, mouth and nose covers may be removed during the examination. We nevertheless recommend examinees to wear mouth and nose covers throughout the examination.

▪ Before the start of the examination, examinees are instructed as outlined in
