Gartner Symposium/ITxpo Registration and Hotel Accommodations

How do I register for the event?Registering for Symposium/ITxpo is easy! You can either go online to our dedicated registration page or call the team directly at 1-866-405-2511.

If you are a Gartner Executive Programs member, please contact your service delivery associate to register instead.

I’m registered! When can I make my hotel reservation?Executive Programs attendees have a priority booking window that begins on May 4 at 12:00 p.m. noon EDT. General Attendee reservations will open May 11 at 12:00 p.m. noon EDT.

How do I make a reservation? First, you must be registered for the event in order to make a reservation. You can then log back into your event registration in your gartner.com account and select “Make Hotel Reservation.” For more detailed instructions on how to make a reservation please visit our Booking Guide. Alternatively, you can call the Gartner Housing Team directly at 1-866-405-2511.

Can I call the hotel directly to book my hotel reservation?No, unfortunately reservations cannot be made directly with any of the official hotels and inquiries will be redirected to the Gartner Housing Team to facilitate.

I was registered by someone else, how do I make a hotel reservation? That’s ok, you can still book your accommodation by yourself – you will need to login to your gartner.com account and select “Make Hotel Reservation” and from there you will be able to enter your dates and choose from a list of available hotels. Help! I’m having trouble logging into the registration system, what can I do?Please follow the links and instructions on the log in page for assistance. Resetting your credentials can be done simply online.

Will there be special rates offered by hotels in Orlando?Yes! The official Gartner Symposium/ITxpo 2017 hotels offer special discounted rates for registered attendees. Additional charges such as taxes, multiple occupancy fees, and resort fees vary by hotel and are not included in the room rates.

Are rooms available at a government rate for Public Sector attendees? Yes, we have rooms available at the current GSA per diem rate at many of our hotels. The room rates are quoted at the current GSA rate and are subject to change if and when the GSA rates are adjusted by the government for 2017. All reservations made at the GSA per diem rate are subject to review and will be require you to present official identification of U.S. public sector status at the time of check in.

Do I qualify for the GSA rate? GSA qualifications are subject to the individual hotels’ polices. With the exception of the Marriott Villages hotels all of the Symposium/ITxpo affiliated hotels require that guests be from an organization within the United States federal government, military, and state or local governments, this does not include contractors working with/for the public sector. Additionally, higher education and K-12 organizations that are funded by the government (public school systems) qualify for these rates. Private education organizations do not qualify, nor do non-profit organizations (.orgs). The Marriott Villages (Courtyard, SpringHill and Fairfield Inn) will honor the GSA rate to members of the public sector from both inside and outside the United States.

All reservations made the GSA per diem rate are subject to review and will be require you to present official identification of public sector status at the time of check in. GSA rated rooms are also subject to the same cancellation terms and penalties stated above.

Can I pay for my Public Sector hotel reservation upon arrival? Yes, only attendees who have booked a GSA per diem rated room will not be charged until check in.

Can I make more than one hotel reservation? No, only one hotel reservation per registered attendee is permitted. In order to provide the best booking process for our registered clients “Place Holder” reservations will not be allowed.

I’ll be attending with a team, can we stay together? If you are part of a registered team looking to stay together, please contact the Gartner Symposium/ITxpo Housing Team for assistance at US.housing@gartner.com or 1-866-405-2511.

Why do I only see certain hotels available?The hotels you see are based on the dates you selected and availability at the time of your booking. Please note that the Swan, Dolphin, Yacht & Beach and Boardwalk hotels are available exclusively to Executive Programs attendees only.

Do you require a minimum night stay at certain hotels?Yes, there is a mandatory 3 night minimum stay at the following hotels:

All reservations made at the Walt Disney World Swan and Dolphin Resort require a 4 night minimum stay.

What if I need to change my hotel reservation? You can edit your hotel reservation by going back into your event registration in your gartner.com account and select “Edit Reservation.” You can also call the Gartner Housing Team at 866-405-25111. Please note that all changes must be completed prior to 5:00 pm EDT on September 1 to avoid being charged for the minimum night stay by the hotel.

What is the hotel cancellation policy? Between May 4 and September 1 you are able to cancel your hotel reservation without penalty as long as it is canceled within 3 business days of making the reservation. Any reservation canceled after the 3 business days will be charged a non-refundable penalty equal to one night’s stay plus tax. Please note, public sector rooms are subject to the same terms and conditions.

Any cancellation made after 5:00 p.m. EDT on September 1 will be billed the full minimum night stay (3 or 4 nights) which is non-refundable.

On September 2, all hotels will charge the credit card provided at the time of booking the minimum night stay. Any cancellation made after September 1, will NOT receive a refund.

If you cancel your registration for Gartner Symposium/ITxpo 2017 you will need to cancel your hotel room separately and it will be subject to the cancellation policies stated above.

I received a phone call from someone saying they can offer me a room at a lower rate or at a different hotel. Is this a scam?Gartner as a rule will always contact attendees directly about administration of their Event experience. Gartner Events always provide notice to Attendees and Sponsors when we will be using a third party provider like GPJ (George P. Johnson) as part of the Event administration. As such, it is good practice to assume that any third party provider that contacts you about a Gartner event is a scam. Case in point: many of our exhibitors and delegates have been contacted by an organization claiming to be affiliated with Gartner called Exhibitors Housing Management. This is a scam as Gartner is not in any way affiliated with EHM. If you have a contract to exhibit at or attend a Gartner Event and you receive an email from a third party provider claiming to be contacting you on behalf of Gartner, please contact your Gartner Account Representative before responding.

How do I get to the event if I am at one of the offsite properties?We offer complimentary transportation to/from the official Gartner Symposium/ITxpo hotels. Shuttles will run every 10-20 minutes throughout the event hours. The evening of the special event the shuttles will return to the hotels on each of the bus routes as well as the ESPN Wide World of Sports Touchdown parking lot.

What if I am driving in for the conference or if I want to stay at a hotel that is not listed as an official Gartner Symposium/ITxpo hotel?We do offer a complimentary shuttle to/from the ESPN Wide World of Sports Touchdown parking lot. You may drive your car and park here and we will provide shuttle service to the Dolphin Hotel. Shuttles will run every 10-20 minutes throughout the event hours. The evening of the special event the shuttles will return back to this lot as well. Please note there is no parking at the onsite hotels for the conference.

HOW TO BOOK A HOTEL RESERVATION:Below is a step-by-step guide on how to book your hotel reservation for Symposium/ITxpo 2017. Please remember that only registered attendees are able to make a reservation. If you require further assistance the Gartner Housing Team is available Monday – Friday, 6:00 a.m. – 6:00 p.m. by calling 1-866-405-2511.

1. To access your Gartner.com account click HERE.

2. Once logged in you will see the Registration Information page. This page allows you to edit any contact information, User Profile information, and reserve a hotel. Please note, if you are directed to the “Personal Information” Page first, click on “continue” and you will be directed to the Registration Page.

3. On the Registration Page, under the “Hotel” section please select “Book Your Hotel Reservation.”

4. On the Hotel Reservation Page select the arrival and departure dates and click “continue.” Hotel codes are not required to reserve a room, but if you have been provided a code please type it in and click “Add Code.”

5. Once you have entered your dates a listing of all available hotels will display on the next screen. To see more information on a specific property or make your selection click on “Select/More Details.”

6. If you would like to move forward with your selection click on “Book Now” to review the reservation details.

7. Please review that the reservation details are correct and read and accept the terms of the cancellation policy. Reservations cannot be completed until you have agreed to the cancellation terms.

8. Once the cancellation terms are read and accepted you can enter credit card information to guarantee the reservation.

Credit cards are not charged at this time. On September 2 the hotels will charge the credit card provided the minimum night stay. Guests will need to show their credit card at check-in. Failure to check-in on your scheduled arrival date will result in a cancellation of your entire reservation and will be charged for the entire length of your stay.

Guests who wish to transfer their reservation to another attendee must provide updated credit card information otherwise the original card provided will be charged.

9. Click on “Process Hotel Reservation” to complete the booking. Once the reservation is submitted a confirmation will be sent via email. This will outline the complete reservation details as well as a reminder of the cancellation policy and cut-off dates should any changes need to be made.

If you need to change the reservation for any reason prior to September 1 at 5:00 p.m. EDT you may do so by logging back into your gartner.com account or by calling the Gartner Housing Team at 866-405-2511. Any changes to your reservation made after September 1 must be done directly with the hotel.
