Garden Party in aid of Migraine Action

Helping you to make your event a great success

Thank you for contacting us regarding our Garden Party fundraising event. Your support is greatly appreciated and will allow us to carry on supporting the 8 million people in the UK affected by migraine.

Garden Party FundraiserWe are inviting peope across the UK to organise a garden party on Friday 15th June 2012 at their own home, place of work, school / college, local community centre or other venue to help raise funds to support our services. A fundraising garden party is a great way to spend time with friends and family and help to make a real difference to people battling to manage this much misunderstood condition at the same time. (The date has been chosen to coincide with ‘celebration day’ during Small Charities Week - visit www.fsi.org.uk for more information. If you are unable to host an event on this day please pick a date you prefer). We are here to help make your garden party a piece of cake to organise! Within this booklet you will find lots of hints and tips to help you get started. If you require more information please call us on 0116 275 8317. We also love feedback; if you feel that the information we have sent you could be improved or you have any other ideas for a fundraising activity please get in touch at [email protected].

We hope your Garden Party is a great success and that you and your guests enjoy the event!

1. Set a dateWe will be holding our Garden Party on Friday 15th June 2012, to coincide with ‘Celebration Day’ taking place during Small Charities Week (Monday 11th - Friday 15th June 2012) but you can choose a date which is convenient for you and your guests. You may want to host your garden party to coincide with the The Queen’s Diamond Jubilee Holiday on Tuesday 5th June or the London 2012 Olympics?

2. Invite others to your Garden PartyDecide who you want to invite. You can make it as big or small as you want. You can invite just friends and family, or make it much bigger and invite people from your local community. Often the more people you invite the more you will raise, in turn the more people you will help.

To help you promote your Garden Party we have put together some invitation cards and posters that you can distribute, a copy of these have been provided with this booklet; should you require more please contact us. You can download an interactive version of our Garden Party poster from our online shop www.migraine.org.uk/gp. This enables you to type in information about your Garden Party directly on to the poster, such as the time and date it will be held.

3. Deciding on a venueA Garden Party can be held at home (providing the perfect opportunity to show off your garden), at your workplace, school / college or at a local venue, such as a community centre. Make sure you pick a venue that can accommodate the number of people you are inviting to share your Garden Party with.

4. Make a list of tasksBy making a list of tasks and deadlines you can help to avoid any last minute panics! If you are planning a big event you may want to ask your friends or family to help you. A fundraising planner and task list have been enclosed for you.

5. Set a fundraising targetHow will you be raising funds? Are you going to be asking people to give a donation on the door? Will you be asking them to pay for refreshments or will you organise other activities to raise funds like a raffle, tombola, guess the number of sweets / stones in a jar or a quiz which people pay to enter (with a small prize at the end)?

6. Contacting UsWe want to know how many Garden Parties are being held and to be able to thank you for your support, so please let us know what you have planned. Email [email protected] or call us on 0116 275 8317. For more advice and information please visit www.migraine.org.uk/fundraising or let us know of any support you require.

Tips for planning a successful Garden Party

Put the fun in fundraising – have an enjoyable event!

There are various different things that can be done to help fundraise. To help get you started and double your pennies we have made a few suggestions below. However, you can decide to do whatever you want for your Garden Party and the funds you raise will help to make a real difference to those affected by migraine.

Fundraising ideas

Have a collection tin

Guests can fill a collection tin with their spare change - if you have empty coffee jars these can be washed and used.

Sell garden related products (e.g. hanging baskets, plants or vegetables)

You can sell home grown flowers or vegetables or if you are feeling more artistic decorate flower pots or make hanging baskets to sell. You can get others to help you.

Contact your local schools

Schools are often involved in fundraising for different causes and are often keen on gardening. You can contact your school to see if they would be interested in doing a project related to your garden; this can help contibute to their curricula activities, such as their PSE or citizenship lessons.

Contact you local gardening clubs / allotment societies

They may be able to help you organise your party or be willing to come and visit. The more the merrior!

Get friends and family or local businesses to donate things that you can sell, auction off or enter into a raffle.

Why not contact your local garden centre or nurseries to see if they will donate any plants or seeds that you can sell. Many people are happy to donate items, such as cakes, biscuits, drinks etc; they can all help to fundraise.

One in 7 people has migraine

Hold a raffle or competition

You can organise a competition or activities encouraging people to compete and then the winner gets a prize. For example:

* Egg and spoon race or sack race.* Arm wrestling or sprout eating competition.* Paper plane challenge - get everyone at the party to guess

what they think the furthest distance for flying a paper plane will be. For each guess you can charge £3 (£2 goes towards fundraising). The person who guesses the furthest distance wins and gets the remaining price money.

Holding a fete

If you want a bigger challenge and want to attract more people, you can organise a local fete or fun day! You can have different stalls offering a range or products and services that people will pay for, such as hair braiding, henna, face painting, bouncy castles etc. You can get people to donate food, such as candy floss or popcorn, teas and coffees, cakes, drinks and then sell these. You will be amazed how much money can be raised from a fun day or fete.

Distribute Migraine Action literatureYou can help to raise awareness of migraine and help us get much needed new members by displaying and distributing our information booklets to others at your Garden Party. Just let us know if you’d like some copies.

Sell goods on behalf of MAWe have various products on our online shop ranging from Sunflower seeds, to flower USB desk fans that you can sell on our behalf. For more information please contact us on 0116 275 8317 or email [email protected].

Strawberries and cream cupcakes

Preparation1. Preheat the oven to 200C/400F/Gas and line two 12-hole muffin trays with

paper cases.2. Cream the butter and sugar together, preferably with an electric whisk, in a

large bowl until the mixture is light and fluffy. (This can take 5-7 minutes)3. Beat in the eggs, one at a time, until well combined. (If the mixture looks like

it is curdling add a spoonful of the flour.) Fold in the remaining flour with a metal spoon until you have a soft, smooth mixture.

The finished cake case should be about three-quarters full. Bake in the oven for 12-15 minutes, or until the cakes are a pale golden-brown colour and spring back when pressed gently with a finger. Remove the cakes from the oven and set aside to cool on a wire rack.

FAQ’s

I would love to hold a Garden Party but my garden party is too small, what can I do?

A garden party can be held in a garden of any size; if you don’t have a garden yourself you could ask a family member or a friend if they would host the event. A Garden Party can also be held at other locations for example, at your workplace, school / college or at a local venue, such as a community centre. Pick a venue that can accommodate the number of people you would like to invite to your Garden Party.

How do I get people to come to my Garden Party? You can invite family, friends, neighbours, colleagues and ask them to spread the word to other people they know, as well as putting up posters in the local library, shops, community centre, church hall etc. You may also want to contact your local radio and newspaper who may advertise events in the community section for free.

How do I raise money? There are various different things you can do, for example you can ask people to make a donation when they enter, sell refreshments and other items, hold a raffle, competition etc.

What support can Migraine Action give me?We have included various support materials along with this booklet, however if you need more tools or information you can contact our fundraising team on 0116 275 8317 or email [email protected] and they will be happy to assist you. The difference your Garden Party can make!

Keeping your event safe* Whilst you want your event to be fun it is equally important to try and ensure

everyone at your Garden Party is safe and that they are all abiding by the law. * Try and ensure that the environment you are holding your

event in is clean, tidy and safe and there are not any hazards that can potentially harm others, such as loose cables. If there are any potential hazards draw people’s attention to them (e.g. “mind your step” or “slippery path”). If children are going to be attending please make sure there are no harmful substances or sharp objects laying about. Please follow professional advice of any equipment you are using.

* Please remember food hygiene is really important. If you are going to be handling food make sure you safely and cleanly prepare, store, display and cook food.

* Migraine Action cannot accept any responsibility for any loss, damage or injury that occurs at your garden party. Our insurance does not cover property, nor does it cover your personal liability for any injury suffered by yourself or anyone else as a result of taking part in the Garden Party.

Gift AidYou can help to increase the value of donations to Migraine Action by making Gift Aid part of your Garden Party. For every pound donated to us, we can claim an extra 25p from the government.

A Gift Aid sheet has been provided with this booklet, please encourage others to fill in their details including their name, address, postcode and the amount they wish to donate. If they are a UK tax payer, please get them to tick the Gift Aid box.

* All the details on the Gift Aid form need to be handwritten and details cannot be filled in on behalf of friends or family. Unfortunately, if the writing is the same we cannot use the form to claim Gift Aid.

* Gift Aid can only be claimed on individual donations, we are unable to claim Gift Aid on monies raised as one donation. For instance, if you raise an amazing £200 at your event, you cannot send in a form with your name and £200 in the amount donated box.

* Gift Aid can only be claimed on donations. Unfortunately, it cannot be claimed on money given for activities like raffles, where there is a prize.

* Why not ask everyone to make a donation on arrival and ask them to complete the Gift Aid form at the same time?
