Note: All reports can be downloaded and scheduled to automatically send. You can specify what is included, who should get the report and how often it will be distributed. To set up a schedule, select the schedule button next to the report.

Fuel PricesWhat it reports: This report displays fuel prices by day at all Penske locations.

Value to customer: If they want an overview of their current fuel prices across all of their customer numbers, this report will give it to them in a spreadsheet.

Fuel Price HistoryWhat it reports: This report displays a 31-day history of fuel prices at all Penske locations.

Value to customer: If a customer wants to see what fuel prices have been over the course of the previous month. This could be valuable if someone wants to address billing questions.

Fuel PumpedWhat it reports: This report displays fuel pumped activity within a user specified date range sorted by location or unit, useful for IFTA mileage reporting. Full transaction details are also available.

Value to customer: This is useful for fuel tax reporting purposes. States want to keep track of any fuel that is pumped so that they can tax accordingly. This fuel usage rate is gathered from fuel tickets submitted to the fuel team or when a customer uses Penske Fuel cards. The information from the fuel tickets is updated daily, but the information from the fuel cards are updated once a week.

Invoiced FuelWhat it reports: This report displays invoiced fuel purchase activity within a user specifc date range sorted by location or unit. Full transaction details are also available.

Value to customer: This shows them what they have been charged in fuel. It’s valuable for billing questions and concerns. As with the Fuel Pumped report, there can be a delay in fuel card invoicing due to the week-long delay in fuel card updates.

Non-Invoiced FuelWhat it reports: This report displays pending fuel transaction sorted by location or unit. Full transaction details are also available.

Value to customer: Customers can see what fuel charges are pending but for which they have not yet been invoiced. This helps customers avoid surprises by fuel charges that they weren’t expecting.

Maintenance ChargesWhat it Reports: This report displays maintenance cost information that can be filtered to reflect yearly, quarterly or monthly views with key KPI metrics, such as Average Cost and Total Repair Orders. A special focus on Component Cost is displayed in a graphic and table form.

Value to Customer: This report tells a customer what they spent on repairs.

PM ComplianceWhat it reports: This report displays preventive maintenance (PM) compliance KPIs along with graphic and table formats for non-compliant unit information.

Value to customer: Allows a user to see their historical PM compliance. This is valuable for tracking trends to see if they need to better routinely address their PM needs.

Unit AuditWhat it reports: This report displays a list of all maintenance activities performed on the specified unit for the previous 12-month period.

Value to customer: In the event a customer is audited by DOT, this is the information will generally be needed. This report is designed to streamline the availability of this information.

Vehicle Service HistoryWhat it reports: This report displays a list of all maintenance activities performed on the specified unit throughout the life of the Penske contract period.

Value to customer: Since this report shows all of the work of a vehicle, a customer can verify how much a vehicle has cost them since leasing/renting/contracting the truck.

Contract ChargesWhat it reports: This report displays all contract chares including fixed monthly amounts and variable mileage charges.

Value to customer: This is valuable for the same reason as maintenance charges. It allows customers to see what they have spent on their contract charges and filtered by whatever specific criteria they would like.

Special ChargesWhat it reports: This report displays miscellaneous charges to your account. Examples include tolls incurred in rental units or unpaid fines and fees.

Value to customer: This report will help customers fill in the gaps they might have in billing. This indicates charges for things that they either might not be thinking of, or where they otherwise may not know where to find.

Total ChargesWhat it reports: This report displays total invoiced charges within a specific date range. KPI and table views provide breakdowns by contract and maintenance charges.

Value to customer: This will show them their total spend. They won’t have to manually collect multiple reports to find out their total amount.

Contract Mileage VarianceWhat it reports: This report displays a lease unit’s actual miles against contractual mileage for a selected time period with KPIs in graphical and table formats

Value to customer: While customers aren’t typically charged for this today, going forward they likely will be. This report will be very important to make sure that customers aren’t exceeding their contracted mileage. Think of it as if you are leasing a car and you are permitted only 10k miles per year. This is the same general requirement that must be followed by our lease customers. This lets customers keep track.

Active RentalsWhat it reports: This report displays current active rentals by unit.

Value to customer: This allows a customer to see any vehicles they have on rent via an easy-to-read and sort spreadsheet.

Rental HistoryWhat it reports: This report displays the completed rental history by unit.

Value to customer: This will allow a customer to view their historical rental data. It’s valuable in showing what they have spent on rentals and when and where those rentals occurred.
